CAPWATCH Reports – CAPWATCH vs SIMS Cadet Test Score Comparison
(New) This new report will display test scores recorded in SIMS and CAPWATCH for all cadets in a side-by-side
fashion for easy comparison. The report is available as a new report option on the CAPWATCH functions menu.
CAPWATCH Import Text Files Import Function
 (Updated) CAP NHQ changed the names of some fields within several text files and the format of the date in
the DownloadDate.txt file. This caused some of the import queries to fail, thus not importing that data. The
affected files were re-linked, and the affected queries were updated to work with the changed field names.

Utilities – Delete Expired Members
(New) This new function will allow you to easily remove multiple members from SIMS who have expired
memberships at CAP NHQ. SIMS is compared with the CAPWATCH Member.txt table to determine that a member
is no longer on the books at CAP NHQ and can be removed.
Reports – CAPF 2A
(Updated) The CAPF 2A has been updated to match the CAPF 2A valid as of Oct 2008. It was removed by my
misunderstanding that it was no longer used. It has been added back into SIMS.

Utilities – Relink SIMS and CAPWATCH databases and text files
 (Updated) The re-linking functions have been updated to re-link the CAPWATCH text files instead of the
CAPWATCH tables in the CAPWATCH.MDB and tCAPWATCH.MDB databases.
Note: MIMS data is now included in the CAPWATCH text files download and will also be re-linked by this process.

CAPWATCH Functions – 2010 CAPWATCH Text File Import
 (New) As of 1 Jan 2010, CAP NHQ provides member data in text file format (.txt) only. SIMS this version of SIMS
will import member data and MIMS data from these files. SIMS expects the text files to be located in the
C:\SIMS\CAPWATCH folder on your computer. In an upcoming version of SIMS, the re-linking function will allow
you to place the files into another folder and point SIMS to that folder location. When downloading the zip file

from eServices, make sure to unzip the text files and place them in the C:\SIMS\CAPWATCH folder prior to
running the import.
Forms – Member Master Record, Leadership and AE Test Scores Bulk Update
(Updated) All code that checks or calculates the time in grade, or next promotion date, now uses 56 days (8
weeks) instead of two months. The number of days in the former calculations could be variable based on which
months were involved.
Forms – Member Master Record
(Updated) The CAPF 2a was removed as a report option.

CAPWATCH Functions – Squadron Locator
 (New) A new form is available that will display detailed information for any CAP squadron such as commander
contact info, meeting location and dates, website and more. To locate a squadron, simply select the region,
wing, and unit number from the dropdown boxes on the form.
Reports – Cadet Physical Fitness Testing Requirements
 (New) A new report which displays the same CPFT point standards table that appears in the back of the CAPP
52-18 is now available from the reports menu and the new President‟s challenge report launch form.
Reports – President’s Challenge Reports
(New) Two new reports are now available for the President‟s Challenge award at the individual and squadron
levels. Both reports use CPFT score from the CPFT history table for May or November (the months that where
testing for the President‟s Challenge award occurs). The individual report displays which cadets are eligible for
the national award, president‟s award or ineligible. The Squadron reports shows which award (if any) the
squadron as a whole is eligible for.
Utilities Menu – Copy Cadet Test Scores to History Table
(New) A new function is available on the Utilities Menu that will copy all cadet CPFT scores from the main test
scores table to the CPFT test scores history table. Some squadrons may not have the test score history recording
option turned on and therefore may not have any entries in the CPFT history table. The new President‟s
Challenge report uses entries from the CPFT history and will not display any results if there are no records in the
CPFT history table. This function would save data entry time by copying each cadet‟s test scores for each
achievement or award to the CPFT history table.
Utilities Menu – Clear Dates for Senior FO, TFO and SFO Achievements

(New) The FO, TFO and SFO table was incorrectly populated with achievement dates from a Senior‟s first three
grades. These dates can be cleared out for all Senior members with this function and the correct dates can then
be entered.
CAP Ribbons – Updated Precedence Order
(Updated) Some of the CAP ribbons in the CAP ribbon lookup table in the tblReference.mdb database were not
in the correct order. There were also three missing ribbons. The ribbon lookup table has been updated to
contain the correct ribbon precedence. The automatic ribbon assignments for cadet promotions have also been
changed to use the ribbon name when assigning ribbons instead of the ribbon number. When this version of SIMS
is loaded for the first time, a one-time conversion of member ribbon numbers from the old order to the new
order will occur.
Thanks to member Judith Hewitt for researching and updating the CAP ribbon precedence order and
providing an updated lookup table.
SIMS Startup – Invalid Graphics File Location
(Updated) SIMS failed to startup if the location of the graphics files was invalid. For example if the SIMS was
pointed to a network drive that was no longer available, SIMS would throw a debug error message and not start
up. This has been corrected. SIMS will now display a message about the missing graphics file and allow you to
re-point to a valid location.

Reports – Cadet Promotion Eligibility Reports
(Updated) Both cadet promotion eligibility reports were indicating all cadets needed to complete a promotion
review board for their next promotion, even though the PRB checkbox was unchecked on the options and settings
form. Both reports have been updated to show a date box only if a PRB is required for that achievement or
award.

(Updated) Only active members will now appear on this report.

Reports – CAPWATCH Cadet Detail Report
(Updated) The report was displaying the same date for all encampments for each cadet. This was caused by a
problem with the original CAPWATCH report. This has been fixed.

Reports – Cadet Promotion Eligibility by Flight
(Updated) The squadron address was not displaying on this report, even thought the display address box was
checked. This has been fixed.

Forms – Member Master Record
(Updated) The button that activates the pop-up calendar for the JROTC join date now only appears on that tab.
(New) A new message will be displayed at the bottom of the CPFT success message pop-up window if the cadet
qualifies for the national award or president‟s award. The cadet must complete all five CPFT events and meet
or exceed the 50th percentile identified on the CPFT point standards table at the back of the CAPP 52-18.

Reports Menu - Administrative Reports – Member Age Groups
(New) A new report is available in the administrative reports group that will display groupings of all member
ages. Each member‟s member type (cadet/senior), rank/grade and CAPID are also included for reference as
well.

Member Master Record form
(New) A new hyperlink has been added to the Test Scores tab to load the Cadet Promotion Requirements bulk
entry form.
(New) When the form loads it will check for and fix any broken cadet achievement titles. The cadet
achievement titles get corrupted on rare occasions. This causes some cadet achievement titles to be duplicated
in the test scores tab.
 (New) A new report is available from the reports dropdown box that displays cadet moral leadership
participation history.

Cadet Promotion Requirements Update (all cadets) form
 (New) When the form loads it will check for and fix any broken cadet achievement titles. The cadet
achievement titles get corrupted on rare occasions. This causes achievement titles to be duplicated in the test
scores tab.
CAPWATCH Functions
(Updated) The CAPWATCH functions menu now checks the Windows registry for the user‟s last CAPWATCH
import option that was saved when the menu starts up. SIMS was throwing a debug error if the user had never
performed a CAPWATCH import where the check was returning a null value from the registry check. SIMS has
been updated to skip this step if no setting exists in the registry.
 (Updated) The dates for the first three senior achievements were being assigned to the FO, TFO and SFO
achievements. This has been fixed. The completion dates for the first three achievements will be correctly
assigned. For anyone who has dates that were mis-assigned to these achievements, there is now a new function
on the Utilities menu to clear the dates in the FO, TFO and SFO senior achievements.
(Updated) Changed the error message that is displayed when the SQTR report button is clicked and the
tCAPWATCH.mdb file is not found to tell the user the CAPWATCH.mdb database does not contain the emergency
services tables. The message also informs the user to download the new CAPWATCH database containing the ES
tables.
(New) A new function has been added that will clear the dates for FO, TFO and SFO.
CAPWATCH Import
(Updated) The CAPWATCH import function has been updated to calculate the minimum promotion date for each
senior member‟s next promotion based on the date the senior member achieved the previous rank in the
CAPWATCH Member table (rank date). The calculated date will appear on the promotions in grade section on
the Professional Development tab on the Member Master record.
Options and Settings Menu
(Updated) The code behind the button to reset the squadron information to default values has been updated to
also clear the squadron address fields on the Squadron Address tab.
Utilities – SIMS System Settings
(Updated) Removed references to the tCAPWATCH.mdb database location from the System Settings menu.
Utilities – CAPWATCH and SIMS Re-Linking Functions
 (Updated) The CAPWATCH table re-linking function has been updated so that it will continue to relink as many
tables as it can find. SIMS will not display a debug message if a table is missing. This was discovered when SIMS
attempted to re-link some of the new tables that were recently removed from the CAPWATCH download.
Squadron Administration – Cadet Promotion Requirements Update form
(Updated) The form will now be maximized to full screen when the form window opens.

