                                          Main Duties will Include
Key Objective / Outputs
                                          ● Telephone management: Operating the switchboard, scanning of incoming calls, channelling calls to
                                              relevant staff and taking and distributing messages as appropriate.
                                          ● Fax management: Managing the fax inbox and distributing as appropriate.
                                          ● Customer liaison and reception service: Receive and attend to visitors and the general public.
                                          ● Ensure that the reception area is maintained in a presentable state at all times.
                                          ● Assist with any other admin duties that will be required e.g. filling and general office admin.
                                          ● Ensure completion of paper work, sign in and security procedures.
                                          ● Coordinate incoming and outgoing mail and liaise with courier and delivery companies.
                                          ● Please note that work hours for this position will be 08:00 to 16:30, Monday to Friday.
                                          ● Duration: Start date 28 January 2011 to 31 May 2011.

Competencies
                                          ● Excellent interpersonal skills and good customer relations.
                                          ● Excellent communication and telephonic skills i.e. ability to communicate clearly & effectively.
                                          ● Fully bilingual (Afrikaans and English – however proficiency in English is a pre requisite)
                                          ● Literacy and computer literacy.
                                          ● Numerical Accuracy
                                          ● Good recollection, attention to job details and the surroundings are vital.
                                          ● Good organisational skills.
                                          Knowledge
                                          ● Sound knowledge of the functionality of switchboards – currently an Opticon with 5 incoming lines is
                                               being used at the premises.
                                          ● Sound knowledge of MS Word, MS Excel and Outlook.

                                          Attributes
                                          ● Punctual and good attendance (own reliable transport is essential)
                                          ● Vibrant and eloquent.
                                          ● Well spoken and have a good telephonic voice.
                                          ● Must be able to work under pressure, be proactive to solve problems faced with in line of duty.
                                          ● Well presented and neatly groomed at all times is vital.

                                          Qualification
Requirements
                                          ● Senior Certificate (Matric)
                                          ● Tertiary qualification – basic secretarial or any other training course, certificate or diploma that will
                                              enable the person to perform the work satisfactory will be advantage.

                                         Experience
                                          ● At least 1 – 2 years relevant working experience.

                                         Preference will be given to suitable internal candidates in line with company policies, as well as applicants with reception
