                     The One Stop Medical Technology & Hospital Exhibition


                                 Terms and Conditions
       1. The sponsors / exhibitors are requested to send the duly completed and signed form, along with the payment by
          demand draft or electronic bank transfer to the Conference Secretariat. All demand drafts should be in favour of
                     , payable at New Delhi (Cheques will not be accepted). For Bank Transfer, please collect details from
          Secretariat.
       2. The Organizing Committee will provide two meal coupons per day to the exhibitors for each exhibition stall booked for
                 . For companies booking larger exhibition space, number of complimentary coupons will increase in proportion
          to the exhibition space booked. Additional lunch coupons, if required, can be obtained on payment basis during the
          conference.
       3. The Organizing Committee will confirm the allotment of sponsorship options and exhibition booth on first-cum-first-
          serve basis.
       4. While every effort will be made to stick to the announced details, however if there are unforeseen circumstances, the
          Organizing Committee reserves the right to change the keyplan of the venue, date of           , the layout drawings of
          the key plan and exhibition stalls, as it may deem fit.
       5. An official letter of possession will be issued to the sponsor / exhibitor by the Organizing Committee of
          only after receipt of 100% payment. (No cheques will be accepted please)
       6. All the sponsors / exhibitors are requested to arrange for their comprehensive insurance, for their personnel, equipment
          and material during the conference.
       7. In order to encourage excellence in design and display, the Organizing Committee has decided to award prizes – first,
          second and third, to the best sponsors / exhibitors for their imaginative design and display. You may please note that
          cloth banners are not allowed to be displayed either inside or outside the Venue.
       8. Plans and design proposals for booths must be submitted in triplicate to reach the Organizers for approval not later
          than three months before the exhibition. Drawings submitted must be a reasonable scale, fully dimensioned and must
          contain information such as floor plan, stand elevation, fittings and materials to be used, moving exhibits, audio-visual
          equipment, point loading of exhibits, no custom-built stand shall be permitted at the exhibition unless the plans and
          design proposals have been approved in writing by the Organizers.
       9. All custom-built stand material used and its construction must conform to the rules and regulations of the Exhibition.
          No duplex exhibit shall be permitted and no exhibit or part thereof shall extend or project beyond the space assigned
          to the Exhibitor.
     10. Any audio-visual equipment, if used, must not cause any inconvenience to other exhibitors or delegates. The Organizers
         reserves the right to appoint one or more exclusive audio-visual equipment suppliers whereupon the Exhibitor shall be
         obliged to hire equipment from the exclusive supplier.
     11. Publicity materials may only be distributed from the exhibitor’s own stand. No advertising, demonstration or canvassing
         for business may be carried out anywhere else within the exhibition venue. No exhibits or advertising signs shall be
         placed outside the confines of the Exhibitor’s stand.
     12. The Organizers shall not be responsible in any manner whatsoever for the consequences of any commercial transaction
         made during the Exhibition.
     13. No sale of materials / products / equipment is permitted during the show.
     14. All disputes are subject to Delhi Jurisdiction only to the exclusion of all other courts.
     15. You are requested to carefully study this documents and layout plans, in order to make appropriate choice of
         sponsorship options / exhibition booths as per your preference.
     16. The standard clause of Force Majeure will apply during the preparation as well as duration of the                i.e. events
         beyond control but not limited to act of God’s, natural calamities, flood, fire, storm, disaster, war or war like situation,
         strike in the city or any other wide spread emergency like processions, transport strike etc.
     17. Cancellation or Reduction of Stall.
          No refund will be allowed against advance booking amount / reduction of booth(s) space. 50% of the total amount
          payable against stall charges will be refunded, subject to receipt of full payment, if cancellation request is received by
          15th October, 2010. The refund would be sent only after the conference is over.
