Quick Reference Guide


                                                            CLIQBOOK
                                                       Quick Reference Guide
                            Cliqbook is the online travel booking tool approved by Michigan State University Travel Department.
                                            Passageways Travel has customized Cliqbook for MSU campus.


                                                                  TRAVELER PROFILE
                                        You must have a user profile established in Cliqbook to make reservations.

                           To create a profile, complete the direct bill application found at http://www.ctlr.msu.edu/COTravel or
                                    contact the MSU Travel Office for questions regarding the direct bill application.


                                                           LOGGING INTO CLIQBOOK
                                        • Go to Passageways MSU Travel Center website at www.msutravel.com
                                                              • Click the “Sign In” link




                                                                     • Enter your user name
                                                      (your first and last name as one word and @msu).




                    • The first time you sign in you will need click on the link ”Forgot your password?” which will generate an email to
                             create a password. After the initial sign in, if you cannot remember your password, you can click on
                                           “Forgot password?” to have a temporary password emailed to you.

                           Or, you can email technical support at pwayscliqbook@pways.com or call toll free 888-615-0231

                                                                        • Click “Login”
                                                   • You will now be at the main Travel Center home page.


                                                             MAKING A RESERVATION
                        • At the travel center home page select the appropriate tab for your travel needs. (Ex: flight, car or hotel)




• Enter cities/airports for outbound and return travel along with the dates and times for travel. Note: Cliqbook defaults to search the time window of +/-3
                              hours for domestic, +/-5 hours for international; this canbe adjusted to expand your flight results.
 • To reserve a car or hotel with your flights, check the box for “Pick up/drop off car at airport” and/or the “Find a Hotel” box on the flight tab. You can
                                                   modify locations for cars or hotels after booking flights.

       Note: National Car and Enterprise are is the MSU contract vendors for car rental. Negotiated rates, insurances and contract terms have
                                                            been loaded into Cliqbook.
                  • Cliqbook defaults to “Round Trip” bookings. Select “One Way” or “Multi-Segment” radio buttons if required.

• Choose search by “Price” or search by “Schedule” (Default is set to search by price). Searching by price will return the lowest available airfare based on
your search criteria. Searching by schedule will return all available flight schedules based on your search criteria Note: Allow additional time for results to
                                                             display when searching by schedule.

                                                                       Search by Price
                                                         Find the flights you would like to purchase.
                                                     • Click on the “Seat Icon” to pre-select your seat.
                                                            • Click “Reserve” to select your flight.

                                                                      Search by Schedule
                                                          Find the flights you would like to purchase.
                                        • Click the radio buttons to select each of your outbound and return flights.
                                                      • Click on the “Seat Icon” to pre-select your seat.
                                                            • Click “Reserve” to select your flight.

                   Note: You may select your airline seat assignments when selecting your flights or just before the completion of your
                   purchase. After you make your selections in “Search by Schedule”, Cliqbook will also suggest lower cost options.
                 Cliqbook will determine the lowest fare based on your flight selection parameters (date/time). Any fare that exceeds the
          lowest logical fare by $100.00 or more will display as “out of policy”. You may select out of policy fares, but you will be prompted to
                                                      enter a reason for selecting a more costly flight.

                                                                   LOW FARE REMINDER
                Cliqbook highlights the lowest fares with a green reserve button. If the flight you have chosen has a yellow reserve button,
Cliqbook will ask you to provide a reason from the drop down box for not selecting the low fare options. If a fare is selected that is greater than the lowest
                                                logical fare your reservation will be considered out of policy.




                                                                       BOOKING A HOTEL
                                           If you choose to book a hotel, you can search by several categories:
                                                   • Airport – ( will search for hotels at or near the airport)
                                                          • Address – ( will search by address area)
                                                                  • Reference point or zip code
                                                 • The search can be 1 to 99 miles or kilometers in radius.
                                 • Select the “Info” link to view cancellation policy and display a description of the hotel.
                        • The checkin/checkout dates will default to your flight schedule. Remember to change this if necessary.
                                                      • Click “Reserve” to confirm your hotel and rate.
           Important Note: Read all information about your hotel’s deposit and/or cancellation policy. Some hotels require full pre-payment and
                                                                 are not refundable if cancelled.

                                                                         BOOKING A CAR
                  If you choose to book a car and specify a car is needed on the Flight tab, the car search will provide car rental options.
                                                       You can modify the search by several categories:
                                                    • Airport – ( will search for hotels at or near the airport)
                                                           • Address – ( will search by address area)
                                                                  • Reference point or zip code
                                                  • The search can be 1 to 99 miles or kilometers in radius.
                                   • Select the “Info” link to view cancellation policy and display a description of the car.
                               • The rental dates will default to your flight schedule. Remember to change this if necessary.
                                                     • Click “Reserve” to confirm your car rental and rate.

                                                           CONFIRMING YOUR BOOKING
• The “Travel Details” page provides an opportunity to review your selections prior to purchase and review all rules and restrictions of your reservation.
                                          • Select “Change Seat” to change pre-assigned seat numbers
                                            • Select the “Add” links to add a car rental or hotel booking.




