Who should use this?
Everyone who intends to make use of the evolving website but, it will be of particular assistance to
those who are unfamiliar with the former NHS Scotland eLibrary.




Aims
These exercises are designed to support you in exploring the re-designed website, now titled The
Knowledge Network.

Completion of this pack will enable you to :

               locate and explore the Home Page of the site ;

               login to the site ;

               customise the Home Page widgets ;

               read announcements ;

               find journals using the elibrary widget

Glossary
Tag         a descriptive word or label applied by a user to an
            information resource

Tag cloud   a collection of words used as tags on a website. The
            popularity of a tag-word is shown by the size of the text in
            which it is displayed : large text indicates that the term has
            been used many times, smaller text indicates less usage.

Widget      a compact set of content and features (appearing on a
            webpage as a box containing text and images)

Exploring The Homepage

Open your browser and enter the web address http://www.knowledge.scot.nhs.uk


Before logging in, have a look at the features on the page.



You should see :

1. Click the link to login/register and sign in using your Athens details.

        The message in the top left of the page now reads "Logged in as efs…" with your username
        displaying


2. Click Explore all services

        This opens a new, smaller site-map window which overlies the main Homepage window.

        Clicking the links in this small window will take you to the named page or portal.

        Click the cross in the top right corner of the small window to close it and return to the full Homepage
        window.


3. Click Help and Training

        The Help and Training menu page is displayed.

        From this page you may click any of the topic hyperlinks to get more information on that subject.

        Return to the Homepage


4. Search

        Type a word or phrase into the search box and click the search button.

        The search is processed and the results window is displayed, listing all the items relevant to your
        search.

        Clicking the title of an item will display further details about that item.

        Return to the Homepage


5. Advanced Search

       Click the Advanced Search button

       This opens a new, smaller window which overlies the main Homepage window

       In the small window it is possible to :

                declare where you’d like to search (eg. Title, Author etc) by selecting the relevant option
                from the drop-down list to the right of the window ;

                use Boolean operators by selecting from the drop-down list in the middle of the window.

                activate the advanced search by clicking the search button.

        Click the cross in the top right corner of the small window to close it and return to the full Homepage
        window.



6. Page Footer

        Click each of the hyperlinks in the footer to check the conditions of use etc.

7. Widgets

       Select a widget and “close” it by clicking the arrow-head to the left of the widget-title

       Re-open the widget by clicking the arrow-head again.


       Editing
       Change the contents of a widget by clicking the Edit link on the widget title-bar.

                 An expanded menu will be displayed.

                 Remove unwanted items by clicking the red cross symbol to the left of the unwanted
                 resource.

                 Click save to keep the change or cancel to reject the change and return to the normal
                 widget display.

       Moving
       Place your mouse over the title-bar on any widget.

                 When the cursor shape looks like a cross, you can “take hold” of the widget by holding down
                 the left mouse-button.

                 Still holding the left mouse-button, drag your chosen widget to a new position on the page
                 and release.

       The widget will stay in the place you have moved it to.


8. Resetting the page

      To cancel all of your changes and revert to the default Homepage click the Reset Homepage button
      near the top right of the page.

My Profile

Open your browser and enter the web address http://www.knowledge.scot.nhs.uk


1. Click the link to login/register and sign in using your Athens details.

        The message in the top left of the page now reads "Logged in as efs…" with your username
        displaying


2. Click the profile link in the message contained in the Welcome widget

        A page is displayed showing the My Profile, My Subject Interests and My Experience widgets.


3. Using the My Profile widget, click the Edit button

        when the widget expands, alter the displayed details to reflect your information and click save ;

        the widget will return to its normal display mode.


4. Follow a similar procedure for the My Subject Interests widget

        click the Edit button ;

        when the widget expands, and for each subject area -

                type a subject interest into the box ;

                click the Add button ;

        when you have added all of your subject interests, click the Save button ;

        the widget will return to its normal display mode, now showing the interests you have entered.


5. The procedure is the same for My Experience

        click the Edit button ;

        when the widget expands, you will be able to add details of your Experiences, Current Activities and
        Publications ;

        type the information into the relevant box(es) ;

        click the Save button ;

        the widget will return to its normal display mode, now showing the experiences, activities and
        publications you have entered.


6. For the Rules and Permissions widget

        a. clicking the Edit button expands the widget, giving access to the Community Rules & Guidance
           hyperlink, and a tick-box enabling you to indicate your acceptance of the Rules and Guidance ;

        b. click the Save button to return the widget to its normal display mode.

