                                    IMIS 15 Database Reference
Logging On
Click on the IMIS Icon on your desktop or through the remote desktop connection. (See separate instruction for that


procedure. )




Use your individual specific logon id and password.

The logon will appear in all caps – but the password is case sensitive and usually in all lower case.

Once you have logged on to IMIS 15 you will get your welcome screen.

On the Welcome Screen you will find a link to the OFBF store to place orders. Just click on the link to navigate
to the correct website to place orders for your county.

Also on the Welcome Screen is where you can check your activity task for the day or week. By clicking on view activity
tasks. This function will also be on the customer tab. Further explanation of this function is later in the body of the
document.




Task Viewer – These are functions like a sticky note to remind you to do something.
Tips for managing tasks
              You can access the Task Viewer from your Home page or iMIS System Setup. To access tasks from
        your Home page, select Home and select View tasks.
               Any user can modify the status of any task at any time, even if the task has already been completed.
               By default, a task can only be seen by its creator, an administrator, or a user who has been assigned
        the task.
               By default, only tasks that are currently in progress display. You can view completed tasks if needed.
               When adding more than one task, you must save and close the window after adding each task.

To find and load a customer record
        1.      From Customers, select Manage customers.
        2.      To find a customer record,
                       Click Find; or
                       Press Ctrl+F to open the Search window.
        3.      Select the search criteria from the drop-down list, for example, Name.
        Note: To bring up all customer records, leave the Equals field blank, and click Go. Depending on your setup,
        there may be a limit on the number of records returned. For large databases, blank name searches are not
        recommended.
        Note: The prompt for the search value field will change depending on the search criteria shown. For
        example, when ID is chosen, the prompt is Equals.
        4.      Enter the search value in the Begins with field.
        5.      Click Go. The Results tab is updated.
        6.     To view a record, select a row. Double-click a record on the Results tab to open it in the Manage
        customers window.
        7.      Select the tabs below to view additional information.




Search window




From Customers, select Manage customers, and click Find
Note: You can press Ctrl+F to open the Search window (perform a Find) only when the Manage customers window is
not in edit mode and you are not in a single-instance, user-defined tab.

Drop-down list
Click the drop-down arrow to display a list fields on which you can search.
               ID - Returns the record for the ID specified, for example, 301.
                Name - Returns all records that meet the search criteria. For example, to search for all customers
        whose last name begins with Ski, enter SKI. To search for all customers with last name Skinner and first initial
        J, enter SKINNER, J. You can use the % as a wildcard to look up members also ie Smith%, john to show all
        the Smith which may include any Jr or Sr that are still in the last name field. This can also be used to find a
        member when you don’t have the correct spelling of the last name but know the first name. %, Marcia.
               Company - Returns all records that meet the search criteria. For example, entering PRO will return all
        records where Name.COMPANY_SORT begins with Pro.
        Note: The company search feature is based on COMPANY_SORT, which uses the first 30 characters of the
        company name.
               Major Key – County Specific ID or OFBF ID (optional) User-defined field used for record searches.
        This option returns all records that meet the search criteria. For example, entering 526 will return all records
        whose Name.MAJOR_KEY starts with 526. The major key field is prefixed with the prompt configured by your
        administrator.

                 Member Type Code (Don’t Use this function) - Returns all records that meet the search criteria. For
         example, entering N will return all records whose Member Type code starts with the letter N. Because of the
         result limitation and for the entire state
                Member County - Returns all records of those who have been billed dues for the county you enter as
         the search criteria (the full chapter name is required). For example, entering 001 will return all records where
         Subscriptions.CHAPTER is equal to Adams.
                City – Returns all records that meet the search criteria for the city or partial city you have inputed.
                Email – Returns all records that meet the search criteria – As it is Begins with is the criteria it uses.
               Committee - Returns all records that meet the search criteria. The full committee name is required.
         For example, entering Technology will return all records where Activity.OTHER_CODE is equal to Technology

               Task Date - Returns all records that meet the search criteria.
         For example, entering 09/21/2000 will return all records where Activity.TICKLER_DATE is equal to
         09/21/2000.
                Ad Hoc - Opens the Select Search Instructions window that enables you to enter search criteria to
         select specific records.

