Thank you for your interest in being a part of this ministry. You are about to embark on an
amazing journey. A journey where willing hearts and limited talents placed in the hands of an
almighty God impact our world for eternity. That is truly amazing!

I am thankful that God has given me the privilege, opportunity, and responsibility to be a part of
ministry trips. As I worked through this manual, my goal was to put together the forms,
instructions, and information that would help you be successful as a trip leader. If you have
additional questions as you prepare for your ministry trip, feel free to contact me.

                                     MINISTRY TRIP LEADER
                                 JOB DESCRIPTION
                        DAYTON CHRISTIAN SCHOOLS, INC. 11/01

I.   General Description:
        The Ministry Trip Leader is appointed by the Ministry Trips Director and approved by
        the Superintendent to lead an approved ministry trip.

II. Accountability:
      The Ministry Trip Leader is directly accountable and responsible to the Ministry
      Trips Director.

III. Qualifications:
       A. The Ministry Trip Leader shall be a person that has accepted Jesus Christ as his
       personal Savior and exhibits spiritual maturity. As a result, the lifestyle of this person
       must demonstrate evidence of a committed Christian walk that is characterized by daily
       fellowship, regular church attendance, faithful service in present ministry, and a
       willingness to serve in short-term ministry trips.
       B. The Ministry Trip Leader shall be a person that is physically able to meet the demands
       of short-term ministry trip which include travel, intense ministry, change in diet, and
       supervision of students.
       C. The Ministry Trip Leader shall be characterized by the following: demonstrates
       leadership abilities, understands the importance of ministry trips, is committed to
       bringing students up in the nurture and admonition of the Lord, is able to handle details
       well, is thorough in completing tasks, is conscientious , is committed to team unity, takes
       directions, is able to communicate honestly with others, enjoys different cultures and
       experiences, is able to handle stress and decision-making responsibilities, is willing to
       sacrifice time, and has a wholistic view of Dayton Christian Schools, Inc.
       D. The Ministry Trip Leader must meet the contractual, spiritual and other requirements
       required of all employees.
       E. The Ministry Trip Leader must be committed to the Matthew 18 principle.

IV. Responsibilities:
      A. Completes and submits a Ministry Trip Request, Budget, and Course of Study to the
      Ministry Trips Director.
      B. Assists in recruiting students and adult leadership. Assists in evaluating applications
      for team selection.
      C. Prepares a team for the different areas of ministry.
      D. Disciples the team both before and during the trip.
      E. Supervises the completion and collection of necessary forms and paperwork.
F. Instructs the students in the area of raising support.
        1. Guides the students in writing support letters.
        2. Approves student support letters before they are sent.
        3. Updates the students about current giving totals.
        4. Communicates the importance of stewardship.

G. Promotes the trip.
       1. Encourages the student in presenting the ministry.
       2. Puts together presentations to communicate the message.

H. Prepares the team for the culture they are to minister to by teaching about the people,
their economic situation, history, and language.

I. Accomplishes the details necessary for the trip.
       1. Orders T-shirts.
       2. Provides schedules and agendas.
       3. Establishes prayer support.
       4. Acquires supplies.
       5. Provides information to the parents.

      The Ministry Trip Adult Leader is directly accountable and responsible to the
      Ministry Trip Leader.

III. Qualifications:
       A. The Ministry Trip Adult Leader shall be a person that has accepted Jesus Christ as his

I. Requests for leave with pay or without pay for ministry tips must be processed through the
   DCS employee’s direct supervisor.

II. Such requests can be granted if they meet the following criteria. Criteria for granting
    permission with pay are:

       A. They are a part of Dayton Christian Schools’ ministry trip program.
       B. They have a direct application to the Dayton Christian’s mission statement and goals.
       C. They will have a positive impact upon the performance of the faculty/staff member in
          their assigned functions at Dayton Christian Schools.
       D. Adequate substitute coverage is obtainable.

