Overview: Software Assurance Voucher Benefit (SAVB) Online Tool
The Software Assurance Voucher Benefit (“SAVB”) Online Tool has been developed and implemented by
Microsoft to enable partners who participate in the SA Training and/or Packaged Services voucher benefit
programs to invoice Microsoft for redeemed vouchers. Effective March 15, 2010, SAVB will replace the
manual invoice and payment process through the Microsoft Regional Services Centers (“RSCs”). SAVB is
expected to speed the overall time to payment to partners, reduce error and the potential need for re-work,
and simplify overall voucher program management for partners by providing them with real-time access to
payment status information and reporting.

The SAVB tool, built on Microsoft’s Channel Incentives (“CHIP”) platform, will enable partners to create an
online “payment request” (invoice) for the redeemed vouchers they wish to have paid. After using the
Voucher Validation & Redemption (“VVR”) tool to redeem vouchers, partners will then use the SAVB tool to
invoice Microsoft. Payments will be processed through Microsoft’s automated system.

Microsoft recognizes that partners differ in size and operational complexity. Therefore, SAVB has been
designed to offer partners the flexibility to assign SAVB Users and Program Administrators in the way that best
fits their organizational needs and to facilitate creation of their payment requests as desired – by Country, by
partner Location, by Customer Name, by Course or Program Type, by Date Range, etc. The SAVB tool also
offers to partners the ability to view the payment status of their payment requests, search and export
historical information, and customize their payment profile through mapping their bank profile information at
the Location level (Program Administrators only).

      Easy Navigation and Information Access
          o Hyperlink to SAVB located in VVR to facilitate quick access to invoicing tool after completing
              redemption process.
          o SAVB Home Page for each voucher program registered by the partner.
          o “Quick Links” in the right zone of the Home Page, for quick access to most performed tasks,
              SAVB training resources, and the RSC.
          o Action Items window on the Home Page for quick access to messages from the RSC regarding
              payment status or additional requirements.
      Multi-Program Support
          o Partners participating in multiple voucher programs administer their voucher payment
              processes through one centralized portal.
          o Easy registration in SAVB of additional programs.
          o Easy toggling between programs to perform tasks.
      Multi-User Configurability
          o SAVB supports partners who use a de-centralized invoicing model, where invoicing is carried
              out at each Location level.
          o SAVB supports partners who would prefer to use a centralized invoicing model, in which the
              invoicing task is completed by a regional or HQ individual on behalf of multiple locations.
              (NOTE: Redeemed vouchers from multiple partner locations which are attached to one payment
              request must be within the same Country.)
      User Management
          o SAVB permits multiple individuals from the same organization to use the tool to accomplish
              tasks, based upon established roles and permissions.
          o SAVB allows the organization Program Administrator (limit of 3 per organization) to invite Users
              and manage them based upon the organization’s preferred method of program management
              across their locations.
      Payment Profile Management
          o View of bank profiles set-up through Microsoft’s Accounts Payable system.
          o Easy mapping of bank profiles to specific locations, including mapping the same bank profile to
              multiple locations within the same country.
      Create Payment Request
          o SAVB provides a summary or detailed view of redeemed voucher details.
          o Filter and select vouchers to attach to a payment request based on Country, Location, or All.
          o Ability to combine vouchers from multiple locations on one payment request (if the locations
              are in the same country and map to the same bank profile).
          o Auto-calculation of payment request total amount for selected vouchers based upon current
              program rates.
          o Auto-population of partner organization and payment information based on saved profiles

Getting Started
Accessing the SAVB Tool
There are two (2) ways to access SAVB:

       1) Direct link to the SAVB log-in page: https://channelincentives.microsoft.com
                   You will be required to log in using your Windows Live ID associated with your
                      organization.
       2) Click on the SAVB hyperlink located in VVR to jump directly to SAVB (no additional log-in required.)

Step 1: Log-In
If you have accessed SAVB directly at https://channelincentives.microsoft.com, you will see the log-in page
and be required to input your Windows Live ID associated with your organization to gain access.
Step 2: Register Your Organization and Voucher Program in SAVB
SAVB is a unique system, separate from VVR, with a one-time requirement to “register” your organization and
your voucher program in SAVB (https://channelincentives.microsoft.com/home.mvc/savb). A Global
Administrator for your organization in the Microsoft Partner Network (MPN) is required to complete this
initial registration process in SAVB. The Global Administrator may also function as one of your organization’s
designated Program Administrators (“PA”) in SAVB. If your organization is active in more than one voucher
program (for example, SATV and Desktop Deployment Packaged Services), you must go through this
registration step for each voucher program.

