INSTRUCTIONS FOR COMPLETING THE CONTINUING EDUCATION MAPS REPORT

      Non-Credit Data Collection Memos
      The files for the data collection memos are under a folder called "CE Survey"
      Memo form letters - one per semester
      List of names of the official letter recipients
      List of the contacts at the campuses (different from the official recipients)
      Merge files for letters
      Process the memos
      Update the list of recipients (secretary will check them for accuracy)
      Update the form letter with new dates and other revisions as needed
      Perform mail merge and check results for accuracy and completeness
      Sign memos and give to secretary for posting
      Set up new data folder
      Update the contact list as needed
      Print the list and set up the folder for the new semester

      MAPS Report Workbook Preparation
      Copy workbook file and rename to new semester
      Preserve historical data
      Zero out the tables for data input (this step will help to prevent errors and is highly
      Update titles and dates

      Non-Credit Data Collection
      Follow up with reporting units with e-mails and phone calls to collect data
      Rename spreadsheets that come from the reporting units with naming convention:
      CCNCSDD.xls, where CC = campus abbreviation, S = semester, DD = year (note NC is a
      Put spreadsheets into a new folder for the given semester
      File any hardcopies that are submitted by the reporting units into the project folder

      Non-Credit Data File Preparation
      Open the data file workbooks and clean them up as needed - add rows, columns, organize,
      Ideally, campuses should provide course name, start and end dates, enrollment counts, and
      Verify start and end dates to ensure that the courses fall into the correct reporting period.

Narrative
Copy narative file and rename to new semester
Edit Methodology section for changes and dates as needed
Revise the Summary and Highlights section with new information and analysis
Print draft and review
Make corrections and print final narrative

Cover Sheet
Cover sheets are in a folder named "Cover Sheets" (there is one sheet per MAPS report)
Revise cover sheet with new dates and print

Cover Memo
Memos are in a folder called "Cover Memos" (there is one cover memo per MAPS report)
Revise memo as needed and print
Inital memo and attach to front of report

Give completed report top supervisor for review
After review, make changes to report as indicated
Give finalized report to secretary for pagination, duplication and distribution
