Senior Project Fundraisers or Drives Guidelines for collecting money or items If you are considering doing an on-campus fundraiser, you must meet with Andy Denney and get her approval. This needs to be done even before you turn in your proposal to your teacher or SPA. Get Andy Denney’s signature here: __________________________________________________. Fundraising can only be done for non-profit 501(c) 3 organizations such as the American Heart Association (School Board policy). Do not filter money through a personal account or open a separate account specifically for this project. Checks may not be written to students or parents. Depending on the project, checks will be written either to the specific Shorecrest non-profit account (ex: senior class) or directly to the non-profit organization (ex: Food Lifeline) Decide whether you are doing an “on campus” or “off campus” fundraiser. An “on campus” fundraiser includes anything associated with Shorecrest such as: the use of the high school name, and/or a location on school or district property. ON-CAMPUS Guidelines for Fundraisers or Drives (NOTE – No bake sales will be approved effective April 2011) Complete “ASB Fund-Raising Request Form” and submit to Ms. Denney. The activities coordinator must approve all fundraising; the school board will be notified of all fundraising activity. Shorecrest wants to avoid “fundraising fatigue” and will approve a limited number of fundraisers throughout the year. To get yours approved, make sure you check with Ms. Denney early for approval. All money must be collected and deposited daily with Ms. Denney. Check out a cash box if money is collected. Funds should NEVER be taken home or stored in a classroom. Full accounting (reconciliation form) must be turned in with your financial report. If approved, you will need to work closely with Ms. Denney to make sure that all district guidelines are followed – they are not all listed here. Once a project has been completed, provide a fundraising report to Ms. Denney immediately. Good record keeping is the key to easy reporting. Include all minutes, if any, copies of student accounting sheets, and any other pertinent information with your final report. These reports come under close scrutiny by the state auditor so please be thorough. OFF-CAMPUS Guidelines for Fundraisers or Drives You may state “High School Senior Project” but not use Shorecrest’s name. Students may not use a school team or club name nor suggest representation verbally nor wear a school uniform during personal or private fundraising (WAC 391-138-015). All collected money must be deposited regularly with the non-profit organization. (checks shall be made out only to the organization, not to your personal account) It is a good idea to work with the organization to which you are donating money. Oftentimes they can sponsor your event or fundraising and give you support.
