ACKNOWLEDGEMENTS

The Assessments Office appreciates the assistance of all Examination Liaison Officers who
together play a vital role in ensuring that University examinations are organised efficiently
and effectively, and run smoothly for all students.


INTRODUCTION

a)     This booklet outlines the responsibilities of the Examination Liaison Officers
       (ELOs) and the Assessments Office. In order that all students are entered for the
       correct paper and all exams are adequately supervised it is essential that there is
       close liaison between ELOs and the Assessments Office throughout the academic
       year.

b)     All written exams and invigilation must be arranged through the Assessments
       Office. Those assessments requiring special arrangements e.g. performance based,
       may be organised by schools. Where this happens the Assessments Office must be
       notified of all arrangements made. Notification should be sent to Wendy Barlow,
       W.Barlow@salford.ac.uk

c)     The official policy of the University is that all examinations should be held on
       University approved premises. A statement setting out the reasons should
       accompany requests for exams to be held away from the University. These requests
       should be addressed to: Amanda Layne, Assistant Registrar, Assessments Office,

d)     To ensure that the Assessments Office provides an efficient and effective service it is
       essential that all course structures are correct at the beginning of the academic year.
       Schools should liaise closely with either Alison Oldershaw-Smith or Yvonne Russell
       in the Undergraduate Student Administration Office to ensure that the assessment
       profile of each module is correct and that modules are attached to the relevant
       scheme and semester.

       N.B. For examination purposes the term ‘module’ throughout this booklet refers to
       the Course Reference Number – CRN.


               Important Note regarding Preparation for Examinations

       In order for examinations to operate smoothly it is important that:

       a)      accurate information is provided to the Assessments Office especially with
               regard to papers and student numbers;

       b)      papers are submitted to the Assessments Office in good time (at least 4
               weeks before an exam);

       c)      all results are recorded on Banner before data extraction;

       Note: Schools should liaise with the Undergraduate Student Administration Office
             if assistance is required with inputting examination results and progression
             details.

Semester 1

Monday 7th January – Friday 18th January



Semester 2

Tuesday 6th May – Friday 23rd May           (Monday 5th May is a bank holiday)



Resit Period


Tuesday 26th August – Wednesday 3rd September      (Monday 25th August is a bank holiday)


NB Wednesday 3rd September will only be used by the Assessments Office if we have to
schedule exams overseas on the Tuesday and because of the time difference will ‘flip-over’
to the Wednesday, or due to large volume of exams and venue constraints. The decision to
use Wednesday 3rd September will be made by the Assessments Office.


Please note that Saturdays are included during examination dates but are only to be
used when absolutely necessary.


Please ensure all students are informed of the assessment periods and made aware that they
must be available for the whole duration.


Overseas resit applications

Application forms to apply to take resits overseas and notices for you to display will be
distributed to Schools at the same time as student personal timetables for Semester 1 and
Semester 2.

Please encourage all students to apply to take any resits overseas prior to receiving their
exam results. For 2008 the application form has been amended to include signed permission
from the School and the student must ensure that this permission is sought and the
application form signed accordingly before submission to the Assessments Office.

The closing date for receipt of application forms by the Assessments Office is FRIDAY
6 JUNE 2008.

NOTIFICATION OF EXAMINATION RESULTS


Semester One

The moderated marks/grades of assessments undertaken in the first semester should be
given to students by Schools on completion of the first semester. They should be available
to students approximately three weeks after the end of the semester. No decisions can be
made at this stage with regard to progression (e.g. pass, fail, resit). These decisions are only
made at the end of level Boards of Examiners when performance across the whole level can
be considered. The Registrar will not issue a Pass List at this stage EXCEPT in the
following cases:


       i)      For repeat – level students who are being asked to withdraw;

       ii)     At postgraduate level, where a first semester board has met to consider a
               matter of progression which is not automatic, for example where a decision
               has been deferred from the previous (annual) meeting due to personal
               mitigating circumstances.


Semester Two – Final Year

Final Year results should be input onto Banner by Friday 20th June 2008 in order to
provide the necessary information for Graduation Ceremonies.


Note: Final year students wishing to re-sit instead of accepting compensation must inform
their School office

Information relating to acceptance/non acceptance of compensation for final year students
must be inputted onto Banner by Friday 4th July 2008.


