Marathon Golf
                                        What is Marathon Golf?
   Want a different way to support the troops and their families than simply writing a check? Are you a
   golfer? Have you ever wanted to play golf? If you want to have fun and do your part to support the
   troops at the same time… consider Marathon Golf.

   Marathon Golf is a different type of golf fundraiser than many are used to. It is a high revenue event, and
   instead of playing a traditional 18 holes, the entire golf course is rented out for a day and golfers can play
   as many holes as they’d like…or none at all. The same hole can even be played repeatedly, if desired.
   Marathon golf is a great format because it allows players of all abilities to participate and have fun.
   Ultimately, it is a great way to rally support around the troops and their families.

   In order to participate in Marathon Golf, individuals must achieve a specific fundraising goal. For the
   purpose of this example, we will set a hypothetical $2,500 individual goal and an overall fundraising goal
   of $60,000. Each participant is responsible for raising the $2,500 minimum in order to participate in
   Marathon Golf. This can be done through email campaigns, letter writing, recruiting sponsors, or
   soliciting donations from companies among many others. All participants must have completed their
   fundraising efforts prior to the Marathon Golf event.

   An easy and effective way to manage Marathon Golf is by creating a team on TEAMUSO.org. Here you
   can send out emails promoting Marathon Golf, ask for donations to support the troops, provide updates
   on the event, and track how much money has been raised. Each participant can join your team and start

   As you begin to plan your event, answer these questions:

   What do you want to accomplish with this event? Here are just a few potential reasons. Note
   those that apply or write your own.

   I want…

   …to get the members of my company/club/alumni group/neighborhood more engaged.

   …to give back to our troops and their families for all that they do for us.

   …to have fun.

   …to become more involved in my community.



   How much money do you want to raise to support the troops? (This is after any expenses)

   Let’s say you want to raise $60,000. You can set a goal of any amount you’d like, but our aim here is to
   show you how easy it can be to achieve a high goal if you break it down into individual parts. Thinking
   about raising $60,000 might seem intimidating right now, but if you get 30 other people to help you and
   each does their part, you will find it’s not all that hard to achieve after all. Attached is a sample budget
   explaining how you can achieve and surpass even the most daunting of goals. [See sample budget]

   How many people do you want to attend? Are you trying to engage a certain group of people?

   How many people can comfortably fit on a golf course at one time? Who will provide food and beverage
   etc? Will there be a lunch? Are you looking at a corporate event or a more community focused one?

   Tip:

   Regardless of whom you want to include, in the interest of Marathon Golf and allowing golfers to play as
   many holes as possible, consider capping the number of participants who can register. This will greatly
   speed up the pace of play. Use your fundraising goal and budget as a guide to determining the cap.

   How many people do you think you can get to help you?

   You will need a team of people to help you. This is for the success of the event, your sanity and so
   everyone can have a lot of fun while organizing the fundraiser!

   Asking for help does not make you weak. It strengthens you. For marathon golf, you will need to recruit
   enough help to allow you to achieve your goals. Check out the sample organizational chart to get an idea
   of how many people you might need to recruit as part of your organizing committee. [See sample

   Checklist for Success

          o   Set specific goals—how much money do you want to raise? How many people do you want to
              play? How many holes will players golf, etc.?
          o   Develop a team to help you plan and produce Marathon Golf
          o   Develop a timeline [See sample timeline]
          o   Develop a full list of prospects and don’t leave anyone off! Golf is a great motivator and players
              of all abilities can have a lot of fun during marathon golf.
          o   Keep it simple! More elaborate events don’t always raise more money. They just wear out the
              organizer. If you start to feel overwhelmed, stop. Take a breath. Ask yourself if this is really
              something critical to the success of the fundraiser. If it is, think of who can help you get it done.
              If it feels overwhelming to get done in one step, break it out into multiple steps. Cross each step
              off as you complete it. You’ll feel a sense of accomplishment.

   Ask Others For Help

   Engaging others will help you spread the workload and help get the word out to a larger group of people.
   You will be surprised who is willing to help you when you let others know what you are doing.

   People are more likely to volunteer to help if you are clear with what you would like them to do. Be very
   specific so each of your teammates understands their role and can check tasks off their list easily. This
   will keep them engaged and wanting to help again.

   Budget

   Your budget includes your income by source as well as your anticipated expenses. These are guidelines
   and will help you in your planning. Your expenses should be no more than 10-15% of your total income.
   So if your goal is to raise $60,000, your expenses should at most be no more than $6,000-$9,000. A
   great way to relieve pressure on your budget is to seek out in-kind donations, which are goods or services
   that are donated by a business or individual.