Add Stuff
Open your browser and enter the web address http://www.knowledge.scot.nhs.uk


1. Click the link to login/register and sign in using your Athens details.

        The message in the top left of the page now reads "Logged in as efs…" with your username
        displaying


2. Click the Add/Remove Stuff button

        a. in the following window, you can add and remove widgets from your homepage ;

        b. both the eLibrary and Announcements widgets are permanent fixtures so the ticks in their
           associated “include” boxes are greyed out ;

        c. an existing widget will be included in your homepage where a green tick appears in its associated
           tick-box ;

        d. if you would like to suggest an additional widget, you can contact Knowledge Services Group by
           clicking the Contact Us link in the text near the top of the page ;

        e. to view the changes you have made, return to the homepage.




My Weather

Open your browser and enter the web address http://www.knowledge.scot.nhs.uk

If you are not logged in or have not altered the postcode from its G1 default, the My Weather widget displays
the weather for Glasgow.

Click the link to login/register and sign in using your Athens details.

        The message in the top left of the page now reads "Logged in as efs…" with your username
        displaying

To display the weather for your chosen area :

            a. click the Edit button on the My Weather title-bar ;

            b. type in the required postcode and select Celsius or Fahrenheit for the temperature display ;

            c.   click the Save button to return the widget to its normal display mode

Each time you log in to the webpage, the weather for your chosen location should be displayed, providing
you have made and saved the changes while you are logged in.

Announcements

1. Open your browser and enter the web address          http://www.knowledge.scot.nhs.uk

2. Click the link to login/register and sign in using your Athens details.

         The message in the top left of the page now reads "Logged in as efs…" with your username
         displaying.

3. You can cycle through the available announcements by clicking the previous and next links.

4. To see the detail of any one announcement, click its name to display the related information.




eLibrary

Journals
1. The journal tab is highlighted and journal search is displayed as default

2. The tabs for Articles, Books and Support and Libraries are also displayed.

3. To find a journal by its title :

         a.   enter a word in the journals search box and click the search button

                  available journals with the word in the title are listed on the following page

         b.   click one of the letters in the journal A-Z

                  available journals whose name begins with the chosen letter are listed on the following page

                  reduce the number of journals by clicking one of the subdivisions of the letter


                  from the listing page, you can choose to -

                            view the holdings of any of the available journals ;

                            see more information about a chosen journal ;

                            find similar journals ;

                            mark the record of the journal.


4. Go back to the homepage.




Articles
1. Select Articles tab

2. The search boxes for Title, Author, Journal Title, Keyword; ISSN/eISSN, Volume, Issue, Start page, and
   Published Year are displayed.

3. A link to "Full list of article collections (bibliographic databases)" is also displayed.

4. Click the link to "full list of article collections" to view a full listing of available databases

Books
1. Select the Books tab

2. Search boxes are displayed for Title; Author; Keyword. Check tick boxes displaying for Full text searches
   of Oxford Textbook of Medicine and for De Vita’s Principles and Practice of Oncology.

3. Type a search term in your chosen search-box(es) (NOTE : Boolean AND is applied to information entered
   in two or more boxes)

4. Tick the box for the Oxford Textbook of Medicine, enter a search term and click the search button.

5. Tick the box for the De Vita’s Principles and Practice of Oncology enter a search term and click the
   search button.

6. Tick boxes for both Oxford Textbook of Medicine and De Vita’s Principles and Practice of Oncology, enter
   a search term and click the search button.

7. Return to the Homepage


Support and Libraries

1. Select the Support & Libraries tab

2. A search box and links to "All Special Board Library Services" and to "All National Health Library
   Services" are displayed.

3. Search for services and support in a particular location by typing in a postcode, keyword or location :

                 the following page displays a map of the area and a list of names and addresses of local
                 services.

4. Return to the Homepage and explore the "All Special Board Library Services" and "All National Health
   Library Services" by clicking their links.



What’s here for me?
1. The following sections display within the widget : Databases ; Portals ; Journals ; Online books ;
   Guidelines/Standards ; Patient information

2. With one section fully expanded try expanding a second – the open one should close as your selected
   section opens.

3. Explore by clicking on a few of the links within the sections.

4. Edit the contents of the widget :

            a. click the Edit button on the title-bar ;

            b. tick the default box or tick the boxes relevant to your interests ;

            c. click the save button ;

            d. the contents of the widget sections should now reflect your interests.