   1. On the initial Registration page, select the Organization name from the drop-down menu. (If this is
      your first time in SAVB, you will not see anything listed in the “Programs Registered” section of the
      page.)
   2. In the Programs available for Registration section, click on the program(s) for which you are now
      registering. Then click “Register”.
3. View the Confirmation page. Check to make sure the listed program is the one you just registered on
   the previous screen.
4. Click on the “Return to Home” link to go to your program “Home Page” in SAVB
Step 3: Map Your Bank Accounts to Locations
For Existing (Active) Partners on or before March 15, 2010: Your payment profile information will already be
uploaded to SAVB when you first use the tool, based upon the payment preferences and bank details you have
previously provided to the RSC. As part of your initial registration process in SAVB, you will need to follow the
steps below to ensure that your bank accounts are correctly mapped to your locations. If your payment
profile does not appear in SAVB when you initially log on, or it is incorrect, please contact your RSC
immediately.

For NEW Partners joining the SATV or Packaged Services Programs after March 15, 2010: After you have
completed all the required program enrollment steps for joining SATV or one of the Packaged Services
programs (including signing all required program Agreements), Microsoft’s Accounts Payable team will contact
you to collect the information required to set-up your Microsoft Vendor payment account (required),
enabling Microsoft to auto-process your payment requests and send payments to you in the form you choose
(by check or Electronic Funds Transfer (“EFT”)) and to the location you specify. You must complete and return
the required forms to Microsoft Accounts Payable before you will be able to use SAVB to create payment
requests.

IMPORTANT NOTE:

After registering in SAVB, you must WAIT 24-48 hours before validating your bank information and mapping
your payment profile in SAVB to your organization’s locations. This waiting period will allow Microsoft the
time necessary to create required vendor ID(s) in our automated payment system.

If after the waiting period, you are still unable to see or map your payment profile(s) in SAVB to your locations,
it may be because Microsoft requires additional essential bank details or tax documentation for your
organization. If this occurs, please immediately contact the Microsoft Accounts Payable alias for your region
for help:

   1. From your program Home Page, click on the “Manage Payment Profile” link located in the “I Need
      To…” links menu.
2. In the top pane of the “Manage Payment Profile” window is the list of Bank Accounts you have
   provided. First, Verify that the Bank Account number and the associated Reference Name are correct.
   (The Vendor ID number is Microsoft Accounts Payable’s unique identifies for the bank account.) If you
   wish to rename or deactivate one of your bank accounts, click on one of the Action buttons to the
   right.



    To Add/Revise Your Payment Profile: To change your organization’s payment profile, such as add
    new bank accounts or revise your payment preferences, you must contact Microsoft Accounts
    Payable team. Please click the contact us link in SAVB for further assistance.
3. In the bottom pane of the “Manage Payment Profile” window you can verify or Edit Assignments of
   your bank accounts to your organization locations. To map your locations to your desired bank
   profiles,
       a. Use the “orange arrow” to expand/collapse the list and view all your locations and their
           associated profile reference.
       b. Click on the profile reference drop-down to change the selected profile.
       c. Be sure to “Save” your changes.
Example: In the above screenshot, this organization’s Location1 and Location 2 are both mapped to the same
“Bank of America 1” account. Under this example, the partner wants to combine vouchers from Location 1 and 2
on the same payment request and have them deposited by EFT to Bank of America 1. (Note: Electronic Funds
Transfer (EFT) is not a requirement. Partners may prefer to receive payment via check and may note this
preference when setting up their initial payment profile with Microsoft Accounts Payable team.)
Home Page
From your program “Home Page” you can initiate a variety of activities and tasks in SAVB.

   1. Use the Select Program drop-down menu if you have more than one voucher program registered in
      SAVB. Select the program you want to see or in which you want to work.
   2. The Action Items pane displays the most immediate action messages. These may include a reminder
      that you have vouchers about to expire, or messaging from the RSC regarding additional information
      needed to approve and process a particular payment request you have recently submitted.
   3. The Recent Payment Activity pane displays your most recent payment request submissions by unique
      Microsoft Reference number. You can click on the reference number to open the submitted payment
      request and review it.
   4. The Payment Request Status pane allows you to check the status of your payment request work in
      SAVB. These statuses include:
         a. Saved: Payment requests you have created and saved for later submission.
         b. Pending Approval: Submitted payment requests that are awaiting Microsoft approval due to
             pending receipt of a required hardcopy invoice (in some jurisdictions), or pending verification of
             the details of a received hard or softcopy invoice from the partner (required in some
             jurisdictions).
         c. Approved: Submitted payment requests that have been approved for automated payment
             processing.
         d. Denied: Submitted payment requests that have been denied for payment by Microsoft. This
             may be due to failure to provide the required partner invoice (in some jurisdictions), or failure
             to maintain compliance with SATV or PSB Program requirements.
         e. Action Required: Submitted payment requests for which action by the partner is required
             before the payment request can be approved for automated payment processing.

