                       You may make copies of the Soft Solutions Software in machine-

                       include all copyright information contained on the original. Except
                       as expressly permitted in this License, you may not decompile,
                       reverse engineer, disassemble, modify, rent, lease, loan, sublicense,
                       distribute or create derivative works based upon the Soft Solutions
                       Software in whole or part or transmit the Soft Solutions Software
                       over a network. You may not transfer your rights under this
                       License including the related documentation. THE SOFT
                       SOLUTIONS SOFTWARE IS NOT INTENDED FOR USE IN

                       3. Limited Warranty on Media (if applicable). Soft Solutions
                       warrants the media on which the Soft Solutions Software is
                       recorded to be free from defects in materials and workmanship
                       under normal use for a period of ninety (90) days from the date of
                       original retail purchase. Your exclusive remedy under this
                       paragraph shall be, at Soft Solutions's option, a refund of the
                       purchase price of the product containing the Soft Solutions
                       Software or replacement of the Soft Solutions Software which is
                       returned to Soft Solutions or an Soft Solutions authorized
                       representative with a copy of the receipt. THIS LIMITED

                       CONSEQUENTIAL DAMAGES ARISING OUT OF OR
                       RELATING TO THIS LICENSE. SOME JURISDICTIONS DO

                       6. Export Law Assurances. You may not use or otherwise export or
                       reexport the Soft Solutions Software except as authorized by
                       United States law and the laws of the jurisdiction in which the Soft
                       Solutions Software was obtained. In particular, but without
                       limitation, the Soft Solutions Software may not be exported or
                       reexported (i) into (or to a national or resident of) any U.S.
                       embargoed country or (ii) to anyone on the U.S. Treasury
                       Department's list of Specially Designated Nationals or the U.S.
                       Department of Commerce's Table of Denial Orders. By using the
                       Soft Solutions Software, you represent and warrant that you are not
                       located in, under control of, or a national or resident of any such
                       country or on any such list.

                       7. Government End Users. If the Soft Solutions Software is
                       supplied to the United States Government, the Soft Solutions
                       Software is classified as "restricted computer software" as defined
                       in clause 52.227-19 of the FAR. The United States Government's
                       rights to the Soft Solutions Software are as provided in clause
                       52.227-19 of the FAR.

                       8. Controlling Law and Severability. If there is a local subsidiary
                       of Soft Solutions in the country in which the Soft Solutions
                       Software License was obtained, then the local law in which the
                       subsidiary sits shall govern this License. Otherwise, this License
                       shall be governed by the laws of the United States and the State of
                       Georgia. If for any reason a court of competent jurisdiction finds
                       any provision, or portion thereof, to be unenforceable, the
                       remainder of this License shall continue in full force and effect.

                       9. Complete Agreement. This License constitutes the entire
                       agreement between the parties with respect to the use of the Soft
                       Solutions Software and supersedes all prior or contemporaneous
                       understandings regarding such subject matter. No amendment to or
                       modification of this License will be binding unless in writing and
                       signed by Soft Solutions.

                     How it all Works
Overview                  Network workstations use the Fax Printer Driver/4-Sight Fax
                          Composer to create a fax. These are then sent over the network
                          using TCP/IP. The faxes are collected by the 4-Sight Fax Server
                          application, which is running on a machine designated as the fax
                          server.

                          4-Sight Fax Server sends the message to the fax modem, which is
                          attached to the server machine by means of a serial cable - one end
                          of which is connected to an available serial port on the Macintosh,
                          the other connected to the computer interface on the fax modem.
                          The modem then dials out, connects with the remote fax
                          machine/system, and transmits the fax. When completed, a
                          message can notify the 4-Sight Fax client workstation alerting the
                          user that the fax was transmitted successfully!

About the inbound         The Direct Inward Dial (DID) provides automated assignment of
faxing                    incoming faxes to the intended recipient. This feature requires the
                          following:

                                •   A unique fax number for each (fax) user.

                                •   An entry in the 4-Sight Fax user DID table containing the
                                    users name and fax number (suffix)

                          Notes:

                                •   DID may not be available in your area. Contact your
                                    local phone company for more information.

                                •   See Setting up and Configuring your Modem(s) on
                                    page 17 on for setup information.

About fax forward to     An optional feature, fax forward to e-mail, allows administrators to
e-mail.                  enable fax routing for 4-Sight Fax users.