SIMS Main Menu
(New) A new message will be displayed when loading the main menu if no members exist in the SIMS database.
The message will inform users that there are no members in the SIMS database and ask them to go to eServices
and download the CAPWATCH database for their unit, group or wing. This message will go away when there are
members loaded in the database.
(Updated) The MIMS label for the member counts on the main menu has been changed to read CAPWATCH so
users know the counts are coming from the CAPWATCH database.
OPSEC check for Cadet Promotions
 (Updated) The OPSEC requirement has been removed from the requirements for cadet promotions as suggested
on SquadronCommand.
Reports - OPS - OPSEC Completions
(Updated) This report has been updated to include cadets.
Reports – AE and Leadership Testing Log
 (Updated) This report has been updated to include the AE comprehensive exam for the Mitchell and Earhart
achievements.
CAPWATCH Functions Menu
When importing data from the old format, there will be missing tables. After the import is complete, SIMS will
display message informing the user that certain tables were not found in the CAPWATCH import database and list
the tables that experienced errors.
(New) A new web link to CAP eServices download page on the CAPWATCH functions menu.
(New) A new set of option buttons was added to the CAPWATCH Functions Menu to allow users select which type
of members to import. The selections are Seniors and Cadets, Seniors Only or Cadets Only. The selection will be
stored in the Windows registry so SIMS can remember the last selection the user made the next time the
CAPWATCH functions form is accessed.
(Updated) The CAPWATCH Import function has been updated to detect the inclusion of a null member and
delete the record from the tblMember table at the end of the import process. If a squadron is loading SIMS for
the first time, a null member is created in the main member table (tblMember). This causes the main page to
display the count of members in the SIMS database incorrectly.

CPPT and OPSEC checks for Cadet Promotions
(Updated) The Cadet Promotion eligibility requirements checking rules now include checks for both CPPT and
OPSEC (Operations Security).
For CPPT if a cadet is 18 or older and has not completed the CPPT course, SIMS will prevent the cadet from being
promoted and will display an error message when attempting to promote the cadet or using the promotion check
checkbox to check promotion requirements completion.
For OPSEC, all cadets are now required to have completed the OPSEC training to be promoted to any
achievement or award.
The commander signoff checkbox can still be used to override either of these two new requirements.
The new cadet promotion data will not be included in the SIMS import functions until a
later version.
CAPWATCH Import Function
(Updated) CAP NHQ is changing the contents of the CAPWATCH database download file on or about April 9, 2008.
The changes to the CAPWATCH database download file include the integration of MIMS data that was formerly
stored in the tCAPWATCH database download file and a number of other changes to existing tables. Some new
tables have also been added that contain cadet promotion data from the new eServices cadet promotion data
entry application.

The SIMS has been updated to import CAPWATCH data from the new CAPWATCH database format.
The tCAPWATCH import function has been integrated with the CAPWATCH import and all references and checks
for the tCAPWATCH database file have been removed.
The new cadet promotion data will not be included in the SIMS import functions until a later version.
Member Master Record – Personal Info Tab
(New) New fields have been added to support the new CAPF 60 Emergency Notification Data report.
Member Master Record – CAPF 60 Report
 (New) A new CAPF 60 Emergency Notification Data report is available from the Reports/CAP Forms dropdown
listbox on the Member Master Record form.

CPFT Testing Log Report
(Updated) The title of the first column of the report should display „Member Name‟ or „Member CAPID‟
depending on the checkbox that was checked on the report launch form. The column title was displaying
„Member CAPID‟ no matter what selection was made. This has been fixed and now displays the title according to
the selection that was made on the launch form.

Reports – Cadet Promotion Eligibility By Flight
 (New) A new report has been added to display all cadets promotion eligibility requirements sorted by flight.
This report existed in a previous version of SIMS, but was removed.

Reports – Cadet Promotion Eligibility By Flight
(Updated) The SIMS re-linking functions had issues when performing the back end update process when linking to
outdated versions of the SIMS Back End.mdb database. Certain table updates were only made to the database
that SIMS was currently linked to, not the database that the user was trying to link.
The re-linking functions were updated to be more generic by requiring the path and the database file to be
passed to the function, instead of pulling the path from the Windows registry.

The SIMS Reference Data.mdb also now requires updates for tables in that database. The re-linking and updating
functions will now correctly bring both the SIMS Back End.mdb and SIMS Reference Data.mdb database files up to
date when performing a re-linking function or a repair back end database function.

CAPWATCH Import – Debug Window error
(Updated) Certain fields in tables within the CAPWATCH database can contain null values. This was causing SIMS
to stop the import process and display a debug window. SIMS has been updated to create a zero-length string for
null values in the lvl field in the DutyPosition table when they occur. It is possible for NHQ to create null fields
in other table columns in the future. That will be addressed when they are discovered.

CAPWATCH Import – Senior Specialty Track
(Updated) If the date completed for a specialty track was blank in the CAPWATCH SpecTrack table because the
Senior member achieved the next highest rating for that track, the blank date would overwrite the previous
completion date in SIMS. The CAPWATCH update query has been changed to import new specialty track records
with blank completion dates, but will not update existing records if the completion date is blank in CAPWATCH.

Version 4.3e beta 8 – Development Release
Member Master Record – Professional Development Tab
(New) A new table for storing and tracking Officer professional development completion requirements has been
added to the SIMS Back End.mdb database. This new table will be automatically created when SIMS performs the
upgrade process.
 (New) A new form has been added to the Member Master Record form to display Officer professional
development information imported from the CAPWATCH database and allow input of data that is not available in
CAPWATCH.
Member Master Record – Officer Progression Tab
(New) The new Officer Professional development input form has replaced the subforms on the Professional
Development tab on the Member Master Record. A new tab called Officer Progression has been created to
contain the sub-forms that were previously located on the Professional Development tab.
Member Master Record – Test Scores Tab – CPFT Scoring
(Updated) Curt La Fond of NHQ has clarified that if a cadet is exempt from a CPFT event, the cadet gets a
passing score on that event. So for example if a cadet is temporarily or permanently exempt from push ups, only
the sit and reach or curl ups are required to complete the two of the three non-running events. SIMS has been
updated to score a pass for any exempt non-running events.
Member Master Record – Test Scores Tab – Promotion Processing
(Updated) SIMS used 60 days to calculate the next eligible promotion date when promoting a cadet. This would
result in promotion dates that did not meet the two month requirement as stated in the CAPR 52-16. SIMS now
calculates the next eligible promotion date using two months instead of 60 days.
Member Master Record – Test Scores Tab – Promotion Check Checkbox
(Updated) The promotion eligibility check did not correctly calculate the time-in-grade requirement for JROTC
cadets due to the way the Access DateDiff function handles partial years. New functions have been added to
correctly handle the calculations for accelerated promotions for JROTC cadets.
Member Master Record – Test Scores Tab – Last Achievement Dropdown listbox
(Updated) The Last Achievement checkbox threw a Debug error when being used to change a cadet‟s last
achievement. The code attempted to store the last achievement field into the cadet‟s rank which caused a field
overflow. This has been fixed.
Cadet Promotion Requirements report
(Updated) The time-in-grade requirement was not being displayed. The calculation for time-in-grade
requirement was fixed. The fix also addressed JROTC cadets who were also not correctly identified as being
eligible for one month promotions.
SIMS Back End.mdb – tblSMPositions
(Updated) The Region, Wing, and Unit were added to this table to match the fields in the CAPWATCH
DutyPosition table. Data from these two tables are combined on the Officer Professional Form and report.
Utilities – Export/Import Member Records to/from an Archive file functions
(Updated) These functions have been updated to include the Region, Wing, and Unit fields that were added to
the tblSMPositions table that contain the Officer‟s staff positions entered at the unit level.