     Partner Action: Some possible issues requiring partner action may include,
         Receipt of the hardcopy of your own company invoice to your RSC is still pending.
         You need to correct the tax rate (%) submitted on your payment request or company invoice.
         Data in your submitted softcopy or hardcopy invoice does not match your online payment
            request.

   5. The Payment Status pane displays Microsoft’s payment processing statuses (after your payment
      request has been submitted and approved in SAVB), which include:
         a. Payment in Process: Approved payment requests that are being prepared for disbursement by
              Microsoft’s system.
         b. Payment Sent: Approved payment requests for which payment has been sent, either by check
              or EFT, according to the partner’s specified payment profile information.
   6. The “I Need To…” menu located in the right zone of the Home Page will be the most used area of the
      Home Page. This list will allow you to select specific tasks you need to perform in SAVB. For easy
      access, these Quick links appear in the right zone of each page in the SAVB tool.
   7. Other Quicklinks on the Home Page include the Microsoft Partner Network (MPN) and VVR. The
      Contact Us link is located at the bottom of the page.

User Permissions in SAVB
SAVB is designed to support the variation that exists in how different partner organizations administer their
programs. For example, a partner organization may consist of only 1 single location, or several locations
within the same country, or multiple locations across multiple countries. In addition, a partner organization
may carry out the tasks of reserving and redeeming vouchers in VVR at the Location level as well as invoicing
Microsoft. On the other hand, a partner may wish to have all the invoicing be done at a centralized location
such as the organization’s Headquarters (“HQ”), after locations have redeemed their vouchers.

Multiple Users from the same organization may access SAVB concurrently to perform tasks. There are two (2)
User roles in SAVB: Program Administrator (“PA”) and User. The following is a table outlining their respective
permissions in SAVB:

An organization can have no more than three (3) Program Administrators (“PA”). There is no limit on the
number of Users in an organization.

IMPORTANT! Only a Program Administrator (“PA”) may,

       Add other Users from across the organization, edit a User’s profile (for example, change the location
        associated with that User, or upgrade the User to PA), or activate/deactivate a User in the SAVB tool.
       Map the organization’s payment profiles (bank accounts) to locations.
       Register additional voucher programs in SAVB.


Add Users
At your Home Page, select the “Add New Users” link from the “I Need To…” menu in the right zone of the
page.

   1. Enter the individual’s Contact Details, including first and last name, and company email address.
   2. In the “Assign User Role pane, select the role – User or Program Administrator. Determine which role
      is appropriate for the user based on the tasks they must perform and based upon how your
      organization is structured administratively.


        A User can “see” ONLY the voucher and payment request information for the location with which
         he or she is associated as a User.
        A Program Administrator can “see” ALL vouchers and payment requests for all locations in the
         organization.
3. Click “Add Role”. You will see the Role and the Location it applies to added to the list of User Roles
   showing in the middle pane.
4. Click “Send Invite” to route an email “invitation” from SAVB to the added User.
   5. When the new User receives the email invitation, he/she must “activate” their User account in SAVB
      by clicking on the link in the email.




Manage Users
At your Home Page, click the “Manage Users” link in the “I Need To…” menu in the right zone of the page. To
look up Users in your organization,

   1. Use the available Filters to narrow your Search. Then click “Search”.
          a. Select the Program if your organization has more than one program registered in SAVB.
          b. Select the Roles you wish to view. (User, PA, or All)
          c. Select the Role Statuses you wish to view. (Active, Deactivated)
          d. Select the Locations you wish to view.
   2. View the Results of your Search in the lower pane. This includes full name, email address, current user
      role, location, and current status.
   3. To edit a User’s status or location, click the Edit/Deactivate link. This will take you to the New User
      page where you can edit user details, role and location.
4. To review the locations associated with a User, click on the (“…”) link. The screenshot below
   illustrates the “View Locations” window with the list of locations associated with the user.
Create Payment Request
SAVB is designed to provide partners with an online process for submitting to Microsoft an electronic payment
request for redeemed vouchers. SAVB is integrated with the Microsoft VVR tool that partners first use to
reserve and redeem their vouchers. After redeeming your vouchers in VVR, you can click on the hyperlink
provided in the VVR confirmation page to go directly to SAVB and create your payment request. Or, it may be
that you are not the individual in your organization redeeming vouchers; but, you are the individual who
administers invoicing; therefore, you may need to log in to SAVB from
https://channelincentives.microsoft.com. (See “Getting Started” in this User Guide.)

