TRICYCLE THEATRE CO LTD trading as The Tricycle Mission Statement: To present accessible work of the highest standard in theatre, cinema and visual arts, with a distinctive voice responding to the local diverse community as well as maintaining a national and international profile. JOB DESCRIPTION Duty Manager (FOH Staff/Personnel) The Tricycle is an attractive, welcoming and accessible building open 52 weeks a year, 7 days a week comprising a Café/Bar and Theatre: Seats 235, presenting mainly new, culturally diverse work, both Tricycle and visiting productions, for runs usually four to six weeks and children’s shows on Saturdays from September to June, plus schools performances and Sunday one-off events. There is also a Rehearsal Room for in-house productions and outside hire. Cinema: Seats 290, showing independent first run European and American films, changeover each Friday, plus a Saturday Family film slot, Thursday & Friday Matinees, Weekend World films, student films, specialised film & “shorts” festivals, Charity Premieres & fundraising Q & A’s. Art Gallery & The Paint Box: In the Gallery exhibitions by artists who are either recent graduates of art school, local, or representative of the diverse cultural nature of the community of Brent, are shown for five to six weeks, chosen by the Selection Committee. The Paint Box is run by the Artist in Residence offering tuition in painting and drawing, mainly for young people, in formal classes and as a drop-in facility. Education Programme: Linking all three art forms in a programme of workshops, outreach and training projects taking place in the James Baldwin Studio, The Paint Box and The August Wilson Creative Space, working with children and young people aged 18 months to 26 years. The Duty Manager is part of the Front of House team headed by the FOH Business Manager, which comprises three full-time Duty Managers (of which this post is one), two part time Relief Duty Managers, Box Office Manager and Sales Staff, Bar Staff, Cinema and Theatre Ushers, Cleaners and Maintenance. Duty Managers are frequently the most senior management in the building, and are expected to act on their own initiative in carrying out their duties, within the guidelines and policies laid down. As an important part of the public face of the Tricycle, Duty Managers are expected to ensure that the appropriate standards of courtesy, behaviour and dress are maintained at all times. The full time Duty Managers are expected to cover a range of duties and responsibilities in common, and in addition each has one or more areas of specific responsibility for which they are solely responsible. However they are expected to have a broad understanding of their colleagues’ routine and work practices in order to cover, in the event of holidays, sickness etc. SPECIAL RESPONSIBILITIES: The areas of special responsibility for each Duty Manager are: i) Maintenance: all areas of maintenance work around the building, upkeep of all service agreements, liaising with contractors regarding heating, ventilation, equipment, IT support, etc Sales; all aspects of running the Bar, and sales of sweets and ice creams and merchandise. FOH Staff/Personnel: all aspects of recruiting, contracting, training, discipline, uniforms, etc of the FOH staff; the upkeep of the Duty Managers and Ushers Manuals, the Weekly Rota, awareness of employment legislation like the Disability Discrimination Act, etc. ii) iii) The FOH Staff/Personnel role: The Duty Manager in charge of staffing is responsible for the recruitment of FOH staff for the Theatre and Cinema while liaising with the Bar/Sales Manager regarding recruitment of Bar staff & the Box Office Manager regarding Box Office staff. He/she must ensure that all areas are fully staffed in accordance with H&S, demand and budgetary requirements. The Staff/Personnel Duty Manager issues contracts, monitors performance, produces the weekly rotas, organises holiday/sickness cover and compiles a weekly wages sheet of all FOH staff for the Finance department to process. He/she must ensure that a comprehensive training programme is in place and disciplinary procedures are followed in accordance with Tricycle policy. The Staff/Personnel Duty Manager is in charge of monitoring the evacuation procedures and training throughout the building. Both the Duty Manager with responsibility for Sales and the Duty Manager with responsibility for Staffing carry out four Duty Management shifts and one Administration shift per week. The Duty Manager responsible for Maintenance covers three Duty Management shifts and two Administration shifts per week. GENERAL RESPONSIBILITIES: A Duty Manager is on duty at all times the building is open to the public, and is responsible for the servicing of a constantly busy schedule, for the safety and