BUSINESS IN A BOOK You will want to set up your binder as soon as possible. This binder will keep you organized with your paperwork. You will need to purchase the supplies listed below and label your tab indexes as indicated. After you have assembled your Business In A Book we can review. As you work your business this binder will make more sense and keep you organized. I can recommend a software program that you can purchase to keep track of your business, however, this is a manual way that will help you in the beginning. SUPPLIES: 1. 2. 3. 4. 5. 1/2" Three-Ring Binder Tab Indexes (8 pack) Notebook Paper Sheet Protectors Photocopies of Weekly Accomplishment Sheet (found in your Career Essentials Manual), Preferred Customer Program and Money Management Forms (attached) LABEL TAB INDEXES FOR YOUR 3-RING BINDER AS FOLLOWS: 1. GOALS/CHALLENGES - List all goals, both personally and professionally. List and keep track of all challenges. (i.e. the monthly Newsletter challenge, your Perfect/Power Start Tracking Sheet) 2. NEWSLETTER - Keep the most current copy of our Newsletter. When you receive a current Newsletter, go through the prior Newsletter and file any necessary articles and ideas for future use then discard the rest. 3. WEEKLY ACCOMPLISHMENT SHEETS - Complete your Weekly Accomplishment Sheet as you make each transaction - not at the end of the week. After you make your first few sales we will review together. This is the most important form that should be completed because the information that is recorded on this form is what you will need at the end of the year to complete your Schedule C (Income and Loss From Your Business) to be attached to your 1040 for the IRS. 4. PREFERRED CUSTOMER PROGRAM - Add each new customer as you build your customer base to the Preferred Customer Program form or directly in the Preferred Customer Program under the Mary Kay InTouch Community Web site at www.marykayintouch.com. You can register your customers for the mailing every 3 months. You will be notified 6 weeks before the deadline to register. You can go to www.marykayintouch.com and visit the Preferred Customer Program link to view a calendar of deadlines. 5. PERSONAL USE – Keep a list of all products and the wholesale amount that you or your household use. Remember that it is hard to represent a product line if you are not wearing all of the product line! Don’t advertise for our competition. 6. MONEY MANAGEMENT – Complete your Money Management sheet at the end of each week so that you know how to allocate your funds. During our inventory discussion I will review how you will use this form. This form is the second most important form you will need to complete. If you do not keep track of your money, you will not succeed!! Under this category you will want to place 3 sheet protectors and label the top of the sheet protectors with the following: Income - After a customer has paid you in full, place the Consultant’s Copy of the Sales Ticket in this sheet protector. Accounts Receivable - After a customer has ordered and you are waiting to receive her payment (i.e. if the customer paid with a credit card and you have submitted for reimbursement), place the Consultant’s Copy of the Sales Ticket in this sheet protector. Once you have received your money, transfer the Consultant’s Copy of the Sales Ticket to the Income sheet protector. Expenses – Place receipts from any and all expenses incurred in the operation of your business in this sheet protector. To see a list of various expenses you may incur, refer to expenses in your Career Essentials Guide. 7. CONSULTANT ORDER FORMS – Keep the most current Consultant Order Forms under this section in a sheet protector. The effective dates of the Consultant Order Form are listed at the top of the Form. When you receive new Order Forms, discard the old. PROCEDURES AFTER A SKIN CARE CLASS, FACIAL OR SALE: 1. Record your sales on your Weekly Accomplishment Sheet 2. Add all new customers to your Preferred Customer Sheet or directly on the Preferred Customer Program link at www.marykayintouch.com. 3. Process all credit card charges and place the Consultant Copy of the Sales Tickets in the Accounts Receivable sheet protector under Money Management until you receive payment. 4. Place all paid Consultant Copies of the Sales Tickets in the Income sheet protector under Money Management. 5. Deposit all cash and checks received into your “Mary Kay” checking account and record on your Money Management Sheet. 6. Add any accomplishments toward your goals under the Goal section. 7. Call in any $100 days to your Director. PROCEDURES AT END OF MONTH 1. Give to your Director your completed challenge forms prior to any deadlines so that you can receive your prizes and recognition. 2. Take all Consultant Copies of the Sales Tickets for the month that are in the Income sheet protector under Money Management and attach to the Weekly Accomplishment Sheets for the month and place in a folder marked Income – month’s name. 3. Take all receipts for the month that are in the Expense sheet protector under Money Management and place in a folder marked Expenses – month’s name. NOTE: If you do not have a drawer in a file cabinet where you can place files relating to your Mary Kay business do not feel that you need to invest in one at this time. You can purchase an expandable accordion folder at your local office supply store and label the compartments for the various categories you may need. To see an example of topics, refer to Tips For Setting Up Your Office in Chapter 1 of your Career Essentials Manual.