Equals
Specifies the search value. The prompt for this field will change depending on the search criteria shown. For example,
when Name is chosen, the prompt displays as Begins with:

Columns – The columns displayed in the results tab include.
ID
Member Type (Customer Type)
Paid Thru
Status
Member County (Region)
City
State
Farm/Company
Category ( Not Being used)
Last Name
First Name
Middle Name
Suffix
Note – Any of the above result columns can be sorted on (ascending or descending). The
column with the sort will be identified with an asterisk (*).

To resize a data grid *Similar to what you do in Excel *
You can resize data grids in the Detail and History sections according to the following:

      1.     To adjust the width of a data grid, drag the boundary on the right side of the column heading until the
      column is the width you want.
      2.     To adjust the height of a data grid, drag the boundary on the row heading until the row is the height
      you want.
      Note: When the height of a row is increased and a field contains a drop-down list, a single drop-down arrow
      displays. To select a value, you must double-click the single drop-down arrow (a second drop-down arrow
      displays at the top of the column) and click the top drop-down arrow.
      3.       To hide an unused column of a data grid, drag the boundary on the left side of the column heading
      until the column you want to hide is no longer visible.



To edit a customer record
   1. From Customers, select Manage customers.
      2.      Find the customer's record. (See Finding Customer Records for more.)
      3.      When you load a record into the Manage customers window, iMIS is automatically in edit mode.
      4.      Make changes to the record, as appropriate.
      5.      Click Save.

These are the steps to enter the minimum information into the database to create a new membership.

   1) Enter the customer member information using the instruction below

   2) Go to the Status tab and put the join date in the field

   3) Go to the County_Data tab and mark the degree of farming , check mark the new box, fill in the
      resident county and resident township.

   4) If necessary, After you have created the primary record you need to go back and create the
      secondary(spouse )record is similar to primary except you only type in the first and last name then
      go to the Farm/Company id and place the id from the primary record or use the look up button to
      find the proper IMIS id . Once you have connect the two records it will flow down the address and
      the membership county. If you have the dates of birth for these member please put them on the
      Other Tab

Most fields on the Manage customers window do not display standard field labels to the left of each field. Instead, the
field name is contained within the field as gray text. As data is entered in the field, the text changes to black as shown
in the following example:




Fields in the Name area (Manage customers window)
Fields on the Manage customers window are shown using different type colors or background colors to show their
status.
                When there is no data in a field, the field label is shown inside the text box in gray, for example, the
        Prefix field in the previous example.
                When you select a field by selecting it directly or tabbing to it, the entire field label text is highlighted
        so that it can be easily replaced, for example, the Last Name field in the previous example.
              When the field has a value defined, the data is shown in black, for example, the First Name field in the
        previous example.

Step 1

To enter a new customer record
From the Manage customers window you can maintain name, address, and demographic data relating to customers.
The unique feature of the Manage customers window is that you can activate virtually all customer-specific operations
within one window.
       1.      From Customers, select Manage customers.
       2.      Click New.
       3.       (required) Select a Member Type description from the Member Type drop-down list .
               Member Individual = Farmer with a degree of 1-4               Associate = Non Farmer
       4.     (required) Select a status other than Active, if appropriate. For new primary records you will select
       Unpaid
       5.       (optional) Select a prefix from the Prefix drop-down list.
       6.      Enter the First Name, Middle initial, and Last Name.
       Note: When entering a new record, First Name, Last Name, or Company Name is required.
       7.      (optional) Select a Suffix from the drop-down list.
       8.      (optional) Update the Informal Name as needed.
       9.      (optional) Enter single or multiple (separated with a comma) Designation(s), or click the lookup icon
       to open the Select Values window and search designations defined by your administrator.
       10.     Click Save