Utilities – Export Members to an Excel Workbook
(New) This new function allows you to export member records to an Excel workbook. A form is provided to
allow the user to select groups of fields to be included and which members (Cadets, Officers, or both) are
exported. For convenience, there are pre-defined export formats that may be selected, or custom formats that
provide the user with options for exporting specific groups of fields such as cadet-specific, or officer-specific
fields.

Version 4.3e beta 7 – Development Release
Officer Program – Reports and forms
(Updated) The term “Senior Member” has been changed to “Officer” on most reports and forms to comply with
NHQ directives. Some dropdown boxes cannot be changed at this time due to code that looks for the “Senior
Officer” term.
Officer Program – Professional Development
(Updated) The following updates were made to the Promotion Requirements subform on the Member Master
Record Professional Development tab:
       The achievement was removed and replaced with the Officer‟s grade.
       Awards for level completions and technician rating was fixed to correspond to the correct level where an
        award is given.
Member Master Record – Add New Member
When adding a new member the Debug message would be displayed under certain circumstances. Code updates
were made to eliminate the debug message.
Member Master Record – Member Type dropdown box
When selecting „Senior Member‟ from the dropdown box the grade dropdown box is hidden. When selecting a
„Cadet‟ the grade dropdown box is displayed.
Member Master Record – Record navigation
When navigating to a „Senior Member‟ record the grade dropdown box is hidden. When navigating to a „Cadet‟
record the grade dropdown box is displayed.

Version 4.3e beta 6 – Development Release
Main Menu – Member Statistics
(New) A new table has been added to track Senior Member progression through achievements. The
tblSMAchievement is automatically added when upgrading SIMS. This table will be used to track Senior
achievements and skill level completion dates. The individual requirements for tracking for each skill level is
not included in this table.
Senior Program
(New) A new table has been added to track Senior Member progression through achievements. The
tblSMAchievement is automatically added when upgrading SIMS. This table will be used to track Senior

Utilities – Repair/Upgrade the Current SIMS Database
(Updated) Certain table updates would not take effect during the repair/upgrade process unless you first exited
SIMS. This function will now display a popup window to tell you to restart SIMS after it exits. SIMS exits and
then performs the Repair/Upgrade when it is started again.
Utilities – SIMS System Information
(New) This new option will display SIMS configuration information from the Windows Registry and the database
configuration tables.

Utilities – Export/Import Member Records
(Updated) The export and import functions have been updated to include the new tblSMAchievement table data
in the import process.
Startup – Welcome Screen
(Updated) The name of the logged in user was used to welcome users to SIMS. This caused issues with squadrons
who had past members use their login and then left the squadron. The personal name has been removed from
the Welcome screen.
Ribbons
(Updated) The National commander‟s unit citation ribbon was out of precedence; its order has been updated in
the SIMS Reference.mdb database.
Member Master Record – Cadet Promotion Requirements Bulk Update Form
(Updated) The Category III cadets may pass tests for awards like the Wright, Mitchell, etc. SIMS was stopping
CPFT scores from being tallied for Category III and displaying a message indicating a cadet in Category III was in

(Updated) The Senior Member master record has been updated to display the Senior achievements in the new
tblSMAchievement table.
Reports – Attendance Log By Flight
(New) The Attendance Log Sheet By Flight report has been updated to display an official signature block at the
bottom of each page of the report. This provides a place for a Senior Officer to certify the attendance log as the
official record of attendance at the meeting or event.
The user must check the new checkbox titled [Add certification signature block to bottom of each page?] on
the Generate Meeting Attendance Log Sheet launch window to cause this block to appear on each page of the
report.

Reports – Meeting Attendance Report
(New) The Meeting Attendance reports available from the Meeting Attendance input form can now be printed
with an official certification block at the bottom of the form. This provides a place for a Senior Officer to

SIMS Startup
When SIMS starts up, it checks for the existence of the critical database files like the SIMS Back End.mdb and
SIMS Reference.mdb databases. SIMS used information that has been stored in the Windows registry from
previous executions of SIMS to determine the location of those files before checking for them. If they were not
found, a message would be displayed. Also if you ran SIMS from multiple locations, you would get a message
saying the startup location for SIMS has changed and will be updated for next time. SIMS has been updated to
check for the existence of critical files by using the path stored in the internal system table MSysObjects. If a
critical table is not found where SIMS is pointing to, then a message will be displayed to the user to re-link to
those files.
SIMS will compare the linked tables paths to those in the Windows Registry and update the Windows Registry to
match the linked tables path if they are different.
SIMS will no longer display the message that SIMS is being started in a new location. From this version forward,
SIMS will perform as much self-configuration as possible, and only prompt the user when absolutely necessary.
Utilities – Repair/Upgrade the current SIMS database
The Repair/Upgrade procedure was failing to add certain fields and tables to SIMS when executed after SIMS had
already started up. This procedure has been updated to first prompt the user with a pop-up window telling the
user that SIMS will exit and must be re-started to complete the Repair/Upgrade process, then SIMS will exit.
SIMS sets the version number of the back end database back to version 4 and sets the run once flag to false, then
exits. When the user starts up SIMS the next time, they will be prompted to Upgrade SIMS first. SIMS will then
add all missing fields and tables, then start up normally.
If another SIMS database must be Repaired/Upgraded, then the user will have to first link SIMS to that back end
database and perform the Repair/Upgrade process on that database.
SIMS Main Menu
Additional membership counts have been added to the SIMS Main Menu. To provide the squadron with more
detailed information about the members stored in SIMS and the CAPWATCH database.

Version 4.3e beta 4 – Development Release
Forms – CAPF 50-1, 2, 3, 4 Cadet Leadership Feedback Phase I - IV (New)
The new CAPF 50-1 to 50-4 Cadet Leadership forms are now available through a new option on the Squadron
Administration menu. From this form you can create new leadership feedback forms for a cadet for each phase
as defined in the CAPR 52-16.
Reports CPFT Testing Log
The Shuttle Run event has been moved before the Mile Run as it is on the cadet master record.

SIMS Import – Import from an Archive File
The SIMS Import Members From and Archive File function was updated in version 4.3c to check the version of the
archive database and call the upgrade function to bring the database file up-to-date before running the import
function.
If the file version of the archive database was already up-to-date, then the import function would just continue
normally.
If the file version was older than the current SIMS Back End.mdb file, SIMS would run the upgrade function.
The upgrade function is made up of two parts. The first part adds new tables to the back end or archive
database, the second part adds fields to existing tables.
When the import function ran a update on an archive database, it would only call the second part of the upgrade
process to add fields. No new tables were added. When the actual import queries rand and tried to import data
from non-existent tables, a debug message would be displayed.
The upgrade function has now been modified to update both the SIMS Back End.mdb and SIMS Export.mdb
database files. Any SIMS Export .mdb archive files will now be updated with both new tables and new fields
before the import function runs.
Note: If you have previously tried to import data from a SIMS Export.mdb archive file with version 4.3c or later,
       you will need to open the SIMS Export.mdb database and change the version number in the
       tblSIMSDataVersion table back to version 4, then proceed with the import as normal.

Version 4.3e beta 3 – Development Release
Reports – Senior Member OPS OPSEC report (New)
This new report displays all senior members and whether they have taken the OPSEC training.
Note: you must download and import the CAPWATCH data for your squadron to get the most up-to-date OPSEC
training data.
Forms – Cadet CAP Form 50s (New)
A new form is available to create and print Cadet Progression Evaluation forms (CAP Form 50) for individual
cadets.
A new form on the Squadron Administration menu allows you to select any cadet in the squadron and create or
edit CAP form 50s for that cadet. All Form 50s for each cadet are available from this form. You can create,
edit, print and delete the form 50s from this one form.
The Form 50 fill-in form matches the Form 50 that may still be used for cadet evaluations.

