              EMPLOYEE PERFORMANCE—NOT MEETING EXPECTATIONS

[Date]

Dear [Person’s name]:

Having the finest team members is important to [Company Name] and we understand that it
takes confidence and intelligence to embrace constructive criticism as a beneficial
recommendation rather than a personal attack. When we fail to meet company expectations,
recommendations help us change our behavior and get back on the road to success.

Each day should be marked with another step toward our personal and professional pinnacles of
success. I am happy help you in any way I can in accomplishing these goals.

Having said that, I must tell you, candidly, that the probability of success is not very high for you
right now. Your performance is not meeting expectations in the following ways: [Describe areas
needing improvement].

I believe that your attention and commitment to changing the above shortcomings will bring
about an immediate improvement. We will monitor your progress over the next ______ (__) to
determine whether any further action is necessary.

Please do not disappoint us. The way you respond to this letter will have a lasting effect on your
career.

Sincerely,

         EMPLOYEE PERFORMANCE—UPCOMING PERFORMANCE REVIEW

[Date]

Dear [Person’s name]:

We consider formal performance evaluations an example of [Company Name]’s commitment to
our employees’ career development and satisfaction. These [frequency of evaluations (e.g.,
“quarterly,” “monthly,” etc.)] assessments give us an opportunity to discuss goals, identify and
correct weaknesses, acknowledge and encourage strengths, and formulate action plans. Your
performance review is scheduled for [Date] at [Time].

While we do our best to encourage informal discussions on important topics, such casual
approach does not provide the opportunity for in-depth reviews.

There is no reason to worry about a performance review. This scheduled review is truly an
opportunity to focus on mutually beneficial actions and plans for you and [Company Name]. I
look forward to this chance to discuss your career at [Company Name] in detail.

Sincerely,

         EMPLOYEE PERFORMANCE—GOOD JOB (RECOMMENDING BONUS)

[Date]

Dear [Person’s name]:

I just wanted to take a moment to let you know how much we appreciate your work on the
[recent accomplishment]. From the initial proposal, to the presentation to our review committee,
to getting [client name if applicable] to sign on the dotted line, it was outstanding work.

I have recommended a performance bonus in addition to your regular commission on the
account. It is my way of letting you know that your hard work is recognized and that you’re an
important part of our team. If I can ever be of assistance, please do not hesitate to let me know.

Cordially,

                    EMPLOYEE PERFORMANCE—FINAL WARNING

[Date]

Dear [Person’s name],

For some time, I have been questioning whether [Company Name] is the best fit for you and
your qualifications or whether, perhaps, you would be best suited elsewhere.

On many occasions, we have discussed the problem with your performance in the area of [reason
for letter/problems with performance]. I have been very clear that [Company Name] wants you
to succeed and to continue to be a member of our team. To do this, you must change your
performance immediately by [describe recommendations for improvement].

Should you continue to neglect this area and not show any reasonable improvement, I will be
forced to take stronger measures. Please be advised that your employment with [Company
Name] is now in jeopardy. Unless your performance improves by [DATE], I will recommend
commencement of proceedings that may lead to your immediate termination. [Person’s name],
please heed this warning by showing me that your career at [Company Name] is important to
you. I really would like you to stay.

Sincerely,

                 EMPLOYEE PERFORMANCE—TERMINATION NOTICE

[Date]

Dear [Person’s name],

Unfortunately, there are times in our lives where we are forced to take actions that we do not
like. Although [Company Name] and myself have repeatedly made you aware that a change was
needed in [description of reason for termination], no improvement has been apparent over the
last [time elapsed between last warning and now].

Your lack of action on this matter leaves us no choice but to terminate your employment with
[Company Name] effective [Date].

I wish you the best in your future endeavors.

Sincerely,
