DIVISION PERSONNEL NOTIFIED FOR JURY DUTY
References: Department of Personnel, Personnel Policies and Procedures Information: The Hamilton County Jury Commission sends out questionnaires to prospective jurors. Based on the answers provided on the questionnaire, the jury commission issues a summons to the prospective juror. The Police Division can request exemptions for employees who are prospective jurors for a petit jury or grand jury. Personnel must respond when called to serve on other juries, such as special juries or federal juries. Employees may request the exemption through the division when they receive this questionnaire. Purpose: Eliminate hardship to the community by depleting Police Division manpower. Policy: The Police Division can request the jury commission exempt personnel from petit or grand jury duty. However, division personnel may choose to serve as a juror if they wish. Division personnel must request an exemption when they receive the Hamilton County jury questionnaire. Once a summons is issued, personnel must respond for jury duty. Procedure: A. Jury Duty Exemption Requests: 1. 2. Employees receiving a questionnaire will complete the questionnaire and sign it. The employee will request an exemption via a brief Form 17. Attach the above questionnaire to the Form 17 and route through channels to the Court Control Unit.

Court Control Unit will complete and forward a form letter and the questionnaire to the Hamilton County Jury Commissioner requesting the employee’s exemption. a. Request for exemption does not guarantee an exemption. If the employee subsequently receives a jury summons, the employee must respond according to instructions on the summons (follow Section B.2.).
B.
Personnel not requesting an exemption or responding to special or federal juries: 1. Employees not requesting an exemption will complete the questionnaire and return it to the jury commission. Upon receiving a jury duty summons, employees will immediately notify their supervisor. a. The district/section commander will make arrangements to accommodate the jury service. 1) Personnel working other than first shift will be assigned to first shift for the duration of the jury service. Carry the employee PWP-Jury Duty in the Time Book.

The Division will excuse personnel for time spent in jury duty. Personnel will be at work otherwise. Employees will sign and forward checks received for jury duty to the unit timekeeper for verification. a. The unit timekeeper will then forward the checks to Fiscal and Budget Section.
