The Stall Holder

Welcome to The Brookfield Show 2011 (20, 21, 22 May 2011).

This year is expected to be bigger and better than ever and we are pleased to invite our valued
stall holders to display and/or sell their products and services.

An application form is attached hereto and should be completed in full and returned to the
Space Rental Coordinator, Mr. Cameron Early at the address provided. Alternatively,
applications can be downloaded from the website www.brookfieldshow.com , however, they
must still be lodged by either postage or facsimile.

PLEASE READ CAREFULLY!

    1. All Applications together with Full Payment must be received by 5pm Friday 22
        April 2011. (NB: Your payment will not be banked or deducted from your credit
        card until and unless your site allocation is confirmed.)
    2. Once your site allocation is confirmed there will be NO payment refund.
    3. Stall holders must be fully set up in their allocated positions by no later than
        8am Friday 20 May 2011. 24 hour security starts from 5pm 19 May. Show gates
        open at 9am daily and nightly arena activities conclude at approximately 8pm.
    4. Show Ground Space is ‘Zoned’ and certain Zones attract differing rental
        charges. Please check carefully to ensure which zone you are applying for.
        Concessional Rates for Schools and Community/Government still apply.
    5. Some spaces provide a building, structure or are located in prominent areas and
        these are labelled ‘Special Purpose’ (SP) and priced on application.
    6. Stall holder activities are required to be clearly defined. You need to provide us
        with your specific menu items and/or product mix.
    7. Garbage Levies apply on all stall sites regardless of the stall activity.
    8. Power Supply Charges will be assessed on an individual basis although a
        minimum charge has been rendered. Each applicant is to complete the Power
        Supply Questionnaire and a separate Tax Invoice will be rendered for the
        appropriate charges if necessary.
    9. Pressured water supply is only available to a select number of sites.
    10. Strict safety requirements must be adhered to with respect to stall structures
        and in particular the anchoring of tents. We will inspect all stall structures and
        reserve the right to remove structures deemed to be unsafe.
    11. All Public Liability Insurance Certificates must specifically and clearly list the
        Brookfield Show on 20, 21 & 22 May 2011 as an insured event.

MENU LIST AND PRODUCT SALES:

At this year’s show we are attempting to create a varied and suitable mix of product
types and food cuisine types. We need you to be very specific as to the product
and/or food type which you wish to promote/sell. Please list below what it is that you
are offering.

Your response will enable us to distribute like activities more evenly around the show
grounds to ensure that all vendors get a ‘fair go’.

NB:- As Brookfield Show Society Inc. is a member of Queensland Chamber of
Agricultural Societies Inc. (QCAS), and further, that we utilise the services of the
Showmen’s Guild of Australasia Inc., it is important that your product and/or food
type does not conflict with offerings from members of these groups. Furthermore,
attached herewith is a list of Banned Items at Agricultural Shows for your reference
as published by the QCAS.

SPACE RENTAL CHARGES:

ZONE A SPACE ALLOCATION:

$48.00 per square metre (minimum 9 square metres) (incl. GST)

ZONE B SPACE ALLOCATION:

$30.00 per square metre (minimum 9 square metres) (incl. GST)

CONCESSIONAL SPACE ALLOCATION:

(NB: Only available for Schools and Government/Community Organisations, Zone A
Space excluded)

$15.00 per square metre (minimum 9 square metres) (incl. GST)

HALL SPACE ALLOCATION:

(NB: Limited sites available and space locations & sizes may vary depending upon
placement of needle work exhibits)

$220 flat rate incl. Power Supply & Garbage Levy (maximum 9 square metres) (incl.

SPECIAL PURPOSE AREA:

A number of spaces available on the showgrounds provide for buildings and other
undercover areas. Some of these areas have power, water and/or serving facilities as
part of the integral design of the respective building. Whilst some of these buildings
will continue to be specifically ‘earmarked’ for a particular group or stallholder at the
discretion of the Brookfield Show Society Inc., the intention is that these buildings be
put up for closed tender whereby preference will be given to Charitable, Not-For-
Profit, School or Community Groups. Price On Application.

WHAT IS THE STRUCTURE OF YOUR STALL & HOW IS IT ANCOURED?

Safety is our priority! Therefore it is important that your stall does not comprise
sharp corners or such like which might cause harm to show patrons. Furthermore, it
is important that all stalls are anchored correctly and made from sufficiently durable
material so as to withstand strong wind and/or heavy rain. Incorrectly anchored
stalls can become dangerous projectiles during strong wind and to this end and in
particular some styles of tents are inappropriate for our showgrounds.

