									  Getting Started with the CB Marketing Services Online Ordering System
 The CB Marketing Services Online Ordering System is a web-based system that allows agents to
 place orders for Brochures, Postcards, and Advertisements. The format of the order system closely
 follows that of the paper forms that agents are already familiar with, making it as easy as possible to
 learn.

 Using the Online Ordering System offers the following benefits:

         •   Email messages are automatically sent to agents when new orders are submitted, and
             again when orders are completed. No more need to call or send an email to confirm
             that we received or completed your order!
         •   Agents can see at a glance the status of their orders as soon as they log into the sys-
             tem.
         •   Because orders are stored in a central database, the CB Marketing Services team can
             share knowledge of new orders, assign order items to individual team members, and
             utilize the workflow management features of the system to ensure that orders are proc-
             essed in a timely manner.

 This guide is intended to provide new users of the CB Marketing Services Online Ordering System
 with an introduction to the use of the system so that they can quickly learn how to create a new ac-
 count, create an order, and navigate the system.

                                    Logging into the System

 The CB Marketing Services Online Ordering System can be accessed directly using Internet Explorer
 at:

 https://www.cbmarketingservices.com/ordersystem/

 It can also be accessed from the Ordering page of the CB Marketing Services web site.

 Note that this is a secured site. Therefore, all of your login, password, and order information is
 encypted in transmission and kept safe.

 The login window will appear as shown below:




 The first time you access the system, you’ll need to create an account. Click the “Create Account”
 button to begin. See the Creating an Account section on page 3 of this document for further instruc-
 tions.

 If you’ve used the system before and have already created an account, simply type your login ID in
 the “Login ID” field, type your password in the “Password” field, then click the “Login” button.

                                   Creating a New Account

 Once you’ve accessed the system for the first time and clicked the “Create Account” button on the
 login window, the following window will appear:




 Complete the form as indicated in the picture above. Keep in mind the following guidelines:

         •   Login ID - This should be in the format of your First Initial and Last Name (e.g. cblan-
             colosada).
         •   Email Address - This is the email address that the system will use to deliver automatic
             notification of the submission and completion of your order. So please enter an email
             address that you check regularly!
         •   Password - For security reasons, your password should be at least 8 characters long.
             We suggest that you use a combination of letters and numbers.
         •   Agent Name - Type your full name (e.g. Carolyn Blanco-Losada) in this field.
         •   Phone Number - We suggest that you enter a phone number where you are easily
             reachable. For this reason, cell phone numbers usually work best.
         •   Fax Number - This is not a required field, but it never hurts to include it!

 Once you’ve entered all the necessary information, simply click the “Save” button to complete the
 creation of your account. You’ll be returned to the Login window (see page 2 of this document).
 Enter your new login ID and password, click the “Login” button, and you’ll be taken to the Welcome
 window.

                                        Creating an Order

 Once you’ve logged into the system, you’ll be taken to the Welcome window as shown below:




 To create a new order, click the “New Listing” button. You’ll be taken to the New Listing window, as
 shown on the next page of this document.

 IMPORTANT: Please have all order information ready before you place a new order. Due to secu-
 rity requirements, the system will require you to log in again after a designated period of inactivity.
 If this occurs, you will lose your work and will be required to re-enter the order.

 Complete the information as shown in the picture above, and check the appropriate boxes to indicate
 the type of marketing materials you need (Brochures, Postcards, and/or Advertisements). Keep in
 mind the following guidelines:

         •   Subdivision - This field is not required, but is helpful if you will be mailing to a specific
             subdivision.

         •   Broker’s Open Date and Open House Date - The format of the date should be MM/
             DD/YYYY (e.g. 09/18/2005). Clicking on the calendar icon will open a pop-up window
             that will allow you to easily choose a date. Note that currently only one date can be en-
             tered per order. If you have Open Houses on Saturday and Sunday of a given weekend,
             indicate the second date in the comments field on the Brochure, Postcard, or Advertise-
             ment order windows (as needed).
         •   Zip - Use the basic 5 digit Zip Code, not Zip+4.
         •   Photos - If you have photos you wish to upload, indicate that here. You will be able to
             upload the photos on the succeeding order windows.

 Once you’ve entered the basic information about your property, check the appropriate box(es) to
 indicate the type of marketing material you need (Brochures, Postcards, or Advertisements), then
 click the “Next” button. You’ll be taken to the corresponding order windows.

 If you selected Brochures on the Create New Order window, the Brochure order entry window will
 appear, as shown below:

 Complete the information as indicated in the picture on page 7. Keep in mind the following guide-
 lines:

         •   Brochure Type - You can select as many types as you need by checking the appropri-
             ate boxes.
         •   Quantity - Note that this requires a numeric entry (i.e. “50”, not “fifty”).

 When you’re finished, click the “Next” button to continue the order process.