      Controlling Expenses. Donors want to know that the money is going to help the troops and their
       families. You can still have a first class event. Just get first class items donated!

            o   Getting Items Donated. Create a checklist of items you need to make the event a success.
                For marathon golf, it usually is fairly simple and may include:

                    Food/beverage
                    Auction items/raffle items
                    Prizes/giveaway items
                    Golf Course
                    Golf Carts
                    Equipment (PA system, tables, chairs, etc)

   Raising the Money

           Participant Fundraising

                o   This is the primary way you will be raising money to support the troops and their families.
                    Set your fundraising goal, consider the costs associated with your budget and then come
                    up with the number of participants you will need and what the fundraising goal for each
                    will be.

                o   If your fundraising goal is $60,000 and your expenses are expected to be around $6,000,
                    consider capping your participant field at 30, and requiring each participant to raise
                    $2,500. This will ensure that you will achieve or even surpass your fundraising goal even
                    if you incur unforeseen expenses.

                o   Each participant will be required to achieve or surpass the fundraising goal of $2,500 in
                    order to participate in Marathon golf. They can go about doing this in anyway they would
                    like or think they might be successful.

                o   Ways for individuals to fundraise:

                           TEAMUSO.org – Join TEAM USO and start an online fundraising campaign
                            using emails, social networking and other methods
                           Reach out to friends, family, neighbors, coworkers, etc., and ask them to make a
                            donation to support the troops and their families. Include them in the fundraising

                          process by asking them to pass along the message (and a link to your personal
                          TEAMUSO.org page) to everyone they know!

                         Hold fundraising events/activities such as a dinner party, backyard barbecue,
                          jeans for GI’s day at work or others. Be creative and have fun with whatever you
                          choose!

         Corporate Groups

             o   Seek out companies who might be interested in purchasing a few entries for key
                 executives/employees. This could be a good business move for them as well as a
                 chance to support the troops and their families.

             o   Fundraising could be completed for each of the employees by a donation from the
                 company.

         Receiving donations

             o   All donations should be accepted either online through your TEAMUSO.org page or via
                 check made out to ―USO‖ which can be mailed to the address listed in the last section of
                 this toolkit.

             o   It is recommended that all donations be collected in advance of the event. Set specific
                 deadlines for your participants so that they clearly understand the fundraising process
                 and how they can qualify to participate in Marathon Golf.


   Event Planning

         Booking a course

             o   What time of year are you holding your Marathon Golf event? What day of the week to
                 you hope to hold it on? You will be able to get a better deal on the course rental if you
                 choose non-peak hours/seasons to play. Find a course that appreciates the business!
                 Ultimately though, you want to secure a course that is prestigious enough that potential
                 golfers will jump at the chance to play there. Think of courses that many in the
                 community might not usually have access to.

             o   Book your Marathon Golf event at a reputable course. Seek out one that people feel
                 privileged to play on or wouldn’t have access to normally.

             o   You will want to approach golf course management with a list of possible dates that
                 wouldn’t interfere with their normal business flow. Consider days early in the week like a
                 Monday or Tuesday that might be typically slower days. Also, plan for a time of year that
                 might be a little less busy for them. This will increase the likelihood they will be willing to
                 donate use of the course or offer significant discounts.

                o   Contests: closest to pin, longest drive, hole in one, lowest score, highest score etc.

         Turning in the money to the USO

                o   For marathon golf, all the fundraising should be completed prior to the event in order to
                    participate, but there may still be some donations that come in just prior to or after the
                    event. Just in case, here are some tips on donation handling:

      The following supplies may be necessary at an event at which cash and or checks are expected to be
      collected:

                   Donation lockbox
                   Adding machine/calculator
                   Adding machine tape

                Rubber bands

     Security of Donated Funds

     A safe location (i.e. home, office, bank, or hotel) should be secured for the verification process of
     money received during the event, and in order to reduce the risk of misappropriation of funds.

     All checks and cash collected during the event should immediately be placed in a donation lockbox.
     The key to this box should be maintained in the custody of a pre-assigned individual at all times. As
     each donation is received, volunteers should issue a receipt to the donor indicating the amount of the
     donation, the donor name, address, phone number and any additional pertinent information. This
     information should also be written on a donation log.

     At the conclusion of the event, funds should be verified and documented.

     Cash and checks should be separated. At this point, funds should be counted using the calculator.
     Totals should be recorded for both checks and for cash on the donation log.

