Host School Tips for Using Filters
What are Filters?
Filters allow users to do an advanced search in VSAS, helping to find just the applicants or applications with which they need to work or view. Once filters are set, they are saved to that specific screen until the filter is cleared or modified further.
How to Use Filters
Filters are available at the top of each “Visiting Students” screens 1. Click the “Filter” button 2. Choose “Modify Filter” 3. Enter data into fields or choose, an option from the drop down menus 4. Click “Filter”
Campus and Site Filters
VSAS users at specific campus or site locations should utilize the “Campus” and/or “Site” filters on each screen to view applications to just that particular location. Please note, this requires electives listed in VSAS already have campus and site data attached to them.
Elective and Specialty Filters
VSAS users managing applications to a single elective should utilize the “Elective” filter. Users managing applications to an entire specialty should utilize the “Specialty” filter.
Filter Recommendations
Below are filtering suggestions to assist users in viewing only applicants/applications for whom an action needs to be performed (i.e. those pending eligibility review, awaiting scheduling or pending notification). Depending on your duties in VSAS, some of these filters may not be applicable or useful. “Applicants” or “Electives” screens • Eligibility Status filter menu – choose “pending” to display applicants awaiting an eligibility review • Preferred Month/Year filter menu – choose a month and year to display applications for that period of time • Application Status filter – 1. if you schedule/deny applications, choose “pending host school review” to display applications awaiting this action. 2. if you approve applications, choose “pending departmental approval” to display applications awaiting this action.

"Determine Eligibility” screen • Eligibility Status filter menu – choose “pending” to display applicants awaiting an eligibility review
“Schedule Electives” screen • Preferred Month/Year filter menu – choose a month and year to display applications for that period of time • Scheduled filter menu – choose “pending” to display applications awaiting scheduling/denying
“Approve Assignments” and “Notify Applicant” screens Both of these screens already display only applications awaiting approval and notifications waiting to be sent, respectively. The “Elective”, “Specialty”, “Campus” and “Site” filters can be utilized to narrow down the list further.
“View Notifications” screen Displays a list of all sent notifications. The “Elective”, “Specialty”, “Campus” and “Site” filters can be utilized to narrow down the list further. • Notification Type filter menu – choose “student offer” to display applicants notified of an elective offer. This can be helpful for users reviewing student decisions.
