        Congratulations and Welcome! The information inside is designed to answer your
questions about being a team captain and help you organize a successful fundraising team.
We hope your experience with Breathe California’s 2008 Bike for Breath event is inspirational
and fun! Your team’s fundraising efforts will have a lasting impact on our fight against asthma
and other lung diseases. As Team Captain, every minute you invest in supporting your team

Print the Bike for Breath 2008 Fact Sheet out in color and use it as a promotional poster
around your office, lunch room, apartment building, in your local coffee shop or bike store!


     What does it mean to be a Team Captain?
As a team captain you will be a point person for your team, answering logistically and
fundraising questions. You will field e-mails to and from your coworkers, friends and loved
ones, giving small presentations at company meetings (or organizing someone else to do so),
and checking in with your team. You will be my contact person on site; I will touch base with
you before the ride. If you have questions, please don’t hesitate to call me.


     Can there be more then one Team Captain?
Absolutely! Share the experience! Bike for Breath isn’t just for bike riders, you will need
volunteers to organize fundraisers, office decoration parties, collect fundraising money,

seek out in-kind donations and host information sessions. We recommend that you recruit a
committee to share the experience. (See below)


       What sort of time commitment am I making?
With the help of these handy materials and your loyal team, you should spend no more than
four hours per week on this event. Planning up front will make the entire Bike for Breath
experience fun and rewarding for everyone involved.


       How to recruit a committee:
   •    Spread the word! Let your co-workers, family and friends know that you are forming a
        team to participate in Bike for Breath 2008. Your commitment to the cause as Team
        Captain will inspire them to get involved as well!
   •    Is your company a corporate sponsor? If they are, let your co-workers know that your
        company has already committed to donating to the cause. Knowledge of your
        company’s involvement will help draw participants.
   •    You don’t necessary need to be a bike rider to participate.
   •    Is there someone in the HR & Marketing group who will champion the event?
        (It’s always a good idea to have a few executives show up to your first meeting.)


       Positions you are looking to fill:
An organizational chart is included to help you get started. (See p. 11) Bring this with you at
you committee recruitment meeting so you can fill in the spaces as people volunteer.
Here is a breakdown of the roles and responsibilities for each team member:

        Team Captain – Point person, liaison, information source. It is your responsibility to
        recruit a Bike and Volunteer Coordinator
        Bike Coordinator – In charge of recruiting bikers for the event and encouraging them
        to fundraise. This person will also need to recruit two Event Team Leaders to work on
        fundraising events and work shops.
        Volunteer Coordinator – In charge of recruiting volunteers to assist on the event day
        and encourage them to fundraise. You don’t need to be a biker to be able to fundraise.
        This person will also need to recruit two Event Team Leaders to organize fundraising
        events.
        Fundraising Event Leaders – Are you a natural organizer? Then this position is for
        you. Coordinate and promote a fundraising activity (see below for fun ideas).
        Photographer – Have some one on board to take photos or to organize others to take
        photos to document your activities. People love to have their photo in the company
        news letter, even if they tell you they don’t!

       Decorations Lead - Find someone creative to organize the team promotion by posting
       fliers, creating postcards to place in everyone’s mail boxes, set up a thermometer to
       track your fundraising efforts etc.
       Team Treasurer – Have a point person for collecting in donations! That’s one of the
       first questions you will be asked. Often the front desk individual is the best person to get
       on board. Track the finances using an excel spreadsheet.
       Weekly Rally Coordinator – Send out a weekly update e-mail each Monday letting
       everyone know how much has been raised to date, if there are any prizes that week,
       and how close you are to your corporate goal! It’s important to keep touching base
       through each week of your 10 weeks of fundraising.
       Corporate Sponsor VP - Try and get your head of HR or commercial operations
       involved to take care of obtaining matching funds and corporate sponsorship.

How am I going to get people to raise money?
Make it fun and give people incentives to join in. Run a competition between departments, who
can raise the most money each week. (Inform the weekly rally coordinators so that they can
include the update in their e-mail). Here are a few ideas. I will be happy to brain storm with you
if you need help!
           Happy Hour – every one loves a cheep drink! Work out a deal with your
       local hangout to give you 20% of their profits during a Friday Happy Hour
            Bake Sale – Ask co-workers to bake a dozen of their favorite cookies and watch the
       lines form. You can even add a little competition for the best cake and have prizes for
       the winners. Invite a couple executive officers to be the judges: they will love that!
            Raffle – gather a collection of prizes from local venders; ask your marketing team
       for company hats, t-shirts and swag that may be left over from sales meetings. Do you
       have a company travel agency? Can they donate a hotel stay or a couple airline tickets?

Training for the ride
            Bike 101 – Get more bikers involved by asking one of your expert rider
       friends to give a one hour presentation about riding basics. You can also ask a
       local bike shop if they would be interested in giving a presentation as a promotion
       for their shop. Subject topics to cover:
           o What basic gear will you need (Helmet, bike shorts, gloves etc)
           o How to change a bike tire
           o How to train for the event
           o Ask me for a great hand out on nutrition and biking basics!

Bottom line, make sure your bike has been tuned up within the last 6 months and you’ve taken
it out for a couple strong rides. Your training will depend on the distance you choose. For the
10 and 18 milers, ride the full mileage at least once during the month before the ride. For the
50 and 62 milers, you may want to take a look at some of the sites below:

REI & Summit Bicycles will have a tuning station set up at the beginning of the Bike for Breath
ride in case you have any last minute fixes.

Create a fundraising thermometer to keep track of your donations. Update the total weekly.
Place the thermometer prominently in your front lobby for maximum visibility.

We are happy to come give a short presentation about Breathe California and Bike for Breath.
We can also hold an open registration session to get the bike team started and recruit
volunteers to help out on the event day.

Organize a meeting to get your people involved in the event. The more the merrier!

Try to fill as many positions as possible on your org. chart with in the first couple weeks of
recruitment. Having a support team early on will not only help you as captain by sharing the
load, but will also promote company involvement and a more successful fundraising effort.

routes to choose from 10, 18, 50 & 62. The two shorter distances run at $40 per person and

Designate a Weekly Rally coordinator, someone to work closely with the Team Treasurer, to
make sure the treasurer has updated information on each week’s total. The weekly rally
should also include reminders about fundraising events. Correspondence should include
information on how to get involved and where to bring your fundraising dollars!

7. Team Start Times - Call 650-994-5868 to sign your team up for a Start Time
Please sign your team up for a time slot so that we can announce your group and send your
riders off with cow-belling and cheers! Special note there are two start times, (one for the 50 &
62 milers, and a second for the 10 & 18 milers), so if you have riders participating in both
distance groups, please sign up for two start times and we will announce your crew twice.
There will be two team gathering areas along the start chute, please gather your teams in this
area at least six minutes before your appointed start time for group pictures.
