Labels Using Mail Merge
1. In order to mail merge names into labels, you first have to create a class list in Excel and save it to your desktop. You will find a sample class list on your desktop. 2. Next open MS Word 3. Go to Tools -> Letters & Mailing -> Mail Merge (A new task pane will open on the RIGHT side of your screen) 4. “ Select Document Type” -> Choose Labels -> 5. Then click “ Next – starting document”at the bottom of the task pane. 6. Under Change document layout -> choose Labels options
At this point you will choose the type of label you will be using. Check on the label box for the correct Avery number. This will give you the correct size of the label. We will choose 5161 today. Click “OK”.
7. “ Step 2 of 6” click “ – Next: Select recipients” 8. Select Recipients – “ Use an existing list should be chosen.” 9. Next click on “ Browse” 10. New window -> click on “ Desktop” on the left side of the window – then double click on your class list file. 11. A new window (Select table) will appear – click OK 12. DWS Technology Inservice 2008 13. Step 3 of 6 – “ Next: Arrange your labels” 14. At the top of the task pane – “ Arrange your labels” choose “ More items”
15. Click on each field you want to include on your label, click “ insert” then “ close” . This is the part where we arrange the label so it will be exactly how you want it to look. ? ? ? ? Put the cursor between the double arrows of first and last name and insert a space. Put the cursor between the double arrows of last name and teacher and press enter. Change Alignment Change font, color, and size if you wish
16. Once your label is arranged correctly – click -> Replicate Labels -> Update all labels 17. Step 4 of 6 – Preview labels 18. Step 5 of 6 – Complete the merge 19. Step 6 of 6 – Print

To Insert a Picture onto your Label:
AT Step 15
1. Choose “ Insert” -> “ Picture” - -> “ Clipart” on the right.)
(The clipart task pane will appear
2. Insert the picture by double clicking on it and click on it so the dots appear at the corners of the picture. 3. Using the picture toolbar at the top of the screen, click on the little dog with the stripes, and choose “ Square” (This allows you to move the picture wherever you . want on the label.) *Note: If you do not see the “ Picture Toolbar” , go to “ View” “ , Toolbars” and click on “ Picture”
4. Move the picture to wherever you want on the label and correct the size. 5. Close the “ Clip art” window by clicking on the “ . x” 6. Go to Tools -> Letters & Mailing -> Mail Merge (A new task pane will open on the RIGHT side of your screen) 7. Click on Next: Arrange Your Labels (at the bottom) 8. Once your label is arranged correctly – click -> Replicate Labels -> Update all labels 9. Step 4 of 6 – Preview labels 10. Step 5 of 6 – Complete the merge 11. Step 6 of 6 – Print
IF YOU DO NOT LIKE THE WAY YOUR LABELS LOOK… AT THE BOTTOM OF THE MAIL MERGE TASK PANE, CLICK ON THE “ PREVIOUS” ARROW UNTIL YOU GET BACK TO STEP FOUR. THEN MAKE YOUR CHANGES AND CLICK “ Update your labels” . CONTINUE THE STEPS AND PRINT.