                            • Review “Totals and Restrictions” area for price breakdown and rules/restrictions that may apply.
                                           • Choose the option to HOLD reservation or continue to “Purchase”

                                                            CHANGE OR CANCEL A BOOKING
 Most changes to flights booked in Cliqbook can be exchanged online. If a change cannot be confirmed in Cliqbook you will be instructed by Cliqbook to
  contact Passageways for assistance. Flight changes are available for e-tickets that include a single airline. If the trip is already ticketed but has not
        occurred, you can change the time of the flight if an even exchange is available or the ticket is refundable. Your change options must be
                                                             with the same airline and routing.

               • If wish to make a change, select theTrip Name from the “Upcoming Trips” tab. This will activate the “Trip Actions” menu.
                                          • Choose “Change Trip” or “Cancel Trip” from the Trip Actions menu.

                                        The Cliqbook travel wizard will open the trip so you can make changes.
                                                      • Trip cancellations can be completed online.




                                                                       TRIP PAYMENT
  Travelers have the option of direct billing airfare to an MSU accounting string or paying for the airfare out of pocket. Hotel and Car reservations that
                                              require a credit card, must be charged to a personal credit card.


                                                               INTINERARY AND E-RECEIPT
                                              Travelers will receive email itinerary/invoice of all reservations.


                                                        ARRANGING TRAVEL FOR OTHERS
                          • Use the “Travel For” drop down on the Travel Center home page to book for another user or guest.
                      • Arrangers will need to have the correct permissions assigned in the traveler’s profile to book for other users.


                                                               ONLINE ASSISTANCE
                            • Select “HELP” from the Cliqbook navigation bar to display quick links to online help information.

                                                                Additional Features
                                                           Clones and/or Share Trip Feature
                        Clone Trip (definition): To create a new trip for Traveler B that duplicates the exact trip that is already
                                                                  booked for Traveler A.
                          • A Traveler Arranger may choose to "Clone a Trip" for a second traveler by selecting “Clone Trip”
                                                              from Traveler A’s reservation.
                        • Once selected, the arranger simply selects the name of the second traveler (Traveler B) and the trip
                                                       is created based on the choices selected.

               Share Trip (definition): A traveler may send an invitation to another traveler within the company to join them on their trip.
                          • Traveler A selects “Share Trip” > Type in the name of whom you wish to invite (i.e., Traveler B)
                                                    • Click on “Search” if a name list is not present.
                                             • Traveler B receives an invitation when he logs onto Cliqbook.




                  Both features provide the same function, which allows creation of additional travelers on the same trip. Alterations to
         the trip are available during the clone trip processes. If you are using the “Clone Trip” feature, you must already be assigned as an
                                                     "Assistant/Arranger" in the new traveler’s profile.

                                                                   Airport Selection
               In cities served by multiple airports you can narrow your search by selecting the desired airports on the right side of the
                 search screen. Note: When searching by schedule that includes cities served by multiple airports, results make take
                                          2 minutes or more to display due to the number of available options.

                                                                  Concur Mobile
You can use Concur Mobile on your hand-held device (smartphone) to assist with your Expense, Travel, and Invoice needs. Because you are using your
 smartphone, you can access your information in a cab, in a meeting, at the restaurant – where your laptop is not available or is too cumbersome. You
                                      can check your itinerary, reserve a car, and make a dinner reservation.


                                                                              Park N Fly
      Once enabled, parking options are displayed to users when they are scheduled to depart from an airport with a parking service. Travelers will be
    prompted with the option to reserve parking when they are flying from any of the over 60 airports supported by the Park ‘N Fly Network. Reservation
times are automatically included in the search, and even take into account check-in requirements for international travel. If the traveler desires to select a
       different arrival or return time, they may simply make a new selection and search again. Once a reservation has been made, the traveler will be
   presented with an itinerary, complete with parking instructions and directional maps to the facility where the reservation has been made. The travelers
 itinerary will include the voucher with confirmation number that travelers will need to print before arriving at the airport and present when exiting the Park
   ‘N Fly Network facility. If the parking facility has a “Parking Full” sign when the traveler arrives, show the attendant your travel itinerary or confirmation
                                                            email; the parking reservation is guaranteed.


                                                               Taxi & Ground Transportation
RideCharge, a mobile source of taxis, sedans, and limos, is a direct connect and e-receipt provider to Concur Cliqbook Travel. Rides can be booked from
within a trip, or outside of a trip. RideCharge gives you the convenience of managing your ground transportation needs anytime and anywhere. You can
 use RideCharge to book rides in any location, view your list of upcoming rides, and pay for your rides...right on your mobile device and within Cliqbook.


                                                                   Dining - OpenTable
  Travelers using Concur Cliqbook Travel now have the option to incorporate dining reservations into their travel experience once they have booked a
     flight, car, hotel or limo. Through a partnership with OpenTable, users have access to reservations at more than 8,500 dining establishments
                             throughout the United States, Canada, Mexico, United Kingdom, Germany, France, Spain and Japan.