To enter an address
To enter an address for one or more of the purposes established on the Customer Setup - Address and Notes window,
select any of the primary Address tabs.
Note: When Accumail is licensed and installed, the City and State fields are automatically updated from Accumail. See
the Accumail for details.
       1.      Enter Address 1.
       2.      (optional) Enter Address 2.
       3.      (optional) Enter a Zip code.   This will auto populate the city and state
       4.      (optional) Enter the City.
       5.      (optional) Select a State from the drop-down list, or enter the state code.
       Note: When selecting a state from the drop-down list, the state name will convert to the state code.
       6.       (optional) Select a Country from the drop-down list.    Only on out of the country addresses
       7.      (optional) Enable Preferred Mail if applicable. This option can be enabled for one address only.
       8.      (optional) Enable Preferred Bill if applicable. This option can be enabled for one address only.
       9.      Hit Verify Address to confirm the zip plus four
       10.     Click Save

         The tabs across the top of the screen in the customer window are known as Detail tabs – they are
         static information concerning the member



Manage customers window - Profile tab




From Customers, select Manage customers, find customer record, and select Profile tab
Note: Your administrator can map the Work Phone, Home Phone, Fax, and E-mail fields on the Profile tab to the
Phone, Fax, and E-mail fields on any address purpose defined in the Main, 2nd, or 3rd fields on the Customer Setup -
Address and Notes window.

Work Phone
Specifies the business phone number, including any phone number extensions.

Home Phone
Specifies the home phone number.

Fax
Specifies the fax number.

Toll Free has been replaced with Cell Phone in our system
Specifies the cell phone number.

E-mail
Specifies the e-mail address of the customer.

Web Address
Specifies the Web address of the customer. If you have Internet access on your system, select the world icon to open
the Web address in your browser.

Major Key - Also Known as OFBF ID
Specifies a primary field with which you can retrieve records. iMIS will make this field available for referencing and
searching for customer records throughout the system.

Functional Title - Not being use except for OD and Area Supervisor

Select the drop-down arrow on this field to select a larger grouping for the Title field. This drop-down list is set up by
your administrator.
For example, you could use a Functional Title grouping for Accounting for specific mailings to officers related to the
accounting function. If you specify functional titles for your customers, you can also display or print company rosters
with the individuals listed by functional title grouping. You can also look up all individuals in a Functional Title
grouping.

Step 2

Manage customers window - Status tab




From Customers, select Manage customers, find customer record, and select Status tab

Member County aka Chapter in image above
The prompt for this drop-down list displays when the Chapter (County) prompt is set up by your administrator. Select
the drop-down list on this field to select from chapter names defined by your administrator.

Join Date
Specifies the date the customer became active. Use a forward (/) to separate the month, day, and year values. When
you enter a day, the system month and year is automatically entered.

Paid Through Date
Specifies the date that customer benefits expire. This date is updated upon Dues Payment (Cash Dues System) or
Dues Billing (Accrual Dues System Option) processing.

Member Status Should always look at Paid Through Date for true information - This doesn’t always
update correctly
This display-only field displays one of the following status options:
               New - iMIS sets the status to N when you insert a new customer record and when you change a
        nonmember record to a customer record (except for records with status D). If a record's status is blank,
        posting a Billing payment (advancing the PAID_THRU) will trigger status N.
               Dropped - iMIS sets the status to D when you change a customer record to a nonmember record
        (which may already have status D) and when the Name.STATUS changes to an S* (suspended), I* (inactive)
        or D* (deleted) code from one that was neither S* nor D* (includes A* (active)).
               Renewed - iMIS sets the status to R when you post a Billing payment (advancing the PAID_THRU) for
        a record with status N.

               Reinstated - iMIS sets the status to S when you change a nonmember record with status D and
        Name.STATUS other than S* (suspended), I* (inactive), or D* (deleted) to a customer record and when the
        Name.STATUS for a customer record changes from an S* (suspended), I* (inactive), or D* (deleted) code to
        one that is neither S*, I*, or D*. If you post a Billing payment for a record with status D, iMIS sets the status
        to S and removes any Name.STATUS code set to S* (suspended), I* (inactive), or D* (deleted).