The tblCadetForm50 table was updated with two new fields to support the Cadet Progression Evaluation (CAP
Form 50) forms export/import function.
Database Upgrade – New version upgrade bug fixed
The upgrade function did not call the generic upgrade subroutine with the correct parameters, so the upgrade
was not completed correctly. This bug has been fixed.

This new function will allow you to point to a SIMS Back End database on the local computer or the network and
run the upgrade function to add missing fields and tables to the database. This process will fix many issues that
have been encountered when trying to use a SIMS database that is missing fields or tables and causes debug
messages to be displayed.

AE Test Debug Message
After entering the AE test date a debug message would be displayed. This has been fixed.

New Fields to Store Unit Address and URL (New)
New fields have been added to the tlkpSquadronInfo table for the unit address, phone and web address. A
switch field will be used to turn on the display of the unit address to the right of the unit patch graphic on
most of the SIMS reports that have room in the header to display the address.

Options and Settings (New)
A new tab called Squadron Address has been added to the form. This tab contains a subform to enter the
address of the unit along with the unit’s web address. This address will be displayed on SIMS reports
next to the squadron patch graphic. A switch field is available on the form to turn off this feature if
squadrons do not want to display the unit address on reports. A button is available to import the unit
address from the CAPWATCH database if the database is available.

Reports – Squadron Address (New)
Most of the SIMS reports have been updated to display the squadron name, address, phone and URL to
the right of the unit patch graphic in the header of the report. This new feature is optional. To activate it,
you need to enter the unit address on the new Squadron Address tab on the utilities menu and check the
box titled [Display unit address and URL on reports?] checkbox.

Utilities – Re-link ALL SIMS and CAPWATCH databases to another location (New)
This function will allow you to re-link all SIMS and CAPWATCH databases at one time. If the version
of the SIMS database that is being re-linked is out of date, then SIMS will run the upgrade procedure first
to bring the database up-to-date, and then perform the re-linking operation. The graphics will
automatically be re-linked to the new location as well. This procedure can be very useful when using
SIMS in a network environment or if you want to access another SIMS database on the local computer.

Utilities – Export and Import Member Records to an Archive File
New buttons have been added to the export and import member selection forms to allow you to select all
members, all seniors, or all cadets. This can be useful for squadrons that want to have multiple SIMS
copies in use on separate computers that want to consolidate member records into one copy of SIMS.

Database Upgrade – Promotion Review Board Table changes
The promotion review board table (tlkpPRBRequirements) did not have a key field set and would allow
duplicate values to be created in the table. The SIMS upgrade procedure has been modified to remedy
this problem when the SIMS database is upgraded.

Version 4.3e beta 1 – Development Release
Utilities – Relink SIMS Databases
The relinking function has been updated so that it checks the version number of the SIMS Back
End.mdb file before performing the relinking function. If the version is out-of-date, then SIMS
will first upgrade it before performing the relinking function. SIMS was generating debug
errors when trying to relink a SIMS database on the network that was out of date and didn‟t
contain the updated fields and tables.

A while ago a suggestion was made for a new report that would list all of the promotion
requirements that each cadet must complete for their next achievement or award. This is
different than the Cadet Promotion Eligibility report because the report will display only the
requirements that must be completed and nothing more. This report prompts for a date to
use as the end date for time in grade and other requirements. As cadets complete
requirements, the report grows smaller. This report will be further enhanced to show cadets
who are promotion eligible (all requirements completed) as well.

Reports – Cadet Promotion Eligibility by Grade
If the cadet‟s Last Promotion date was blank a debug message would be displayed. This has
been fixed.

Forms – Member Master Record
The testing history and CPFT testing history field controls were not locked and were not text
fields but dropdown boxes. Any fields that were dropdown boxes were changed to text boxes
and the fields were locked to prevent editing.

       This new table will be created to support the CAPF 50 (original form) that is under development. This

       cadet will be stored with the Cadet‟s master record and will be included in the export/import function.

       The next release of SIMS will contain forms and reports that will use this new table to provide the new
       feature.

Squadron Administration - New Community Service Bulk Update Form
      A new form is now available that will allow you to perform a bulk entry of a community service activity.
       This new feature works with the attendance module in a similar manner as Moral Leadership. First you
       create a meeting and check the Community Service Checkbox. Then you go into the Community Service
       Activity Participation function on the Squadron Administration menu and add additional information like
       the Beneficiary and number of Community Service hours.

       There is a button that will allow you to record all participants records with the community service
       activity at one time

       There is also a participation report to show all activity participants.

      The Export Member Records to an Archive File function still had references to the old database location
       (C:\CAP\Database) in the export queries and therefore did not export all member data correctly to the
       archive file. This has been fixed.
      Delete all members caused debug messages to be displayed

       If Delete All Members function was executed to remove all member records, you would get Debug
       messages displayed when attempting to go back to the SIMS Main Menu. This has been fixed so that the
       Main Menu displays with blank member counts.


Member Master Record – Test Scores Tab
      New cadet current achievement/award entry generated Debug window

       When attempting to get newly imported cadets set to their current achievement or award, we
       attempted to use the commander signoff function and enter the promotion date on their previous
       achievement or award. If the Last Promotion and Eligible Date fields were left blank, a Debug window
       would pop up. If dates were filled in for those fields, then the cadet would be promoted. SIMS is now
       fixed so that to get newly imported cadet to their current achievement or award you check the
       Commander Signoff and enter a promotion date for the achievement or award PRIOR to the one that
       they are currently working on and then pressing Enter. SIMS will display a message showing all the
       requirements that are missing, but allow you to promote them anyway because the Commander Signoff
       is checked.
      Deleting a Cadet record did not remove the Cadet's test scores

       The relationships established between the SIMS tables was affected by the new programmatic updates of
       the back end tables to upgrade them with new fields and tables. As a result, the relationships
       established between the tbleMember and tblMemberTestScores table was broken causing a cadet's test
       records to remain in the database after the cadet record was deleted. SIMS has been updated to run a
       delete query to remove a cadet's test records when the delete button is used on the Member Master
       Record form. I will be doing research to learn how to programmatically re-establish broken table
       relationships using Access VBA. The solution for now however, works.

Version 4.3 Beta 3
Installation
      SIMS will fix the issues with the CPFT category field attributes that were created with the previous beta
       versions. The CPFT Category, CPFTCategoryStartDate, and CPFTCategoryEndDate fields in the
       tblMember and tblMemberTestScores tables were set to „Required= Yes‟. This setting prevented new
       member records from being added from the CAPWATCH import and also prevented Cadet Test scores
       from showing up.
Cadet Promotion Requirements Update Form
      When clicking on the Promotion Check checkbox on the [Cadet Promotion Requirements Update (All
       Cadets)] form, a Debug error was displayed for Mitchell and Spaatz cadets. This has been fixed.

      The new Promotion Review Board optional requirement was requiring PRB‟s for all achievements and
       awards regardless of whether you have the [PRB Required?] checkbox unchecked on the PRB

CAPWATCH Import
      Because of the required property being set to „Yes‟ for the new CPFT Category fields, new cadet records
       that were being imported did not have test scores available. This issue has been fixed in the SIMS
       CAPWATCH import. If you have any new cadets with missing test scores, go to their record in the
       Member Master Record form then use the arrow buttons on the bottom of the form to navigate to the the
       previous or next record, then navigate back to the cadet‟s record. The missing test scores will be
       added. Another way to fix this issue is to delete the new cadet and re-import CAPWATCH.

       Existing cadet records are not affected by this issue.

Ribbons Lookup Table
      The tlkpRibbons table in the SIMS Reference Data.mdb database was updated with corrections and
       additional ribbons. I don‟t have all the ribbon graphics, but they will be added as I get a hold of the
       graphics. I still need to do more work on the ribbon report logic to accommodate clasps, stars, last
       earned, etc.

       Thanks to CAP Member Russell M. Davis for providing me with an Excel spreadsheet of updates for the
       ribbons table.

