Maintains and manages a computerized fixed asset inventory system to comply with University and
Federal Regulations relating to equipment inventory, reporting, cost recovery, and accountability. Analyze
equipment purchase computer runs to capture data on new equipment; maintains and updates data base
by entering changes, adjustments, and deletions. Assists in facilitating annual inventory procedures.

Education, Experience and Training
Associate degree in related field with 3 to 5 years work experience. Bachelor’s degree in an accounting
or business degree preferred. Experience in Banner and Accounts Payable at an institution of higher
education preferred.

Knowledge, Skills, Ability
 Proficiency in Microsoft Office (Excel, Word and Access), Banner software
 Ability to demonstrate effective communication skills both orally and in writing.
 Ability to analyze and interpret policy and procedural questions.
 Ability to organize workflow and coordinate activities.

Physical Requirements
Sedentary work. Fingering, talking, hearing, repetitive motions. Close visual. Not substantially exposed
to adverse environmental conditions.

   Responsible for inventory control including annual physical inventories of fixed assets.
   Reconciles capital outlay expenditures to general ledger inventory control accounts.
   Maintains inventory records and tags inventory items when received.
   Maintains Capital Asset Schedule.
   Maintains property inventory and accounting cost records.
   Maintains data elements describing each asset type and class, location, quantity, cost of
    reproduction, estimated or actual year of acquisition cost, asset life, depreciation calculations, and
    special coding accommodations.
   Operates within the Financial and Accounting Services department and is responsible for the
    maintenance, control, and accountability of University fixed assets. This includes recording
    acquisition, modification, transfer, retirement, and loss of assets in the fixed assets database.
   Establishes written accounting policies, procedures and system documentation related to fixed
   Coordinates day to day operations of fixed assets system so that all equipment and other assets are
    recorded timely and accurately in the Banner fixed assets accounting system, in accordance with
    professional accounting standards.
   Prepares monthly reconciliation of Banner Fixed Assets to General Ledger and assists in coordination
    of the University’s annual equipment inventory process such that all capitalized equipment is
    inventoried annually.
   Assists in preparation of fixed assets inventory training workshops.
   Prepares journal entries to transfer charges.
   Assists departments in understanding fixed assets policies and procedures.
   Reviews surplus/asset disposition forms and bid sale forms for accuracy and completion.
   Works with departments across campus to streamline inventory process.
   Researches effective policies and procedures at other universities that could be implemented.

Responsible for own work.

Works under general supervision, Reports to General Accounting Manager. Inventories requires a
tremendous amount of interaction with departmental staff and department heads, as well as scheduling
and efficiently completing multiple equipment inventories simultaneously, compiling and updating the
results of those inventories and do follow-up on missing items. These plans should ensure that the
University is in compliance with the Federal Government’s OMB Circulars A-21 and A-110 and that the
University has implemented adequate internal control procedures

seeking to resolve problems.