Member Status Date
This is a display-only field that defaults to the current system date (or the Billing payment transaction date) for each
of these status changes except when you enter a JOIN_DATE for a new record, in which case the JOIN_DATE is used.

Date Added
This is a display-only field that displays the date the customer was originally entered in the database.

Last Update
This is a display-only field that displays the last date the customer's record was updated the database.

Last Updated By
This is a display-only field that displays the ID of the person who entered the update.

Manage customers window - Financial tab




From Customers, select Manage customers, find customer record, and select Financial tab

No Statements
Enable if the customer will not receive statements. The no statement function is not used in the Farm Bureau Dues
Process.

Default Terms Code - Not being used at this time
Select the drop-down arrow on this field to select a default payment term for which the customer will pay invoices.
Values that display on the drop-down list are defined by your administrator.

Default Tax – Not being used at this time
Select the drop-down arrow on this field to select a default tax authority. Values that display on the drop-down list are
defined by your administrator.

Bill To ID – Not being used at this time
Specifies the ID number for the customer that will be handling charges as a third party. Used in Billing for List Billing.

Tax Exempt – Not being used at this time
Specifies any number to specify that this customer is tax exempt.

Renew Months - Not being used at this time
Use this field to override the normal billing period of 12 months. For example, if the customer is to be billed four times
per year (quarterly), enter 3.

Credit Limit - Not being used
Specifies the amount of credit assigned to the customer.

Backorders – Not being used
Drop-down list of all backorder options used with Full Order Entry

Renewed Thru
Use this field to indicate the date through which the individual has been billed for the main Billing product, regardless
of payment. This field is reset by iMIS when the main Customers Billing item is billed.

Exclude From Mail
Enable to exclude this customer from the Customers system mailings. Will not receive any mail from OFBF including
dues notices and subscriptions.

Exclude From Directory
Enable to exclude this customer from the directory. Removes them from the web view of the directory




To enter financial information
       1.      Open a customer's record in the Manage customers window.
       2.      Select the Financial tab and click in any field.
       3.      Tab to each field and enter the appropriate values. Marking the exclude from mail or exclude from
       directory.
       4.      Click Save, or continue entering additional detail information.

Manage customers window - Other tab




From Customers, select Manage customers, find customer record, and select Other tab

Gender
Specifies the gender of the customer.
Note: When possible, iMIS automatically populates this field based on the value in the Prefix field on the Customer
Portfolio. Prefixes that do not indicate gender such as Dr., will not automatically populate.

SIC - Not Being Compiled at this time
Select the drop-down arrow on this field to select a SIC (Standard Industry Code). Values listed in this drop-down list
are defined by your administrator. Codes entered before a SIC_CODE table is created will not be validated unless the
field is edited.

Birth Date
Specifies the birth date of the customer.

County
Specifies the name or code for the county where the customer is located. iMIS auto-populates this field when the
County from Primary Zip option is enabled by your administrator. When the address is on the Home Address tab only

US Congress
Specifies the U.S. congressional district number for sending legislative alerts and target mailings.

St Senate
Specifies the state senatorial district number for legislative alerts and target mailings.

St House
Specifies the state representative district number for legislative alerts and target mailings.
Note: If you are using Accumail, the US Congress field, County field, and postal-related fields are auto-
filled.

Manage customers window – County_Data Tab

                                                    Explanation of screen

Needs Member Card – If member needs a replacement card check this box and the following Monday the card will be
sent to production.

Membership Pay Date - will be updated when payment comes in through the internal IMIS process to reflect when the
payment is received.

Initial Agent – The format should be last name - first initial and 5 digit unique id i.e. SMITH R 01010 drop down list

Member Interest - Same drop down as Membership application

Number of Employees - Free text format should be entered as a numerical number i.e. 10 not ten

Occupation (Non ag) - Drop Down Menu

Member Income – Free Text numerical per county standards

Elected Official - Elected Official or Promo Code

New - Check box to note that they are new to the IMIS for this membership campaign

Registered Voter - Check Box to determine if they are registered to vote.