III. Trips not meeting this criteria (B) will be handled by exception.

1. Stipends apply only to trip leaders (seldom will there be more than one).

2. The ministry trip must be an official DCS trip.

3. The leader must be an employee of DCS or be approved by the Superintendent.

4. Stipends are paid for those times when the employee is not being compensated by DCS.

5. The stipend will be figured at a rate of $70.00 per day. When special preparations are
   necessary that demand a lot of extra research and time, such as preparing for lectures, the
   stipend will be increased appropriately.

6. Leaders going on their first trip are expected to raise a level of support commensurate with
   what the other team leaders will be raising.

7. Stipends are a part of the trip budget.

                   EXCHANGE STUDENTS RETURNING WITH A TEAM

Dayton Christian Schools has had a great ministry in hosting students from other countries. DCS
is willing to help with tuition for students demonstrating financial need and will place students
with strong Christian families who desire to minister to the international student.

If a trip to a foreign country includes bringing back an exchange student, then the money must be
raised as a part of the trip budget to cover the travel and insurance costs. An International
Student Application will need to be completed and submitted before the ministry trip. Exchange
students will then receive a letter of invitation from the Deputy Superintendent as well as an I-20
form to apply for a VISA.




          EXCHANGE STUDENTS PARTICIPATING IN A MINISTRY TRIP 4/04


Foreign exchange students that participate in a ministry trip must have a multi-entry VISA.
Students who have other types of VISAS may be denied re-entry.
                  FUND-RAISING GUIDELINES FOR MINISTRY TRIPS
                            Dayton Christian Schools, Inc.

Contributions given toward ministry trips through Dayton Christian Schools are tax deductible
for those who itemize deductions as long as certain guidelines are followed. This handout has
been prepared to help you in the fund-raising process as well as assure that donors gifts are tax
deductible.

1.   All fund-raising appeals should clearly state that checks should be made out and returned to:
     Legacy Ministries Foundation. Checks made out to the missionary are considered a
     nondeductible gift to the participant.

2.   Assure your donors that the amount of their gift sent to the school will be kept confidential.

3.   We will provide missionaries with donor cards and envelopes addressed to the Legacy
     Ministries Foundation. Please write your name on the cards prior to mailing to assure
     contributions are credited to your account. Ask donors not to put your name in the memo
     section of the check.

4.   If you personally receive funds, please send the money and a completed donor card to the
     Foundation Office. DO NOT give money to your trip director (he/she already has enough to
     keep up with). All money should be turned in promptly so we can process receipts to donors
     in a timely manner.

5.   You will receive a list of donors from your trip leader so you can write thank you letters to
     your donors.

6.   If you want an update on your account please contact your trip leader or the Ministry Trips
     Director. Updates are done approximately once a week. Please DO NOT call the
     Foundation office for updates.

7.   After your return, be sure to send letters to donors and prayer partners recounting how God
     worked in your life and the lives to those to whom you ministered.

8.   On the reverse side is a list of common problems we have experienced in the past. We hope
     it will help you avoid any frustrations with this trip.

            COMMON PROBLEMS ASSOCIATED WITH MINISTRY TRIP GIFTS

PROBLEM:         Donor sends a check made out to the order of the missionary. We cannot
                 issue a gift receipt for checks made out to an individual. A gift to an
                 individual is not tax deductible. A gift to Legacy Ministries Foundation is tax
                 deductible.

SOLUTION:        The missionary should ask the donor if he/she wishes to receive a gift receipt
                 for tax purposes. People who do not itemize deductions will, in general, not
                 need a receipt. If the donor does desire a receipt, the donor should provide a
                 new check made out to Legacy Ministries Foundation.

PROBLEM:         A donor collects several gifts from other donors (i.e. Sunday School class)
                 and then writes a check made out to Legacy Ministries Foundation. The
                 Foundation Office can only issue a receipt to the person whose name appears
                 on the check.