                         When a fax is assigned, whether manually or via DID, the users
                         preferences are checked to see if the Fax Forward to E-mail option
                         is selected. The incoming fax is then converted into a PDF or a
                         streaming TIFF attachment and forwarded to the intended recipient
                         via e-mail.

Upgrading from 4-Sight Fax Server 4.x to 5.0
Overview                    The installer performs most of the upgrade process automatically
                            for you.

Things to keep in                  •   The v4 outgoing queue items will need to be converted to
mind:                                  v5. This is done when the v5 Server is first launched.
                                       You will be prompted with an alert to have the v4 files
                                       backed-up, and then either have them converted to v5 or
                                       removed from the outgoing queue folder

                                       The conversion process takes approximately 1-3 seconds
                                       per page. So, this could easily be a long time if they have
                                       quite a few outgoing queue items.

                                       To avoid this, you can remove everything from the
                                       outgoing queue folder before launching the Server. This
                                       folder is by default named "Queue Folder".

                                   •   Note - the incoming queue items do not need to be
                                       converted.

                                   •   All fax clients must be logged out of the 4-Sight Fax
                                       system.

                                   •   The installer removes and installs the appropriate files.

                                   •   The preferences file read and copied to a new location on
                                       your hard drive. - system\preferences\4-sight fax folder.

                                   •   The address books and users and groups are moved into
                                       version 5 format. It is highly recommended that you
                                       verify this.

                            Note:

                                   ♦   There is no upgrade path from 4-Sight Fax version 3.
                                       Contact technical support for more information.

How to install 4-Sight                  1.   Either place the 4-Sight Fax Server cd into the
Fax Server                                   CD ROM drive or if you downloaded the server
                                             application from the Internet, double-click Install
                                             4-Sight Fax Server.

                                        2.   The installation automatically starts. Follow the
                                             instructions on the screen.

                                        3.   Click Quit.




                     What's Next?
                            When the installation is done, you MUST configure and setup the
                            4-Sight Fax Server before you can send or receive faxes.

                                 storage feature of sent and received fax messages.

Setting up and Configuring your Modem(s)
Overview                   Setting up and configuring your modem(s) to work with the 4-
                           Sight Fax Server software is a four-step process:

                                     When a call comes in to a particular number, the
                                     equipment at the telephone company passes on the last
                                     4 digits - the routing digits - to the router.

                                     The router then dials the modem with just those 4
                                     digits. When 4-Sight Fax Server receives the fax, the
                                     modem passes on the extension to 4-Sight Fax Server.
                                     The software then matches the received number
                                     against the list of numbers entered in the software and
                                     assigns the fax to the correct person as it is entered in
                                     the User setup.

                               ♦    You can use up to 16 modems connected to a single
                                    machine. Additional hardware is required to establish
                                    additional serial ports. If you have more than one modem,
                                    it is recommended that you assign one modem for
                                    receiving faxes and the other one for sending faxes.

                               ♦    Although you were prompted for the type of fax modem
                                    you have in your machine during the 4-Sight Fax Server
                                    installation, it was not configured yet. You must
                                    manually configure your modem(s).

                               4.   Select the appropriate Minimum Priority of messages to
                                    process option.

                                    Use this option if more than one modem is being used for
                                    sending faxes. For example, one modem can be
                                    designated to send only Urgent messages, and another
                                    modem to send low priority faxes (Bulk). These low
                                    priority faxes (Bulk) would never be sent by the first
                                    modem.

                               5.   Click the Local Printer Only option to print all incoming
                                    faxes to assigned default printer for this machine.

                               6.   Enter an easily identifiable name for this modem. For
                                    example, 4-Sight Fax Server (send and receive).

                               7.   Repeat steps 2 through 6 for each additional modem you
                                    have attached to this machine that you want to use with
                                    the 4-Sight Fax Server application.

                                    Proceed to Connection Settings on page 23 to
                                    continue setting up and configuring 4-Sight Fax Server.



                           Tips:

                               ♦    You can use up to 16 modems connected to a single

  Parity             Refers to modems capability to check the bits data that has been
                     transmitted accurately.

                     The parity bit for each unit is set so that all bytes have either an odd
                     number or an even number of set bits.

  Data Bits          There are many different types including Checksum, CRC, MNP and
                     CCITTV.42.

                     Regardless of which type your modem supports, data bits provide a
                     measure of error detection which prevents against garbled messages
                     between two devices.