Version 4.3 Beta 2
Installation
      The installation utility was updated so that it will only makes updates to the back end database that
       apply to that version. If a user is updating from version 4.2x then all updates will be applied.
      The squadron graphics are not contained in this version. I didn‟t want to overwrite anyone‟s squadron
       patch in the C:\SIMS\Graphics folder if you have installed the beta 1 version.
      The name of this download file will be made consistent with previous distributions of SIMS.
      A new table call tblPRBRequirements will be created in the SIMS Backend.mdb database on installation.
Squadron Administration
      The Leadership/AE and CPFT Bulk Update forms have been consolidated into on form called:
       [Cadet Promotion Requirements Update (All Cadets)] this one form can be used to enter most of the
       data required for each cadet‟s next promotion or award. This form functions very similar to the
       individual test scores form on the Member Master Record form, you just can‟t promote a cadet from this
       form.
      The Leadership/AE and CPFT Bulk forms have been removed from the Squadron Administration menu.
      The National Commander Unit Citation ribbon has been added the SIMS Reference Data.mdb database.
Options and Settings Menu
      Added new table under the Lookup Tables tab to allow the squadron to selectively “turn off” the
       Promotion Review Board requirement for any of the achievements or awards.

Version 4.3 Beta 1
Installation
      The default folder for SIMS will now be C:\SIMS. SIMS may still be moved and configured to run in any
       folder on a local computer or network.
      SIMS can now use multiple graphics file formats for CAP and squadron patches. Supported file formats
       are: .jpg, .gif, .bmp, and .wmf.
Member Master Record
      Added Flight Officer and Technical Flight Officer to the Last Achievement dropdown box.
      Added JROTC checkbox and join date to the Personal Info tab.
      Added CPFT Fitness Exemption categories to the Personal Info tab.
      Many coding changes have been made to the Test Scores input form. All of the changes required to

       Several of the SIMS menus have been redesigned with a new layout to enhance the appearance and
        usability of the menus.
       The Table Maintenance button was renamed to Options and Settings.

       There is a new individual Community Service report available on the Member Master Records form.
       The Testing Log report was renamed to AE and Leadership Testing Log.
       The labels for the Leadership 12 and 13 were reversed on the AE and Leadership and Testing Log report.
        They were fixed.
       The Cadet Master Record and Promotion Eligibility reports have been updated to remove certain fields
        like the Moral Leadership Discussion Leader/Record and add new fields like the drill test and the PRB
        (which is optional).
Database Fields
       Many new fields have been added to the backend database. These fields are added automatically when
        the user starts up SIMS. SIMS now checks the version of the back end databases and automatically
        updates the databases adding new fields and even tables if necessary.

       SIMS failed to startup under Access 2003. An error message was displayed that said invalid function

       Cadet Master Record – This report was modified to display the member‟s picture if it is on file. If the

       Senior Member Master Record - This report was modified to display the member‟s picture if it is on file.
        If the member does not have a picture on file, or the SIMS Photos add-on option has not been installed,
        then the squadron logo will be displayed in place of the photo. A new block was added that contains the
        professional development courses that the Senior Member has completed.
       The meeting title and meeting location fields were expanded on all three meeting attendance reports.
Forms
       A bug was fixed in the Main Menu that caused a Debug dialogue window to be displayed after deleting all
        records in the database and returning to the Main Menu.

Version 4.2f
Features
       New – Member photo add-on option. A new member photo database is now available that may be
        installed with SIMS to enable the storage of member photos in a separate database. Once a member has
        a photo on file, it will be displayed on the Member Master Record instead of the squadron logo. The
        member photo will also be imported into the CAPF 31 Word document by the form fill-in macro.

       New – Ribbon Stacker Beta. SIMS will now print a ribbon stack for a single member, all members, Seniors
        only, or Cadets only. This feature is in beta test and needs to be validated before it goes into
        production.
       The CPFT log now allows the user to turn off highlighting and previous scores if the unit wants a clean
        form for scoring CPFT results.
Forms
       New – Word document template has been developed that contain a macro with popup form that allows
        the user to select a member from the SIMS database to use to fill in the form. The CAPF 31 is now
        available for testing. More forms will follow.
SQTRs
       The prerequisites for some SQTRs were not being populated. This has been fixed.

Main Menu
       New - If the CAPWATCH database is present, and the data tables have been linked to SIMS, then SIMS will
        display the MML counts of both Seniors and Cadets on the Main Menu. Thanks to 1Lt Chris Metzger of

Utilities
       New – Relink CAPWATCH and tCAPWATCH data tables. SIMS now detects missing tables and prompts for

        SIMS used to require that you had these tables located in the C:\CAP\Database folder. Now they can be
        located anywhere on the local computer or a network.

Application Startup
       When SIMS starts up, it checks for missing back end tables. If they are missing, SIMS

       SIMS will now detect the installation directory and update the default path where the SIMS files are
        located. The results are stored in the Windows Registry and are referenced each time SIMS starts up.
        This will make it easier for SIMS to be relocated to another directory on the computer or a network

      The attendance reports were updated to show the percentage attendance or percentage absent at each
       meeting.
      A new Attendance Log is available by flight. Each flight is printed on a separate page.
      The Cadet Master Record report was not displaying the Cadets name in green when all requirements for
       the Eaker were completed. This was because SIMS was expecting 7 requirements to be completed when
       the actual count of requirements for the Eaker is 6. This was fixed. Also, the Eaker writing assignment
       was being scored as a regular award test (80 pts). This was fixed to use the correct scoring.
Member Master Record
      The Cadet Activities subform under the Missions-Activities tab was modified to read Activities and open
       to both Senior and Cadet members for recording both Senior and Cadet participation in any activities.

Version 4.2b
CAPWATCH Import/Update
      The CAPWATCH Import/Update was updated to update the members emergency contact phone number,
       address, and email from CAPWATCH.
      The CAPWATCH Import/Update was updated to update the Member‟s Card status to „Expired‟ if the
       CAPWATCH MbrStatus was showing „EXPIRED‟.
      Each Member‟s Region, Wing, and Unit number are now updated from CAPWATCH each time the
       CAPWATCH Import/Update are run.
Member Master Record
      The Region, Wing, and Unit number are now displayed at the top of the Personal Info tab. This will be
       useful when SIMS is used for multi-unit or wing-level applications.
Emergency Services
      The CAPF 101T update form was updated to work with the MIMS SQTRs. The print option was updated to
       display a locally updated SQTR that can be maintained at the unit level.
Reports
      A new report is available that displays emergency contact information for all members in the squadron.

Version 4.2a
Application Startup
      A reference to the Microsoft Word 10 Object Library was still included in the SIMS database. If the user
       does not have Word 10 (Word 2002), then MS Access would display error messages when SIMS was starting
       up. The reference to the Word 10 object library has been removed again in this version to avoid the
       debug error message.
CAPWATCH Functions
      New MIMS SQTR Worksheet reports were added to the CAPWATCH Functions menu. These reports match
       the MIMS SQTR Worksheet reports available through CAP eServices.
      The CAPWATCH import calculated the promotion eligibility for cadets as being 60 days after the join
       date. This has been corrected to calculate the promotion eligible date for the Curry to be 1 day after
       the CAP join date.
      The CAPWATCH import function was updated to import the following National Cadet Special Activities
       (IACE,COS,E-Tech,ATA,NFAG).

