Migrate Mail - Gmail to Gmail
NOTE: Depending on the number of messages in your accounts, this procedure may take up to
several hours to process. Know that you DO NOT have to devote attention for the entirety of this
process.

This document provides instructions on how to move mail messages and associated labels from a
commercial Gmail account (or Geval account) to your new Hamilton HillConnect mail account. The
process uses Gmail Backup, a freeware utility. It involves backing up the mail from your
commercial Gmail account (or Geval account) to a folder on your local computer and then restoring
the mail to your new account.

This utility runs only on Windows computers. If you do not have access to a computer running
Windows, there are several workstations set up in the main ITS office that you can use to migrate
your mail. The computers are available by appointment only. Please contact ITS at x 4051 to
schedule an appointment.

NOTE: Only labels with characters a-z, A-Z, and 0-9 will migrate. Special characters such
as *, /, +, „ are not supported. If you have special characters in your labels we
recommend removing them before you run this utility.

Download and Install Gmail Backup:

   1. Launch your web browser and navigate to: http://www.gmail-backup.com/download

   2. Click the link below the screenshot: Download gmail-
      backup-0.107.exe.

   3. From the Opening gmail-backup window, click Save
      File.

   4. Navigate to the Desktop folder and click Save




   5. When the download is complete, close the Downloads window and close your web browser.

   6. Navigate to your desktop and double-click the gmail-
      backup-0.107.exe icon.

   7. At the Security Warning window, click Run to continue.

   8. At the Setup Wizard window, click Next to continue.

   9. Review the License Agreement and click I Agree to continue.

   10. At the Choose Components window, click Next to continue.

   11. At the Choose Install Location window, click Next to install in the
       default location.

   12. At the Choose Start Menu Folder window, click Install.

   13. At the Completing Wizard window click Finish.



Migration Pre-requisites:

   14. Create a folder on your desktop called MyGmail that will be used to store the email collected
       from your commercial Gmail account during this process.
          a. To create a folder, right-click on the Desktop, go to New, and select Folder. You
              can type in MyGmail right after you create the folder to give it a name.

   15. To set your commercial Gmail account (or Geval account) to IMAP
       access for all your mail:

           a. Login to your Gmail account, click Settings on the top of
              the screen, go to Forwarding and POP/IMAP, and set
              IMAP Access to Enable IMAP




Migration Backup and Restore Process:

   16. Navigate to your desktop and double-click the Gmail Backup icon.

   17. Configure the Backup Utility as follows:

           a. Set Gmail login Field: userid@gmail.com where userid is your commercial Gmail
              account username (i.e. johnhammond@gmail.com) (or Geval account
              [ahamilto@geval.hamilton.edu]).
           b. Set Password Field: enter your gmail password
           c. Backup Folder Field: click the Directory button and navigate to the folder “MyGmail”
              on the Desktop
           d. Uncheck the Newest emails only box and set the Since date and Before date to the
              dates between which you would like e-mails transferred. For example, if you have
              been forwarding since June of 2009 and it is currently February 2, 2010, you should
              enter 6/1/2009 in the Since field and 2/2/2010 in the Before field.
           e. Click the Backup button.

   18. The files are displayed as they are being processed. Upon completion you will see “Ending
       backup of account” for your commercial Gmail account.

   19. The Gmail Backup window is still open; go back and update the fields with your new
       Hillmail account information.

           a. Set Gmail login to username@hamilton.edu where “username” is your e-mail ID.
           b. Set Password: enter your Hamilton email password.
           c. Click the Restore button.

   20. The files are displayed as they are being processed. Upon completion you will see “End of
       restoring of account” for your Hamilton.edu account.