  Stop Bits          In asynchronous communications, a bit that indicates that a byte has
                     just been transmitted from the sending device. Every byte of data is
                     preceded by a start bit and followed by a stop bit.

  Handshake          Also known as Flow Control, it is a method for regulating the flow of
                     information between two modems.

                     Xon/Xoff sends ASCII code to pause an incoming transmission if the
                     receiving modem needs more time to process the information.

                     CTS (Clear To Send) is a hardware method of flow control that uses
                     an electrical signal to indicate preparedness to accept data.

  Recognize          Select the number of digits that is parsed through by the local

                     For instance at 4-Sight’s UK office the number routed by the local
                     exchange is always 11 digits - 01202 758444, regardless of whether it
                     is a local call - 758444, a national call - 01202 758444, or an
                     international call - +44 1202 758444. Therefore to set this number, it is
                     necessary for you to know how many digits are passed from your local
                     exchange (normally area code + number)

                     Note:

                         ♦    This number should be set to the same number as the “Route
                              on last “n” digits” drop down menu, except when it is
                              necessary to route on a range of numbers that are not the
                              “last” numbers of the call, but a range in the middle. For
                              instance if using the above example 4-Sight needed to route
                              on “7584” this menu would be configured for “9” digits and
                              the “Route on last “n” digits” menu would be set to “4” digits.

  Route on           Select the number of digits parsed through by the local exchange. This
  last "n"           number will always be the same. For instance, in an organization with
  digits             up to 100 people 2 digits would suffice 0 - 99, for an organization with
                     up to 1000 people 3 digits would be necessary 0 - 999, etc. This would
                     also be the number of DID/DDI numbers required from the telcom
                     provider.

Defining E-mail Settings
Overview                   Use the 4-Sight Fax Server e-mail feature (an optional feature) to
                           send a fax as an e-mail attachment in PDF format. The Email
                           Setup dialog box allows you to configure your e-mail client on the
                           fax server to send the fax as an e-mail.




How do I?                      1.   Launch the 4-Sight Fax Server application, and on the
                                    Setup pull-down menu and select Email Setup.

                               2.   Select the Enable email forwarding option to enable this
                                    option.

Defining Security Settings
Overview                   Use the 4-Sight Fax Server security features to protect
                           unauthorized access to the setup and configuration of the 4-Sight
                           Fax Server itself, as well as to fax messages in the incoming and
                           outgoing queues.

                           Setting up 4-Sight Fax Server security is a three-step process:

                     Managing Fax Server Passwords

Managing Server Address Books and Entries
Overview                   Use the Server Address Book dialog box to create or modify
                           server-based (general) address book(s). For example, you can
                           create a company-wide address book or a departmental address
                           book. These address books will save time for the fax client user by
                           having the recipient information already provided.

                           Once a book is created, you can either manually enter the
                           recipient's information or you can import a tab delineated file from
                           most any word processor, spreadsheet or database application.

                           Notes:

                                    •   You must first create a server address book before
                                        you can create or import address book entries.

                                    •   The server-based address book(s) and their recipient
                                        information is available to all fax user's. A server
                                        address book entry is indicated by a bullet next to the
                                        name. Although fax clients can make use of the
                                        address, fax clients cannot modify the entry.

                                    •   Although you can have many server-based address
                                        books, only one address book can be shared with fax
                                        clients at a time. The Fax Administrator determines
                                        this. The fax client can decide which server-based
                                        address book they want to use.

                                    •   Fax client user's can create and maintain their own
                                        address book and entries. Refer to the 4-Sight Fax
                                        Client documentation for more information.

                           Warning:

                               •    4-Sight Fax Server does not place any security on address
                                    book files.

Creating and Managing Cover Pages
Overview                   Use the Cover Page Configuration to setup custom and default
                           cover pages for 4-Sight Fax client users.

About Creating             4-Sight Fax Server allows you to maintain company standards by
Custom Cover Pages         providing cover page templates that fax client users can use. For
                           example, a legal department may want to include default legal
                           information on the cover page itself, where this information may
                           be otherwise inappropriate for other departments and users.

3-step Process             The process of creating a cover page is a 3-step process:

                               1.   Creating an image file (PICT) that is the size you want
                                    such as 8 1/2 by 11 (letter) or A4.

                               2.   Associating a cover page to a profile.

                               3.   Insert and place the appropriate fields, such as "Name"
                                    and "Fax Number" to name a few fields onto the cover
                                    page.

                           Notes:

                                        •    Cover pages can only be a PICT file.