Member Master Record – CPFT Test Scores Input
      A debug window would be displayed when entering CPFT test scores for a Cadet who had not attended
       any meetings. This has been corrected. Thanks to Maj Mike Sperry of the McGuire Composite
       Squadron in the New Jersey wing for emailing this issue.
Cadet Promotion Eligibility Reports
      The two Cadet Promotion Eligibility reports were originally programmed to calculate unit activity
       participation based on the following rules:
           o   If one or more unit activities were held since the Cadet‟s last promotion and the date that the
               eligibility report was run, then the Cadet is required to attend at least one unit activity to get
               credit for unit activity participation for the next promotion.
           o   If no unit activities were held since the Cadet‟s last promotion and the date that the eligibility
               report was run, then SIMS ignores the unit activity check when determining promotion eligibility.
       There are two problems with the way unit activities are handled. The first problem is that both reports
       should use the date that was entered in the report launch form as the end date to check for unit activity
       participation. The second is that the reports show incomplete unit activity participation if the report is
       run after the Cadet has completed all the requirements for promotion.
       For example, say a Cadet had completed all the requirements for his/her next promotion on 2/15. The
       unit may not have held any unit activity meetings between the Cadet‟s last promotion and 2/15. Because
       there were no unit activities held, the eligibility reports show the Cadet ready to promote.
       If the Cadet is not promoted in the database, and a unit activity is held before the date that the
       promotion is entered, and the Cadet did not attend the unit activity, then the eligibility report will not
       show the Cadet is ready to promote.
       The two SIMS promotion eligibility reports have been updated to address these two issues in the
       following manner:
       #1 – To address the issue of the end date, both reports have been updated to use the date that was
       entered on the launch form as the end date for determining unit activity participation completion.
       #2 – To address the issue of both reports not flagging a Cadet that was ready to promote, but now isn‟t
       because a unit activity was held, a checkbox has been added to the launch forms to turn off the unit
       activity checking feature of each report and display all Cadets ready to promote minus the unit activity
       participation requirement.
       Even with these two changes, the reports still don‟t have a way of determining the date a Cadet actually
       finished their last requirement for the next promotion and use that date to stop looking for unit
       activities.
       Because of this, each squadron should try to run either of the promotion eligibility reports each time test
       scores are entered to see who is eligible to promote. If a Cadet may promote, then they should be
       promoted immediately in the database. Do not check the [Pinned?] checkbox until the Cadet actually
       receives the grade insignia and ribbon (if applicable). This way the Cadets to Be Pinned report will
       show which Cadets to pin at your next awards ceremony.

Version 4.2
Application Startup
      A reference to the Microsoft Word 10 Object Library was created to allow SIMS to communicate with

      next achievement field for each achievement was not being populated. This caused the promotion
      conformation message in the Member Master Record to display a blank next achievement. The
      CAPWATCH import function has been fixed and the promotion conformation message will now display the
      next achievement after populating the field behind the scenes. Thanks to 1Lt Chris Metzger of the

     A new option has been added to the CAPWATCH functions menu to run reports against the
      CAPWATCH.mdb database. These are the reports that are distributed with the CAPWATCH download in
      the caprpt.mdb file. You must have the CAPWATCH.mdb file located in the C:\CAP\Database folder and
      you must enter your Region, Wing and Unit into the Table Maintenance form off the Main Menu. Thanks
      to 1Lt Chris Metzger of the Rickenbacker Composite Squadron in the Ohio wing for emailing this
      suggestion.
CPFT Bulk Entry Form
     The form was updated to only display Cadets whose membership has not expired.
     The title was modified to contain the text „(non-expired Cadets only)‟ to help avoid confusion over why
      certain Cadets do not show up on the report.
     The CPFT scoring logic was updated to handle the new “Run plus two of three” changes issued by CAP
      NHQ on 2/18/2005.
     The scoring logic would not fire when the final score that was entered was the Mile Run or the Shuttle
      run. This was fixed. Thanks to Maj Mike Sperry of the McGuire Composite Squadron in the New Jersey
      wing for emailing this issue.
Member Master Record
     When checking the SDA checkbox for the Earhart or the Eaker SIMS was not properly validating missing
      SDA staff service positions for Phase III and Phase IV. SIMS checks to make sure that the Cadet has served
      in one of the required staff positions during either phase when the SDA is checked for the end of the
      phase. This has been fixed to display a message if the Cadet had not served in a required staff position
      for the amount of time specified in the CAPP 52-14.
     Fixed the field tab order on the Community Service subform. The tab order was out of natural data entry
      sequence.
     The CPFT scoring logic was changed to handle the new “Run plus two of three” changes issued by CAP
      NHQ on 2/18/2005.

     There are two tables in the SIMS Back End.mdb database that contain staff positions for both Seniors and
      Cadets. These tables can be updated with additional positions that are unique to the unit using SIMS, or
      don‟t exist in the table that was distributed with SIMS. The values are used in the staff pulldowns on the
      staff positions on Member Master Record to select a staff position. The problem is that new staff
      positions were added to the SIMS Back End table to support the SDA staff position requirements check
      and they didn‟t exist in the local tables in the SIMS Back End.mdb database. This problem was fixed by
      adding two tables to the SIMS Reference Data.mdb database and performing a UNION query to combine
      the default staff positions with the local staff positions. Any new staff positions that are added to the
      SIMS Reference Data.mdb database in the future will automatically be available within the pulldown box
      in the Staff Positions tab on the Member Master record. Thanks to 1Lt Chris Metzger of the

     When entering AE scores, if the score was entered before the module or test was selected, a debug
      window would come up. This has been fixed. A window will now pop up to prompt the user to select the

     Council was misspelled on the Missions-Activities tab, it was fixed. Thanks to 1Lt Jeff Dawson for
      catching this.
     When new Cadets join the unit, the unit will promote the Cadet from orientation so they can begin
      working on the Curry. The typical method of handling the promotion is to enter the Promotion Date
      (usually the date the Cadet joined CAP) into the Promotion Date field. SIMS will then calculate the next
      eligible date of promotion for the Curry achievement as the Joined Date plus one day. However, if you
      entered a date in the Last Promotion of the Curry achievement, instead of entering a date in the
      Promotion Date field of the Orientation achievement, SIMS would calculate the next eligible date as 60
      days from the Joined date, not one day after. This has been fixed. Thanks to C/SMsgt Andrew Rogers,

Reports
     The two Community Service reports are now accessed via one form that is displayed when you select the
      Community Service Reports option from the Reports menu. The new form also allows you to specify a
      date range for the report. This is helpful in creating an annual report which includes community service
      hours served by the unit.
     The Cadet Promotion Eligibility By Grade and Cadet Promotion Eligibility by Flight reports did not
      show an SDA as being a requirement for the Earhart milestone award. These reports were updated to
      show the SDA as a requirement and to show the Cadets name in green when all requirements were

     The Cadet Meeting Attendance History report was removed from the Reports Menu and placed within
      the reports section at the bottom of the Member Master Records form. The report was updated to for
      both Cadets and Seniors. The report displays only a single member‟s record (the member whose record
      is displayed on the Member master record form) Thanks to 1Lt Chris Metzger of the Rickenbacker

     The CAPWATCH Non Renewals report did not include members whose expiration date has passed but
      are still listed in the CAPWATCH database. NHQ now keeps expired members in the NHQ database for 90
      days past the expiration date. The report has been updated to also show expired members as though

     The Cadet Moral Leadership Attendance report available from the Moral Leadership Attendance form

     The Cadet Promotion Eligibility by Grade report had a grammatical error in the title and in the footer.

     The Cadet Master Record report was not showing the Unit Activities checkboxes for previous
      achievements or awards. New VB code was added to determine if unit activities were held between the
      last promotion date and the current or promotion date and display the checkbox if one or more unit
      activities were held during that period. If the Cadet had attended at least one of the unit activities
      during that same period, then the checkbox would be checked, otherwise it would be unchecked.

     The Testing Log report was incorrectly shading the AE tests because the query behind the report was
      returning incorrect values for the three dashes (extra space at the end of the dashes). The report has

     Two new reports were added to print out mailing labels for Cadets and Seniors on Avery 5160 mailing
      label sheets.
     The Member Meeting Attendance History report was displaying “#Error” on the meeting count for

     The CAPF 2 and CAPF 2A reports were overflowing the margins causing blank pages to be printed. Both
      reports were adjusted for width and length to print on most printers.

      The Export/Import functions were changed to remember the path to the export file that was used last.
      The import function would not locate the SIMS Export.mdb in the path provided, even though the path
       was correct and the file was present. This has been fixed.
      The Import function was modified to allow you to give a member a different CAPID when importing their
       archived records. This is helpful when squadrons enter new members using a temporary CAPID before
       they receive the CAPID from NHQ. Because the CAPID is a key, you export the member with the
       temporary CAPID, then import the member back in by entering a new CAPID in the New CAPID field on
       the member selection window. You may delete the old member record after successful import of the
       new member record. Thanks Maj Erik Ludlow for bringing this matter to my attention.

