Changes to GA Appointments
In the spring of 2009, the Board of Visitors approved a new pay range structure for graduate assistant stipends
consisting of 50 pay bands (see http://www.grads.vt.edu/financial/assistantships/2009-2010_stipend_rates.pdf
for the list). By moving to pay bands, departments are no longer forced to pay the amount defined in the
previous steps. The new pay ranges are to be used for planning and equity purposes within your department or
Starting on Monday, July 13, when entering a GA appointment for fall semester there is only going to be one
pay band in Banner with the salary ranging from the beginning of pay band 1 ($614 per pay period) to the top of
pay band 50 ($1773.50 per pay period). This way, departments only have to type in the salary you want to pay
your graduate assistant in Banner – you will not enter a step. You need to enter the amount per pay period that
you wish to pay.
Also the FTE will not affect the pay rate so you should enter the true FTE when processing the PAF in
Banner. A 1 is displayed as the default, which indicates a full-time graduate appointment (20 hours per week)
during the time it is effective. Type a number less than 1 if the appointment is less than 20 hours per week (i.e.,
type .5 for 10 hours per week and .75 for 15 hours per week).
PAF Approval Categories
There are new PAF approval categories that will be used for GA appointments. They include:
• GAHIRE or GAJOB – for graduate assistantship appointments
• GASTAT – for graduate assistantship status changes
• GAXTND – for graduate assistantship appointment extensions
• GEXHIR or GEXJOB – for graduate assistantship appointment exceptions

Banner Entry Dates
According to the Graduate School, one-semester appointments equal 9 pay periods and two-semester
appointments equal 18 pay periods. The start and end dates shown on the agreement form “lag” behind actual
Banner payroll dates. A graduate assistantship appointment can be entered in Banner at any ti me, however the
dates for academic year or semester appointments are entered as follows each year, regardless of the day of the
week on which these dates fall.

Creating GA Appointments in Banner
When creating a GA appointment in Banner check to see if the student has already been in that
position number before. You can use PWIEMPV to check someone’s current or past
employment information. If so then the suffix will increase by 1 when creating the new job
appointment (PAF) in Banner.
Second Summer GA Appointments
Second summer graduate appointments need to be entered using the current approval categories and pay steps.
The last day for entering appointments for salary pay period 13 is July 6. We will need for you to enter all of
your second summer GA appointments and status changes by this date if at all possible.
Active GA Appointments
Any appointments currently in Banner that continue beyond August 10 will be converted from steps to the new
pay band at the end of July. The pay rate or FTE will not be changed on those jobs that will be converted.
Please wait until the beginning of August after the conversion is over to enter a status change PAF to change the
pay rate and/or FTE if needed.
Declining or No-Shows After GA Appointment Has Been Entered
If a student decides to decline a GA appointment or does not show up after the GA appointment has been
entered in Banner please contact the HRIS helpdesk to have the position removed, do not create a job end
PAF in Banner. If you create a job end PAF that has the same date as the begin date the student will get paid
for one day.
