IHS-IT’s Quick Guide for new users

 Where to get help:
      1. send email to hotline@ihs.ac.at
      2. call extension 221 for hardware issues
      3. call extension 222 for software issues

 Where to store data:
by clicking on Computer you will see the following drives available:

H: (home) network drive. Store your data on H:\Documents (an icon
providing a shortcut to this location is available on your desktop): The
default permissions are that only you can read, write, edit and delete files
below that directory. The directory H:\Group restricts access to write
content to you and for reading to all members of your login group (ie. your
department). The directory H:\Public gives read access to you and to all
members of the IHS. The subdirectory H:\Documents\private is only
accessible to you, please store sensitive data there.

J: (group) network drive. Storage space for certain groups. These
subdirectories are only accessible if a project leader or head of
           department requests access for you.

U: (users) network drive. Provides a way to change to directories of other
users. You also find there the subdirectory alle where everyone has the
right to read, write, edit and delete files. This directory is provided for
exchanging data with others. Sending files with email multiplies the space
needed, so exchanging them through copying is the preferred method.

D: local disk drive of your PC. If you store data there you are responsible for
backup. Everyone who logs in to this PC can access and delete your files.
In case of a disk failure all data will be lost. Don’t use this for important

B: (Mirror) network drive. Online backup of your files on drive H: of the last 30
days, sorted by date. A quick way to restore accidentally deleted files or
           previous versions.

Limits: Each user gets a default network storage limit (H:+J:+U:) of 500MB.
Use WinZip to compress data not used everyday (eg. finished projects
and papers). After you have successfully created a zip archive, remember
to delete those directories and files you have included in your archive.
Please contact hotline@ihs.ac.at if you need more disk space (eg for
          active project data).

Backup: Data on all network drives is backed up to tapes each night. If you know
the filename or at least the directory containing the data, this can be
restored for 1 year after the last time you changed it.
 Public PC Room: A public PC room is located in the ground floor, equipped with
9 PCs, printer, scanner and beamer.

 Beamer: Beamers are installed in the public PC room, lecture room ground floor
(Hörsaal HS II Altbau), lecture room 6th floor (SZ VI) and lecture room
Schottenfeldgasse. You may borrow a portable beamer for short time use.

 WLAN: Wireless network access provides easy access to the Internet. Just open
your favorite Web browser, select the wireless network lhotse and you will be
automatically redirected to a page where you can authorize yourself by entering
    your username and password.

 Yellow Cable: These are special wall sockets providing access to the Internet by
a cable connection if your notebook doesn't have a wireless network adapter.
These are only configured on request and subject to free connections on the
    backbone network devices.

 Printers: There are at least one black&white network printer in each floor and
two color network printers (one in the old, one in the new building). Please
explore "Start→Printers" to get a list of printers and their location. Select the
printer nearest to you as your default printer.

 Scanner: A scanner is attached to a PC in the public accessible PC room A14.

 Email: Your email address is USERNAME@ihs.ac.at. All emails sent to
    FIRSTNAME.LASTNAME@ihs.ac.at are automatically forwarded to

How to subscribe folders in the email-software “Mozilla Thunderbird”:
Open “Mozilla Thunderbird”. Click the right mouse button on the "Inbox"-folder
and select "Subscribe". You are now presented with the dialog box "Subscribe".
Please expand the "Inbox"-folder by clicking on the "+"-sign at the left. Now
select the checkboxes next to every folder, so that they are marked and click
"Ok". You will see several subfolders, located under the "Inbox"-folder.

How to subscribe folders in Webmail: Open your Web browser and go to
https://webmail.ihs.ac.at. Accept the security certificate, if you're prompted to do
so. Now login with your username and password. From the menu at the top of
the right window select "Folders". Mark all folders below the heading
"Unsubscribe/Subscribe and click "Subscribe". After a few seconds the folders
appear in the folder-pane at the left side of the window.

Spam: Our mail servers are configured to put every mail they recognize as Spam
into your _Spam - email folder. If mails in the _Spam - folder are older then 30
days, they will be deleted automatically. If you find an email in your Inbox which
is Spam but our mail server didn’t recognize it, please move this email to your
_SpamNotDetected - folder, it will then be used to enhance the filtering
mechanism and will be automatically deleted 7 days later. If you find a legitimate
email in your _Spam folder, please move it to the _SpamError folder. It will also
be used for training the filter software, but it won’t be deleted automatically. For
further explanations and restrictions about the size of emails and allowed
    attachments see http://www.ihs.ac.at/departments/it/edpug/mailpolicy.pdf.
If you don’t see the _Spam, _SpamNotDetected and _SpamError folders in your
Mail client, you have to manually subscribe the folders.

 Caring about hardware: Don’t smoke, drink and eat while using the PC. If your
mouse, keyboard or screen is dusty please request cleaning by contacting

 Password: if you change your password use a secure one (at least 8 characters,
including at least one upper case and lower case and a digit). Don’t write it
down, don’t share it with others. Due to security reasons we will check all
passwords from time to time. If your password is easy to guess it will be disabled!
One convenient way to create a secure password is to remember a sentence and
use the first letter of each word as character in the password and replacing those
words with numbers which sound like numbers, eg: The sentence “I have one
brother and two daughters.” yields the password “Ih1ba2d”. You may change
    your password by:
        1. log in
        2. press the keys “Strg + Alt + Entf”
        3. select “Change a Password…”
        4. log out and wait 10 Minutes (take a coffee break) giving all IHS servers
time to synchronize the new password.