Semester Two – Pre-Final

Pre-Final year results (including accepting/not accepting compensation) should be input
onto Banner by Friday 18th July 2008.



Disclosure of information about students

Please see Appendix 1 for guidelines on the disclosure of information about students,
including information of results, marks and progression.

RESITS

Tuesday 26th August – Wednesday 3rd September 2008

NB Wednesday 3rd September will only be used by the Assessments Office if we have to
schedule exams overseas on the Tuesday and because of the time difference will ‘flip-over’
to the Wednesday, or due to large volume of exams and venue constraints. The decision to
use Wednesday 3rd September will be made by the Assessments Office.

Overseas exams
Students whose country of origin is other than the UK may request the opportunity to sit
their exams overseas. Student application forms will be available for collection from
Schools and the Assessments Office after the semester 1 and 2 exam periods and Schools
will be asked at the appropriate time to inform students accordingly.

Please encourage all students to apply to take any resits overseas prior to receiving their
exam results. For 2008 the application form has been amended to include signed permission
from the School and the student must ensure that this permission is sought and the
application form signed accordingly before submission to the Assessments Office.

The closing date for receipt of application forms by the Assessments Office is FRIDAY
6 JUNE 2008.

If any anomalies are found on the timetable request please make the necessary amendments.
If you need to add any missing crns the School must investigate why they did not appear. It
may be because, for example, students resit results are missing/incorrect or the correct
assessment types are not set up properly in Banner.

When extracting student data from Banner only students with a resit code of C1,C2,C4 &
C5 against individual modules in the SFASLST screen will be picked up.

Resits for final year students

Following the Semester 2 examination boards, final year students may opt to be reassessed
in failed modules/components of modules. Students are required to inform their School
should they be opting to resit. This should be done by early July 2008. Final year student
results must be amended on Banner by Friday 20th June.

This will also ensure that venues allocated will be of an appropriate size since the
student numbers will have been counted.    19
IMPORTANCE OF CORRECT STUDENT DATA

All examination reports are generated based on information held on Banner at specific
dates, it is therefore, essential that the data entered by Schools regarding students’ modular
enrolment is accurate and completed by the dates shown in this booklet.


The following amendments must be implemented by the given deadline for modular
enrolment in order for the whole examination process to run smoothly, effectively and
efficiently:


        (a)    changes to students’ modular enrolment i.e. if a student

               (i) withdraws from a module.
               (ii) enrols on additional module(s).

        (b)    changes to a students’ programme or year of          programme (also ensure
               modules are changed too i.e. CRNs).

        (c)    changes to student status i.e. where a student withdraws from a programme.

        (d)    changes to the programme structure. Guidance relating to Course Modular
               Structures is given in Appendix III. ELOs should liaise with Alison
               Oldershaw-Smith or Yvonne Russell in the Undergraduate Student
               Administration Office if any errors are detected.


Note:

If there are any further changes after the given deadline these will not filter through to the
Assessments Office and all reports that are produced will be rendered inaccurate. Therefore,

    should be notified to Wendy Barlow immediately via e-mail.
   It is the Schools’ responsibility to ensure that any students not enrolled by the deadline,
    or enrolled on incorrect modules, are given accurate information about their exams once
    final timetables are distributed.
   It is also the Schools’ responsibility to ensure that all students are informed of any
    subsequent changes after final timetables have been distributed due to, for example,
    changes in student numbers necessitating a venue change.

EXAMINATION PAPERS


TIMING

As indicated on the previous schedules, examination papers are needed in good time to
ensure proper checking, printing by the reprographics unit and checking of production
copies. Papers should be submitted at least 4 WEEKS before the start of the exam period;
an earlier date is required for Semester 1 exams because of the Christmas/New Year closure
period.

If Schools fail to meet the deadline for receipt of papers in the Assessments Office it
becomes the Schools responsibility to copy the examination papers and supply the
Assessments Office with full sets in time for the examinations.

FORMAT

Exam papers should be typed using font Ariel point 12 and are printed A4 size. They must
be properly headed with: University of Salford and logo; programme code(s); CRN (as
designated on Banner); title(s) of programme of study; semester; title of exam (as approved
in the detailed scheme and as designated on Banner; date, time and the block code(s). The
rubric of the exam should be typed clearly on the front page. Each page should be numbered
(bottom/centre). See Appendix II for the approved format for the front cover. Note: No
questions should appear on the front cover and students should not be asked to enter their
name. If some form of identification is required (for level 1 students only) on the paper, the
student's I.D. number and/or seat number may be used.

