					                                                        How to Use the Action Planning Tool?


Introduction
Yots are continuously subject to a multitude of action plans. It is often extremely difficult to retain sufficient oversight of all specific actions, the owner of actions,
progress made and completion deadlines. In order to support Yots, the Youth Justice Board has developed an action planning tool for Yots to record their plans for
the year. This tool is much more flexible than the previous Youth Justice Plan action plan template and allows Yots to:




This will give Yot managers and Management Board Members better oversight of all ongoing actions. The greatest opportunity presented is that if all ongoing and
new actions are regularly entered into the tool, future Youth Justice Plans will write themselves.
Using the Tool
The tool has two purposes: firstly as part of the Youth Justice Plan, and secondly as a living document to use throughout the year. Procedures for both are outlined
below.
                                                  Completing the Action Planning Tool for the Youth Justice Plan


                                                                              Step 1
Use the drop-down menus to complete actions for each of the required themes. See the detailed instructions below which explain each column heading in the tool.
This should be completed in conjunction with the Delivery Plan section of the template document, which allows Yots to give a narrative overview of the past year’s
                performance and progress. Ensure the version “Youth Justice Plan” is selected from the drop-down menu at the top of Column E.

                      Once it is filled in, send the action plan to your regional manager with the completed template document by 30 April 2006

                                                                  Using the tool as a living document

This tool has been designed to be easily updated throughout the year. This tool will only be useful if kept regularly up to date and used at all management meetings.
                 It may be helpful to designate one member of your team responsibility for amending and updating the tool to ensure consistency.
                                                                   Step 1 – Adding Actions
 Update the tool with actions from other plans. Column A can be used to identify which plan the actions originate from. Input all action plans in accordance with the
 categories provided. Change the version name of the tool using the drop-down menu at the top of Column E. Ensure this is saved as a different version from that
                                                              submitted to the Youth Justice Board.

                                                                          Step 2 – Viewing Actions
To view actions by specific categories, use the auto filter (grey arrows on the right-hand side of the yellow header cells) to select a particular category. There is also
                                   an option in this filter to sort the table in ascending or descending order of a specific category.

                                                             Step 3 – Reviewing and Updating Actions
   The tool can be used as a standard agenda item for all Yot Management Board Meetings, senior Management Team Meetings and Operational Management
 Meetings. See instructions below for printing options. Following the meetings the actions should be updated and progress recorded in Column H. The tool must be
          updated as part of your Youth Justice Plan reviews (Table B in section E of the plan). Use Column G to record when each action was modified.



                                                                     Detailed Instructions for Use

The tool has headings which are summarised below, some of which have drop-down menus for you to select the appropriate category. These menus appear when
you click in the relevant cell. Other sections, such as Specific Actions, are left blank for you to complete. When using free text cells, it is important to use consistent
terms and spellings to aid the Excel filtering commands.

The grey arrows along the yellow header row can be used to view individual objectives and themes, or to sort all the actions in the tool by a particular heading. For
example, to see the actions in the order of their deadline, select "Sort Ascending" from the options.

Printing the Action Plan
The tool is best viewed on the screen however it can also be printed for use in meetings. To ensure only the completed rows are selected for printing, select "Page
Break Preview" from the "View" option and move the blue lines so the correct area is selected. You may wish to hide some columns for printing. This can be done
by selecting the entire column by clicking on the column letter at the top of the sheet, then clicking the right mouse button and choosing "Hide" from the menu. To
retrieve those columns select the two adjacent columns and click the right mouse button and select "Unhide". For further options for printing please go to "Page
Setup" in the "File" option.