     For cash donations, have each donor fill out a donation form with their contact information and
     amount of donation. Transfer the cash into a cashier's check and send in both the check and the
     donation form.

     After you have finalized your accounting, compile all donation forms and checks and send in to the
     USO within two weeks of Marathon Golf at:

   4 months out

         Set fundraising goal

   3 months out

       Check on golfer recruitment. 75% of your golfers should be recruited by 6 weeks out
       Send out an email to all of your volunteers and golfers giving them an update on the
        event, recognizing individuals who have had great success and keeping their spirits
        high.
       Send out an email indicating the number of golfers registered and fundraising
       Make list of necessary equipment and supplies
       Begin soliciting out in-kind donations of needed equipment and supplies
       Make sure any permits/equipment rentals are being secured and followed up on

   2 months out

       100% of golfers should be recruited
       Meet with organizing committee to get update on production process. Assure that all
        tasks and deadlines are being met
       Send email to all golfers.
            o Give update on event
            o Recognize teams and individuals who have reached their fundraising goal or are
                  close
       Review all needed equipment and materials. What is still needed? Are you paying for it
        or is it being donated?
       Visit golf course with the logistics team and map out the layout for the event:
            o Check in/registration
            o Determine set up/location for each competition (Longest drive, putting contest,
                  closest to the pin etc)
            o ―Staging area‖ for announcements and awards
            o Food and beverage areas

   3-6 weeks out

       Rally momentum with organizing committee and registered golfers
       Have organizing committee call each golfer to give them an update and ask if they have
        any questions and get them excited and motivated. Remind them that there is still time
        to raise money and exceed your goal!
       Focus on golfers who are having great success and create/encourage friendly
        competitive spirit on the fundraising side (i.e. which golfer will raise the most money).

       Golfer registrations should be completed

   2-3 weeks out

       Make sure you have the names of each golfer. Everyone needs to have met his or her
        fundraising goal in order to participate.
       Are they at their $2,500 minimum? Do any of your participants need help achieving their
        goal? Is anyone behind?
       Send all qualified golfers the final details on Marathon Golf and the agenda for the day.
       Hold a logistics meeting
           o Do you have enough volunteers for set up and breakdown of Marathon Golf?
           o Is there enough food and beverage?
           o Are awards and prizes secured and collected?
           o Who is picking up equipment and supplies needed for day of?
           o Go over timing of day and make sure everyone understands their role the day of
               the event

   1-2 weeks out

       Email to organizing committee and qualified golfers with final details. Get them
        psyched. Recognize great fundraising efforts. Remind them of the type of awards that
        will be given.
       Confirm with logistics volunteers that all equipment, supplies, food and beverage are
        taken care of to avoid last minute surprises.

   Week before event

       Send email to volunteers thanking them for their hard work. Include any last minute
        reminders and a list of who is doing what onsite the next day.

   Post event

       Send out thank you letters to golfers, sponsors, auction donors, anyone who donated
        supplies/food, volunteers etc.
       Set up time for wrap up meeting/happy hour/lunch with volunteer helpers
       Submit all checks to USO within two weeks of the event

                                       How to Raise Money
    Set your goal. For Marathon Golf, your minimum fundraising goal will probably already be
     set. Don’t think this prohibits you from surpassing it. Reach high. Every dollar you raise
     goes to support our troops and their families.

    Break down your fundraising goal in to weekly chunks and achieve each smaller goal. For
     example, if your fundraising goal is $2,500 give yourself at least 5 weeks leading up to
     Marathon Golf and raise $500 each week. It is a lot easier to think about raising $500 than
     $2,500 for most people, and you will be amazed out how easy it actually is to accomplish!

    Email/Letter Writing Campaigns

          o   Register with TEAMUSO.org and include a link to your personal page in every email
              you send out each day

          o   Send out emails early and often to each and every person you know

    Corporate Donations

          o   Seek out donations from local businesses. Consider setting specific sponsorship
              levels and offer to put an advertisement for their business on your golf bag, shirt or
              hat. Be sure to ask your company first!

          o   Ask them to sponsor your golf bag or cart. Set a donation level for them to display
              their logo.

