                                  STAY AND PLAY POLICY

USA Volleyball has instituted a "Stay and Play" policy for the 2011 USA Volleyball Adult Open
Volleyball Championships. Seventy-five percent (75%) of the roster for each team registering for
Nationals must make its hotel reservations through THS ( ) at an approved USA
Volleyball hotel to be eligible to participate in the 2011 USA Open Volleyball Championships. The
approved hotel list is generated by USA Volleyball and THS.
The reasons for implementing the “Stay and Play” policy are to increase the amount of room nights
available to teams and to help police the rates the hotels are offering. By increasing the number of
room nights actually used for the purpose of attending our events, USA Volleyball is able to prove to
the host cities our positive impact on their local economy and thus build stronger relationships as well
as help to offset convention center pricing.
THS is and will continue to guarantee the lowest group rates available through continual rate integrity
checks (exclusions include single/king bedded rooms, employee rates, government rates, AAA and
AARP rates). Rates range widely, starting as low as $79. THS will work with any team that may have
a special situation (please see Special Situations below). If you still are unsure, or think you have
found a better rate, please feel free to call THS.
Each team will be required to book rooms through THS from the hotels listed on pages 3-4.
Individuals should indicate team association when making room reservations through THS.

If you are in a situation listed below, call THS and ask for more information on how we can help.
•   Do you already have a signed hotel contract? Please email Danni a copy of your Hotel contract
    and what your needs are. We will try and incorporate those rooms into our approved hotel list.

•   If you are a local team, not in need of hotel rooms, please contact USA Volleyball’s Event
    Department (719-228-6800, specify which event).

THS will open hotel registration on Jan. 11, 2011. If your team has already made housing
arrangements, but they are not with the approved hotels, it is in your best interest to contact THS.

Who determines the rules for Stay and Play?
USA Volleyball implemented the stay and play policy and works with our housing partner THS to see
that it is enforced. When teams are notified by THS about teams not complying with the stay and play
policy, it is at USAV’s request.

Who decides the city for the National Championships?
USA Volleyball determines which city to go to each year based on venue cost and availability, hotel
rates and availability as well as other ancillary expenses.

Stay and Play or (Required Housing) Tournament Benefits:
   •    Required housing requires all of the hotels in the hotel community to work with USAV/THS for
        the tournament. Without required housing some of the hotels in the best locations try and
        book the business direct at inflated rates (higher than acceptable tournament rates).

   •    Total room nights are trackable in each city, giving USAV more negotiating leverage for venue
        costs, and concessions in future years. That keeps costs in running the event in check and
        registration costs level each year.

Stay and Play or (Required Housing) Club and Team Benefits:
    •   Better comp policies for the teams
    •   Guaranteed lowest group rates
    •   Clubs and multiple teams are able to be together in the same hotel

Teams can find cheaper rooms on their own:
THS has implemented a clause in the contract with each hotel property that in the event a hotel
inadvertently sells direct to the public then a lower rate than the tournament rate, THS will match that
rate for each person that receives that rate in writing from the hotel. THS will monitor the rates each
hotel sells direct to the public. This will assure the clause that requires the tournament rate to be the
lowest is enforced. If a team/club is quoted a lower rate please report this to THS and copy USAV.
This will ensure all participants receive the lowest rate possible for this event.

Teams can get more comp rooms on their own:
If a team or club is able to get more comp rooms on your room, report to THS and copy USAV what
they were quoted in writing (by the hotel) and THS will do their best to get it matched.

Individuals want to redeem Rewards Points:
While THS can’t redeem rewards points, that shouldn’t prevent an individual from redeeming them on
your trip. Give THS your confirmation letter (that is booked using rewards points) from an approved
hotel, and THS will issue credit against the team reservation.

Expedia,, websites are cheaper:
There are only 2-5 rooms available at this rate, and are not available to groups. It is like a carrot a
hotel dangles to try and get you to book additional rooms. Most of the time, you also have to prepay
the room in full with a “no refunds” policy. This is not comparable with THS’s rates and their
cancelation policies. Also, websites like add extra booking fees on top of the rates
after you book.

There are lower Rates inside 30 days before arrival
When THS is unable to fill a hotel block, hotels have the right to do what they can to sell their
remaining inventory. Like airline flights, people booking at different times get different rates. THS’s
rates are always going to be the overall lowest available group rate.

I want a hotel that is not on the list
The team or club can contact THS and request any hotel that is not on the approved hotel list. They
will do their best to negotiate the best price for your team/club.

I have family in the area and am staying with Friends and/or family
If you have friends or family in the area, please contact USAV for a waiver form. USAV will notify you
in writing if your waiver has been approved.

Are clubs able to be booked in the same hotel?
THS makes every effort to keep teams and clubs together in the same hotel. You can use one or
both ways to increase your chances on keeping your club together in one hotel. First, make sure you
put in a room reservation request early and not wait until you qualify. Second, try and use the same
point of contact for all of your teams in your club. This way there is one point of contact making the
decision on where your teams and club stay.

I want a hotel that is within walking distance
THS tries hard to accommodate each team and club’s request. However it is impossible to fulfill every
request of every club. Unfortunately, there isn’t a city in the country where USAV can go and have
every team stay in walking distance rooms. So, USAV has implemented the pre-booking policy as well
as releasing more rooms in May, in order to accommodate as many requests as possible.

                                  GROUND TRANSPORTATION

Shared–ride van service: After you claim your luggage, locate the Information Board/Phone at baggage
claim. Press the appropriate number for SuperShuttle. After giving your location (the terminal and section are
on the phone) to the Guest Service Representative, proceed outside to the orange “Shared Ride” area and look
for your SuperShuttle van.

                                         RENTAL CARS
DFW’s Rental Car Center is located at 2424 East 38 Street near the south entrance of DFW Airport and is
served by 10 companies.

Arriving Passengers: After collecting your baggage, follow the “Rental Car” signs to the designated pick-up
area on the lower level of the terminal. From there, board the Rental Car shuttle bus. Busses depart every five
minutes and take approximately 10 minutes to reach the Rental Car Center.

Departing Passengers: Return the vehicle to the Rental Car center prior to your departing flight. Board the
Rental Car Shuttle for transportation from the facility to the terminal.

Trinity Railway Express (TRE)

Dallas Area Rapid Transit (DART) and Fort Worth’s The T offer rail service to DFW Airport from
Dallas and Fort Worth via the Trinity Railway Express. Scheduled rail service is provided Monday
thru Saturday. There is no service on Sunday. Board the Trinity Railway Express at any of the
following train stations located throughout the Metroplex: Union Station (Downtown near
Convention Center), Medical/ Market Center, South Irving, West Irving, Hurst/Bell, Richland Hills,
ITC and T&P. Ride the shuttle from the CentrePort/ DFW Airport Station Bus Stop to Remote South
Parking lot and transfer to the Terminal A and C shuttle, Terminal B and E shuttle, or the Terminal D
