                                                Introduction 




The program provides a number of reports to help in the running of your practice.

The reports include:

Activity
A report on UDA /UOA, bandings, schedules and forms by category

Appointments
A detailed report on attended and failed to attend appointments

Archived patients
A report on patients which have been deleted.

Balances
A report on patients owing the practice money.

Laboratory Work
A report on work sent to your laboratories.

Notes
A report on patient notes for checking.

Patients
A highly configurable and detailed report on patients registered to the practice.

Recalls
A report on recalls due in any given month to mail merge with a letter

Schedules
A report on schedules and forms for each dentist

Treatment Forms
A report on treatment carried out.

Treatment Balances
A report on treatment balances by dentist and category eg NHS or Private

Treatment Items
A report on treatment items carried out.



                                           Activity (UDA/UOA) 




To access the Activity Report
Go to the main menu.
On the File menu, click Report, then Activity.
The Activity Report window appears
Click Report and select individual Users, or all users and Dates

                                          Appointments 




To access the Appointments Report
1. Go to the main menu.
2. On the File menu, click Report, then Appointments.
The Appointments Report window appears
3. Click Report and Select Users and Dates

                                             Archive patients 




                                                                                                     
 
Patient records need to be kept for a period of time after deleting. When patients are deleted from the
program, they are actually placed in an archive, which allows you to retrieve them if required.

To access the Archive Report
1. Go to the main menu.
2. On the File menu, click Report, then Archived Patients.
The Archive Report window appears.

The report lists all patients that have been deleted, and the date that they may be removed from the archive.

To restore a patient
1. Select the patient from the list.
2. On the File menu, click Restore, or click the Restore button.
The patient will be restored to the main database.

                                                    Balances 




The patient balances report allows you to list patients who have an outstanding balance.

To access the Balances Report
Go to the main menu.
On the File menu, click Report, then Balances.
The Balances Report window appears.

To generate a report
1. On the File menu, click Report, or click the Report button.
The Balances Report Options window appears.
2. Enter the options required, then click the OK button.
 The report will be generated.

To print the a report
1. On the File menu, click Print, or click the Print button.
 The Report will be printed.

You may print a letter to all the patients in the report.

To print letters
1. On the File menu, click Letters, or click the Letters button.
The Select Letter window will appear.
2. Select the required letter from the list.
3. Click the OK button to print, or the Cancel button to abort.

You may print a label for all the patients in the report.

To print the labels
1. On the File menu, click Labels, or click the Labels button.
The Labels window will appear
2. Select the required label from the list.
3. Click the OK button to print, or the Cancel button to abort.

You may open the details of any patient in the report.

To open the patients details
1. Select the required patient from the list.
2. On the File menu, click Patient, or click the Patient button or simply double click the patient from the
   list
The Patient Details window will appear.
3. On closing the Patient Details window you will be returned to the report.

                                            Laboratory Work 




                                                                                    
 
The laboratory work report allows you to list jobs sent to you laboratories.

To access the Laboratory Work Report
1. Go to the main menu.
2. On the File menu, click Report, then Laboratory Work.
The Laboratory Work window appears.

To print the a report
1. On the File menu, click Print, or click the Print button.
 The Report will be printed.

You may open the details of any patient in the report.

To open the patients details
1. Select the required patient from the list.
2. On the File menu, click Patient, or click the Patient button.
The Patient Details window will appear.
3. On closing the Patient Details window you will be returned to the report.

                                                   Notes 




To access the Notes Report
Go to the main menu.
   1. On the File menu,
   2. Click Report, then Notes
   3. Select the date to view the notes for that day
   4. Click Print if required

                                                     Patients 




The patient report provides a number of options to categorise patient by a variety of criteria. This can be
useful for compiling management statistics or sending out letters or reminders.

To access the Patients Report
1. Go to the main menu.
2. On the File menu, click Report, then Patients.
The Patients Report window appears.

To generate a report
1. On the File menu, click Report, or click the Report button.
The Patients Report Options window appears.
2. Enter the options required, then click the OK button.
 The report will be generated.

To print the a report
1. On the File menu, click Print, or click the Print button.
 The Report will be printed.

You may print a letter to all the patients in the report.

To print letters
1. On the File menu, click Letters, or click the Letters button.
The Select Letter window will appear.
2. Select the required letter from the list.
3. Click the OK button to print, or the Cancel button to abort.

You may print a label for all the patients in the report.

1. On the File menu, click Labels, or click the Labels button.
The Labels window will appear. (See Labels)
2. Select the required label from the list.
3. Click the OK button to print, or the Cancel button to abort.

You may open the details of any patient in the report.

Select the required patient from the list.
1. On the File menu, click Patient, or click the Patient button.
The Patient Details window will appear.

On closing the Patient Details window you will be returned to the report

                                                    Recalls 




                                                                                                      

The recalls window allows you to print recall letters or mailing labels for patients.

To print recalls
1. Go to the main menu.
2. On the File menu, click Report, then Recalls.
The Recalls window appears.

3. Enter the options for the required recalls, the click OK.
4. The recall list is generated. By default all patients are selected (as indicated by the red tick on the right
   hand side). To deselect patients, use the down/up arrow keys on the keyboard and press the spacebar.
5. Select the desired contact option – Print the list, send a letter, print a label or send a text message by SMS

                                                Schedules 




The schedule report allows you to view electronic schedules received from the DPB and lists the status of all
FP17’s transmitted.

To access the Schedules Report
1. Go to the main menu.
2. On the File menu, click Report, then Schedules.
The Schedules Report window appears.

To generate a report
1. On the File menu, click Report, or click the Report button.
The Schedules Report Options window appears.
2. Enter the options required, then click the OK button.
 The report will be generated.

The report is displayed on two pages.

   •   Schedule Page
          This page lists all electronic schedules.

       To view a schedule
          Simply highlight the required schedule in the list.
          The schedule will be displayed in the main window.

       To print a schedule
          Simply highlight the required schedule in the list.
          The schedule will be displayed in the main window.
       On the File menu, click Print, or click the Print button.

   •   Forms Page
          This page lists all forms prepared or sent to the DPB.

           As well as the list showing the details of the form, it also shows the status of the form in the
           transmitted column.

           The transmitted column may show:

           Prepared - the form has been prepared for transmission and is in the pending list.

           Number - the form has been placed in an electronic envelope and is waiting to be sent.

           Date - the electronic envelope containing this form was transmitted on this date.

           If the form has not been paid by the DPB within 2 months, the cell will highlight in RED.

                                           Treatment Forms 




                                                                                   
The treatment report allows you to list treatment entered into the program.

To access the Treatment Report
1. Go to the main menu.
2. On the File menu, click Report, then Treatment.
The Treatment Report window appears.

To generate a report
1. On the File menu, click Report, or click the Report button.
The Treatment Report Options window appears.
2. Enter the options required, then click the OK button.
 The report will be generated.

To print the a report

 The Report will be printed.

You may print a letter to all the patients in the report.

To export the report to a Comma Separated Value file (for import to a spreadsheet)
On the File menu click CSV
 The list will be exported

You may open the details of any patient in the report.

To open the patients details
1. Select the required patient from the list.
2. On the File menu, click Patient, or click the Patient button.
The Patient Details window will appear.
3. On closing the Patient Details window you will be returned to the report.

Treatment reports may also be generated showing Treatment Balances and Treatment Items with the option
to print either report