                                       Postcard Order Entry

 If you selected Postcards on the Create New Order window, the Postcard order entry window will
 appear, as shown below:

 Complete the form as indicated by the example on the previous page. Keep in mind the following
 guidelines:

         •   Type - Use the pop-up menu to select the appropriate type of postcard (Just Listed, Just
             Listed/Open House, etc.).
         •   Quantity - Note that this requires a numeric entry (i.e. “50”, not “fifty”).
         •   Use Photo - If you have a photo you wish to upload for use in the postcard design, se-
             lect this radio button. Follow the instructions in the Adding Files section to upload your
             photo.
         •   Preferred Mail Date - The format of the date should be MM/DD/YYYY (e.g.
             09/18/2005). Clicking on the calendar icon will open a pop-up window that will allow
             you to easily choose a date. Note that this is a required field.
         •   Use Attached List - If you have a mailing list you wish to use, check this box. Note
             that mailing lists must be in Excel format. Follow the instructions in the Adding Files
             section to upload your photo.

 When you’re finished, click the “Next” button to continue the order process.

                                    Advertisement Order Entry

 If you selected Advertising on the Create New Order window, the Advertising order entry window will
 appear, as shown below:




 Complete the form as indicated. Keep in mind the following guidelines:

         •   Date of Ad - The format of the date should be MM/DD/YYYY (e.g. 09/18/2005). Click-
             ing on the calendar icon will open a pop-up window that will allow you to easily choose a
             date. Note that these are required fields.

         •   Directions - Note that this is a required field.
         •   Attach Photo - If you have a photo you wish to upload for use in the Real Estate Book
             ad, use the Add Files button to upload the file. See the Adding Files section of this docu-
             ment for additional instructions.

 When you’re finished, click the “Next” button to continue the order process.

                                              Adding Files

 If you have photos, a floor plan, or a mailing list (in Excel format) that you wish to upload with your
 order, simply check the appropriate radio button on the Brochures or Postcards order windows and
 then click the “Add Files” button. Doing so will open a window similar to the one below:

 Click on the “Browse” button to locate the file you wish to upload. The standard Windows Open and
 Save window will appear, as shown below:

 Navigate to the file you wish to upload, then click the “Open” button. You will be returned to the
 Add file window. It will now display the path and name of the file, as shown below:




 Select the appropriate File Type using the pop-up menu (if necessary), then click the “Add File” but-
 ton.

 The window will now display that you have added the file, as shown below:




 Repeat this process to add more files if needed. When you’re finished, click the “Close” button. You
 will be returned to the appropriate order window.

                                      Completing your Order

 Once you’ve entered the initial property information and have completed the forms for the desired
 marketing materials (Brochures, Postcards, or Advertisements), you’ll be taken to the Confirm Order
 window. A portion of this window is shown below:




 Scroll down the screen and confirm the details of your order. If you see something you’d like to
 change, click the “Change Order” button. You’ll be returned to the initial order window. Simply re-
 view each item, clicking the “Next” button to continue through each window. Make any changes
 necessary. When you’re finished, you’ll be returned to the Confirm Order window.

 Once you are confident that the information in your order is accurate, click the “Submit Order” but-
 ton. You’ll be presented with a window informing you that your order has been submitted, and an
 email will be sent to the email address specified when you created your account. Click the “Click
 Here to Return” button to return to the Welcome window. From there you can either create a new
 order or, if you’re finished, log out of the system.

 Once you are confident that the information in your order is accurate, click the “Submit Order” but-
 ton. You’ll be presented with a window informing you that your order has been submitted, as shown
 below:




 In addition, an email will be sent to the email address specified when you created your account.
 Click the “Click Here to Return” button to return to the Welcome window. This will now show your
 new order and display the status. From there you can either create a new order or, if you’re fin-
 ished, log out of the system.

                                           Troubleshooting

 Here are some of the most common questions and problems and their solutions:

 “I can’t use the built-in calendar pop-up.”

 Newer versions of Internet Explorer include a built-in pop-up blocker. This may be blocking the cal-
 endar feature, which appears as a pop-up window. To enable pop-up windows in the Ordering Sys-
 tem site, follow these instructions:
         1. Click on the Tools menu.
         2. Select Pop-Up Blocker.
         3. Select “Always allow pop-ups from this site.”
         4. In the confirmation window that appears, click the Yes button.

 “I get a window with an MS SQL Server error message.”

 This can be caused by a variety of things, but we’ve noticed that most of these error messages are
 caused by entering text in a quantity field on one of the order windows. For example, entering
 “fifty” instead of “50” as the quantity of brochures. If you get this message after completing an or-
 der screen, use the Back button in Internet Explorer to return to the order screen, check that you
 have entered only numbers in all of the quantity fields, then try again to process the order by click-
 ing the Next button at the bottom of the screen.

 If the error message persists, copy the error message text and paste it into an email message ad-
 dressed to help@cbmarketingservices.com. Please include a brief description of what you were do-
 ing when then error message occurred. We’ll forward it to our developer for analysis.
