The Frederick County Business and Employment Center cannot assume responsibility for private property used on Business and Employment Center premises; although private property can be used, it shall be at the owner’s risk. Any damages to Frederick County Business and Employment Center premises, furniture, equipment, etc., as a result of group or individual use will be the responsibility of the applicant and paid based upon current replacement costs. 2. Conference rooms are to be vacated promptly at the end of the scheduled date and time. 3. Frederick County Business and Employment Center, their officers, employees and agents are hereby released and discharged from any and all liability arising from injury to persons or damage to personal property in or about the Business and Employment Center premises resulting from use of the premises. The main entrance of our center will provide direct access to the conference area. All participants will need to sign-in and wear a visitor badge for security. It is understood that all policy and procedures statements and regulations have been read. Inquiries concerning the meeting may be referred to the undersigned. The undersigned is liable for all damages. 4. When scheduling, request 30 minutes prior to the program start for set-up and 30 minutes after program for clean up. 5. Set-up and clean up is the responsibility of the individuals using the Conference Room. Clean-up requirements are: a. Straighten tables and chairs. b. Clean tables if applicable. c. Place trash in receptacles. Receptacles should not be filled to overflowing. Please ask for additional trash bags if needed. 6. To minimize interruptions to BEC staff, please inform meeting participants of the following: a. Please instruct participants to use visitor parking spaces in the front of the building first, then use side employee parking lot. b. All visitors must sign-in and sign-out at the front desk/reception area each time they enter the building and upon exiting the building for lunch and for the day. Badge must be worn and displayed during each visit. c. Smoking is permitted outside the BEC. The smoking area is at the rear side of the building by the picnic table. Please use the receptacle provided for cigarette butts. d. The telephones in the conference rooms can be used for local calls, please dial “8” to reach an outside line. e. Meeting participants can use soda and snack machines in the Café. f. Bathrooms are located in the hallway straight across from front door. 7. Please advise staff at the BEC within 24 hours if your meeting has been cancelled.