SOLUTION:        The missionary should advise the donor who issues the check that if any of
                 the other donors desire a receipt, they must provide a check made out to
                 Legacy Ministries Foundation.

PROBLEM:         A donor provides a gift to a missionary and tells the missionary that the gift is
                 for personal use (souvenirs, for example) vs for expenses directly related to
                 the purpose of the trip (food, travel, etc.)

SOLUTION:        A missionary may accept the gift, but should also be sure the donor
                 understands that the gift is NOT tax deductible.

PROBLEM:         A missionary holds a check from a donor, hence delaying the issuing of a gift
                 receipt to he donor. The donor is likely to call the Foundation Office. The
                 Foundation Office will have no record of the gift.

SOLUTION:        Missionaries and trip leaders should not hold gifts. Gifts should be forwarded
                 to the Development Office as they are received so that receipts can be issued
                 in a timely manner.

PROBLEM:         A missionary asks donors to send gifts to the missionary instead of directly to
                 the Legacy Ministries Foundation Office. Many donors will prefer the amount
                 of the gift to be confidential.

SOLUTION:        The missionary’s solicitation of the gift should make it clear to donors that
                 their gifts should be sent directly to the Foundation Office and will be
                 confidential.

PROBLEM:         A gift is received without an associated donor card.

SOLUTION:        Donor cards must be mailed to potential donors along with the solicitation
                 letter. If a donor does not submit a card, the missionary should fill out a card
                 for the donor prior to submitting the gift to the Foundation Office. The
                 missionary’s name should appear on the card, not in the memo section of the
                 check.

Support letters are an important part of the preparation for your trip. Support raising can
be a spiritual battle. You are asking people to take money that they might ordinarily use
for worldly things and use it for the things of God. Satan does not like that. When you
ask someone to support you, realize you are giving people the opportunity to invest their
funds in the ministry to which God has called you - that is an eternal investment.

Don’t be fooled into thinking that financial support is more important than prayer
support, you need both people who can help you financially and a group of prayer
warriors. When you are trying to decide to whom you should send letters, ask your
parents for ideas. Of course, letters to family and friends is a great place to start but don’t
overlook the Sunday School classes at your church. Particularly remember the children
and seniors classes because they are often the most faithful in remembering you in
prayer.

Your letter should include the following information: when you will minister, where you
will minister, what you will be doing, and why you are ministering.

Your letter should also include the following paragraph exactly as written, except with
your support amount and your deadline date. “I am also in need of your financial
support. Each team member is asked to help cover travel, room/board, and team
expenses. My goal is to raise $1225 by December 15. If God leads you to be a part of
my ministry in this way, make your check payable to Legacy Ministries Foundation and
mail it and the completed donor card in the enclosed envelope. Checks made payable to
Legacy Ministries Foundation are tax deductible for those who itemize their tax returns.
Checks made payable to individuals are not considered charitable contributions.”

You must give your trip leader a rough draft of your letter before you send it out. Unless
you and your family are planning to pay for your trip, you will need financial support
from others. During the mandatory parent meeting you will receive information about
the proper way to handle gifts. In addition, you will receive the donor cards that you
need to include in the envelope with your support letter.

People who sacrifice and support you in your trip should receive thank you notes. Please
send these as soon as you know that someone has supported you. DO NOT wait until
you return from the trip and include the thank you note with your follow-up letter.

After you have returned from your trip, send your supporters a follow-up letter. They
will want to share in your experiences.

                                           Code of Conduct

1. Once committing to a trip, we expect a member to fully participate in all training meetings,
    devotional exercises and team meetings. Understand that if you miss a meeting without receiving
    prior permission to do so, you may be released from the team.

2. Each team member will respect and obey all team leaders. The team leader will have your best
    interest at heart. Even if you can’t see the reason for doing something remember you are
    committing yourself to following the leaders.

