JOB DESCRIPTION – FRONT OF HOUSE MANAGER
Responsible to: The Production Manager.
Responsible for:
• At all times, ensuring the safety of the patrons.
• Ensuring the Front of House operates in a friendly, smooth and efficient manner throughout the
evenings of HAG production performances, in an environment that conforms to Health & Safety
and Fire Regulations.
• Ensuring that he/she has detailed knowledge of the hall layout, its exits and the location of all
safety equipment.
• Briefing the full team together so that FOH tasks are allocated to individuals where necessary.
While FOH personnel may swap roles it is essential that safety tasks are not changed, otherwise
misunderstanding may lead to a lack of cover in a critical safety area.
• Encouraging FOH personnel to attend the Trial Performance for an initial briefing, and to gain an
understanding of the show.
Duties:
• Attend Production Meetings
• Recruiting the FOH Team and agreeing the schedule of attendance. Ensure that there are enough
personnel to cover the following areas:
o Greeters at the main entrance
o Programme seller(s)
o Ushers
o Hall Monitor
o Serving and clearing the meals and coffee
o Patron car-parking, where applicable
o Deputise for Box Office, if required
o Manning the exit to farewell patrons
• Ensure patrons are well looked after from when they enter the venue until they leave.
• Encourage a welcoming, enthusiastic and upbeat atmosphere amongst the FOH volunteer force.
• Ensure the venue is correctly prepared prior to the doors opening.
• Responsible for programme sales.
• Liase with Box Office to determine audience numbers (tables and personnel required).
• Liase with Stage Manager during the run.
PRIOR TO THE PRODUCTION
• Attend production meetings or ensure briefing received from Production Manager.
• Check linen clean.
• Check cruets and replace contents.
• Procure table decorations.
• Contact Treasurer to arrange float, if required.
• Ensure coat rack is available for patrons, if required.
• Check with Stage Manager to ascertain whether a trained First-Aider is available.
• Check torches in order with good batteries and suitably located in case of lighting failure.
• Have sufficient seating plans printed.

DURING PRODUCTION
Responsible for:
• Check tables/chairs are positioned correctly FOH Appx 1 refers - HAG Supper Theatre Table
Layout.
• Lay up tables to HAG Format. FOH Appx 2 refers.
• Check accessibility and function of all emergency /fire exits.
• Check all Hall emergency access doors are closed prior to performance to ensure all patrons enter
via the foyer.
• Prepare cash float for programme sellers.
• Brief FOH personnel on duties. FOH Appx 3 refers.
• Assign one person to monitor the audience from within the Hall (with headset) – the Hall
Monitor.
• Maintain close liaison with Stage Manager.
• Actively promoting sales of programmes.
• Monitor FOH activities to ensure patrons are seated in a timely manner.
• Supervise the serving and clearing of meals.
• If linen is badly soiled, arrange for cleaning and return between performance weeks.
• Clear tables and relay for following performance, if required.
• Assist Catering personnel in clearing the kitchen, if requested.
• Ensure the main foyer is manned at all times to take care of late arrivals and provide security.
• Ensuring the No Smoking rule is adhered to.
• Mid run, if required, ensure the table decorations are in good order.
POST PRODUCTION
• Ensure that linen has been cleaned and returned to the Clubhouse.
• Sell on the table decorations.
Note: It is the responsibility of the FOH Manager to ensure that a full team is recruited. If difficulty is
experienced then the Production Manager should be advised.

Refer FoH Appx 1 for details of physical table layout. This appendix details individual table layout plan.
White tablecloths.
Gingham overlay tablecloth, where appropriate, on all tables (usually laid to cover stains).
Table Letter signs and seating plan.
Place setting, as advised by FoH Manager.
Flower settings (table decorations).
Table number and seating layout diagram, in accordance with FoH Appx 1 plan.
No Smoking signs.

Front of House Personnel – Team Briefing
FoH Appx 3
Front of House teams will vary in size according to the type of performance. With the Victoria Hall an
absolute minimum of six (6) personnel are required where no food is being served. Where food is being
served a minimum of eight (8) personnel are required.
A team briefing for all volunteers must take place each night and should occur 45 minutes before
curtain up. The briefing must include the following:
1. Allocation of Tasks:
Greeters at the door
Helpers, if necessary, at the ticket desk.
Programme sellers.
Ticket checkers and ushers.
Wearer of intercom headset. (For inter-departmental liaison throughout performance).
Food serving - allocation to tables.
Table clearance.
Assisting with coffee.
Helping with coats.
Manning the exit to thank patrons and say ‘Goodnight’.
Escorting patrons off the premises.
Help clear tables and hall.
Re-lay tables and set out for next performance.
Help wash up and clear kitchen.
2. All volunteers should be made aware of their responsibility with respect to the following:
Safety and hygiene in the kitchen, wearing gloves for food preparation.
Location of First Aid Kit/s.
Location of Emergency Exits.
Visibility of ALL Emergency Exit lighting.
Location and usage of ALL fire equipment.
Ensuring that ALL fire exits are accessible and functioning correctly at all times.
In case of evacuation, nominating a member of staff responsibility for each exit.
3. Other FOH Team responsibilities.
Control the foyer lighting, reducing during performance to minimise spill over into hall.
Ensure that noise in foyer, kitchen and other rooms off the foyer is kept to a minimum.
4. FOH should be aware of Victoria Hall Charitable Trust responsibilities.
The FOH Team are responsible for reporting any deficiencies noted in the Charitable Trust
responsibilities to the FOH Manager. The Charitable trust is responsible for the following:
External - Security and car park lighting.
Illumination of the entrance to the Hall.
Car Parking.
Car Park notices.
Internal - All fire equipment. Includes extinguishers & fire blankets.
Medical/First Aid kits.
Emergency Exit signs. & Emergency lighting.
