LINKAGE – The 11th Vietnam International MetalWorking & Accessories Exhibition.

The purpose of this Exhibitor’s Manual is to assist your company in preparing for your forthcoming
participation and to simplify your arrangements. Please read the Manual carefully and observe the
general rules and regulations, the exhibition schedule, the hotel booking form as well as the deadlines
for various orders specified in this Manual. Detailed information on freight forwarding, booth
construction and travel/accommodation arrangements are also contained herein. For orders and
enquiries, please kindly contact the respective contractors directly.

   allowed to pack and hand carry exhibits out but forklift trucks or cranes are prohibited before
   carpets and electric cables have been removed.

    Exhibitors can arrange to choose their own freight forwarder or assign the official freight forwarder
   for transportation of exhibits to the SECC.
   However, on-site forwarding MUST be done by the Official Freight Forwarder as requested by
   Customs for easy control of import exhibits under the license for exhibition.
   From arrival at the fairground, the delivery up to your stand and a one time positioning (no
   packages) costs USD20/CBM unpacked, USD27/CBM packed. The cost of outward delivery during
   move-out is the same as move-in (USD20/CBM unpacked, USD27/CBM packed).


   According to the regulations of SECC regarding venue management fee, for a full container load
   (FCL) cargo, the minimum cubic meter for 20 and 40 foot container will be calculated as 15.0 CBM
   and 30.0 CBM respectively or actual CBM shown on the bill of Lading, whichever is greater.


   The Organizer and the Official Freight Forwarder will not be responsible for any over time
   charge (US$100 /hour/booth). Please inform us of the name, address, fax and contact person
   of the outside forwarder. Besides, detailed forwarding information should be submitted to the
   Official Freight Forwarder for their record.

  b. Official Booth Contractor
   For matters concerning booth decoration, fascia board, furniture, electricity and water
   connection, compressed air and industrial gas and other problems of booth set-up,
   please refer to:

   If exhibitors choose their own contractor,they are required to pay the management fee
   to the SECC directly one week before the first day of move-in.
   Exhibitors using their own contractor are requested to move in one day later and they must
   submit their orders to the official contractor for all electrical and water services for safety
   purposes. Exhibitors can contact the official contractor’s worldwide network of offices for any
   additional service.

5. RULES AND REGULATIONS OF BOOTH DESIGN

  a)   Height limitation for booth construction and special design is 4.5m.

  b)   All materials used in booth construction and decoration must be properly fire-proof.

  c)   Screwing, drilling, nailing or painting on the floors, walls, pillars or any part of the
       Exhibition Halls is prohibited.
       Exhibitors and their contractors will be liable for any damage to the Exhibition Halls.

  d)   Suspensions from ceilings of the Exhibition Halls are strictly prohibited.

  e)   Exhibitors who take “raw space” adjacent to another booth must provide their own wall
       panel. They are not permitted to use the reverse of the neighbor’s wall. The system wall
       panel must be rented from Huei Yow. Outside contractors are not allowed to bring their own
       system wall panel.

  f)   If exhibitors use their own constructor, it is requested to ensure that contractors submit
       detailed plans of their booth construction to the Organizer for approval so as to prevent any
       costly alterations on-site. Four copies of the finalized exhibition floor layout with the
       contractors’ details are to be submitted for approval a month before the exhibition. The
       organizers reserve the right to request the exhibitors to alter their booth design if their
       booth structure causes obstruction to other exhibitors.

  g)   The outside contractor or appointed contractor has to comply strictly with the Hall’s
       Standard Operating Procedures as follows:

     1. It is the duty of the Outside Contractors to contact SECC for any clarifications on
        operational and working procedures within SECC’s premises. Where there are difficulties,
        it has to be communicated in writing to SECC, stating exceptions that should be granted
        to Outside Contractors.

