HURST PUBLIC LIBRARY ROOM RENTAL POLICY As a service to the community, the Library Meeting Rooms are available for rental by the public when they are not being used for Library programs or activities. Reservations must be made in person and are scheduled on a first come, first served basis, up to 60 days in advance. Approval is granted for a single event only. The reservation form must be completed and signed by an adult (18 years of age or older) and all fees and deposits must be paid in full to confirm a reservation. A full refund will be given if cancellations are made at least 24 hours prior to the scheduled reservation. Rooms may not be used for religious worship services, showers, parties, dances, animals, or for any purpose that directly promotes an individual’s personal gain. No admission charges, collections or money-raising activities may be attached to any function held in the Library’s Meeting Rooms. The Library is not responsible for items left in the rooms; items not removed are subject to being sold at the public auction in accordance with City of Hurst Ordinance No. 682. The individual, group or organization using the facility will obey all rules and regulations both written and verbal and will not hold the City of Hurst liable for any injury sustained while using the facility. Groups who fail to comply with Library Policy, rules or procedures for use of Library Meeting Rooms, damage equipment or furnishings or who cause disturbances will forfeit their deposit and right to use the Library Meeting Rooms. The person renting the room is responsible for all damage and cost of repairs occurring during the period for which he or she rents the room. Setup and arrangement of furniture, as well as clearing of the room following a meeting, is the responsibility of the person reserving the room. Rented spaces must be left clean and returned to original condition. All reservations are subject to cancellation if the City or the Library requires use of the room. This will only be done on occasions of extreme importance and applicants will be notified as early as possible. The Library reserves the right to reject any reservation. Exceptions to established policies must be approved by the City Librarian and/or the Library Board. (A) Large Meeting Room (Seating Capacity 100) Available for use 8:00 a.m. - 11:00 p.m., 7 days a week. Rental Fee: $20.00 per 5-hour period or portion thereof Damage Deposit: $50.00 (refundable) If the room is to be used when the Library is not open, the key must be picked up during normal operational hours of the Library on the day of or the day preceding use. Failure to pick up the keys will result in forfeiture of reservation time and rental fee. Staff is not available to open the building when the Library is closed. Security instructions will be provided and must be followed to ensure the security of the facility. The building must not be left unprotected. The key must be returned by 12:00 noon of the first day the Library is open following use of the room. During Library hours, all activity must be confined to the rental space only. Tables and chairs are provided in the storage area adjacent to the meeting room. Only non-alcoholic beverages and light refreshments are allowed. Friday, Saturday, and Sunday renters must place garbage in the outdoor dumpster on the west side of the building. Nothing may be attached to the walls or ceiling. No equipment is provided by the Library. (B) Small Meeting Room (Capacity: 15-20) Available for use during Library Hours only. No equipment is provided by the Library. Rental Fee: $5.00 per 4-hour period or portion thereof (If room is not reserved, it may be used free of charge on a walk-in basis) (C) Learning Center Classroom (Capacity: 50) Available for use during Library Hours only. Computers may not be used. No equipment is provided by the Library. Rental Fee: $10.00 per 4-hour period or portion thereof Effective march 26, 2008
