Ancillary /Support Online Application Minimum Requirements .......
Ancillary / Support persons seeking employment with the Department of Education and Children's
Services (DECS) are required to meet all of the 5 minimum requirements prior to commencing
employment. An EAR (Employable Ancillary Register) Ancillary Authority to work in DECS sites letter
showing the status of the application and the expiry dates of certificates will be emailed to applicants
whenever any changes have been made to the online application and recorded within the DECS data
base. This EAR Ancillary Authority is only valid when ALL requirements have been met. When any of
the dates on the letter have expired, the person is no longer cleared to work.
1. Lodge an online Ancillary application and Register Interest For Ancillary Work With DECS for the year
in which Ancillary/Support employment is sought.
2. In Section 13 of the online application attach a scanned copy of verification of Australian
residency, (Australian birth certificate, residency permit or visa) if new to DECS. If you have
already supplied this evidence, you are not required to do so again. If attaching a current visa,
please include a copy of the personal details page of your passport.
3. Accurately complete Section 12, Employment Declaration of the online application and attach
any supporting documents if any questions have been answered with “yes”.
4. and 5. Scan and attach to Section 11 of the online application when updated or if new to DECS
Current Mandatory Notification Training Certificate (Reporting Child Abuse and
Criminal History Clearance Letter
Once the certificates have been attached and the application submitted and received by Recruitment, a
new EAR Ancillary Authority letter will be sent to the applicant.
If any certificates are current, and recorded with Recruitment, it is not necessary to scan and attach
them to the online application.
All applicants new to DECS must scan and attach these 2 certificates to their online application
and provide evidence of Australian Residency
Where a site wishes to employ Ancillary / Support person immediately, sites can expedite the
process by allowing the person to scan and attach any updated certificates to the Ancillary
online application by using internet access at the site.
The application with attachments will then be submitted by the applicant and when received,
processed and cleared by Recruitment a new EAR Ancillary Authority Letter will be sent. Only
when the application and attachments are received and processed by Recruitment will the
employee's Ancillary payment be processed.

You are required to notify Recruitment of any change(s) to the state of your health that may affect your
ability to undertake work as a teacher. If you tick "yes" to any question in the Employment Declaration
section (Section 12), of your online application, you must provide supporting information in writing
pertaining to any "yes" responses. These supporting documents can be attached in Section 12 of the
In accordance with the Occupational Health, Safety and Welfare Act (1986) section 12, you must notify
the Department of any health restrictions you may have on your Employment Declaration, and take
reasonable care to protect your health and not aggravate any existing medical condition.
DECS can only offer employment to those who are permanent residents of Australia or hold a current
permit to work in Australia.
As part of the application, you will be required to provide a copy of your Australian birth certificate or
current passport / visa as proof of your residency status. Please ensure that copies are legible and
attach in Section 13 of the online application. If you have a current visa, please provide a legible copy of
this page as found in your passport as well as a copy of the personal information page of your passport.
If you already have a DECS 7 digit Identity Number, you are not required to provide a copy of your
Australian birth certificate or current passport.
As an Ancillary / Support applicant, you must scan and attach in Section 11 of the online application, a
copy of a current cleared criminal screening check conduced by the Department of Families and
Communities or another registered organization. If you are a teacher with teacher registration, please
attach a copy of your current teacher registration certificate which will display the date of your criminal

accessed at the following link. PLEASE NOTE that a signature is NOT required in SECTION D of the
application. Everywhere else an original signature is required.
Current clearances provided by the following registered CrimTrac screening agencies are acceptable for
employment or volunteering in DECS:
Catholic Police Check Unit (or Catholic Education Office)
Current interstate "working with children" clearances e.g. Queensland blue card
Department of Families & Communities
SAPOL for SAPOL staff
Teachers Registration Board of SA
A DECS criminal history screening check is required on expiry of the validity period.
Mandatory Notification Training
Within South Australia, teachers and Ancillary employees working with children in education and care
settings are 'mandated notifiers'. This means they are required by law to notify Families SA of situations
where child abuse and neglect are suspected. (Children's Protection Act 1993)