     The CAPF 2 form has been added to the Member Master Record form and is available for both Senior
      Members and Cadets.

      The CAPF 2A form and report were updated to fix a spelling error and allow the Requester name and
       rank to be entered in the signature block. The unit charter was also added to the signature block.
       Thanks to Capt Mike Willis for bringing up these changes.
      The CAPWATCH non-renewals report button was updated to first check for the CAPWATCH.mdb file and
       display a message if it was missing.
Test Scores Subform
      A bug was reported with the Shuttle Run scoring. SIMS would accept any shuttle run score if there was a
       0:00 time entered in the mile run field and pass the Cadet. This has been corrected.
Meeting Attendance Form
      When defining a new meeting, if you clicked the Save button a second time, SIMS added all the members
       to the meeting again. Code has been added to deactivate the Save button after it has been clicked the
       first time. Thanks to Maj Mike Sperry of the McGuire Composite Squadron in the New Jersey wing for
       this update.
CPFT Bulk Update form
      The current date is now automatically populated at the top of the form. This date may be overwritten
       with another date or used as is to activate the autopopulate date fill-in feature Thanks to Maj Mike

Member Master Record
      The CAPF 52-2, CAPF 52-3, and CAPF 52-4 forms have been added to the Member Master Record Form for
       Cadets.

      The CAPF 2A forms have been added to the Member Master Record Form for Cadets and Seniors.
Meeting Attendance Report
      The Meeting Attendance Report has been updated to include the following checkboxes from the Meeting
       Attendance Roster subform:
          o Excused
          o   Attend Safety Brief
          o   Attend ES
          o   Attend AE
       Also, if the meeting included a Moral Leadership discussion, there is a column called ML Role which
       shows the role each Cadet played during the Moral Leadership discussion. If the ML Role column contains
       only blanks, and a Moral Leadership discussion was held during the meeting, then you have not used the
       Moral Leadership Participation form to update the Cadet‟s Moral Leadership discussion role.

     The forward and backward buttons on the Moral Leadership form were updated so that when you forward
      past the latest meeting, the form will “wrap” to the first Moral Leadership meeting. The reverse is true
      for the back button.

     New messages have been added to inform the User that no Cadets have been marked present at the
      meeting. Previously, if no Cadets were marked present at an M/L meeting, the list of Cadets was blank.
      SIMS now checks each M/L meeting for at least one Cadet. If no Cadets are present, SIMS displays a
      message telling the user to return to the attendance form and mark at least one Cadet present.

     When trying to print the attendees of a Moral Leadership meeting from the Moral Leadership Attendance
      form, a message will be displayed if no Cadets were marked present at the meeting.

Member Master Record – Test Scores
     The SDA checkbox displayed a message that the SDA was not required for the Earhart or Eaker. This has
      been changed. SIMS now checks the Cadet Staff Positions to see if the Cadet has served in one of the
      required positions as a staff member or an apprentice during Phase III or Phase IV. Detailed messages
      are displayed informing the user whether the Cadet has fulfilled the requirements for the SDA at the
      Earhart/Eaker milestone awards or not. The following are the exact titles of the positions that qualify
      for fulfilling the SDA requirements:

      Each squadron should update their Cadet‟s staff positions under the Table Maintenance to match the
      above titles for Cadets who are serving in those positions during Phase III or Phase IV.

Reports
     The Cadet Promotion Eligibility by Grade report was cutting off the Administrative Officer title. The field
      was expanded to display the entire title.

     The CPFT Testing Log was modified so that the Mile Run is displayed before the Shuttle Run to match the
      CPFT Bulk update form.

      The Generate Attendance Log Using Current Date button on the Attendance Log report launch form
       generated an error causing Access to display the VB code window. This has been fixed.
      The Grade field on the Attendance log was expanded approximately 1/8 in.

      CAPID was added to the Meeting Attendance report.

      The Administrative Officer title was being cutoff on the Cadet Moral Leadership report. This has been
       fixed.
Utilities
      Two new functions have been added to the Utilities menu which enables you to export and import one or
       more Member‟s records from the SIMS database to a floppy disc or media of your choice. There are
       several applications of this function:

               The primary application would be to send the exported record(s) to another squadron who is also
                using SIMS so the Member‟s complete history can be imported without having to retype all the
                data. You could email the exported file to the new squadron‟s Admin Officer who could then
                import the Member‟s data into their SIMS database before the paper records are transferred.

               A secondary application is access to one or more member records in an offsite version of SIMS.
                This could be the Member themselves or possibly others who need access to member records
                while away from the squadron. Since the exported member records fit on a floppy, you could
                give the floppy to the Member. The Member could take the floppy home, download and install
                SIMS on their home computer, then load their exported records into their home copy of SIMS.
                They could then print their own reports if they desire. The squadron still maintains the master
                copy, so it‟s like handing the Member a copy of their Member folder for their records.

               Another application would be record for archival purposes. When members leave your squadron,
                and CAP, you could export their records to floppy or other media for archival, then remove them
                from your database. If for some reason, you need to access the Member‟s records in the future,
                you can just import the Member‟s records and run any reports that are needed. You could do a
                periodic archival of records for all members or individual members as needed.

      There is a new file (SIMS Export Empty.mdb) that is an empty database with just the tables needed to
       export member records. This will be included in the SIMS distribution from here forward.

Version 4.2 Beta 3
CAPWATCH Import
      When new Cadet member records are imported, SIMS now creates the test records at import. Before you
       needed to bring up the Member Master Record form and go to the Cadet‟s record to create the testing
       and progression records.
      The initial set of dates for the Orientation and Curry achievements are calculated using the Cadet
       member‟s CAP join date. For the Orientation achievement, the Last Promotion, Eligible Date and
       Promotion Date fields are set to the CAP join date. The Commander Signoff box is also set to checked.
       For the Curry Achievement, the Last Promotion date is set to the CAP join date and the Eligible Date is
       calculated as 60 days after the CAP join date.
Import From Prior SIMS Version
      The Import From Prior SIMS Version function did not import the AE and Leadership test history records.
       This has been fixed.
Member Master Record
      The field tab order was fixed so the cursor would jump to the correct field when the Tab key was
       pressed when the cursor was on the Date Joined CAP.

Reports
     The attendance would fail if there were no attendance records. This has been fixed.
     The Cadet promotion eligibility reports would fail if there were no attendance records or there were no
      testing and progression records. This has been fixed.
     The Attendance Log report has been updated with the following new features:
             The capability of printing Cadets-only, Seniors-only, or all Members,
             The page format is now landscape to contain more information,
             The meeting topics have been rearranged at the top of the page to be more readable,
             Last Promotion has been replaced with CAP membership expiration,
             Emergency contact name and day/evening phone number information is displayed for each
              member.

CAPWATCH Import
     The CAPWATCH import prompt window now shows the name of each unit next to the unit number to
      make it easier to identify the unit when importing CAPWATCH member data.
     When importing new Member records, Seniors are assigned to a Flight called „Senior‟, Cadets are

     Senior Member Level completion dates are imported from CAPWATCH. The completion date for the first
      Technician rating is used as the completion date for 1 Lt.
     The Senior member grade and completion date shown on the right-hand side of the Member Master

     The membership expiration date is now imported from CAPWATCH.