Nationwide Employee - Check Box to determine if they are Nationwide Employee.

Renewed member from current membership campaign W- Winback .

Member Degree - 1 = Full Time, 2 = Part Time, 3= Retired , 4= Absentee, 5 = Non Farm

Township - Township the member lives in does not populate by Accumail, needs to be done manually.

Member Legal – Drop Down menu

Acres Farmed - Drop Down Menu

List Bill – Drop Down set up at State Office – Is for Group Buy Members in Group Buys will have a code in this field and
Group in the Affinity Code.

Local Buying Guide – Should only be checked by State Staff to confirm they are in the State Buying Local

Local Prospect Promotion-counties can use this field to track local promotions. Ex. Tracking members singed from a
Farmer’s Share Breakfast or members signed from a CAUV mailing.

Manage customers window – Workers Comp




Explanation of screen - Workers Comp

This is where we identify the members that have participated in the Comp Management Group Rating Program with
their BWC Risk Number and which group they are associated with.



Other Custom Tabs at this time

Lines of Business - We are currently using this tab for MMO Members we are using their base group id which is not
their social security number but a unique id that MMO has developed

History Tabs – These show either the history of the members record or history of records you have been working on
during this session.




Results

Shows you the results of the search you just ask for using the Ctrl+F as listed above to look up a member.

Record History

Viewing record history

The Record History tab lists the customer records opened during the current session of the Manage customers window
and enables you to quickly re-open any of the listed records without performing another search.
The most recently opened records are listed in the top row of the Record History tab, and records are listed only once
in the tab regardless of the number of times they have been opened. If a record's information is updated, the changes
will not be reflected in the Record History tab during the current session.
When you first open a customer's record in the Manage customers window, a row is added to the top of the Record
History tab listing the customer's ID, Member Type, Last Name, First Name, Company, Company ID, City, and State.
The fields you see on the Record History tab can be customized by your administrator.

Activities All

Manage customers window - Activities-All tab




From Customers, select Manage customers, find customer record, and select Activities-All tab

Show Individual
Toggles between viewing activities at the individual and company employee level, or the company level.
Note: When viewing an individual customer type record, the product does not display the Show Individual button.

Type
When selected, sorts activities alphabetically by type.

Date
When selected, activities by date.

Activity list
Specifies the activity type by which the list will be filtered.

New Activity
Opens the Activity Detail window so that you can enter an activity.




To view all activities
        1.       Open a customer's record in the Manage customers window.
        2.       Select the Activities-All tab.
        3.       Double-click the gray box to the left of the Type field to open the Activity Detail window for the
        activity



To enter an activity from the Activities-All tab
        1.       Open a customer's record in the Manage customers window.
        2.       Select the Activities-All tab.
        3.       Click New Activity.
        The Activity Detail window appears.
        4.       Click New and select an activity Type that allows user edits.
        5.       Enter values according to the fields that display.
        6.       Click Save.

The Activities such as Call/Letters/Notes/Transfer all have the basic instruction for creating new
activities.



The Activity Detail window




This is the default view – we have modified our version. Our version is in Appendix




To edit an activity from the Activities-All tab
       1.      Open a customer's record in the Manage customers window.
       2.      Select the Activities-All tab.
       3.      Double-click the gray box to the left of the Type field to open the Activity Detail window.
       4.      Click Edit, and then update the activity as needed.
       5.      Click Save on the Activity Detail window.




To view an event activity record
       1.      Open a customer's record in the Manage customers window.
       2.      Select the Events tab.
       3.      Click History to view the event activity records for the customer.
       4.      Double-click the gray box to the left of the Transaction Date field to open the Activity Detail window
       for the event activity.

