Conference Guide General Policies and Information The Black Knight Inn welcomes you and your guests. As you are planning your conference, meeting or special event, please review the following guidelines. Our experienced Catering staff is here to serve you and to see that your function is a total success. Upon booking your event, a contract will be issued to you outlining the details. We require you to review and sign a copy of this function contract and promptly return it to the Sales & Catering Office. Guest Rooms If required, a block booking for your event will be held until 30 days prior to the arrival date. At this time, any rooms remaining in the block will be released back to the hotel. Further reservations after this date will be accepted, as space is available. Menu Selection Our award winning Executive Chef is committed to using the highest quality food products available, all of which will be prepared with the greatest of care and presented in a creative way. Our experienced Catering staff would be delighted to custom tailor a gourmet dinner or theme party for your special event. To guarantee your Menu Selections, please to advise our Catering staff of your selection thirty (30) days prior to your function date. Also, please advise the Catering staff of Dietary Substitutions at least three (3) business days prior to your function. The Hotel will supply ALL Food & Beverage requirements. No outside orders will be accepted in any of the Black Knight Inn Meeting/Conference & Banquet Rooms. Menu Prices All prices are subject to change and will be confirmed a minimum of three (3) months prior to the event. All prices are subject to 15% gratuity charge and GST. Final Guarantee The Sales & Catering Office must be notified of the guaranteed number of guests attending the function no later than 12:00pm, three (3) business days prior to the event. Guarantees are not subject to reduction. If no guarantee is given, the group will be charged for the expected number of guests indicated on the function contract. The customer will be charged for the guaranteed number of meals or the actual number served, whichever is greater. Upon request and space permitting, the hotel will set up seating for 5 percent above the guaranteed number only. Audio/Visual Equipment Should you require audio/visual equipment, be sure to inform our Catering staff of your specific needs, so arrangements can be made accordingly. The Black Knight Inn has the resources to provide you with up-to-date equipment and trained personnel to ensure your meeting runs smoothly and efficiently. Cancellation Advance deposits are non- refundable. Charges will apply if cancellation is made less than 72 hours prior to the function. Payment Credit applications for the purpose of direct billing are available through the Sales Representative. Unless credit has been established in advance with the Hotel, payment in full is due 72 hours prior to your function with either certified cheque or a Major Credit Card. Decoration Policies The use of open flame candles and confetti or similar product is prohibited. (A minimum clean up charge of $100.00 will apply) With prior approval by the Hotel, decorations may be put up with small pins or thumbtacks; the use of tape is not permitted. All decorations must meet Red Deer Fire Department Codes. The convener is responsible for the removal of all decorations after the completion of the function. The Black Knight Inn is not responsible for damage or loss of articles left in the hotel, prior to, during or following any event by the client or guests attending the function. Conference Facility Layout Meeting Guide 8 meeting rooms to accommodate 10 - 1,000 delegates 10,400 sq. ft. for display space 6,400 sq. ft. and 4,000 sq. ballroom space Audio/visual equipment available Setup includes Round or Rectangular Tables, Podium & Microphone and staging if needed Room rental fees may be reduced based on the amount of food ordered.