    Pledge per hole played

          o   As you may be familiar with from walk-a-thons, dance-a-thons and the like, pledges
              are a common way to ask others for donations in this type of activity. Ask donors to
              sponsor you based on the number of holes of golf you hope to complete.

          o   A great way to start the pledge process is to make a pledge to yourself. Even by
              pledging just one dollar a hole you are cementing your commitment to the cause and
              providing an example for all others to follow.

          o   Set your standard for pledge per hole. People like to have something to base a
              decision off of. Suggest that they pledge $1, $5 or $10 per hole played or an even
              greater dollar amount. In the past, people have received $60 per hole or more.

          o   Estimate the number of holes you will be able to play during Marathon Golf. An
              average round of 18 holes should last about three and a half hours. During
              Marathon Golf the entire course will be at the group’s disposal…meaning fewer
              people on the course to slow you down. This will allow you to play a greater number
              of holes and you will also have the ability to play the same hole several times over if
              you’d like.

                                          About the USO

   Since before the United States entered World War II, the USO (United Service Organizations)
   has been the bridge between the American public and the U.S. military. The USO is a private,
   nonprofit organization that relies on the generosity of individuals and corporations to support its
   activities.

   Today, the USO delivers its programs and services at more than 160 locations around the
   world. In recent years, the USO opened centers in Kuwait, Qatar, Iraq and Afghanistan to
   support service members participating in Operations Enduring and Iraqi Freedom.

   Why Should I Support the USO?

   The USO is committed to reaching those serving at the most forward operating bases in Iraq,
   Afghanistan and other overseas locations. The USO is constantly assessing the needs of the
   troops and their families, and looks for ways to better support these brave citizens and their
   families.

   How is the money spent?

   The USO spends nearly 90 percent of their resources on programs supporting the troops
   and their families. You can feel good that the money that we are raising will be spent wisely
   and efficiently.

   What will my money help do?

   Here are just a few program highlights that your support will help make happen in 2010:

         Getting the USO to those who are deployed in regions where we are not able to have
          centers is a high priority. So far in 2010, we have been able to send out ten USO2Go
          kits. In addition, we have delivered four USO in a Box units to troops in Afghanistan and
          Djibouti. USO in a Box looks like an expandable trailer that can be trucked or haloed
          into austere operating environments and features wireless Internet access, laptops, flat
          screen displays, a DVD player and electronic gaming equipment.

         Through the USO facilitation of United Through Reading’s Military Program, deployed
          troops are able to record themselves reading a children’s book to their child/children.
          This video and the book are then shipped home to their child so their child can see, hear
          and read a story with their deployed parent. We often hear from families who tell us that
          their child watches that video 6-10 times a day for weeks after receiving it. This is their
          way of keeping connected to their parent serving far away. To date, more than 120,000
          recordings have been made at USO centers and other locations and sent to the families
          of troops serving away from home.

         Operation USO Care Package distributes care packages to troops deploying overseas
          and to those returning overseas locations for rest and recuperation. In just the first three
          months of 2010, we have shipped over 53,000 care packages.

                                     Recruiting Sponsors

   Sponsors are a great way to increase your team’s fundraising dollars!
   Brainstorm all the businesses you would like to approach to be a sponsor. Think about all the
   establishments where you shop, dine and visit.
   Split the list up among yourselves, and have someone that knows a key individual at the
   business (or visits the business often) take the sponsorship proposal in person to ask for his or
   her support.
   The person that takes in the sponsorship proposal to the business should also follow up with a
   phone call within a few days.
   Do not be afraid to ask!

         Pizza places that deliver to campus
         Salons & spas where chapter members go
         Clothing stores near campus
         The bank your team has its accounts with
         A restaurant or hotel where you have hosted functions

   Some common objections. . .

   “We don’t have any money in the budget for another charity event”

   Response: Great! This kind of participation doesn’t cost you any money! We want to give you
   and your employees/colleagues an opportunity for a fun day of golf at a great course. Each
   prospective golfer will be asked to raise money to support our troops and their families. With
   the help of our great fundraising tools you can easily reach out to your friends, family, coworkers
   and associates to help you achieve your goal!

   “We can’t make a big time commitment.”

   Response: That’s okay. Few people have lots of time for additional things these days—that’s
   why we make it easy to participate. You can sign up using the online registration. Each team
   member can use the online fundraising tool and in 10-15 minutes each can have their
   fundraising up and running! Marathon golf is only a one-day event and you can play as many or
   as few holes as you’d like. If you’d like to participate and not golf at all…you can do that too!

    “We already support other charity events.”

   Response: That’s one of the reasons I’m talking with you because we know how philanthropic
   XYZ Company is. Would you be willing to offer a brown bag lunch where I can come in and talk
   about Marathon Golf to see if there is any interest?

   There may be a group of employees/staff who have family members serving in the military or
   have an interest in supporting our troops and their families and they’ll appreciate being given the
   opportunity to choose to participate in Marathon Golf!
