DISTRICT EXPECTATIONS:

      When a new piece of AV equipment is received in the media center, media specialists will enter the
       equipment into Destiny by adding it to an existing District record for that type of equipment. The
       District record has “District” in the author designation.
      Be certain to search for the exact title of the equipment using the “FCS Media Services: District
       Equipment Authority Name File.” If a “District Record” cannot be located for your type of equipment,
       please contact a Destiny Administrator by email to have a new “District Record” created for this type of
       equipment.

NOTE: Fulton County Media Services recommends that the media specialists enter into Destiny all equipment
      purchased through the Media Center or Media Services and circulated from the Media Center or any
      items requested by principals. Therefore some schools may not need to enter all AV items on the
      “FCS Media Services: District Equipment Authority Name File” into Destiny.

The school media specialist should ensure that all school copy information that is required by the district is
complete:
           Serial number,
           F.C. barcode number if issued by Property Control,
           Cost, vendor, date of purchase and fund source if known.

District records for AV equipment are being created in order to have fewer, more searchable equipment records.
When a District record has been created by the Destiny Administrators, schools move their existing copies from
their “school-made” records to the District record in the Destiny catalog.


TWO WAYS TO COMBINE EXISTING SCHOOL-BASED EQUIPMENT RECORDS
AND DISTRICT RECORDS:
   1. Separate instructions for merging school-based equipment records with existing District equipment
      records are available in another document.
   2. If a media specialist does not want to merge the local school equipment records with the district records,
      these are the steps to add a school’s equipment to the district records:
           a. Find the school’s MARC record with copy information for the piece of equipment
           b. Print or record the “title details” record and all relevant copy information, i.e., FC barcode, serial
              number, date of purchase, cost, vendor, funding source, etc. This information will be re-entered
              into the appropriate district record.
           c. Delete copies from the existing record before transferring the copy information to the District
              record
           d. Follow the steps below for adding copy information to the District record.

INSTRUCTIONS FOR ADDING AV EQUIPMENT TO DESTINY:

  1. When a new equipment item is received in the media center, refer to the list “FCS Media Services:
     District Equipment Authority Name File” to find the District Authority Name for the item.
  2. If a District Authority Name is in the list, the school copy information should be added to the
     appropriate District record. Search for the District record by going to
            a. Catalog – Library Search.
            b. Then put in “District name of equipment item” in the search box,
                     i.e., district audio card reader.
            c. Narrow your search to:
                  i. Location: “Fulton County School District” and
                 ii. Material Type: “Equipment.”
                iii. Click “Keyword”

      d. Look for the record with your type of equipment and District listed in the author field.

      e. Click on “Details” and then click “Add Copies.”

      f. Put in all relevant copy information including:
           i. The standard call number from the “FCS Media Services: District Equipment Authority
              Name File”
          ii. The serial number on line 1 of the “Volume, Issue, etc.”
         iii. The model number on line 2 of the “Volume, Issue, etc.” and
         iv. In the Notes field include all components that came with the basic equipment.

      g. Go to “Site Subjects” on the “Title Details” page and add the serial number here. This is vital
         because it makes the serial number searchable in Destiny in case all other bar code labels are
         lost.

3. If a District record does not exist, the media specialist should send the following information to the
   Destiny Administrators by email to request a District record be added. The information the media
   specialist should submit includes:
         a. equipment title
         b. alternate titles also used, if known
         c. brand name

The spreadsheet of The Fulton County District Equipment Authority File Names and the call numbers to be
used follows on the next pages. As new equipment titles are added the updated information will be
available on the Media Services website.