comfort of the public, ensuring that all Public Entertainment Licences & Fire Regulations are strictly adhered to, overseeing efficient service at the Box Office, Bar/Sales counter and by the Ushers, and dealing with customer queries, problems, lost property, etc. The Duty Manager will sometimes have to organise tables, chairs, drinks, etc for meetings and rehearsals. The Duty Manager is also frequently the first point of contact for visiting companies, workshop leaders, those hiring rehearsal space, etc. When there is a performance in the Theatre, the Duty Manager is responsible, in liaison with the Stage Management for ensuring that audiences are in their seats and the performance starts on time both at the beginning of the show and after the interval. Similarly when there is a screening in the Cinema, in liaison with the Projectionist and the Box Office, ensuring that film programmes start promptly at the advertised times. The public cloakroom is also the responsibility of the Duty Manager. Box Office: The Duty Managers are frequently required to operate the Box Office system (Databox), both in person and on the telephone. In the absence of the Box Office Manager the Duty Manager will be responsible for any Box Office queries or complaints, and for dealing with any operational difficulties. All booking and monitoring systems must be operated exactly as laid down and cannot be altered without reference to the FOH Business Manager. There is frequent liaison between the Box Office and the Marketing Department. Building and Equipment: The Duty Managers are key holders for the building, and when on duty are required to lock up, set the alarm and close the building on their own. They are on the “call-out” list in the event of out-of-hours emergencies. It is vital that the building alarm, security & smoke alarms are working at all times to comply with insurance regulations. The FOH Business Manager is responsible overall for ensuring that all building equipment is fully operational and maintained, but Duty Managers are expected to advise him/her of any problems encountered and in his/her absence will be required to expedite arrangements for any urgent building matters/repairs. Similarly cleaning matters are reported to the FOH Business Manager. Café: The Café is under separate franchise. Duty management includes liaison with the Café regarding the scheduled programme, anticipated number of customers, access to the building, etc. Health & Safety: The Duty Managers in liaison with the FOH Business Manager are responsible for ensuring that all Health & Safety procedures throughout the building, except the Stage (and except the Auditorium and Dressing Rooms during rehearsals) are strictly adhered to, and that regular Emergency Evacuation, Fire Drills and Smoke Alarm tests are carried out. Displays: The Duty Manager, in close liaison with the Marketing Department will be responsible for changing FOH displays and keeping all publicity materials up to date, clean and tidy at all times, within the approved time scales, and updating LED signs, Day/Night mode messages on the telephone system, etc. Art Gallery/The Paint Box: The Duty Manager is responsible for the servicing of Selection Days, hangings, workshops, classes and Private Views and assisting with Gallery sales throughout the exhibition. Banking/Cashing-up: The Duty Manager is required to issue and monitor floats, cash up the FOH and Bar sales, make accompanied visits to the Bank to pay in the daily takings and collect change, wages, etc and prepare the relevant sales reports as required. Security: A Security Guard is currently engaged 6.30pm till 11.30pm, seven days a week. The Duty Manager needs to ensure that the guard is carrying out his/her duties in accordance with Tricycle policy. Other: Duty Managers are expected to work behind the Bar or Cinema Sales counter when required. The Duty Managers are also required to:• • • • • • • Attend weekly staff meetings, when on duty Assist with special fundraising events Occasionally assist with outside events Be prepared to attend training courses or conferences Receive and entertain VIPs Perform any other duties mutually agreed Abide by and contribute to the Company’s Equal Opportunities Policy Contract: The initial contract offered will be for a fixed term of one year. Based on 45 hours per week (5 days), flexible shifts, days and evenings, weekends, Bank Holidays. No overtime is paid for additional hours worked, but will be taken as TOIL. Under normal circumstances a five day week is worked. Four weeks per year, plus additional five single days after two years continuous service. Four weeks on full pay, and a further two weeks on half pay per year, after three months continuous service. Three months, during which the notice period will be four weeks.