Viewing company rosters aka Farm Company Roster

The Roster tab enables you to view a list of customer records associated with a particular company record.
Clicking the Roster tab lists the company that is specified in the current record's Company field and all member
records that list that same company in their Company fields. The list is shown in a tree configuration, so that
subsidiary companies and their associated members are kept as a unit in the list. A status line at the bottom of the
tab displays how many records are currently displayed as you expand and collapse the tree.
Special cases:
                If the current record is not associated with a company, only the current record will be listed.
              If the current record is a company record and the company is not a subsidiary of another company,
       then the roster of the current company is shown.
            If the current record is a company record that is a subsidiary of another company, the parent
       company's roster is shown, with the current company highlighted.
Double-clicking any of the listed items (either a company or a member) highlights that line and loads its record in
Customers > Manage customers. The item remains highlighted in the roster until another record is loaded from the
Roster tab or from another location.

Select Customers > Manage customers, find a customer record, and click the Roster tab



Manage customers window - Billing tab




From Customers, select Manage customers, find customer record, and select Billing tab

Payment – Not used by county Farm Bureau
Opens the Dues/Subscription Payments by Individual window for this customer record.

Create Invoice - Not used by county Farm Bureau
Opens the Dues Billing Selections window where you can generate initial and renewal notices, produce bills for a large
group of customers or subscribers, and process bills for groups that meet more specific selection criteria.

History/Current – View only

Toggles between the current and history view of billing activities for this customer.


Viewing change log activity records

The Change Log tab enables you to view changes that have been made to a customer record. The following fields are
shown on the Change Log tab:
               Date - the date the change was made

Reporting Essentials

The Reporting tools in iMIS are a valuable resource for users and can be used for a wide range of tasks. The Reports
component generates a broad range of outputs for all of the iMIS modules, including rosters, status summaries,
letters, badges, and statistical reports. This section provides you with the following information:
              An overview of iMIS reporting capabilities
              An overview of the Generate reports window and its options
              An overview of the secondary reports windows with field definitions
              Explanations of output categories and the Report Destination options

        1.     From the iMIS module you are working in, select Generate reports to display the Generate reports
        window.
        2.    Select a report type from the Report Types list (Almost all reports you will need to run will be in
        County Reports.
        3.      Select an available report from the Available Reports list.
        4.       Click Run. Depending on the report type, the report will run or a window will open, prompting you to
        select the date range for the report.
        5.      Enter or select the date range.
        6.      Click OK.
Using Ad Hoc Searches

Ad hoc searches allow refinement of the standard report search criteria used to select specific records needed for a
report. After the search is defined, the search instructions are saved in a list of predefined search formats for future
use. Depending upon the selected report, you can define your search by using multiple tables.
You can specify selections based on multiple-field comparisons from one or more files. The files that are available for
selection depend on the module and the menu function you choose.
Ad hoc searches can be as simple as one line searches that look for an exact match on values in a single field or as
complex as a multiple-line item or multiple-group search. You can have up to 50 criteria for each selection. This
search function supports extremely complicated queries, and supports Boolean logic statements as well as AND and
OR connections. To run a ad hoc report go to Rosters – Member Address Index w/ Company (Crystal)
Note: For selection between values, such as dates, combine the Greater than and Less than conditions.

Exporting Report Data

You can export your iMIS data so that it can be read and used by outside applications, such as word processors,
spreadsheets, and database packages. Most report windows throughout iMIS offer export formats for creating these
files. Some formats automatically create files for popular word processing applications, filtering names, addresses,
phone, date, and additional fields you specify. For these reports, you do not need to specify the export format
because the format specifications are already built into the report.

Agent Report – Gives list of all new members with agent listing - Currently has
two version - One that runs group by Anniversary Date and one that doesn’t.

Committees




We currently have all local county board established in the IMIS system. We will be giving each county a
group that they will be able to use for their own counties unique committees. When you have a person in
a committee it will be noted in the activity field. We will be discussing the naming conventions that we
want the county to follow. Only IT and myself have the rights to set up Committees codes. If you wish to
have a specific committee set up please contact us for that process.


