                       Application and Interview Procedure 2010-11
APPLICATION PROCEDURE - The application process is not the same for every organisation. Increasingly the
on-line method of application is becoming more popular and many organisations accept on-line applications only. If
an organisation requests written applications a limited number of hard copy application forms and employer literature
are available from the Career Development Centre on each campus. Alternatively all relevant information will be on
the organisation‟s website or by direct request.

Written application forms should be returned to the Career Development Centre no later than 12 noon on the stated
closing date. Make sure that you get a receipt at reception for your written application.

As a guide, online applications should be submitted not later than close of business on the stated closing date or
check with the organisation.

The submission of an application form will not guarantee an interview. Most employers will „shortlist' or „preselect'
only those candidates who meet their selection criteria for preliminary interview. The Career Development Centre is
not responsible for „short listing'.

SELECTION METHODS – After application stage, some organisations may require shortlisted candidates to
complete a written or online aptitude test. It is important to prepare for these tests in advance. Practice tests can be
found on the PDSystem – http://pds.ulster.ac.uk

PRESENTATIONS – Presentations are held in a venue decided by the organisation and only shortlisted candidate
will be notified.

INTERVIEWS – Increasingly interviews are held on the organisation‟s premises or in a local venue. Some
interviews are in held in the Career Development Centre on campus. The Career Development Centre is usually
notified of the names of those short listed for interview by each employer approximately one week before the
interview date.

Names of those shortlisted and notified to the Career Development Centre will be held on file. Students should
check at the Career Development Centre reception for shortlisting information and any instructions concerning
presentations, tests or interviews. YOU MUST - check with the Career Development Centre regularly.

ATTENDANCE AT INTERVIEWS - Inform the Career Development Centre in good time if you are unable to attend
for test/interview at the time stated. Please ensure an apology is made to the employer, preferably in writing.
Absence without giving an apology can result in reflecting most unfavourably on the University.

GRADUATE RECRUITMENT - CODE OF PRACTICE 2010

The Code of Practice has been developed in relation to recruitment of students from The Queen‟s University of Belfast and The
University of Ulster. The Code is designed to apply to all member firms in Northern Ireland recruiting from these universities.
Where necessary, please ensure your respective offices in RoI are aware of the Code. The Code does not apply where
students are being recruited from universities outside of Northern Ireland. For the avoidance of any doubt, if your firm is
recruiting from the two local universities in the timescale below the Code of Practice applies and therefore the dates below must
be adhered to.

TIMESCALE

No presentation or encouragement to students should be made prior to the suggested presentation and interview timetable.
Closing date for applications 29 October 2010
Interviews and presentations to commence 15 November 2010
Closing date for offer acceptance/rejection 3 January 2011
Offers to be issued no earlier than 29 November 2010

NORTHERN IRELAND ACCOUNTANCY RECRUITMENT (MILKROUND)

It is encouraging to note that there are an increasing number of Member firms (as well as a growing number of other employers)
seeking to recruit within the Northern Ireland Accountancy Recruitment “(Milkround)”. As a consequence, instances of students
having to decide between two presentations on the one evening have occurred. I would encourage member firms to make their
own arrangements as a matter of priority for their presentations and interviews with the careers departments at QUB and UU.
Please note the two universities cannot make arrangements until such times as this letter has been issued and firms will be
booked in on a first come first e-mail basis. All offers of appointment following the presentation and interview period should give
students a minimum of 2 weeks in which to accept or decline the offer and no offer should require a student to accept earlier
than 3 January 2011. Where it has been decided not to make an offer to a student, this should be communicated to the student
at the same time as offer letters are being issued to other students.

ON-LINE AND DIRECT APPLICATIONS

It is accepted that the on-line method is becoming a more popular form of application. Firms should ensure that procedures are
in place to consider on-line and hard copy applications in an equitable manner. Closing dates for all methods should be
advertised clearly. Technology should support easy access and use of the on-line method.

RECRUITMENT OTHER THAN DURING THE “MILKROUND”

It is open to firms to interview and make offers to students who approach them on an individual basis at any time. Any offers,
which arise from such interviews, should also give students a minimum of 2 weeks in which to accept or decline the offer.

EQUAL OPPORTUNITIES

All firms should demonstrate commitment to equality of opportunity in employment as required by the Equality Commission and
the Commission for Racial Equality.

FORM OF OFFER

All offers of appointment should be made in writing and should clearly state the terms of engagement and any conditions
attached to the offer. After an offer has been made, firms should not initiate or encourage any further contact with the students
until the offer has been accepted or declined. This includes any correspondence regarding the firm itself, acceptance of the
offer or the proposed terms of employment. Students are being advised by the universities to reply promptly to all offers.