                                        •    4-Sight Fax clients cannot create or modify their
                                             own cover pages. You may want to consult with
                                             various people or departments to determine their
                                             needs and requirements for a cover page.

                                        •    You can include any defined Custom Fields as
                                             well.

                           Warning:

                               •    Cover pages larger than A4 may not fax properly.

                     Creating a Background PICT File
How Do I?                      1.   Use most any graphics program that supports PICT files
                                    to create your cover page.

                                    Make sure that cover page (page setup) is the size you
                                    want, 8 1/2 by 11 or A4.

                               2.   Save the file as PICT file.

                           Tips:

                               •    If you do not have a graphics program that can convert an
                                    document into a PICT file, then you can use the freeware
                                    program Print2Pict located on the CD. Install the print
                                    driver and then print your document using this printer
                                    driver. The document is printed or saved to a PICT file.

                               •    4-Sight Fax Server comes with a few sample cover pages
                                    that you can use as your own, or customize to best suit
                                    your needs. These cover page PICT files are located in
                                    Sample Cover Page folder.

                           Notes:

                               •    A cover page (PICT file) can be located anywhere on the
                                    disk. However, it is recommended that you designate a
                                    folder for cover pages. 4-Sight Fax Server has a folder
                                    that is created for you during installation - Sample Cover
                                    Page.

                               •    Keep in mind not to create a cover page using color
                                    pictures or colored text. Also, keep in mind the defined
                                    default image resolution for outgoing faxes. You will
                                    need to keep this in mind when creating your cover page.

                               •    The name of the file will also be the name of the cover
                                    page that is displayed in 4-Sight Fax Server Cover Page
                                    Configuration.

Queuing Faxes
Overview                   Use the Queue Configuration dialog box to do the following:

                               •   Create and select a folder where incoming and outgoing
                                   faxes are processed. By default, two folders are created
                                   for you. The Queue folder queues outgoing faxes. The
                                   Incoming folder queues received faxes.

                               •   Enable or disable the queuing option for the Queue or
                                   Incoming separately.

                               •   Perform automatic clean-up of successfully completed
                                   faxes in the defined queue folders.



                           Tip:

                               •   You can temporarily disable this option to perform
                                   maintenance on the server.

                           Warning:

                               •   This option MUST be enabled to send and receive faxes.

                                    •   Faxes (incoming or outgoing) must be deleted from
                                        the queue to be archived.

                                    •   You must view an Incoming fax before it can be
                                        deleted. Once you have read the message, and if the
                                        Remove completed items after "n" hours option
                                        is enabled, faxes will be deleted or archived after
                                        whatever time in hours your defined.

                                    •   You can enable or disable the queuing of faxes
                                        separately as well as the Remove completed items
                                        after "n" hours option and folder location.

                                    •   Make sure the Enabled checkbox is selected.
                                        Consider this option as the master On/Off switch for
                                        the 4-Sight Fax Server. You would want to disable
                                        (clear the checkbox) to perform maintenance on the
                                        server without causing outgoing or incoming errors.

                                    •   If you select an existing folder as your target queue,
                                        you must select it and click Choose.

Archiving Faxes
Overview                   Use the Archiving Configuration dialog box to enable and
                           configure the 4-Sight Fax Server long-term storage feature of sent
                           and received fax messages.

Why Archive Faxes?         Since faxes are converted into image files (TIFF) they are typically
                           larger in size than their original document format. Depending on
                           the servers hard disk drive capacity, it is very likely, depending on
                           the volume of sent and received faxes, that the disk could be used
                           up by storing faxes on it. 4-Sight Fax Server provides you a
                           method of migrating faxes to another location or disk, safe
                           guarding the fax server from reaching or exceeding its disk space
                           capacity.

About Locating             To locate a fax, use the Reference number from the accounting log
Archived Faxes:            that is automatically created for you. This log includes any fax
                           message(s) that was sent or received by the 4-Sight Fax Server.

                           Once you have located the reference number an archived fax, you
                           can quickly locate it using the MAC OS Sherlock or Find File
                           features.

                           Tips:

                               •    You can configure the incoming and Outgoing queues
                                    separately.

                               •    Consider archiving faxes on a separate machine with a
                                    large disk capacity.

                               •    You must have the auto deletion of queue items enabled
                                    before faxes can be archived.

                               •    When fax messages are archived, they are not
                                    compressed.