     2. The following has to be accepted before Outside Contractors are allowed to move into
        the halls:
2.1     The Outside Contractor must be a qualified contractor under SECC’s approved Contractor
        Scheme. The application form can be obtained from SECC in FORM M.
2.2     Names of all workers under the supervision of Outside Contractors must be submitted 7
        days before move-in period.
2.3     All foreign workers are required to have valid working permits issued by the Labour
        Department of Ho Chi Minh City.
2.4     The contact person-in-charge of the Outside Contractors must be provided to
        SECC.
2.5     Outside Contractors shall have adequate public liability and contractor all risks insurance
        cover endorsed by the Organizers for all stand building and other services carried out in
        the Hall.
2.6     The construction drawing and electrical/lighting connection layout plan must be
        submitted to PICO 7 days before the move-in period.
2.7     Electrical Connection Fee shall be paid by TT/cash before the opening of the show or
        upon delivery on-site.
2.8     Additional or On-Site Orders shall be paid by TT/cash before show opening or on delivery
        on-site.
2.9     Where overtime work (OT) is required for the day, Outside Contractors are required to
        apply for OT with SECC in writing from 16:00 to 17:00 at the same day by the Form 1
        with USD100/booth/hour of the charge except it has a previous approval of SECC.
2.10 Upon Tear Down, rubbish must be disposed from the hall before 16:30 hours on the 1st
     move-out day. Otherwise OT charge shall apply.
2.11 Upon Tear Down, Outside Contractors must vacate from the hall before 17:00 hours on
     the 1st move-out day. Otherwise OT Charge shall apply.
3.     Please note our on-site hall regulations. Organizer reserve the right to ban any contractor
        from entering into SECC if the following conditions are not complied with:
3.1      Actual construction work carried out in the premises of SECC without the consent of the
         Organizer. Exhibiting items and special design booth decoration should be fabricated
         mainly outside the premises of SECC and brought into the hall for assembly. Major
         fabrication or hazardous works including but not restricted to cutting, welding,
         soldering, work with open fire and spray painting are strictly prohibited in the halls.

   3.2     Outside Contractors must ensure construction works are maintained at acceptable
          structural and fire safety standards.
   3.3     Items belonging to the exhibitors not relating to the working booth must not be placed
          into other booths.

   3.4     If and when other booths are damaged by outside contractors, compensation will be
          sought from the Outside Contractor immediately.

   3.5     Workers in the halls are not allowed to smoke.

   3.6     Workers must not dirty any part of SECC.

   3.7     Workers behaving in a disorderly manner and causing nuisance and disturbances in the
          hall.

   3.8     Exhibit items and special tools, if any, may be registered with the Security Guardhouse
          and inspected by the Chief of Security of SECC upon move-in and move-out.

   3.9     The responsibility of taking care of these items falls upon the Outside Contractor if item
          3.4 above is not complied with.

6. SHELL SCHEME

   Each 9 sqm standard booth includes the following items:
    - 3 side partitions (2 side partitions for corner booths) and blue carpet
    - 1 no. of fascia name board with company name and booth number, logo excluded
    - 1 no. of information counter 1mL x 0.5mW x 0.75mH
    - 2 nos. of folding chairs
    - 3 no. of spotlights/ 100 kw
    - 1 no. of waste paper basket
    - 1 no. of 5Amp/220V single phase power socket
    Above Items can not be replaced with any furniture.

7. RAW SPACE

      Raw space rental includes only space. No carpet, fascia name board, wall partition, furniture
      or electrical items will be provided.

8. INSURANCE, LIABILITY AND RISKS

     a.   The Organizers and Sponsors will not be liable for any damage/ injury/ fire/ flood/ claims/
          loss or theft of exhibits & personal properties, Public Liability (third party) insurance and
          accidents liability; the exhibitor is responsible to cover their own insurance.

     b.   All Exhibitors shall insure, indemnify and hold the Organizers, Sponsors and the Venue owner
          harmless in respect of all costs claimed by the Exhibitor against any persons or items at the
          Exhibition Venue during move-in time, exhibition and move-out periods.

     c.   Booths and other facilities rented from the Official Contractor by the Exhibitors should be
          returned in good condition. Exhibitors will be held responsible for any damages incurred
          during the period of use.

     d. The Organizers provide general hall security. Neverless, Exhibitors are advised to arrange
        their own insurance coverage and not to leave their booths and exhibits unattended and
        take responsibility for the security of their booth display, booth merchandise and personal
        items during the show.

     e.   Goods may be sold during the exhibition but under no circumstances can they be removed
          from the exhibition site unless all Customs duties/taxes have been paid.

     f.   During the period of duties/tax assessment, sold exhibits will be moved to a bonded
          warehouse wherein the Exhibitors will be required to pay an in-transit movement charge

     g.   Give away & souvenir items are permitted but are subject to an import duty. Exhibitors
          should submit a packing list with quantities and prices to the Customs office via the Official
          Freight Forwarder before giving away any souvenirs.

