The Theatrical Management Association (TMA) is the trade association for the professional
performing arts in the United Kingdom. Its sister organisation the Society of London Theatre
is the trade association for the West End of London. The memberships of the Association
and Society include middle and large scale building based and touring theatre, opera, ballet
and dance companies, commercial and subsidised production and presenting companies,
individuals and organisations associated with the performing arts. The TMA and SOLT are
located in the same premises in London and share the services of a number of staff, including
the Chief Executive.

The Member Services Administrator is responsible for the day to day administration of many
of the membership services provided by the TMA and which are available to and used by
members of SOLT and the wider performing arts industry.                The Member Services
Administrator is responsible for the management of the TMA’s website and its CRM
membership and users database. This post includes responsibility for the day to day
administration of the annual programme of training events, industry seminars and
conferences which are an important part of the Association’s services.

The Member Services Administrator works closely with the Principal Officer and Business
Development Manager of the TMA and at times with other specialist staff and officers at the
SOLT/TMA offices.

The Member Services Administrator is often the first point of contact for members and others
seeking the services of the TMA and interest in the concerns of the industry and some
knowledge of the performing arts are of value in undertaking this post.

This is a key post that requires good attention to detail, excellent organisational skills, the
ability to set and work to schedules and work under pressure. A good knowledge of website
content management and CRM databases, Access, Microsoft Word and Excel is essential.
A basic knowledge of HTML would be desirable. Training will be given for the operational
tasks required for the administration of the content management of the TMA Website.

Main Responsibilities:

    1   Maintaining an accurate Membership Directory for the TMA within the CRM database
        of the TMA Website. Providing hardcopy directories and generating reports as
        required. Notifying members and staff of any changes to the membership and
        responding to requests from staff for database queries.

    2   Responding to requests for information on TMA membership, and processing
        applications for membership in conjunction with the Principal Officer.

    3   Administration of the circulations of information to TMA members, including the TMA
        monthly Circulations by post or email and display on the TMA website. Undertaking
        all necessary preparation and collating of copy, photocopying, producing addressed
        envelopes and preparing copy for the TMA Website and ensuring the timely posting
        onto the site.
4    Administration of the fortnightly circulations to SOLT members. Undertaking all
     necessary preparation and collating of copy, photocopying, producing addressed
     envelopes.

5    Managing the regular and timely transfer of information to the TMA Website,
     including the Members’ Section, to facilitate the downloading of Circulations,
     information on services, including events and other activities and the maintenance of
     accurate information on the Website.

6    Managing the TMA Website through its Content Management System to ensure
     access to the site by members through Usernames and Passwords, resolve access
     queries. Manage the sections of the website and updating the information displayed
     as required.

7    To act as the lead officer in liaising with the website hosting and maintenance
     company to ensure the proper operation of the TMA Website and to support any
     developments or changes within the website.

8    Administration of TMA events in liaison with the Principal Officer and Business
     Development Manager, including the Annual Conference, training courses and
     seminars, Council and Committee meetings. Processing applications and bookings
     and creating and maintaining delegate databases in the Website CRM database.
     Processing payments in conjunction with the Finance Department. Providing
     administrative support for the Principal Officer, Business Development Manager and
     Course Directors when required, including preparing correspondence and minutes,
     support materials for delegates, name badges, etc.           Attending events as a
     representative of the TMA and undertaking administrative duties as required.

9    Liaising with the Business Development Manager and Principal Officer on the design
     and production of the Association’s marketing and promotional material.

10 Supporting the Principal Officer in the compilation, editing and proofing of the TMA’s
   quarterly magazine, PROMPT, managing the collection of photographs related to the
   magazine’s articles, including the display of accurate credits.

11 Undertaking administrative tasks including filing and the management of membership
   records and correspondence files.

12    Undertaking such additional duties as may reasonably be required from time to time
     to maintain the smooth running of the Association.

Summary of Terms and Conditions

Salary is £25,000 and £27,000 per annum, depending on skills and experience. 22 days
holiday a year in addition to statutory holidays. Pension scheme, BUPA private health
insurance, permanent health insurance, life assurance, and season ticket loan are
available.

Normal office hours are 10.00 am to 6 pm, Monday to Friday. It is occasionally
operationally necessary to vary these hours and to require the post-holder to work
additional hours and to work away from the company offices. Where the post-holder
incurs additional hours compensatory time-off in lieu is offered.

The TMA and SOLT offices are located at 32 Rose Street, London WC2E 9ET.

Staff are occasionally offered complimentary tickets for West End shows, usually in
preview.