3. At no time shall the use or possession of tobacco, alcoholic beverages, or illegal drugs be
    tolerated.

4. A ministry trip is an excellent time for a team member to build strong relationships with other
    team members and to focus on his relationship with the Lord. In order to do this, his focus needs
    to be on his devotions and his attitude toward service. To accomplish this we are asking every
    participant to put any dating relationship on hold while he is on a trip and not pursue new
    romantic relationships, which includes flirting and spending time alone with a team member of
    the opposite sex. Every participant should refrain from inappropriate touching, including kissing,
    backrubs, holding hands, feeding one another, sitting in one another’s laps, laying on each other,
    etc.

5. Every team member will commit to building the strongest relationships possible with the people
    we meet while at a host site. Under no circumstances should any team member engage in an
    improper relationship with a person from the host site. This includes flirting and spending time
    alone with the opposite sex. Please invest in each other on a level of fellowship.

6. Remember that you are a member of a team. Sometimes you will have to compensate for other
    team members. Please do not criticize. Work sites can be very taxing physically. Please realize
    that these challenges can be significant for some team members. If a team member becomes
    overwhelmed, you need to support him /her with encouragement or service. The challenges on
    this trip should stretch your spiritual growth and your physical endurance, but not to the point of
    harming yourself or others.

7. No team member should ever be out of the designated team area without specific permission of
    the trip leader.

8. Be on time. Be respectful of the staff and other team members by being on time for all scheduled
    events.

9. Modesty is very important. Cultural differences are a fact whether you are in a Third World
    country or just a different part of our country. Our goal is to represent Dayton Christian Schools,
    Inc. in a way that points to Jesus Christ. We want to do all that we can to help others focus on
    Him. In doing that, we ask that everyone dress modestly. Girls should not wear off the shoulder
    or cut-off shirts. Guys should not be bare-chested, wear half-shirts, sleeveless, tank top or mesh-
    type shirts. Clothing should not be worn in a manner that allows underwear or midriffs to be
    seen. No clothes or hats may be worn that advertise rock groups, alcohol, drugs, or tobacco.
    Only one piece bathing suits shall be worn. Team members must be fully dressed in team areas.
10. At no time is a team member allowed to dye or cut his/her hair. No tattoos or body piercing is
    permitted.

11. At no time will fireworks be purchased or set off during a Dayton Christian Schools, Inc. trip.

12. Please guard your tongue. No swearing , unkind language or vulgar language, only language that
    brings favor to Jesus Christ.

13. When buying souvenirs, please use discretion with your purchases. If it isn’t something you
    would share with your youth pastor, it isn’t something you should be buying. In year’s past, some
    students have purchased machetes or knives. These purchases will be immediately packed for
    shipping and remain packed until arrival at your home destination.

14. Each team member will remember that he is a guest of the host site and sometimes the local
    church. Each team member shall show respect towards the host and the facilities provided by the
    host site. Each team member shall keep all areas clean, including his sleeping rooms, ministry
    areas, kitchen areas, and common areas. At all times, food will be in rodent and insect-proof
    containers if taken from the kitchen area. Crumbs and wrappings must be properly disposed of to
    prevent infestation of insects and rodents.

15. Avoid the “we-them” syndrome. Every team member will remember that ministry trips often take
    you to a new culture. Check your attitude; be open to learning and enjoying new things.

16. Each team member will develop and maintain a servant attitude toward other team members,
    staff, and the host site.

17. Refrain from complaining. Remember to count the cost before signing up for a trip. Ask good
    questions about the trip so you know what you are getting into. Once committed, do not complain
    about circumstances but look for what God wants to teach you.

18. No team member shall harass or intimidate another team member, including placing any person in
    fear.

6. Once committing to a trip, we expect a member to fully participate in all training meetings,
   devotional exercises and team meetings. Understand that if you miss a meeting without receiving
   prior permission to do so, you may be released from the team.

