About this Workbook
This workbook contains information designed to enable you to identify Supervisors and to
undertake a Mass Update of Supervisors where required.

Updating Supervisors
There are many instances where a change to an Employee’s Assignment may result in a change
not only to their Supervisor, but also to the Supervisor of those reporting to them. When
terminating an employee who is a Supervisor, their subordinates must also be reassigned to the
new Supervisor.
As part of standard procedure, when changing an employee’s Assignment, you must check
whether they are a Supervisor and if so, check whether this will result in a change of Supervisor
to those reporting to them. You must also do the same when an employee is terminating.
If no supervisor is chosen neo workflow will be affected for both Finance and HR/Payroll i.e.
Finance - no notifications will be created for any iProcurement purchase requisitions or
iExpenses expense reports; HR/Payroll - no notifications or approvals will be created.

Determining whether an Employee is a Supervisor
                Responsibility – your normal UTS HRMS Responsibility
                Path – People/Mass Updates for Person/Mass Update of Employee
                 Assignment Update Menu option.

                 The Mass Employee Assignment Update Window will open…

            ORIGINAL TAB
            Step 1 – Name field - enter the name of the Employee for whom you are
            determining if they are a supervisor – e.g. Smith, John
            Step 2 –Effective Date field – enter the date of the change made to the employee
            i.e. The Termination date; the change to another Position date.

               Select OK. (Do not enter any of the fields)

            Step 3 – The Criteria Window will open…




               Supervisor field - enter the name of the Employee for whom you are
                determining if they are a supervisor or use the LOV icon
               Select the OK Button.

                        The Australian Information Window open..




               Select OK. (Do not enter any of the fields)

                You will be returned to the Mass Employee Assignment Update Window..

            Step 4 – Select the Query Button to retrieve all associated subordinate records.
            If there are subordinates, a Decision Window will open displaying the number of
            records retrieved from your query.




               Select the Continue Button. This will populate the bottom section of your
                window with the subordinate’s details.
            If records are returned, then the employee is a Supervisor - proceed to the next step
            - Mass Update of Employee Supervisor.
            If the Employee is not a Supervisor, no records will be returned - do not proceed to
            the next step.

            Step 5 – Use the Selection drop down menu (bottom left of screen) to select or
            restrict your subordinate selection criteria.




               Select the New Tab

            Step 1 - Click on the Change List field.
                        The Change List Window will open…




            Enter the new supervisor’s name in the Supervisor field or use the LOV icon.
            Select the OK Button.

               Select OK. (Do not enter any of the fields)

                        The UTS People Group Flexfield Window will open…




               Select OK. (Do not enter any of the fields)
                        You will be returned to the New Window…
            Step 2 – Select the Create New Button
                        A Note Window will open.




               Select the OK Button to populate the window with the selected subordinate’s
                details.

            Step 3 – Click on the Datetrack Mode field.




               From the Datetrack Mode Window, select Update.
               Select the OK Button.
               Select the Submit Button.
               A Note Window will open with a concurrent request number for your report.




               Select the OK Button.
                        You will be returned to the New Window…
                        The Status will display as Pending
               Re-query your to check that the change has occurred.

               Select F11 and enter the Name of your Query in the Name field.
               Select the New Tab
               Check the Status Has changed to Complete. This will indicate a successful
                transfer.