                               •    Only successful fax events (sent or received) are archived.
                                    Faxes that were not transmitted to the intended recipient's
                                    are not deleted from the queue and can therefore not be
                                    archived.

                               •    Faxes are archived in fax format. You can use the File |
                                    Open command to open and view a fax.

How do I?                      1.   Launch the 4-Sight Fax Server application, and on the
                                    Setup pull-down menu, select Archiving.

                               2.   Click the Incoming option to define the archiving settings
                                    for this queue.

                               3.   Select the Enabled checkbox to make use of the archiving
                                    feature. The default setting is "On" or selected.

                               4.   Click Folder to define the location (drive and folder)
                                    where you want to place faxes from the queue to the
                                    location you want.

                               5.   Decide how often you want to archive faxes. The default
                                    setting is Week.

                               6.   Repeat steps 2 through 5, clicking the Outgoing option to
                                    define archiving settings for this queue.

                               7.   Click OK.

                           Note:

                               •   A typical text fax page at 256 gray scale can be as large as
                                   30kb to 40kb. The Incoming and Outgoing queue folders
                                   can quickly fill up a hard drive. It is recommended that if
                                   you have a high volume of faxes, that you archive or
                                   migrate faxes often to a backup storage medium.

                           Warning:

                               •   The fax server computer may not operate as expected if
                                   the local hard drive reaches a full or near full capacity.

                     Locating an Archived Fax
How do I?                      1.   Locate the appropriate folder where you have accounting
                                    information stored from which you want to view a
                                    previously sent or received fax.

                               2.   Copy the reference number into memory.

                               3.   Start the Find application (such as Sherlock) and paste the
                                    reference number in the find field.

                                    Make sure that you have selected the correct drive then
                                    begin you search.

                               4.   Do one of the following to accomplish the task at hand:

                                    •   To view the fax, double-click on it from the search
                                        results window.

                                    •   To resend a fax, mark down the location (drive,
                                        folder and file name) then on the Commands pull-
                                        down menu, select Resend from Archive.

                                        Access the drive, folder and double-click the file to
                                        resend. You can now resend the fax.

                               5.   To view the fax, double-click on it from the search results
                                    window.

                           Tip:

                               •    You can use the File | Open command to open and view a
                                    fax.

Defining Default Outgoing Fax Resolution
Overview                   Use the Images Configuration dialog box to define the default
                           behavior of how the 4-Sight Fax Server renders outgoing faxes.

                           You have 3 choices:

                                         1.   Black and White (B&W)

                                         2.   16 gray scale

                                         3.   256 gray scale

More about Gray            If you select Black and White as your Number of Gray Scales you
Scale                      also have the option to Reject Gray Scale Faxes attempted to be
                           sent using 16 or 256 gray scale by a client user. The client user
                           will receive a message from the 4-Sight Fax Server that Gray Scale
                           is not enabled. If the client user still wants to send the fax, it will
                           be sent, but the 4-Sight Fax Server will render it as black and
                           white.

                           Notes:

                               •    This image configuration of gray scale only pertains to
                                    outgoing faxes. Incoming faxes are received at whatever
                                    level of gray scale that it was sent.

                               •    Gray scale has no effect on text. However, gray scale can
                                    have a significant impact on pictures sent within the fax.

                               •    The more gray scale you select, the larger the fax will be
                                    and therefore will take longer to transmit. This may be
                                    significant when faxing long distance or international.

                           Warning:

                               •    If you select 16 or 256 levels of gray scale, you may need
                                    to allocate more memory for the 4-Sight Fax Server
                                    application. Click Adjust Memory Partition from the
                                    Warning message box to allow the 4-Sight Fax Server
                                    application to automatically adjust the memory size for
                                    you.

                               •    If you want to adjust the size yourself, read the
                                    documentation that came with your computer to
                                    accomplish this task.




How do I?                      1.   Launch the 4-Sight Fax Server application, and on the
                                    Setup pull-down menu, select Imaging.

                               2.   Decide the level of gray scale you want faxes to be sent.
                                    You have three choices:

                                    •   B&W (Black and White) - Least image quality.

                                    •   16 (gray scale color pallet) - Some image quality.

                                    •   256 (gray scale color pallet) - Great image quality.

                               3.   Do one of the following to accomplish the task at hand:

                                    •   If you did not select the B&W as your Number of
                                        Gray Scales, please proceed to the next step.