9.        RULES AND REGULATIONS IN THE EXHIBITION HALLS

     a.   Electricity Installation
      i. No contractor, other than the Official Contractor, is allowed to carry out any installation
         work concerning the supply of electricity and water at the exhibition site.
      ii. During the move-in and move-out periods, temporary electricity supply can be arranged by
          applying to the Official Contractor, 24-hour advance notice is required.
      iii. Electricity will be shut off 15 minutes after the closing of the Exhibition.
      iv. No more than one extension cord shall be connected to any one socket.
     b. Use of Compressed Air and Industrial Gas

      i. The use of industrial gas of a flammable or toxic nature for demonstration purposes is
         strictly prohibited at the exhibition site.

 ii. Smoking is not permitted in the exhibition hall. All construction material must be fire-
     proofed. Exhibitors should declare before the show if their exhibits involve any flame,
     welding demonstration, oil tank, gas container or flammable items.
 iii. Explosives & Dangerous Materials: explosives, detonating, fumigating, or inflammable
      materials and all dangerous, harmful, objectionable or obnoxious substances are strictly
      prohibited.

c.    Demonstration and Operation of Exhibits

 i. Ensure that the exhibits are operated under strictly controlled and safe conditions.
 ii. Ensure that the exhibits are equipped with safety devices.
 iii. Adequately safeguard all moving parts of your machinery against injury to visitors. Exhibitors
      are advised to ensure that moving exhibits are kept out of the reach of visitors.
 iv. Exhibitors are liable for the removal and disposal of waste materials generated by working
     demonstration of exhibits.
 v. Cause no annoyance to visitors or other exhibitors. Acceptable noise level will be at the
    Organizers’ discretion. In the case of complaint arise, which the Organizers find justifiable,
    the Organizers reserve the right to impose limitation on the operation of noisy machinery.

d.    Booth Operation

 i. All booths must be fully staffed and operational throughout the opening hours of the
    Exhibition.

 ii. The entire Exhibitors’ staff must wear Exhibitors’ badges (issued by the Organizers) for
     identification. The Exhibitors are advised to be present one staff at their booth at least 10
     minutes before opening time and leave the Exhibition Hall not later than 15 minutes after
     closing time. Exhibitors can apply to the Exhibition Authority for an extension of these hours
     should the needs arise.

 iii. All activities of the Exhibitors and/or their staff must be confined to their booth area. No
      advertising or business activity may take place elsewhere in the exhibition halls.

 e. Movement and Handling of Exhibit Materials

     The movement and handling of heavy exhibits and materials that require forklifts, pallet
     jacks, or any mechanical handling aid, must be done through the freight and cargo entrance
     at the rear of the exhibition halls and to be handled by the Official On-Site Handler ONLY.
     Except for materials and exhibits which are easily hand carried will be allowed access through
     the front entrance.

11.    PICK POCKETS
      Ho Chi Minh City is the same as any other major international city: be cautious about your personal
      safety and use common sense. It is not safe to wander around alone at night, especially in the
      darker streets. Please keep your eyes open and be aware of your personal belongings when you are
      out in public and in crowded areas.

12. STORAGE FACILITIES
      The Organizers have no obligation to provide any service for the on-site storage of Exhibitors’
      properties and exhibits. Prior arrangements must be made with the Official Freight Forwarder in
      regard to the safe-keeping of property.

13. PROMOTIONAL MATERIALS CENSORSHIP
      Any promotional materials, such as films, video-cassettes, 35mm slides and printed materials
      to be shown to the public during the exhibition must be censored by customs, via the Official
      Freight Forwarder, prior to the exhibition. Please allow at least 5 days for clearance.
      Censorship is subject to a clearance fee.

14. CLEANING
      The Organizers will be responsible for the cleaning of public areas within the exhibition
      halls, e.g. gangways. Exhibitors can have their booth or exhibition area cleaned by prior
      arrangement with the Official Booth Contractor at their own cost.

15. SECURITY & THEFT PRECAUTIONS
      Exhibitors are reminded to keep a close eye on your small exhibits & personal property,
      valuable working models and other sophisticated items at their stand in the exhibition hall
      and to beware of pickpockets. You should place small items into a glass showcase or use a
      chain to lock them up. Reputable security guard will be on duty day and night, but they will
      not guarantee against loss.

16. TELECOMMUNICATION
       Mobile phone card: Exhibitors are advised to bring GSM hand phones to Vietnam and buy SIM cards
       in any telecom shop in Ho Chi Minh City.

Seminar Rental Fee per session: USD 300.00 (Interpreter fee not included)
Each session should last for a maximum of 1 hour, the price includes, seminar room rental, 200 audience
seats, and invitations to the Vietnam audience. The following equipment can be arranged free of charge:
