					Instructions

In order for all of our post-course appraisals to be in the same format throughout the year, could we all
follow the guidelines below in order to ensure consistency throughout.

Please enter your appraisal results into the 'form' worksheet, which you can select from the tabs below,
ensuring that you complete the box titled 'Main Syndicate/group' each time.

Please note that under NO circumstances should you insert or delete any row or column in the 'New
Charts' sheet. There is hidden underlying code, and if moved to a different position on the page will make
the graphs change and show incorrect responses.


If you click on the 'Score' worksheet you will have to manually look to see if the variance is correct.
As some people will have not put in a before and after score, the calculation will take the variance
as the after score - as it assumes the before score is 0. We need to delete the variance where the
before and after fields are not complete - BEFORE GRAPHS ARE CREATED

When you have completed this, click on the 'New Charts' worksheet below, and on the right hand side of
the page (you may have to scroll across, depending on what zoom you are on), there is a button labelled
'Update Charts'. Click on this button and the programme will update the scores you have just entered.

The document creates two graphs for Questions 1-12, one a bell curve with frequency of before and after
scores, and another recording the variance. For the details which are sent out to the tutors, we are NOT to
send the variance graph. These will need to be deleted from the page (as there will only be one graph on a
page, you will need to move the graphs to make the document smaller (remember not to insert or delete
rows/columns)), and the document resaved under a different name. The original document should be
saved first, which is for internal use only.

The appraisals should be saved in a folder inside the Appraisals folder which can be found in
T:\Insights\Grad Schools\Courses 2003\National Courses (CRAC run)\Appraisals 2003 . This is to make
sure we don't have a repeat of last year, when we couldn't find all of the appraisal entry's at the end of the
year.

The charts will need to be saved individually for each group. You will need to change the 'Score' sheet to
tell it to show which group to give the results for. By default it selects all of the results. In cell A2 you can
select each group individually from the drop down menu. Then return to the 'New Charts' worksheet and
click on 'Update Charts'. The only results that will change are for Question 13. You will need to save the
document as many times as there are groups (for each group). (You will find it quicker if you delete the
variance graphs, before saving the document for each group, otherwise you will have to delete the graphs
from every document!)

We only plan to give the tutor the results from their own group for Question 13. All of the other answers
they receive on their appraisal form will be for the whole course. We are NOT going to give the tutors the
comments which were written by their group.

These charts are in the correct position and format to print.
Next, with regards to the text answers, for Question 15 you will need to sort these answers into these
categories - PhD, Careers, Personal Effectiveness, Teamwork, Course Design and Other. You will find it
easier to copy the comments from the 'Text_Ans' sheet, into the 'Sorted Text_Answers' sheet, sorting them
as you move each comment.

For Question 16, you need to manually create a frequency chart, recording how many people commented
about individual case studies. You don't need to copy across what each individual has written, just total up
the number of responses. For an example please see the appraisals from the Manchester 1 GRADschool
saved in the above appraisals folder.

For Question 17, please just list the comments as you have them, they don't need sorting.


Please note that with the text answers, they are sometimes longer than the cell allows you to see. If this is
the case you will need to merge the row with the row below. Please take care not to copy over answers that
are already there. You will need to move all the answers below down a row before merging. To merge,
highlight the two cells you wish to merge (one of them must be empty), and click on the merge and centre
button, which can be found inbetween the align right, and currency buttons on the menu.

Please use the 'Document Cover' worksheet below as a front page for your appraisal documents. You will
need to enter your course name and dates. This is just for presentation consistency. The second page
should also be printed when outputting the appraisal results.

To summarise - the tutors will receive the before and after bell curve charts for Q1 - Q12, the graph of
ratings for their own group for Q13 - but with no text answers, Q14 bar chart for the whole course, Q15
comments sorted into categories, Q16 responses in a chart, and comments for Q17.

Guidance for reading appraisals



Quantitative questions (Q1 – Q12)
These questions relate to the competencies in the Joint Skills Statement. The
changes in the ‘before’ and ‘after’ scores are measures of the distance travelled by
participants.

These notes should help you read the results:

 If you see a normal distribution ( looks like a bell) at the start of a course
 (particularly around a mode of 5) it is characteristic of a competency of which the
 participants are unaware.

 If you see a skewed distribution (doesn’t look like a bell) at the end of the course it
 is characteristic of a competency of which participants have become aware.


 Increases in average and mode (most common score) are measures of impact and
 potential gain.

 A substantial change of two places or more (0.5 Standard Deviation) is a step-
 change: a powerful prompt for a different attitude or a radical self–evaluation.

 However a change of one place for all participants is also a huge achievement.


Open ended questions (Q15, Q16, Q17)

 Everything that is significant is probably mentioned by at least one person.