     The Mission Type pull-down box on the Missions subform tab has been fixed to display the mission types
      in the tblMissionTypes table.
     The Mission Duty pull-down box on the Missions subform tab has been fixed to display the mission duties
      in the tblMissionDuties table.
     Fixed spelling error (Council) on the CAC activities subform header.
     The Moral Leadership Recorder and Discussion Leader checkboxes now correctly indicate whether the
      Cadet has fulfilled either of those requirements for the Mitchell, Earhart, and Eaker milestone awards.
     The logic for the Last Achievement pull-down box has been changed for Senior members so that the
      Grade field is not changed when the Last Achievement is changed.
     The value in the Grade field may be changed to any appropriate grade for the Senior Member. For
      instance, if the Senior Member is active duty or reserve, you may type in that grade.
Attendance
     Two new fields were added to the Meeting Attendance form now contains two new fields that allow the
      CAPID to be used to log Members into a meeting. The checkbox activates the CAPID input field. The
      CAPID input field accepts a CAPID, checks for the CAPID in the database, then logs the member into the
      meeting. This new function may be used with a barcode scanner or keyboard. After each CAPID is
      logged into the meeting, the field is blanked out allowing the next CAPID to be entered.

       achievement or award. For Recorder/Discussion Leader. The report now checks for the completion of
       either of those items during Phase II, III and IV (Mitchell, Earhart, Eaker). If no beginning date can be
       determined for a phase, then the checkboxes will be unchecked on the report.
Application Startup
      When SIMS starts up, it looks for key linked tables that reside in the SIMS Back End.mdb and SIMS
       Reference Data.mdb files. If either of these key tables don‟t exist, then SIMS assumes that the back end
       databases need to be re-linked (this is the method CAPWATCH also uses when starting up). If SIMS
       determines that the table must be re-linked, then a dialogue box opens up to prompt the user for the
       path to where the two back end files reside. Once a valid path is provided, SIMS will re-link those files.
       This feature allows SIMS to be setup to use a common back end data files located on a server or network
       computer. For example, let‟s say you have copied SIMS to a folder called SIMS on a server drive that you
       have mapped as drive letter S: When SIMS prompts you for the location of the two back end files, you
       would enter S:\SIMS. If you updated the files links in the copy of SIMS on the server, then each computer
       that accessed SIMS.mdb from the server would have to map the server drive as letter S: as in the above
       example. This would allow you to maintain only one copy of the SIMS.mdb on the server that would
       work on all computers.

         recording of test results.
        The CPFT testing log has been redesigned to populate the test date at the top of the report in thye Test
         Date field.
Leadership and Aerospace Testing
        A new Leadership and Aerospace test scores bulk entry form is now available which allows Leadership
         and AE test scores to be entered for each Cadet‟s next achievement or award. This new form also
         matches the Testing Log report to speed recording of Leadership and AE test results.
Safety
        There is a new checkbox to indicate that the Member‟s position or duty assignment is related to safety.
        The attendance report has new checkboxes to indicate the topic that was covered at that meeting. The
         Safety checkbox has been added to the report. The attendance report can now be used to document
         participation (or non-participation) in meetings with Safety as a topic.
Attendance
        The Attendance module allows you to enter excused absences for unit activity meetings and meetings
         where Moral Leadership was held. The Cadet will get credit for attending the meeting and fulfilling the
         requirement at promotion time.
        The attendance report has been redesigned to contain additional information about the meeting such as
         topic.
Utilities
        You can now import Cadet O-Flight data from the CAPWATCH database.
        If you are currently using SIMS in your squadron, new utilities allow you to easily import all member data
         from the old database format into the new database format.
        The database has been totally redesigned to use the CAPID as the primary key for all Member data.
        A new form for tracking and reporting on squadron dues has been added to the Squadron Administration
         menu.
        O-flights are now compatible with the National database.
        The Attendance module allows you to enter excused absences for unit activity meetings and meetings
         where Moral Leadership was held. The Cadet will get credit for attending the meeting and fulfilling the
         requirement at promotion time.
        To make migration easier from version 3.x to 4, new import functions have been added to the new
         utilities menu. The new import functions allow you import from a prior 3.x or 4.x+ version.
        You can quickly get rid of all the sample data with one click from the new Utilities menu.
        You may now specify a default meeting time from the Table Maintenance form.
        You may store the Commander‟s signature in the database for use on forms and reports.
        All the Senior Ribbons have been added. No military ribbons yet.
        You can now have multiple meetings on one day.

        The Squadron Roster (by Last Name) report now contains the members email. The member type (Cadet,
         Senior) was removed. The page header now repeats on all pages.

       The Attendance Log report now prompts you for meeting date, time, dress, etc. and prints those entries
        on the attendance log report.
       The meeting attendees report now prints the topic along with the meeting date, location, dress etc. in
        the header of the report.
       Cadets To Be Pinned report – This report shows all the Cadets who have completed the requirements for
        an achievement or award and have not been pinned (the pinned checkbox has not been checked on the
        Member Master Record form). The ribbon and grade insignia (if applicable) are displayed for each
        achievement or award grouping (Curry, Arnold, Feik, etc.). This report is a great tool for use on
        promotion nights.
Forms
       The close button has been removed from all forms to prevent the user from inadvertently ending up on
        the blank Access desktop. You may close each form using the Close, Return or Cancel buttons.
       When navigating from one member record to the next in the Member Master Record form, you can go
        from the last record to the first without seeing a message that you are about to add a new record. The
        same is also true when moving backward from the first record.
       The Squadron Uniform was added to the pull-down box on the Attendance module. The field was
        expanded to 30 characters and will accept any string.
       The attendance form now contains checkboxes to indicate what topics were covered at the meeting. In
        addition to Moral Leadership and Unit Activity. The new checkboxes are: safety, ES, and AE. The
        meeting topics are also displayed at the top of the attendance report. This can be used as a record for
        who attended safety briefing, ES meeting, etc.
       You may now record multiple meetings for one day.
  Member Master Record
        Ribbons Tab
              Ribbons common between Seniors and Cadets do not have the prefix „Senior‟ or „Cadet‟ on the
               ribbon pulldown box.
        New Tabs for Senior Members
New Fields
       New fields for the Member Master include: Checkboxes for the CAPF 116 test part I and II, CAP radio call
        sign.
       The attendance table has a new field for checking off excused absences.
Maintenance Updates
       Changed the All Members ES Qualifications report to use the tblESMember101TCards table instead of the
        tblMemberCAPF101T table.
       The Member 101T report used the wrong table which displayed the same members each time it was run.
       The Testing Log was fixed to not allow the Cadet to take an AE test for the Wright Brothers award.
       A bug was fixed in the Testing Log that showed Cadets being able to test ahead in AE even though the AE
        requirement was fulfilled (this affected the Flight Commander and higher achievements).

       The close button has been removed from all forms to prevent the user from inadvertently ending up on
        the blank Access desktop. You may close each form using the Close, Return or Cancel buttons.
       When navigating from one member record to the next in the Member Master Record form, you can go
        from the last record to the first without seeing a message that you are about to add a new record. The
        same is also true when moving backward from the first record.
       The Squadron Uniform was added to the pull-down box on the Attendance module. The field was
        expanded to 30 characters and will accept any string.
New Fields
       New fields for the Member Master include: Checkboxes for the CAPF 116 test part I and II, CAP radio call
        sign.
       The attendance table has a new field for checking off excused absences.
New Features
       You can now import Cadet O-Flight data from the CAPWATCH database.
       If you are currently using SIMS in your squadron, new utilities allow you to easily import all member data
        from the old database format into the new database format.
       Database has been totally redesigned to use the CAPID as the primary key for all Member data.
       New tables have been added to the back end database to support the Senior Member training and
        progression tracking.
       A new form for bulk updating CPFT has been added to the Squadron Administration menu.
       A new form for tracking and reporting on squadron dues has been added to the Squadron Administration
        menu.
       O-flights are now compatible with the National database.
       The Attendance module allows you to enter excused absences for unit activity meetings and meetings
        where Moral Leadership was held. The Cadet will get credit for attending the meeting and fulfilling the
        requirement at promotion time.
       To make migration easier from version 3.x to 4, new import functions have been added to the new
        utilities menu. The new import functions allow you import from a prior 3.x or 4.x+ version.
       You can quickly get rid of all the sample data with one click from the new Utilities menu.
       You may now specify a default meeting time from the Table Maintenance form.
       All the Senior Ribbons have been added. No military ribbons yet.
       You can now have multiple meetings on one day.
Maintenance Updates
       Changed the All Members ES Qualifications report to use the tblESMember101TCards table instead of the
        tblMemberCAPF101T table.
       The Member 101T report used the wrong table which displayed the same members each time it was run.

        The Testing Log was fixed to not allow the Cadet to take an AE test for the Wright Brothers award.
        A bug was fixed in the Testing Log that showed Cadets being able to test ahead in AE even though the AE
         requirement was fulfilled (this affected the Flight Commander and higher achievements).