SAVB only displays vouchers that have already been redeemed in VVR. SAVB does not display vouchers that
are in “reserved” status.

From your program Home Page, click on the “Create Payment Request” link located in the “I Need To…”
menu in the right zone of the page.

   1. Using the voucher Search Criteria filters to narrow your voucher selection:
         a. Select the Country for which you are creating the payment request. NOTE: You can only select
             one country. You cannot combine redeemed vouchers from Locations that are in different
             countries on the same payment request.
         b. Select the Locations for which you would like to view redeemed vouchers.
         c. Select the Payment Profile that maps to the location(s) you want to view. This is the payment
             profile under which you want payment to be made for the Location(s) you are going to include
             in your payment request.
         d. Select the Tax Jurisdiction that correctly applies to the country and locations you have selected.
         e. Click “Search”.
Example: The Partner Organization in this example screenshot is “Contoso”, which has locations in both the US and in
Canada. In this example, the User, who we’ll say is located at the organization’s HQ in the US, is tasked with submitting
payment requests (invoices) on behalf of the company’s locations in Canada. The User has selected the country
“Canada” and elected to search vouchers for all of its Canada locations.

    2. Review the Redeemed vouchers in the “Create Payment Request – Select Vouchers” pane in the lower
       half of the screen. These results are based on the search criteria used in the prior screen. (To change
       your search, click on “Change Criteria” to reset your filters.)
    3. Check the “Invoice By” date next to the vouchers to ensure that you prioritize the ones that are closest
       to the date shown for submission first.




    4. To view the Voucher Details of a particular voucher listed in the table, click on the next to the
       voucher record, or use Expand All/Collapse All to see all details for all vouchers. The Voucher Details
       available for your review include,
           a. Voucher Number
           b. Type of Service (Training; or Packaged Service type, such as DDPS, EDPS, SDPS or BVPS)
           c. Invoice By Date: The deadline date by which you must submit your payment request
           d. Company Name: The name of the customer company benefiting from your service
           e. Amount Due: The total reimbursement value of the voucher
           f. Days: The total number of days of Training or Packaged Service engagement included in the
               voucher
           g. Start/End Date: The dates the voucher service began and ended.
           h. Course ID (SATV Program Only)
           i. Course Name (SATV Program Only)
5. Select the vouchers you wish to attach to this payment request. Click on the “Add” in the row of each
   voucher to be included. The notation will then change to the word, “Remove”. You may also remove
   vouchers from your payment request by clicking “Remove” in a voucher item row.




6. Confirm the Voucher Sub-Total for the vouchers you have added to the payment request.
7. Input your company’s own proprietary alpha/numeric Invoice Number in the “Partner Invoice No.”
   field provided. (*Required Field)
           *This is the number on the invoice you generate in your own company financial system.
           Capturing this number with this payment request will provide you and Microsoft the ability to
           cross-reference your company invoice with its corresponding SAVB payment request.
8. Input Tax Rate (%) to be added to the payment request, based upon the applicable tax jurisdiction for
   the Locations included in the payment request. SAVB will automatically update the invoice total based
   upon the tax % you enter.

         It is the Partner’s responsibility to enter the correct tax for the Locations covered by the
                                               Payment Request.

9. Attach Documentation: Depending on the country associated with your payment request, you may be
   required to submit your company’s invoice as supplemental “proof” of your valid payment request.
   This is in addition to submitting this online payment request with SAVB. SAVB will prompt you if you
   are required to supply a softcopy or hardcopy of your invoice.
       a. Softcopy Upload: Browse for your invoice file (.xls, .pdf, .doc) and click “Upload”.
       b. Send Hardcopy: If a hardcopy of your invoice is required, SAVB will display a message to send
          your hardcopy to your RSC.




        WARNING! Be sure that the information on your own company invoice (softcopy or
       hardcopy) EXACTLY MATCHES the information in the online payment request including
    Partner Invoice Number and Total. If your invoice does not match, payment will be delayed.


