Full description:    We are inviting individuals with the appropriate attributes and personal qualities to apply for this
                     exciting and varied apprenticeship opportunity. The ideal candidate will have a friendly, outgoing
                     personality and the confidence to deal with a variety of individuals to assist in the smooth running of
                     the business and associated events.


Main Duties &        This is a very important role with regards to client interaction in both conference and banqueting
Responsibilities:    events.

                     You are expected to show strong customer interaction skills, and ensuring a high level of productivity
                     is achieved. You must have strong skills in both team and client interaction to ensure a smooth
                     running of operations with the operations and events manager. Must also be capable of operating and
                     working within a team environment.

                     Event Management:
                         Set up
                         Organise Pre – event meetings with clients
                         Checking payments are made after deposit taken
                         Checking all administration complied with
                                  -Terms and Conditions
                                  -Caterer Deposit and Charge
                                  -Supplier details
                                  -event detail and itinerary from client
                         Special or other requirements

                     Staffing Admin
                          Staff rotas
                          Time sheet
                          Agencies
                          Security

                     Food and Beverage:
                         placing order with caterers
                         placing weekly drinks orders
                         coordinating and overseeing service and kitchen team

                     Regular orders:
                         Boc (Gas cylinder C02, H20)
                         Everyday supplies
                         Linen
                         Gas Shell
                      Maintenance:
                      Arrange:
                           servicing of equipment
                           grounds
                           security alarm, fire alarm, cctv
                           Gas
                           Septic Tanks

                      Customer Care:
                          Taking initial enquiries
                          Responding to queries and complaints

                      Health and Safety Compliance:
                          Environmental Health
                          Risk assessment general and for fire
                          Electrical



Terms &               Please note there will be a pre-screening process for all applicants.

                               As set out in the employment contract.

                               Holiday entitlement is 20 days plus bank holidays

                               You will be required to work 40 hours per week – Monday-Sat morning.

                               Weekly rate – region of £150 p/w (dependent of suitability and skills)

                               You are expected to uphold Equality & Diversity and Health & Safety policies and
                                procedures.

Future prospects:    Depending on the aptitude of the successful applicant there may be an opportunity for a permanent
                     position at the end of the apprenticeship. Following on from Level 2 a candidate with the capability may
                     have the opportunity for progression onto an advanced apprenticeship at Level 3.




Expected Duration: Depending on the individual and the type of apprenticeship the course normally lasts from one year to
                   two years.

Training Provided:    Dependent on the apprentices previous qualifications, you will undertake either a Level 2 or
                      Level 3 apprenticeship programme:

                      Level 2 Certificate in Business Administration:
                      Units Include:

                             Principles of personal responsibilities and working in a business environment
                             Principles of providing administrative services
                             Principles of managing information and producing documents.
                             Principles of supporting change in a business environment
                             Principles of supporting business events
                             Principles of maintaining stationery stock
                             Principles of project management
                             Principles of contributing to innovation and change.

                      Level 3 Certificate in Business Administration:
                      Units include:

                             Principles of personal responsibilities and how to develop and evaluate own performance at
                              work
                             Principles of working with and supervising others in a business environment
                             Principles of managing information and producing documents in a business environment
                             Principles of providing and maintaining administrative services.
                             Principles of supporting change in a business environment
                             Principles of maintaining stationery stock
                             Principles of working in the public sector
                             Principles of project management
                             Principles of contributing to innovation and change

                      Dependent on the apprentices previous qualifications you may be required to undertake Functional
                      skills in:

                      Application of Number, Communication, Information Technology




 Candidate Specification:


Experience:          Experience would be an advantage but not essential as full training will be given on the job.


Personal Qualities: You should be enthusiastic and committed to learning new skills and knowledge. A flexible and open
                    minded approach is needed to be able to adapt and work effectively in a variety of situations. You will
                    need to be, reliable, adaptable and able to work to instructions given and on your own initiative. You
                    should be logical in your approach and have and eye for detail.
                    You must be capable of operating and working within a team environment. You must ensure you
                    possess strong time-management skills, meet deadlines and can thrive in a high pressure and
                    dynamic environment. A good level of administration and organisational skills in IT, letter writing,
                    telephone communications and reporting necessary information to senior management.


Qualifications:      GCSE grades A-C grades in Maths and English would be an advantage.