NOTE : as always, your changes will be saved permanently only if you are logged in

5. Click the Reset Homepage button to restore the default settings.

My Quick Links

1. Open your browser and enter the web address         http://www.knowledge.scot.nhs.uk

2. If you are not logged in, you will see the default listing of links. You can change these by clicking the edit
   button in the widget title-bar. However, any changes you make will be saved only for your current session.

3. If you are logged in, the changes you make and save will be attached to you user identity and will be
   retained after you log out.

4. In the edit mode of the widget, click any of the displayed resources to delete it. If you wish the deletion to
   be permanent, click the save button. If you decide not to action the deletion, click the cancel button.

5. The widget will return to its normal display.

6. Click the Reset Homepage button to restore the default settings



My e-Learning

My Journals
1. Open your browser and enter the web address         http://www.knowledge.scot.nhs.uk

2. If you are not logged in, you will see no links in the My Journals widget.

3. Login to see the journals you have saved in past sessions and to add journals to the widget.

4. If you are logged in, the changes you make and save will be attached to your user identity and will be
   retained after you log out.

5. To find a journal by its title :

         a.   enter a word in the journals search box and click the search button

                  available journals with the word in the title are listed on the following page

         b.   click one of the letters in the journal A-Z

                  available journals whose name begins with the chosen letter are listed on the following page

                  reduce the number of journals by clicking one of the subdivisions of the letter

                  from the listing page, you can choose to -

                         view the holdings of any of the available journals (click the Show link) ;

                         see more information about a chosen journal (click the More link) ;

6. You may save details of a journal by clicking the Mark Record link.

        a.   having marked the record, its title will appear in the Save & Share box towards the top of the left
             menu bar ;

        b.   here, you have options to save the journal details to your own resource space, to email it to
             contacts, to print it, to save it as a text file or to delete it from the Save & Share box.

7. When you add a journal to My Resource Space, it will appear in the My Journals widget on the
   Homepage when you are logged into the website.

8. Return to the Homepage and check that the journal title is now listed in the My Journals widget.




My News and Updates
1. Open your browser and enter the web address       http://www.knowledge.scot.nhs.uk

2. If you are not logged in, you will see the default listing of links. You can change these by clicking the edit
   button in the widget title-bar. However, any changes you make will be saved only for your current session.

3. If you are logged in, the changes you make and save will be attached to your user identity and will be
   retained after you log out.

4. In the edit mode of the widget, click any of the displayed resources to delete it. If you wish the deletion to
   be permanent, click the save button. If you decide not to action the deletion, click the cancel button.

5. The widget will return to its normal display.

6. In the edit mode of the widget, you can determine how many items of news are displayed by changing the
   number in the box following Show this many news items.

7. Click the Reset Homepage button to restore the default settings

Exploring My Community Space
1. Open your browser and enter the web address      http://www.knowledge.scot.nhs.uk

2. Click the link to login/register and sign in using your Athens details.

            The message in the top left of the page now reads "Logged in as efs…" with your username
            displaying.


3. Select the My Community Space tab

            There should be six widgets on the page : Communities and Shared Spaces ; My Communities ;
            My Network News ; Communities Help ; Resource Tags and, People’s Interests.


Communities and Shared Spaces
This widget enables you to search communities by name, MKN from a pull-down menu or, using the A-Z
browse list.

1. Enter a part of a community name (eg. one word) into the Title field.

2. Click the Search Button.

3. The search results are displayed in the widget. If there are no results, the message 'No communities
   were found for your search.' is displayed.

4. Select an MKN by name from the pull-down list.

5. Click the Search Button.

6. A list of all communities of the chosen MKN is displayed.

7. Click any letter of the A-Z search.

8. The list of all communities whose name begins with the chosen letter is displayed in alphabetical order.

9. Click the All link.

10. All communities are displayed.

11. Click the icon to display more information about the community/shared space. This includes aim,
    audience and administrator email address

12. Clicking the icon a second time causes the additional information to disappear.


My Communities
If you are logged in and you are a member of at least one Community, the widget displays all of your
Communities and Shared Spaces.

1. Check the names of displayed Communities/Shared Spaces.

2. The full names of all the Communities and Shared Spaces of which you are a member, are displayed.

            a. The Communities/Shared Spaces are ordered alphabetically.


3. Click a community link.

            a. The external page opens (you may be prompted to login with your Athens username and
               password first).



My Network News
If you are logged in, all of your communities and shared spaces are displayed.