EXAMINATION PAPERS AND CRN CODES

As the CRN Code is a unique identifier for each exam this code must be included on all
examination papers. If a subject is being taught in more than one semester it will still have
its own unique CRN number. Please ensure you use the correct CRN codes. Only one CRN
should appear on an exam paper together with the associated blocks taking that CRN.

Note: If more than one group of students are taking an exam paper but are assessed in
different ways, each group should be sitting a paper with a different CRN displayed.

“PINKS”

Please attach a pink EPP1 form to each exam paper. This is to ensure that no pages of a
paper are omitted and that any special stationery requirements are ordered e.g. Graph paper,
large print paper for individual needs students, additional stationery books required etc. In
addition, a responsible person from the School who can authorise the paper as being correct
and as being an official examination paper must sign and date all ‘Pinks’.

TRANSMISSION OF PAPERS

Please use the security wallets and seals provided by the Assessments Office for
transmitting papers. Papers must not be sent in ordinary envelopes or e-mailed. These
are not secure methods. Schools should endeavour to deliver exam papers by hand.
Papers not received either by hand or in sealed security wallets will be shredded and
an „official‟ replacement requested.


Finally, all paper submissions should be co-ordinated through the Examination Liaison
Officers who can ensure that papers have been proof read and follow the correct format
before the Assessments Office receive them.

EXAMINATION PAPERS – continued

PRODUCTION COPIES

Production copies of papers will be checked by the Assessments Office staff for the quality
of the printing, to ensure that no pages or questions have been omitted in the printing stage,
and that dates and times correspond to the published examination timetable. Proof reading
of copy should take place before the paper is sent to the Assessments Office. If
Examination Liaison Officers wish to check their papers further, they should do so in the
Assessments Office. Production copies will not be sent out in the internal mail.



CONSTRUCTION OF EXAMINATION QUESTIONS

The Examinations Working Group was formed in response to a recommendation from the
Equal Opportunities Committee in April 1998. The Group was involved in looking at
examination provision for students with disabilities and specific learning difficulties,
including students whose native language was not English. Two recommendations were
made by the Group which Examination Liaison Officers should note:

       1.      Examination papers for students who are profoundly deaf may be externally
               modified in order to ensure that questions only contain the more limited
               vocabulary of this group of students. Further information about this facility
               can be obtained from the Equalities Office, Humphrey Booth House
               (extension 52152).


       2.      Originators of examination papers should be encouraged to write questions in
               a clear concise manner and be consistent in the use of instruction verbs. They
               should     avoid complex statements and use shorter sentences with
               unambiguous meaning. It is hoped that these guidelines will benefit all
               students taking written examinations.



Although Examination Liaison Officers are responsible for the submission of all
papers it is recognised that they are not responsible for setting the papers themselves.
Examination Liaison Officers are therefore asked to ensure that the above advice is
passed on to all academic staff within their School involved in setting an examination
paper.

i) Background

   All information about students must be held and used in a responsible and professional manner.
   Personal details about students and information on their academic performance and welfare should be
   treated as confidential to that subject to the guidelines set out below.

   It has been customary for University and members of its staff to provide certain types of information
   about past and present students to external bodies and persons for a range of purposes. For computer
   held data the situation is governed by Data Protection legislation and this is now being extended to
   cover all types of information. Both institutions and individuals who break the law will be liable to
   penalties. It has not always been clear to what extent information generally is to be regarded as
   confidential and until now there have been no University guidelines on the disclosure of information
   about students.

    The purpose of this paper is to illustrate the type of circumstances in which information will be
    provided by the University. Information will not be provided except in the kind of circumstances set

Course
Banner Course refers to modules. Each module has a unique Course Reference Number (CRN) which
will be used to identify it.

Block
The block code is simply the programme code followed by a digit which indicates year of course e.g.
A/EL/F1

Banner Block refers to year of study*. At Registration each student is automatically assigned to a block
of courses (modules). This block will have all compulsory and optional courses for that year of study
attached to it. Thus the student could be enrolled on any number of courses at Registration. When the
student has selected the correct courses being taken the other courses will be ‘drop/deleted'. It is the
School's responsibility to ensure the student is enrolled on the correct number of courses (i.e. CRN’s).
