SEALED TENDERS IN DUPLICATE are invited from reputed firms for the supply of “Smart Class Room ”
to this University, so as to reach the THE REGISTRAR, ALAGAPPA UNIVERSITY, KARAIKUDI. 630 003 on or
before 19.07.2011 and should be superscribed as follows:

“TENDER REF.NO. Ref: A1/Smart Class Room/11 “due on “ 19.07.2011

   1.      The same will be opened by the Registrar or any of her authorized representatives in the
           presence of such of those tenderers or their duly authorized agents who may be present at
           that time.

           (i) The prices quoted should be in Indian Rupees / Foreign Currency and should include VAT,
           Central Excise and customs Duty if any, freight to destination and levies and should be for
           delivery and fixing at designated places at Alagappa University, Karaikudi 630 003.

           (ii) The tenderers are requested to quote their VAT Registration Number without fail. In
           respect of Inter-State sales, Form “D” declaration will be issued wherever the concessional
           rate of Central Sales Tax is applicable. The University is authorized to withhold the amount
           of tax until the party produces an order of the court of competent jurisdiction, declaring the
           liability of the transaction to “VAT”.

           (iii)Ownership of materials shall rest with the supplier until the same is delivered to this
           University in good condition.



   2. Every Tender should be accompanied by an EMD of Rs.33,000 /- through a Demand Draft drawn
      in favour of the Registrar, Alagappa University payable at Karaikudi. The fact of remittance of
      EMD should be superscribed on the outer cover of the tender. Tender covers without such
      superscription will not be opened. The deposit of successful tenderer which will carry no
      interest will be refunded only after the satisfactory completion of the supply of materials
      ordered and audit of accounts thereto. Request from firms for waiver of tender deposit will not
      be considered. No adjustment from the amount due to tenderer will be permitted to be treated
      as deposit for this tender. Tenders without EMD will not be considered. Registered small scale
      industries who provide evidence of existence from competent authorities will be exempted
      from payment of EMD. In respect of unsuccessful tenders, the EMD will be released
    immediately after finalization of tender or one month whichever is earlier. Failure to execute
    the supply order will result in forfeiture of the E.M.D and the supplier will bear the additional
    cost if any to be borne by the University.


3. No communication from any tenderer adding to / altering or explaining any terms of the tender
   will be considered after the opening of the tenders by the Registrar. If any tenderer withdraws
   his tender after the tenders are opened, his tender deposit is liable to be forfeited. Supplies
   should be effected within the delivery period quoted with tendered rates, failing which the
   tender deposit of the successful tenderer will be forfeited, and the order placed also cancelled
   at their risk and cost. Conditional offer such as subject to prior sales etc. are liable to be
   summarily rejected.


4. The Registrar, Alagappa University, Karaikudi reserves the right to accept or reject any tender
   either partly or wholly without assigning any reason therefor.


5. The quantities mentioned are only tentative and are liable to be added or subtracted.


6. No suit or any proceedings in regard to any matter arising in any respect under this contract
   shall be instituted in any Court in the District Munsif Court or Sub Court at Sivaganga. It is
   agreed that no other Court shall have jurisdiction to entertain any suit or proceedings even
   through part of the cause of the action araised within their jurisdiction. In case of any part of
   cause of action arises within the jurisdiction of any of the Court in Tamil Nadu and not in the
   Court of Sivaganga then it is agreed to between the parties that such suits or proceedings shall
   be instituted in a court within Tamil Nadu and no other court outside Tamil Nadu shall have
   jurisdiction even though any part of the cause of action might arise within the jurisdiction of
   such courts.


7. The successful tenderer should arrange to supply the equipment as per terms of the accepted
   tender. Full payment will be made to the supplier only after the receipt of the materials at site
   in good condition and after making necessary tests. Any loss or damages in transit should be
   made good by the supplier at free of cost. The advance payment will not be made under any
   circumstances. Defects in manufacture if any detected at any time should be rectified at free of
   cost. Non-supply of the equipment will lead to the forfeiture for EMD and the vendor is liable to
   make good any further loss in procuring the equipment


8. The decision of the Registrar is final in respect of defective equipment. Quantities given in the
   tender are subject to alteration at the time of placing orders by the University.


9. The Successful tenderer should produce income-tax clearance certificate. In the case of
   partnership firms, this should be produced for each of the partners and the firm.
   10. The tender should be valid for a period of 90 days from the date of opening.


   11. Only parties who agree to abide by the above terms and conditions may send tenders and
       submission of tenders against this specification would signify such acceptance of the above
       terms and conditions by the tenderers.


   12. Tenderers should specifically note that their tenders are liable to be summarily rejected if
                    i. the rate quoted is not F.O.R. destination

                     ii. complete technical details of the products as the case may be are not sent with
                     the tender

                     iii. validity period is not indicated

                     iv. EMD is not remitted

   13. Detailed Specifications of the equipment required are enclosed.
   14. Filled in Tenders both Technical and Commercial bid should be put in separate sealed covers
        and put into a single big cover .
   15. Those who are qualified under Technical bid will only be called for commercial bid opening and
        further negotiation.
Note 1:

An EMD i.e. Rs.33,000/-through a Demand Draft drawn in favour of The Registrar, Alagappa University
and payable at Karaikudi should accompany the tender.

Last date for receipt of tender is upto 19.07.2011 Non supply of the equipment after awarding supply
order will lead to forfeiture of EMD without notice

The tender called for is a two bid tender and the technical & commercial bids are to be offered
separately. The commercial bids of only those bidders who qualify technically will be opened.



                              Minimum Qualifications Criteria:


The Minimum qualification criteria given below must be met to qualify to quote for this bid, which is
to be submitted in the technical offer, failing which the bidder’s technical tender /offer will be
summarily rejected.



