POSITION: Medical Office Receptionist
MINIMUM REQUIREMENTS: Must be bondable. Must be a high school graduate or equivalent
and have one year of experience working in a medical office
and/or completed a medical assisting course. Prefer candidate
with CPR certification and computer data entry, typing and
telephone communication skills.
SUPERVISOR: Clinical Supervisor/Charge Nurse
RESPONSIBILITIES:
1. Welcomes patients courteously. Demonstrates good people traits and the ability to communicate
well.
2. Responsible for knowing the protocols of three (3) different positions; the phone, registration and
Medical Records (the box and pulling charts).
3. Answers phones, records and relays messages accurately within 30 minutes for providers and other
office personnel.
4. Appropriately schedules patients/clients obtaining name, reason for visit, and phone number, and
records in appointment book. Refers emergencies to appropriate nurse or MA for triage.
5. Schedules return appointments with appropriate provider following scheduling time guidelines.
6. Confirms patients who are scheduled one day prior to appointments.
7. Informs patients via telephone regarding health center policy concerning insurance co-payments,
proof of income, payment at time of service and sliding write off policy.
8. Obtains pre-registration information on new patients and assemble new charts and dividers (check
for appropriate forms).
9. Completes all necessary forms for visit (i.e., EPSDT, OB, Family Planning, etc.) and attaches to
chart prior to visit.
10. Obtains registration information on new clients. Routinely updates information on returning
patients making all necessary changes in computer and on registration form.
11. Obtains copies of insurance cards, proof of income, and any other pertinent information, placing
one copy in chart and forwarding a copy to the business office.
12. Responsible for keeping daily provider record – daily one given to billing and weekly one placed in
logbook.
13. Responsible, on rotation basis per supervisor, to keep providers books six (6) months ahead.
14. Responsible to check all days with following month schedule and leave request forms to maintain
accuracy.
15. Responsible for entering information in log books – one for new patients and one for patients
leaving practice per protocol.
16. Prints superbills and designates if patient is a new or user. Attaches superbills to chart and alerts
appropriate area regarding patient.
17. Uses EVS machine for eligibility and make any updates to machine prn.
18. Pulls and re-files charts.
19. Files all correspondence, lab work, charts, etc. daily.
20. Copies items needed for clinic use (insurance cards, forms, charts, etc.)
21. Faxes or copies medical records and requests as needed. Retrieves and processes incoming faxes
per policy.
22. Copies charts for referrals and release as necessary.
23. Monitors and properly completes Request for Medical Records.
24. Monitors conditions of existing charts and makes new charts as needed. Makes sure needed forms
are added on charts pertaining to patients needs (growth charts, progress notes, databases, etc.)
25. Maintains charting system through inactivation and combination on routine basis.
26. Makes sure providers have copies of daily schedules prior to beginning of session & prn
throughout day.
27. May take verbal consent by parent(s) when necessary (two (2) receptionists and speakerphone
required).
28. Performs any needed administrative/clinical typing (includes dictation and filing) when unable to
wait for completion by outside Transcriptionist.
29. Inventories and maintains adequate supply of basic office equipment.
30. Maintains all necessary forms and supplies for front desk area.
31. Maintains clean front desk and waiting room areas.
32. Responsible for closing the center, setting the service, setting the answering machine, locking
doors, cleaning down the computer, all per protocol.
33. Upholds patient/professional confidentiality.
34. After the AR person leaves at 5:00 p.m., the late person is responsible for checking out the patients.
35. Performs any other duties assigned or delegated by Clinical Supervisor/Charge Nurse.
36. Abides by the policies and procedures of Cornerstone Care, Inc.