7. Each team member will respect and obey all team leaders. The team leader will have your best
   interest at heart. Even if you can’t see the reason for doing something remember you are
   committing yourself to following the leaders.

8. At no time shall the use or possession of tobacco, alcoholic beverages, or illegal drugs be tolerated.

9. A ministry trip is an excellent time for a team member to build strong relationships with other team
   members and to focus on his relationship with the Lord. In order to do this, his focus needs to be
   on his devotions and his attitude toward service. To accomplish this we are asking every
   participant to put any dating relationship on hold while he is on a trip and not pursue new romantic
   relationships, which includes flirting and spending time alone with a team member of the opposite
   sex. Every participant should refrain from inappropriate touching, including kissing, backrubs,
   holding hands, feeding one another, sitting in one another’s laps, laying on each other, etc.

10. Every team member will commit to building the strongest relationships possible with the people
    we meet while at a host site. Under no circumstances should any team member engage in an
    improper relationship with a person from the host site. This includes flirting and spending time
    alone with the opposite sex. Please invest in each other on a level of fellowship.

19. Remember that you are a member of a team. Sometimes you will have to compensate for other
    team members. Please do not criticize. Work sites can be very taxing physically. Please realize
    that these challenges can be significant for some team members. If a team member becomes
    overwhelmed, you need to support him /her with encouragement or service. The challenges on this
    trip should stretch your spiritual growth and your physical endurance, but not to the point of
    harming yourself or others.

20. No team member should ever be out of the designated team area without specific permission of the
    trip leader.

21. Be on time. Be respectful of the staff and other team members by being on time for all scheduled
    events.

22. Modesty is very important. Cultural differences are a fact whether you are in a Third World
    country or just a different part of our country. Our goal is to represent Dayton Christian Schools,
    Inc. in a way that points to Jesus Christ. We want to do all that we can to help others focus on
    Him. In doing that, we ask that everyone dress modestly. Girls should not wear off the shoulder
    or cut-off shirts. Guys should not be bare-chested, wear half-shirts, sleeveless, tank top or mesh-
    type shirts. Clothing should not be worn in a manner that allows underwear or midriffs to be seen.
    No clothes or hats may be worn that advertise rock groups, alcohol, drugs, or tobacco. Only one
   piece bathing suits shall be worn. Team members must be fully dressed in team areas.

23. At no time is a team member allowed to dye or cut his/her hair. No tattoos or body piercing is
    permitted.

24. At no time will fireworks be purchased or set off during a Dayton Christian Schools, Inc. trip.

25. Please guard your tongue. No swearing , unkind language or vulgar language, only language that
    brings favor to Jesus Christ.

26. When buying souvenirs, please use discretion with your purchases. If it isn’t something you would
    share with your youth pastor, it isn’t something you should be buying. In year’s past, some
    students have purchased machetes or knives. These purchases will be immediately packed for
    shipping and remain packed until arrival at your home destination.

27. Each team member will remember that he is a guest of the host site and sometimes the local
    church. Each team member shall show respect towards the host and the facilities provided by the
    host site. Each team member shall keep all areas clean, including his sleeping rooms, ministry
    areas, kitchen areas, and common areas. At all times, food will be in rodent and insect-proof
    containers if taken from the kitchen area. Crumbs and wrappings must be properly disposed of to
    prevent infestation of insects and rodents.

28. Avoid the “we-them” syndrome. Every team member will remember that ministry trips often take
    you to a new culture. Check your attitude; be open to learning and enjoying new things.

29. Each team member will develop and maintain a servant attitude toward other team members, staff,
    and the host site.

30. Refrain from complaining. Remember to count the cost before signing up for a trip. Ask good
    questions about the trip so you know what you are getting into. Once committed, do not complain
    about circumstances but look for what God wants to teach you.