Committee overview

The Committee subsystem of iMIS Customer Management tracks committee members, their respective terms, and the
positions they have held. The Manage committees window gives you full access to all committee data maintenance,
inquiry, and reporting functions, enabling you to do the following:
             View committee rosters of past, current, and future members
             Maintain a list of members and their positions and terms
             Maintain a list of committee applicants and proposed members
             Create and store minutes on any committee meeting or activity
             Print a detailed roster of past, current, and future committee members and applicants
             Print personalized letters to any committee grouping
             Print labels for any committee list
             Maintain the tables of committee codes and positions

From Customers, select Manage committees

Filter by Co ID
The Filter by Co ID option is visible only if enabled during system setup. Although rarely used, this feature enables you
to link a committee to the ID of a company record. For example, if you have set up a committee named Awards, and a
company has 25 branches and each branch has an Awards committee, you normally would need to create 25 separate
Awards committees with each having a slightly different name. Instead, you create 25 company name records that
represent your branches.
With Filter by Co ID enabled, you can open the Awards committee and set the filter to work with only one of the 25
branches. A Find window will open so you can locate the company ID to filter by.

Group
The Group field is a drop-down list that enables you to view either all committees or committees that have been
assigned to a specific group.

Committees
The Committees field displays the current list of the committee codes that have been defined in the Committee Codes
window.

Type
Designates one of the following display filters:
               Committee - All committee members are displayed.

               Proposed - Proposed committee members are displayed.
               Applicants - Committee applicants are displayed.
               Show All - Committee members, proposed members, and applicants are displayed.

Roster
The Roster field displays the currently selected committee's member list (affected by Type and Term choices).

Sort By
Designates one of the following sort orders:
               Rank - Sorts members by the rank assigned to their positions in the Committee Positions window.
               Name - Sorts members alphabetically by last name.
               Position - Sorts members alphabetically by position title.
               Company - Sorts members alphabetically by company name.
               St/Prov - Sorts by the member's Name.STATE_PROVINCE, then Name.LAST_FIRST, both in alphabetic
         ascending order (A-Z, a-z).
         Note: The State/Province radio button will be labeled according to the value set up in Customer Setup –
         Address and Notes > State/Province.
              Country - Sorts by the member's Name.COUNTRY, then Name.STATE_PROVINCE, then
         Name.LAST_FIRST, all three in alphabetic ascending order (A-Z, a-z).

Term
Designates on of the following term filters:
               All - Displays all members who have served, are serving, or will be serving on the committee.
               Current - Displays only those members who are currently serving on the committee.
               Past - Displays only those members whose terms have concluded.
               Future - Displays only those members whose terms begin in the future.
Set Date
Activates the date field by which member terms are evaluated (date defaults to the current system date).

ID
Designates the ID of the currently selected or added member.

No Mail
Exempts the committee member from committee-specific label runs.

Position
Designates the position the member holds in the selected committee.

From
(required) Designates the start of the member's committee term.

Thru
Designates the end of the committee member's term. It defaults to the specified Default Duration (usually 12 months)
after the From date.

Other
Designates a user-defined value corresponding to the type or category of educational credit awarded the member, if
applicable. The value specified is displayed in the bottom of the member's Activity Detail window if your administrator
has defined a prompt for the CEU Type field for the COMMITTEE activity type.

Last Updated
(read only) Shows the last date the record was updated.

Preference
Indicates an order of preference expressed by applicants for more than one committee position. For example, if an
applicant wants to be President of a committee but has a second choice of Vice President, create two committee
records for the applicant. The first record would have a position of President and a preference of 1. The second record
would have a position of Treasurer and a preference of 2. This field is only displayed when Proposed or Applicants is
enabled.

Notes
Specifies notes about the individual.

Print
Opens the Committee Reports window from which you can print committee reports.

