Our temporary & contractor essentials handbook has been designed to provide you with useful information you need to know when you are on a temporary or contract assignment with randstad. Your consultant will brief you on each assignment prior to your commencement. If you have any queries feel free to raise these with your consultant. does Randstad have standards and protocols that i need to follow? Yes, we are focused on excellence and committed to fostering high levels of professionalism, so before you get started on an assignment it is important to familiarise yourself with our standards and protocols. • Randstad expects you to respect the rights of others and to treat them fairly. Harassment of any kind is not acceptable and could result in the conclusion of an assignment. Similarly, should you find yourself in an uncomfortable situation, do not hesitate to contact your Consultant. • When you enter different work environments you will be exposed to confidential or personal and sensitive information. Please ensure you keep all information confidential, even once your assignment has finished and do not breach your contract of service with Randstad and its clients. • When accessing a client’s computer network which includes e-mail, the internet and various software programmes, please remember they must be used for business purposes only and that confidentiality of passwords and information is paramount. The use of any systems for personal use or offensive / obscene material is unacceptable and may result in the conclusion of your assignment. • Except in the case of an emergency, please make personal phone calls only during breaks. Leave mobile phones off and diverted to your voicemail during work hours. • Be aware that all work places strictly enforce a non- smoking policy. Strive for success. Permanent opportunities often develop from temporary and contract assignments. If you encounter any difficulties or have a complaint, please address it with your consultant immediately rather than approaching the client. 2 need to know – money matters how will my pay rates be decided? Your pay rate will be agreed upon with your consultant prior to the beginning of each assignment. what do i need to know about completing manual timesheets? Two important sections on the timesheet are the Employee Number and the Booking Number. The Employee Number is a unique Employee ID Number that will be assigned to you. This number will not change. Always include your Employee ID Number on your timesheet. A Booking Number will be provided to you each time you are booked into a contractor/ temporary assignment. The Booking Number will be different for every assignment and will be issued by your consultant. You must put this Booking Number on your timesheet. If you require your Employee ID Number or a Booking Number for a contractor/ temporary assignment, please contact your consultant. what do i need to know about completing manual timesheets? Randstad’s e-timesheeting system allows you to submit your timesheet via our website. This system, which removes the need to fax the timesheet, allows the whole process to be completed online. Once your timesheet is submitted and authorised, you will receive an email notification that your timesheet has been received. Please ask your consultant if e-timesheeting is available to you. When using e-timesheeting, please remember the following points: • DO enter your hours using a 24 hour clock. • DO ensure that you are inserting the hours in the correct columns. • DO check the email address to ensure it is correct. • DO confirm with the client that you can receive external emails to receive confirmation of receipt of your timesheet. If you cannot, use your personal email address or a suitable alternative. 3 who needs to sign the time sheet? Timesheets must be completed and signed by yourself and the client prior to your pay being released. when do i have to submit my time sheet? When on an assignment, we will notify you when you need to submit your timesheet. Weekly time sheets, are required by Friday 5pm. Monthly Contractors, we require your timesheet by the agreed date for each month depending on the client site you are working at. The payroll cut-off for each month is the 26th of the Month. how and when will i receive payments if i’m a temporary? Payment will be made by electronic funds transfer into your bank account on the Thursday following the week we receive your timesheet. Payment on Thursday will not be guaranteed if your timesheet is received after the cut off deadline. how and when will i receive payments if i’m a contractor? Payment will be made by electronic funds transfer into your bank account. Your monthly pay date will vary depending on the client site you are employed at. However all timesheets must be received no later than the 26th of each month in order to ensure you are paid within the month. Your pay will be in your account no later than 3 days after the last working day of the month. We must receive a suitably authorised timesheet in order to be able to pay you. how can i claim expenses? All expenses must be approved by the client prior to incurring the expense, and prior to payment being made. An Expense Claim Form is to be completed with the relevant receipts attached. Expense claim reimbursements are made at the same time as your monthly or weekly pay. Should expenses be received after the pay run, then they will be paid the following month. 4 what is the process for making a leave request? Annual leave should be agreed on between yourself, your consultant and the client prior to taking leave. This will ensure that full coverage is available whilst you are away. A Leave Request form must also be completed and signed by the client. If you intend to take sick/medical leave, then we ask you to notify us as early as possible before you are due to start work on the day that is intended as sick leave. If that is not practicable, you must notify us as early as possible after that time. A Leave Request form must also be completed and signed by the client, along with a medical certificate. when will i receive my bonus payment if i am entitled to one? Should a bonus payment be part of your contractual arrangement, then this will only be paid following signed authorisation of the client. is there a payroll hotline that i can call if i have a query about money matters? Yes, if you have any queries, contact our payroll hotline on 6438 4465 or email your consultant. The payroll hotline can answer queries regarding taxation, expense claims, annual leave or medical leave entitlements and your pay. Advise us if there are any changes to your address, telephone number or bank account details to ensure you receive your pay and pay slips. If your call is answered by voicemail, leave your full name (including spelling), employee ID number, contact phone number and the reason for your call. Your call will be responded to promptly 5