                                    •   If you select B&W as your Number of Gray Scales,
                                        then you can also select the Reject Gray Scale Faxes
                                        option.

                                        Use the Reject Gray Scale Faxes option to prevent a
                                        client user from attempting to send a fax using 16 or
                                        256 gray scale fax. The client user will receive a
                                        message from the 4-Sight Fax Server indicating that
                                        Gray Scale is not enabled. If the client user still
                                        wants to send the fax, it will be sent but the 4-sight
                                        Fax Server will render it as Black and White.

                               4.   Click OK.

                           Note:

                               •    If you select the B&W option for the Number of Gray
                                    Scales, then you may want to communicate to all client
                                    user's that their faxes will be sent without using any gray
                                    scale at all. The ramifications of sending faxes as Black
                                    and White only pertains to pictures within the fax itself.
                                    This setting has no effect on text.

                           Warning:

                               •    Selecting 16 or 256 gray scale increases the size of the
                                    fax, as well as increases the amount of time it will take to
                                    transmit the fax.

Configuring Fax Message Printing Options
Overview                   Use the Printing Configuration dialog box to define fax printing
                           options for both sent and received faxes.

4-Sight Fax Server         You can define the following printing options:
Printing Options
                               •    Print first page only.

                               •    Print all Cover pages, but only one hard copy of the actual
                                    fax message itself.

                               •    Print the entire fax message, including the cover page per
                                    each fax recipient.

                               •    Define the default printer to be used to print faxes from
                                    the selected queue.

                               •    Prioritize the machines CPU cycles to converting
                                    documents into a format suitable for faxing over the
                                    printing of faxes.

                               •    Decide if you want the server to play a sound every time a
                                    fax is printed.

                           Notes:

                               •    You can define fax printing options for the Incoming and
                                    Outgoing queues separately.

                               •    The Prioritize imaging over printing option ensures that
                                    approximately 30 fax pages are processed (converted to a
                                    fax format - graphic file) before any printing of faxes
                                    occurs.

Configuring Account Information
Overview                   Use the Accounting Configuration dialog box to keep track of
                           faxes that are both sent and received by the 4-Sight Fax Server.

                           Depending on your corporate business organization, you can bill
                           departments accordingly for direct computer faxing capabilities.
                           You can also use this as a security control check, identifying who
                           and when sends or receives faxes using corporate resources.

About Custom Fields:       You can create and define up to three custom fields to capture
                           additional information for the outgoing fax.

                           All information that you want recorded or captured is stored the 4-
                           Sight Fax Server accounting log. The accounting log is a plain
                           text, tab delineated format between fields. You can use most any
                           spreadsheet or database program to import the data.

                           Note:

                               •    The accounting log is saved in the CS Log folder.

                     Setting up Accounting Information




How do I?                      1.   Launch the 4-Sight Fax Server application, and on the
                                    Setup pull-down menu, select Accounting.

                               2.   Click the Incoming option to define the accounting
                                    settings for this queue.

                               3.   Select the Enabled checkbox to make use of the
                                    accounting feature. The default setting is "On" or
                                    selected.

                               4.   Decide when you want 4-Sight Fax Server to create a new
                                    folder to save the accounting information for the selected
                                    queue. You can select from Day, Week, or Month. The
                                    default setting is Day.

                                   It is a matter of preference, whether to select Day, Week
                                   or Month. Consider selecting Day if you have a high
                                   volume of fax messages. Conversely, if you have a low

                                   how often and the other reasons why you would want to
                                   track this information.

               administrator and will remain in the queue until manually unsuspended or

Server Problems
When I launch the 4-
Sight Fax Server
application I get a       The 4-Sight Fax Server application requires certain INITs or

                              •    Faxes manually deleted will not be automatically archived
                                   and for any faxes to be archived the deletion option must
                                   also be enabled.

Can’t select Direct       Problem in selecting Direct Postscript Printing may be due to ‘odd’
Postscript Printing       printer driver selection e.g. the Laser Station causes this problem,
(Setup, Printing)         this is used for multi- sheet feeder for LaserWriter printer (IIf),
                          switch to normal print driver, there is no problem selecting Direct
                          Postscript Printing.

Printing to multi-        Some printers have the capability of having an additional sheet-
sheet feeders from 4-     feeder attachments. To ensure the fax software can print to
Sight Fax                 additional cassettes the printer in the Chooser must have the PPD
                          setup for the correct option, for example on the Apple 16/600 laser
                          printer, the option Cassette (500 sheets): Installed and preferred
                          must be set. This should mean the fax software will print to the
                          cassette tray in preference to the main paper tray.

