New Prospector Loan Rules
The Prospector system (http://prospector.coalliance.org) currently has a very straightforward and simple loan policy. All patron types and all items are lendable for 3 weeks with one renewal possible and a $100 lost volume fee. Two new loan rules are being added in August 2001: a media loan rule and a PASCAL journal loan rule. A media loan rule will offer a one-week checkout period with no renewals and will support libraries that may want to lend materials such as videos, CDs, DVDs and other specialty items but were unwilling to do so under the longer loan period. The lost item fee for media will remain the standard $100 cost. A PASCAL journal loan rule will offer a oneweek checkout period with no renewals but a $400 lost volume fee. PASCAL is the new remote storage facility being shared by CU/Boulder, University of Denver, Auraria and CU/Health Sciences. For the first time, patrons will be able to borrow bound serials that have been placed in the PASCAL facility. Monographs that are placed in PASCAL will be available with the standard Prospector loan rule. Libraries will need to add a new loan rule into their local library systems before the new policies can be activated. The central Prospector system has been updated to support the new policies. For more information, contact George Machovec (gmachove@coalliance.org) at the Alliance or Jim Farmer (jfarmer@manta.colostate.edu) at CSU who is chair of the Prospector Document Delivery Committee. The following instructions and tables are specifically designed for Prospector libraries running a local Innopac from Innovative Interfaces, Inc. Please contact the Alliance office for further information on libraries running the CARL System or the Voyager (Endeavor) system.
Steps to adding Media and PASCAL journal circulation periods (III libraries) for Prospector
NOTE: See the sample tables for how to set-up parameters in more detail..
Adding our two new 7-day parameters:
1. Prospector DD Committee must determine the number of the PROSPECTOR ITEM TYPE for media circulation as well as the PASCAL ITEM TYPE number at the Central level. [NOTE: THIS IS DONE: Chosen: 205 for Media and 206 for PASCAL Journals.] Add ITYPE 205 and 206 to Central. [NOTE: THIS IS DONE] Add ITYPE 205 and 206 to your local systems.
2. 3.
4.
Provide George (gmachove@coalliance.org) with a revised profile sheet for your institution after mapping your local ITYPES that will circulate on the new 205 and 206 Central ITYPES (if applicable). Add a Central Rule Selection Entry for media and PASCAL. [NOTE: THIS IS DONE] Add a Local Loan Rule for media and PASCAL circulation setting the loan time at 7 days with no renewals. PASCAL loan rule will differ in price fields for replacement cost ($400 vs. $100 for media). Add a Local Rule Selection Entry for Media and PASCAL. Establish a testing plan if necessary. Establish an implementation date.
5.
6.
7. 8. 9.
Note if you use the Visiting Patron Option, you may have additional adjustments to make. Check with George or Jim for how to proceed. We may need to study up on this again! August 20, 2001 comments from Jim Farmer on new loan rules. For everyone setting up for Pascal and Media on III: If you are a library that is a part of PASCAL or are using the new media option, your setup will be more complicated because you will not only have to set up to send Pascal or media as well as receive Pascal or media For example, at CSU, I only needed to add 2 local loan rules for 205 and 206 (different due to billing prices). Then, in the rule selection table, I added 2 new lines corresponding to each of these for checkout at our Circ Desk. This is because CSU is only receiving. All of our media will be loaned via the 3-week loan period so we didn't have to add any institution-to-institution loan rules. Should we in the future use either of these for loaning, those will have to be put in. So, for lending and receiving sites, you need to do the above in order to circulate to patrons at your desk. PLUS...In order to circulate to other institutions, you will need more institution loan rules and rule selections. I'm hoping this makes sense. The other glitch could result if mapping to the new ITYPES 205 and 206 is incorrect. Be sure George has the right ITYPES from your local institutions to map correctly to these. Then, also be sure your items have the proper ITYPE in order to Circulate.