1. Click a community name.

            a. An external page opens. (You will need to be a member of a Community to access this)

2. Click a community newsfeed.

            a. An external page opens. (You will need to be a member of a Community to access this)

3. Click the title of a shared space name.
            a. You are taken to the Shared Space homepage (you may be prompted to login with your
                  Athens username and password first).

            b. Click the shared space link to alerts.

            c.   An external page with the shared space alerts opens (you may be prompted to login with
                 your Athens username and password first).

4. Click Edit on the My Network News widget

            a. Tick/untick the Communities/Shared Spaces to reflect your interests.

            b. Change the number of news items to be shown.

            c.   Click Save.


Communities Help
Whether you are logged in or not, the widget will display a list of links to help information.

Clicking on a link will cause the appropriate page of Help to display.


Resource Tags
Tagging is a process which allows you to “attach” a descriptive word or words to an item you have identified
in a search.

This widget contains tags which have been attached to resources, by users of the website.

You may alter the type of tag displayed by editing the Resource Tags widget and selecting to show either
only your own tags or only the tags added by specific MKNs and communities. (You must be logged in to do
this)

1. Click Edit on the Resource Tags widget

            a.   Tick/untick the MKNs and communities to reflect your interests.

            b.   Click Save.

People’s interests
When you tag a resource, the tag is associated with your profile providing you have read the Community
Rules & Guidance and enabled either basic or extended access to other users.

You can edit your profile either by selecting the profile link in the message contained in the Welcome widget
or by clicking the Edit Profile link at the top left of the Homepage.

1. On the My Profile page

            a. find the Rules and Permissions widget

            b. click the Edit button to expand the widget and obtain access to the Community Rules &
               Guidance hyperlink, and a tick-box enabling you to indicate your acceptance of the Rules
               and Guidance ;

            c.   click the preferred type of access in the How can others access your details?section

            d. click the Save button to return the widget to its normal display mode.

Exploring My Resource Space
1. Open your browser and enter the web address       http://www.knowledge.scot.nhs.uk

2. Click the link to login/register and sign in using your Athens details.

            The message in the top left of the page now reads "Logged in as efs…" with your username
            displaying.


3. Select the My Resource Space tab

            There should be three widgets on the page : My Resources ; Save & Share ; and, Resource
            Tags.


My Resources
The widget displays all of the items of interest attached to your profile.

When the widget is open, there are six tabs visible, down the left side of the box. These are :

                         All my resources ;

                         My eLearning ;

                         My Journals ;

                         My News and Updates ;

                         My Other Resources ;

                         My Quick Links.

Each of the tabs displays the number of each type of resource stored in each area (in a pink box).
Resources can be organised by clicking the Title or Date Added tab.

By default, the widget opens in the All My Resources tab with the items sorted by title.

You may tag a resource, delete it, add it to your quick links or mark it for sharing by clicking the relevant link
below the item.

You may also add links to related resources by entering the title and URL of the required item in the Add
another link box at the foot of the page.

The number of items displayed in the All My Resources tab will increase accordingly.


Click a tab other than All My Resources

                 the relevant tab is now coloured white ;

                 the resources displayed are those relevant to the highlighted tab ;

                 you may tag a resource, remove it from your Quick Links, delete it or mark it for sharing.

Save and Share
Conduct a search, using the search box at the top of the page.

Mark a selection of the retrieved records. These are added to the Save and Share widget on the search
results page.

Return to the My Resource Space page.

The marked records are shown in the Save and Share widget.

Click Add to My Resource Space

The new resource is shown in the All My Resources tab and in the relevant resource-type tab.

If the resource you’ve added is a journal, its title will also now be shown on your homepage, in the My
Journals widget. If it is another type of resource, it will not appear in your home page unless you choose to
add it to the My Quick Links widget by clicking the Add to Quick Links option below the resource title.

As well as adding the new resource to your resources, you can email it to your contacts, print it or save it as
a text file, using the options displayed in the bottom half of the Save and Share widget.

Please note that when you select the Clear All option, this clears the Save and Share widget and if you’ve
previously added the resource to My Resource Space, that entry persists.


Resource Tags
Tagging is a process which allows you to “attach” a descriptive word or words to an item in My Resources

The option to Add Tag is displayed below each item shown in your list of resources.

Selecting this option causes a text-box to open.

        Type your chosen tag name into the text box and click the Add Tags button.

        The word you have entered now appears below the resource.

        You may delete a tag by clicking the red cross to the right of the word.
