					                                      Marketing Coordinator
                                       Position Description

At Malone & Bailey, PC, our mission is to provide small public companies with big-firm audit
and reporting expertise while maintaining our small-firm efficiency and service.

Position Purpose
To professionally and efficiently manage and coordinate the administrative details of Malone & Bailey’s
marketing projects, including personnel recruiting strategies, while providing administrative back up to
members of Malone & Bailey’s administrative team.

Position Reports To
John Malone, Managing Partner

Position Responsibilities
The primary responsibilities of the Marketing Coordinator are:
Marketing:
• Prepare and coordinate correspondence and mailings
• Coordinate the design and placement of any advertising campaigns
• Maintain and coordinate changes with designer for the Malone & Bailey web site and any other
   collateral materials
• Write collateral materials such as manager and partner bios, PDF flyers, and other materials as
   necessary, with the assistance of outside vendors when appropriate
• Own, schedule and write the recaps for monthly marketing meetings
• Maintain the firm-wide marketing calendar and research new marketing ideas as they are generated
• Maintain inventory of promotional materials (i.e., PDF brochures, flyers, giveaways, etc.)
• Assemble sales literature and fulfill requests for literature
• Prepare and mail proposals
   o Maintain pipeline to track all proposals delivered, status of activity and source of opportunity
   o Follow up on proposals that have been delivered when assigned to do so
   o Track reasons for lost proposals
• Develop and maintain firm-wide sales pipeline and participate in sales meetings as scheduled
• Qualify and schedule new sales opportunities for the partners
• Coordinate and manage the fulfillment after engagements are closed, including:
   o Conduct a hand-off meeting with client owner to ensure client work is scheduled and take on
       other duties as assigned for that engagement
   o Ensure that client is set up in Malone & Bailey’s time and billing system and any other client
       contracts or systems set up are completed
   o After new engagements, place follow up calls to client to ascertain if their expectations have
       been met (if not, write up client’s remarks and address with Firm Administrator)
• Other duties as assigned

Personnel and Recruiting
• Helps Firm Administrator plan and coordinate all firm social events
• Coordinates any recruiting advertising, including print and web site advertising
•   Manages other recruiting campaigns including direct mail letters and other outreach to promote
    M&B in the community
•   Plans any campus recruiting activities, when appropriate
•   Tracks all staff candidates in a pipeline, including the status, next steps and source of the candidate
•   Conducts initial telephone interview using approved qualification script and schedules candidate for
    interview with hiring manager when appropriate
•   Other duties as assigned.

Skills and Education Required
The skills and education required for this position are:
    •   A minimum of 3-5 years marketing or sales administrative experience;
    •   Professional services firm employment experience a plus;
    •   Computer proficiency with Microsoft Office, Front Page/DreamWeaver skills required;
    •   Good communications skills;
    •   Excellent writing skills, ranging from simple business emails and memos to crafting marketing
        messaging and biographies;
    •   B.A. in marketing, business or organizational development a plus; and
    •   Strong team work skills and the ability to follow directions.