CAMPING AND CAR/TRUCK PARKING ON THE SHOWGROUNDS:

Your space rental allocation is for the retail space that your stall physically occupies
only. If you have additional trucks/vans that hold your stock or you intend to camp
on the showgrounds, you must advise of your requirements. Fees may be levied at
the discretion of Brookfield Show Society Inc.

                     (NB: Mandatory for all exhibitors, stall holders, contractors and/or entertainers.)

              Brisbane City Council Food Hygiene Licence (if applicable)
              Current Professional Indemnity Insurance Certificate (if applicable)
              Mechanical Maintenance Worthy Certificate (if applicable)
              ‘Blue Card’ from Commission for Children & Young People and Child
               Guardian. (NB: Please check with the Commission at www.childcomm.qld.gov.au to see if you are
               categorised as a regulated business or regulated employment.)


POWER SUPPLY AND CHARGES

Please advise the Brookfield Show Society if you have your own ‘commercial’
generator. A space rental rebate may be eligible for vendors who are able to
provide their own power supply as well as assisting with power supply to
other vendors. Please advise the size and noise level output of your
generator so as the Brookfield Show Society can make proper assessment.

Brookfield Show Society Inc. can supply electrical power to applicants if
required upon the following basis:

1. Applicants requiring electrical power will complete the power supply
section below and pay the relevant charges.
2. Applicants will provide The Brookfield Show Society Inc. and its electrical
contractor unfettered access to their electrical equipment upon arrival at the
showgrounds and at random intervals during the show itself.
3. Stallholders are prohibited from operating Show Ground electrical
equipment without approval from Brookfield Show Society Inc.
4. Brookfield Show Society Inc. reserves the right to refuse power supply to
applicants deemed to have faulty, excessive power drawing or incompatible
electrical equipment.

WATER SUPPLY

Only a small number of spaces have pressured water supply available to
them, therefore these spaces will be allocated on first in, first served basis.
(NB: No levy is charged for water supply and usage, however, it is the stallholder’s obligation to responsibly use the
water and in accordance with the Brisbane City Council water restriction guidelines. Brookfield Show Society Inc.
reserves the right to refuse water supply to stall holders deemed not to being responsible with their water use.)

INDEMNITY

1. The Stallholder acknowledges and agrees that the stallholder participates in the
Brookfield Show wholly and solely at the stallholder’s own risk of injury to the
stallholder’s person or property.

2. The Stallholder acknowledges and agrees that she/he and his/her servants and/or
agents releases the Brookfield Show Society from any and all liability for personal
injury or damage to the stallholders property before, during and after the Brookfield
Show.

3. The Stallholder acknowledges and agrees that Brookfield Show Society
Management committee has the sole right to reject any space rental application or
remove the stallholder from the Showgrounds at any time during the Brookfield
Show. No reason for any such rejection or removal needs to be given to the
Stallholder.

4. The Stallholder acknowledges and agrees to observe and abide by any Workplace
Health and Safety Regulations and/or Guidelines that apply specifically to his/her
particular activity and/or outlet. The Stallholder has the sole responsibility to
discover which Workplace Health and Safety or any other legislative regulations that
may apply to his/her particular activity and/or outlet.

5. The Stallholder acknowledges and agrees to observe and abide by any
Department of Primary Industry Fire Ant Control Regulation and/or Guideline that
applies specifically to his/her particular activity and/or outlet. The Stallholder has the
sole responsibility to discover regulations that apply to his/her particular activity
and/or outlet.

6. Due to the Public Liability Insurance requirements for the 2010 Show, the
Stallholder acknowledges and agrees that it is their sole responsibiltiy to have their
stall installed and set up in the allocated position by 8am Friday 14 May 2010.
Failure to abide by this request will result in forfeiture of the Stallholders allocated
space without refund and/or further notice. The Brookfield Show Society Inc will
consider vendor requests on a case by case basis to alter their arrival time however
your allotted space allocation may not be guaranteed. Your request must be in
writing and must reach the Space Rental Co-ordinator no later than 5pm
Wednesday 18 May 2011. No late arrival request will be considered after
this time.

NO VENDOR SHOULD DRIVE ONTO THE BROOKFIELD SHOWGROUNDS
WITHOUT DIRECTION FROM THE BROOKFIELD SHOW SOCIETY INC.