31. No team member shall harass or intimidate another team member, including placing any person in
    fear.

Emergency Situations 11/01

There are times when because of a political, economical or violent situation that DCS will
cancel, reroute, or reschedule a trip. Our goal will always be to reschedule the group, but that
may mean a change in dates or ministry destination. Our overall desire is to be wise in
protecting our young people from unusually dangerous situations. We trust the Lord to guide
and direct in these circumstances. We also want to express our belief that there is no safer
place than being in God’s will, eventhough that can take us through difficult situations.

                                    Dating Issues 11/01

Sometimes special friendships start as a result of a ministry trip. Realizing the emotion and
attraction that can occur, we ask that “dating” be put on hold during a ministry trip. Waiting to
begin a quality relationship will not destroy it and often will make a more solid foundation.
Any relationship that hinders the team’s effectiveness is unhealthy. This situation can be true
whether it is in dating, people who cannot get along, or even friends that are too dependent on
each other.

It is prohibited to begin a dating relationship with a national during the ministry trip. It is not
the purpose for being there and will be a hindrance to the overall ministry.

In all areas of conduct it is important to remember who you are: a child of God, an emissary of
a supporting church and a representative of Dayton Christian Schools. In addition, for the time
of your ministry, you are a foreigner who is to answer to the host missionary.
                              Getting Along with Others

1. Be friendly. Smile at people, but don’t be a “sunshine pumper.”
2. Be accepting. If you genuinely like people, you will find that people generally will like
    you. Don’t prejudge people.
3. Be interested. Be genuinely interested in people. Direct the conversation to things in
    which the other person is interested, rather than about yourself.
4. Be alert. Remember names and details. To accomplish this, give attention to the other
    person, so that the name will register. A person’s name is important to him/her.
5. Be easy-going. Be a comfortable sort of person so that there is no strain in being with you.
6. Be stimulating. If being with you makes people feel better, people will want to be with
    you.
7. Be generous with praise. Look for things about which you can praise people.
8. Be balanced. Avoid being “on edge.” People instinctively shy away from those who are
    super-sensitive, fearing an unpleasant reaction.
9. Be forgiving. Sincerely attempt to heal every misunderstanding that you may have with
    other individuals. Mentally and spiritually drain off your grievances and maintain an
    attitude of goodwill with everyone.
10. Be a servant. Perform unselfish and outgoing acts of friendship. Sincere self-giving
    inevitably leads to pleasant personal relations.
                                      Packing Tips 11/01
These suggestions are not all inclusive, but is intended to give you a guideline for your travel.

  Do not pack 15 minutes before you leave. You will forget something.

  Create a checklist. Put it in the pocket of your luggage. Go over your checklist item by item
before you leave your home.

  Make sure that all your luggage/bags have name tags attached. It is recommended that large
groups have a matching ribbon or some other type of identification on all bags.

  Be realistic in your packing. Avoid excess bulk. Most people tend to over-pack. Overdoing
“just in case” items adds extra weight and you will have to carry your own luggage. In
addition, transporting excessive luggage is a logistical nightmare in some countries.

   Any liquids should be tightly sealed and kept in plastic bags/containers. At a minimum these
items should be doubled bagged.

  Some people like to roll their clothing rather than laying it flat. It generally takes up less
room and can prevent wrinkling.

  Put heavier, most wrinkle-resistant items (sweaters, jeans) on the bottom of your suitcase.
To minimize wasted space, alternate the layers of remaining clothes: first, a layer from left to
right, then one from front to back.

  Try packing items inside one another.

  The nooks and crannies that remain in your suitcase should be filled with rolled up belts,
scarves, neckties, underwear, etc. These items will cushion and hold the other items when the
suitcase is closed and standing upright.

  Try to make the last layer of clothing you pack the items you will need first.

  Plastic bags are useful for laundry and to hold clothes that may be damp.

  Remember to put emergency clothing (i.e. a change of clothes, underwear) in your carry-on
in case your checked baggage does not arrive when you do.

  Dress for the flight should be comfortable, but nice. Dress for the destination.