Retrospect and 4-         Retrospect version 2.1i can cause a problem when backing up a
Sight Fax                 machine running 4-Sight Fax. During the backup phase all is fine,
                          but during the verify phase Fax will stop transmitting and
                          receiving. We recommend that the application be restarted before
                          transmission recommences. The solution to this problem is to elect
                          not to verify backups at the Retrospect server.

                          modems. A related issue to the above is attempting to use data
                          speed 28800 data transfer rate modems with 4-Port cards where
                          they will not always be used for faxing. It is believed that serial
                          cards that conform to Apple’s specification can only handle data
                          transfer at a maximum of 19200 bits per second. Again you have
                          this transfer speed redundancy on the attached modem. It is very
                          important that the modem used is a supported device, otherwise
                          performance can not be assured - see the Hardware Reference
                          section for details for supported modems.

Technical detail of       4-Sight Fax Server reserves the first and last 24 fax pixels of each
pages sizes,              line to cope with paper alignment and different fax roll size

                          It has been reported to us that using Speed Doubler on the fax server Macintosh improves
                          the performance of the fax system.

                          *You must install the CommToolbox before you can use 4-

                          You will see this when you run 4-Sight Fax Server and

                          *You must have some communications tools in your
                          Communications folder (inside the System Folder) before any
                          external devices can be accessed

                          4-Sight Fax Server uses the Serial Tool extension in order to
                          communicate with the modem connected to the modem port.
                          Check that the Serial Tool is in the Extensions folder
                          (Communications folder if using system 6). Also check the list of
                          enabled INIT/Extensions in the start-up list.

                          *The Communications Manager failed to open

                          Restart your Macintosh, and reinstall CommToolbox if you still

                          Check that no other software is accessing the modem port - 4-Sight

                     Reinstalling The CommToolBox
                          To reinstall CommToolbox:

                              1.   Insert the 4-SIGHT FAX SERVER disk into the
                                   Macintosh and run the server installer.

                              2.   Select CUSTOMIZE in the installer and choose the Install
                                   CommToolbox option.

                              3.   When this is completed quit the installer application and
                                   restart the server.

                          Message is Displayed: The Queue folder could not be found,
                          please choose ‘Queuing…’ from the Setup menu to respecify its
                          location

                          Refer to Queuing Setup in the 4-Sight Fax Server Reference.

                          Message is Displayed: The Queue folder does not have the

                          The 4-Sight Fax Server does not have enough privileges to access
                          the Queue Folder on the AppleShare file server. You need to
                          change the settings so that it has at least the ‘See Files’ & ‘Make
                          Changes’ privileges. Refer to Queuing Setup in the 4-Sight Fax
                          Server Reference.

                          Message is Displayed: The saved settings for the
                          communication medium to external devices are no longer valid.
                          Please choose ‘Devices…’ from the Setup menu to specify new
                          settings

                          Refer to Device Setup in the 4-Sight Fax Server Reference
                          Chapter.

                          There are no messages appearing in the queue windows

                          Check to see that queuing is enabled in the Queuing and in the
                          Device Setup dialogs.

                          Although there are items waiting in the queues they are not
                          being processed by 4-Sight Fax Server

                          Check that the incoming and outgoing channels are enabled in the
                          Device Setup dialog and that there is no discrepancy between the
                          date and time on the server and the date and time setting on the
                          clients.

                          4-Sight Fax Server is processing queue items but the fax device
                          is not responding

                          Check that you have selected the correct device in the Device
                          Setup. Then, check that the serial cable is connected to the port
                          selected under Device Communications. Finally check that the
                          modem is switched on.

                          The Server has stopped processing either queue

                          This is an indication that the Server machine is busy with some
                          other task that has taken precedence. Check the Server directly to
                          see if an alert window is displayed awaiting user action. This can
                          happen if automatic printing of incoming messages is enabled and
                          there is some kind of printer-related error (i.e., out of paper, paper
                          jam, etc.). Make sure that the “also display alert” item in the
                          PrintMonitor Preferences dialog is NOT SELECTED.

                          Message is Displayed: Fax Device Not Responding…

                          The communications link between the modem and the 4-Sight Fax
                          Server is broken. Check the cable between the Macintosh and the
                          modem is a type ‘E’ cable. Please see the Hardware Reference.