The bidder must be an ISO 9001 certified company and also the products offered should be
manufactured by an ISO 9001 certified company only.



The bidder must be in the business of supplying the similar equipment mentioned in the tender for a
minimum period of 3 years and documentary proof of the same has to be submitted to substantiate the
claim by means of order copies received from customers.



The bidder should have done a minimum business of 4 crores per year for the last 5 years. The above
should be certified by the auditor along with a detailed report year wise.



The bidder should have executed directly and not through any other company, principal, supplier or
agency a single order preferably from the indian government for teaching equipment for a value not less
than 2 crore & Purchase Order copies etc, are to be submitted failing which the tender will be summarily
rejected.



The detailed technical specifications for the products offered have to be complied to as per the tender
and a written confirmation of compliance or deviation has to be categorically mentioned and if there is
a compliance of a feature the same has to be backed by a catalogue confirming the same. Tenders/Bids
received with words like “ As per your Tender Specifications will be summarily rejected and their
commercial offers will be returned back duly to them.
The bidder must have a latest current dated authorization from their manufacturers addressed directly
to us clearly authorizing him to bid on their behalf for the tender and the original letter duly signed and
sealed must be submitted in the technical bid.



The bidder should have taken a single order for a minimum of 50 numbers of Sound Reinforcement
Systems as per our technical requirement t from any university in Tamil nadu and copy of the purchase
order is to be enclosed as proof, failing which they will be rejected.


The products offered should not be locally assembled products and should be from reputed
manufacturers only having international certifications ISO 9001, CE, TUV, FC, etc.



The bidder must quote for all the products as per the tender and must comply with all the tender
specifications as per the tender.




    SPECIFICATION FOR WIRELESS SOUND REINFORCEMENT SYSTEM
    -   Wireless Sound Reinforcement System should have one flexible goose neck mike, 1 no.
        goose neck light with LED lamp mounted on the wooden top with ON/OFF switch at
        bottom of wooden top and built in 60Watt RMS Output amplifier.

    -   Wireless Sound Reinforcement System should have a wooden top measuring 580 (L)
        mm x 420 (W) mm with stopper (530mm). Sleek metal body with sleek design. The
        height of the System should not be exceeding x 1100 (H) mm.

    -   Wireless Sound Reinforcement System should be supplied two wireless Handheld
        Microphones and one cordless collar microphone and built in two channel VHF wireless
        receiver for using.

    -   Wireless Sound Reinforcement System should have facility to connect one MIC Input,
        AUX Input, REC Output.

    -   Wireless Sound Reinforcement System should have additional port to connect external
        Amplifier and external speakers and should be supplied with a mobile Amplifier system
        with built in 10W rated output Amplifier and speaker along with wired Head
        microphone. The mobile amplifier system should have rechargeable long life lithium
        battery and should work up to 8 to 10 hours with facility to connect AUX input. The
    mobile amplifier system should have a unique stretchable band to wrap it on the waist
    for ease of use and not weigh less than 450gms with a pouch for carrying.

-   Wireless Sound Reinforcement System should not weigh more than 29 Kgs.

-   The system should be designed to be upgradable to incorporate an embedded touch
    panel system in future for improving the functionality and utility of the System.

-   Wireless Sound Reinforcement System should have adjustable rubber bushes at the
    bottom for firm grip.

-   The bidder must produce current dated certificate from principals confirming that they
    have been selling Wireless Sound Reinforcement System in the current capacity with the
    principal for atleast three years.

-   The bidder and manufacturer must be an ISO 9001 company, locally assembled
    products will not be considered.

-   The manufacturer must have TUV, CE, FC and ROHS certificates for certifying the quality
    and should be submitted along with the technical bid.


                           INTERACTIVE WHITE BOARD:

   The system should have a facility to convert any flat surface like Wall, White Board into
    an interactive Mode using latest ultrasonic technology.
   The system should comprise of a sensor and receiver with USB connectivity to the
    computer and weighing not more than 200 grams.
   The system should supplied with two EPens with battery.
   The system should have the Interactive white board mode for writing and can change
    into computer mode as and when required.
   The system should have a built in feature to record automatically of the White Board
    Activities and play back the same with minimum 3 Level Speed variations viz. Slow
    Speed / Mid Speed / Fast Speed.
   The system should have facility to show date and time in each and every pages on White
    Board mode.
   The system should have facility to change background color and pattern.
   The system should have facility to incorporate video and picture on the white board
    mode.
   The system should have a pen option like Shape Pen, Laser Pen, Brush Pen, Write to text
    conversion Pen, Pattern Pen, etc.
   The system should have tools like Protractor, Ruler, Triangle and Compass to measure
    and draw Geometrical shapes.
   The system should have virtual Keyboard.
    The system should have a Video Recorder to record the entire screen activity with
    Voice.
   The system’s Pen should operate with a single AA - 1.5V Battery.
   The system power should work on USB power.
   The system should have saving file format such as ewb, bmp, ppt, pdf and html.
   The bidder must produce current dated certificate duly signed and sealed from
    principals addressed directly to us, confirming that they have been selling the above
    interactive white board in the current capacity with the principal for atleast three years.
   The bidder and manufacturer must be an ISO 9001 company, locally assembled
    products will not be considered.
   The manufactures must have CNAS, IAF, and CCIC certificates for certifying the quality
    and should be submitted along with the technical bid.


                    TECHNICAL SPECIFICATION FOR WIRELESS

1. System should have RF proprietary communication system

2. It should Supports multi-user mode with single wireless receiver

3. The system should supplied with one Interactive Pen with spare refills and work with
    button cells

    Epen.

       the quality and should be submitted along with the technical bid.

                           VISUALISATION