10. Click “Submit”. You may also wish to “Save for Later”, or “Cancel” the payment request. (If you “Save
    for Later”, you can find the saved payment request by clicking on the “Search Payment Requests” link
    on your Home Page.)
11. Payment Request Confirmation: After clicking Submit or Save, you will receive a confirmation.
a. A unique Microsoft Reference Number will be assigned by SAVB to your submitted or saved payment
    request. If you should require help from your Regional Service Center, please reference this unique
    tracking number.
Voucher Search
SAVB allows users to filter and search for vouchers to facilitate verification or reporting needs. From your
program Home Page, click on the “Search Vouchers” link located in the “I Need To…” quick links in the right
zone of the page.

   1.   To conduct a voucher search, select your criteria. Filters may include:
           Country: Display of all vouchers within a specific country in which the partner has locations
           Partner Location: Display of all of the partner’s locations in the program
           Voucher Status: Display of partner’s vouchers in all or one of the following statuses:
                        o Redeemed –vouchers that have been redeemed in VVR and are now eligible for
                           assignment to a payment request
                        o Processed – vouchers that have already been assigned to a payment request
                        o Past Invoice Date – vouchers that have never been assigned to a payment
                           request, and have passed the 60 days from end date of engagement or training.
           Customer Name: Display of partner’s vouchers by their customer company name
           Customer Email: Display of partner’s vouchers by the customer email address assigned to the
              voucher
           Voucher Number: Display of partner’s vouchers sorted by their unique voucher numbers
           Start/End Date: Display of partner’s vouchers, inclusive of all statuses, within a particular date
              range.

   2. Click on “Search” to see results in the table below.




   3. To view the Voucher Details of a particular voucher listed in the table, click on the next to the
      voucher record, or use Expand All/Collapse All to see all details for all vouchers.
          a. Days – on this search results display, “Days” indicates the total number of days included in the
             voucher.

Payment Request Search
SAVB allows users to quickly find payment requests which have been created and “Saved”, or have already
been “Submitted” for payment processing. From your program Home Page, click on the “Search Payment
Requests” link located in the “I Need To…” menu in the right zone of the page.

   1.   To conduct a payment request search, select your criteria. Filters may include:
           Country: Display of all payment requests saved or submitted within a specific country in which
              the partner has locations.
           Partner Location: Display of all payment requests submitted or saved for all or one of the
              partner’s locations in the program.
           Status: Display of the partner’s payment requests, based upon the following statuses:
                   o Saved – payment requests created by the partner and saved for later submission
          o Pending Approval – submitted payment requests awaiting approval by Microsoft due
             to requirement for partner to submit a hardcopy of their own company invoice, or
             validation of softcopy upload of the partner’s own company invoice. (This may be
             required to comply with tax regulations.)
          o Approved – submitted payment requests that have been approved and are now in
             payment processing.
          o Denied – submitted payment requests that have been deemed ineligible for payment.
          o Action Required – submitted payment requests that have been reviewed by the RSC
             and require partner’s action in order to be approved for payment processing. (See
             “Home Page” section of this guide for detail.)
   Invoice Number: Display of partner’s submitted or saved payment requests sorted by the
    partner’s own company invoice number (*Required Field. See “Create Payment Request”
    section of this guide.)
   Microsoft Reference Number: Display of partner’s submitted or saved payment requests
    sorted by the unique reference number assigned by SAVB when the payment request is created
    and then saved or submitted.
   Submitted By: Display of partner’s submitted or saved payment requests sorted by the email
    address of the user who created the payment request in SAVB.
   Start/End Date: Display of partner’s submitted or saved payment requests, inclusive of all
    payment request statuses, within a particular date range.

   3. To view the Invoice Details of a particular payment request listed in the table, click on the next to
      the Microsoft Reference Number, or use Expand All/Collapse All to see all details for all listed payment
      requests.
           Invoice number – the partner’s own company invoice number (*Required Field when creating a
             payment request).
           Invoice Hardcopy Required – notation by SAVB to indicate to the partner if a hardcopy of the
             partner’s own company invoice must be submitted to the RSC for payment processing approval.
           Age – the number of days elapsed since the payment request was submitted.




Reporting
SAVB users can create reports from Voucher Search or Payment Request Search based on the selected criteria
and search results. Click on the “Export To Excel” link at the top of the Search Results table to create a report
of the results in an Excel document.