Receiving Problems
                          Incoming fax displays a message in the status bar: Error - 1009

                          The image file is being received is corrupted.

                          Incoming fax displays a message in the status bar: Error - 1010

                          An unexpected end of file was received.

                          Message is Displayed: Unexpected End of File error -39

                          An incoming file is corrupt. make note of the file number if
                          displayed. This file must be physically removed from the incoming
                          queue folder before the system will operate properly.

                          Received fax images are jumbled, incomplete (bottom of the
                          page first, etc.), scan lines missing or a ‘bar code’ effect is
                          noticeable.

                          Note:

                              •    Check the communications settings found through the
                                   Device menu item of the Setup menu. For all modems the
                                   communications rate should be set to 19200.

                          Received fax images are incomprehensible (look like bar codes)

                          This is normally caused by changes in telephone line parameters
                          that the modem was unable to accommodate for. Fax machines
                          check each line of received information for validity. Unlike a fax
                          machine, fax modems in a Server environment cannot check each
                          scan line (it would swamp the operation of the Macintosh).
                          Therefore, if a glitch occurs, the message will be garbled
                          throughout.

                              •    Also check if file sharing is on, if any other software is
                                   running and that the baud rate is set to 19200.

                          ‘Garbled’ text, missing scan lines or ‘bar coding’ at the end of
                          an incoming fax

                          If the bottom inch or so of each received Fax page is scrambled,
                          this may be due to the serial port baud rate having been set
                          incorrectly (the baud rate between the Macintosh and the modem).
                          Most modems (with 4-Sight Fax Server application, Setup, Device,
                          Communications) should be set up with a baud rate of 19200 (NOT
                          9600) and XOn/XOff flow control for most modems, some such as
                          the Flex Fax use RTS/CTS. The quickest and easiest way to reset
                          baud rate and handshake correctly is to select a different device
                          from the pop-up menu and then reselect the original device. On
                          sending faxes, a ‘modem timed-out waiting for data’ error may
                          occur. Also, check which port on the Macintosh you are using. It is
                          recommended to either use the built-in Modem Port or a supported
                          serial card. You cannot use the Printer Port for high speed
                          communication as generally it will not cope with bulk data
                          reception at speeds greater than 1200 baud.

                          Incoming faxes appear corrupted

                          It is not recommended to use the SmartLink M4F modem for
                          receiving incoming faxes as this modem is extremely susceptible to
                          other activity on the server machine. This can lead to corruption of
                          incoming faxes.

Hard Copy Printing Problems
                          For direct printing (automatic printing of faxes), using a Level 2
                          PostScript printer and selecting “Direct Postscript Printing™” from
                          the Printing configuration dialog will increase throughput
                          substantially over the standard LaserWriter driver.

                          Incoming faxes are taking a very long time to print

                          At best it takes 90 seconds to print a standard page as it is a large
                          bitmap file. Check the Page Setup to see that graphics and text
                          smoothing are OFF and that faster bitmap printing and larger print
                          area are ON.

                          Automatic Printing is selected, however, nothing is being
                          printed

                          There might be a printer-related error (i.e. paper jam, out of paper,
                          etc.) that is holding up printing. Check the Server for an error
                          condition. Also. if the PrinterMonitor application is set to display
                          an alert when a printing error occurs, it will halt all operation
                          awaiting manual dismissal of the alert.

Header or Cover           It is possible to change Cover Pages daily, keeping the fields in the
Pages Setup               same place, by overwriting the original PICT with a new file of the
                          same name. There are two files associated with each Fax Cover
                          Page, namely, a PICT format file (eg. “Standard”) and a 4-Sight
                          Fax Server file created when the user places Cover Page fields
                          using the Cover Page editor in 4-Sight Fax Server (EG.
                          “Standard.header”). In addition, a file in the native application
                          format is usually maintained (eg. “Standard.md” for a file was
                          created in MacDraw) in case the original needs to be edited. 4-
                          Sight Fax Server uses the file name/ extension to associate PICT
                          files with their corresponding header field template files. Using the
                          standard Cover Page files shipped with 4-Sight Fax, “Standard.
                          header” contains the header page field positions while “Standard”
                          is the PICT background. It follows that if the original PICT file is
                          overwritten (i.e. same name maintained), it will constitute a new
                          header page with the fields maintaining the same placement as the

                          original header page. This allows flexibility in the use of Cover
                          Pages over the above the choice of 14 installed Cover Pages.