More
Opens a menu of maintenance choices:
               Minutes - Opens the Minutes window where you can maintain minutes for the active committee.
        Minutes are accessed by the date that they were stored. You can open the minutes for any meeting and view
        or transfer them to a letter, report, or other area for printing. You can open an existing minute's entry to work
        from or to insert a new set of minutes. Each entry consists of the date and the text of the minutes. All
        standard data maintenance procedures apply.
              Committee Codes - Opens the Committee Codes window where you can add, edit, and delete
        committee codes.
               Committee Positions - Opens the Committee Positions window where you add, edit, delete, and assign
        the rank for committee positions.
             Move to Committee - Assigns the currently selected individual to the currently selected committee as a
        member.
              Move to Proposed - Assigns the currently selected individual to the currently selected committee as a
        proposed member.
               Move to Applicant - Assigns the currently selected individual to the currently selected committee as an
        applicant.
                Check Paid Thru - Checks the currently selected individual's name and linked chapter or area with that
        chapter's paid thru date. If the selected individual is not linked to any chapter or area, iMIS displays a prompt
        to notify you.




We have set up a few customized reports under Committee


        Most of them are in the roster section of the reports, there also labels reports set up to run labels for a
particular committee without creating a ad hoc report.

Chapter equals your county       (Example Franklin County is Chapter 025)
Member Status line – Active means that their record is active in the system not their member type is
active farmer status
Member Type determines their Farmer Active type – Member Individual is Degree of farming 1- 4
Member company is not to be used anymore.


1 – Full Time
2 – Part Time
3 – Retired
4 – Absentee
5 – Non Farm

Definitions and Uses of “Undeliverable Status”, “No_Subscription”, “Exclude From Mail”,
“Recently Deceased” and “Deceased”
Undeliverable Status – This is a drop down in the main view of the iMIS member record. Marking a record as
undeliverable is to indicate Farm Bureau does not have a valid mailing address for this member.

No_Subscription – This is found in the County Data tab and is solely used to prevent Buckeye Farm News and Our Ohio
being mailed to the member. This is useful when there are multiple members at the same address who want only one
subscription to be mailed to that address.

Exclude From Mail – This is found under the Financial tab. Marking this prevents ALL OFBF mailings (including dues
notices) from going to this member. Marking this is appropriate when a member no longer wants to receive any OFBF
mail. This keeps the membership intact for record keeping through the membership year and respects the member’s
desire to no longer receive mail from Farm Bureau.

Recently Deceased – This is found in the middle of the three drop downs at the top of the main view. Use this for current
paid members who are deceased. Keep in mind that deceased members with a surviving spouse should be called to
Tammy Weisenberger’s attention as an iMIS activity for her to switch the spouse name to the main record.

Deceased – Same as above but this is the proper status once the record is no longer in a paid status. Keep in mind that a
“Recently Deceased” member will still show on the target. A “Deceased” member will not show on the target. If a
“Recently Deceased” member’s estate wants the refund then Tammy Weisenberger would change it to “Deceased” after
the refund is completed.

Do Not Contact – This is a new drop down that will be found in the middle of the three top drop downs at the top of the
main view. This will prevent members from displaying on membership lists without “Marking for deletion.” The member’s
“paid through” date MUST be expired before the record may be marked DO NOT CONTACT. Please also make a note in
the member record indicating 1) if the prior status was active, inactive or suspended and 2) why the member requested to
no longer be contacted. If no note is found the record will be returned to the prior status and the county staff will be
notified via a task activity.

Special note on marking spouse records – If you mark a spouse record "exclude from mail" if he/she is deceased or
divorced, you block any mail going out to the surviving or remaining spouse. So you want to make sure you don't mark
the spouse record "exclude from mail” for any reason. This is the same for undeliverable status.

   Unpaid Member Record Insert

          1. From Customers, click on            .

          2. Enter Associate Member or Member Individual in the Member Type Field.

          3. Enter Unpaid in the Status Field.

          4. Tab to First Name field and Enter First Name, Middle Name, Address, etc. If you have a company name
             please put the company on the company line field not in the first and last name.

          Once you have entered the address and tabbed from the zip code field, you will be presented with the
          following:




          5. Click               to accept the change. This assigns the Member County.


          6. Click        to complete the entry of the new record. iMIS will assign an ID. Write this ID down
             because you will use this ID to link the spouse and dependent records to the member record..

          7. On the status tab please put the join date.
