Creating Local Email Archive Folder and Account 1. Double click My Documents on your desktop for Windows. On a Macintosh double click the Macintosh HD icon, and then click the Documents icon. Create a folder called “Local Email Archive”. 2. Log into Mulberry and click File Preferences in the menu bar. 3. Click the Advanced option on the right hand side, under the Ok and Cancel buttons. 4. Select the Accounts tab. 5. Click the word IMAP where is says Account: and select New… from the options listed. 6. Enter “Local Email Archive” for the Account Name field. Click the button labelled IMAP Mailbox to change the Account Type: to Local Mailbox, and click the Ok button.

7. On the Accounts tab ensure that the Local sub-tab is selected, and click on Specify Mailbox Location and Absolute Path options. 8. Click the Choose…button to navigate to the Local Email Archive folder created at the beginning. 9. Click the Save Default… button followed by the Ok button.

Creating Local Mailboxes You need to create a mailbox on the Local Email Archive account for each mailbox you wish to archive from the IMAP account.

10. Click the words Local Email Archive, and click the Create button in the toolbar. 11. Type in the name of the mailbox followed by clicking the Ok button. Give mailboxes a meaningful name, e.g. arch-January 2006. Copying Messages to Local Mailboxes Once you have set up at least one local mailbox within your Local Email Archive Account you can copy messages or the contents of an entire mailbox on the server to a local mailbox by any of the normal Mulberry methods: i. Select a message or some messages in an IMAP (i.e. server-based) mailbox (you can select all messages in a folder by choosing Edit | Select All from the menu - shortcuts: PC: Ctrl-A, Macintosh: Cmd-A). ii. Drag and drop them onto the appropriate Local mailbox or use Right-click on PCs or Ctrl-click on Macs and select Copy to Mailbox EFFECT: copies all the messages in the IMAP mailbox into the Local mailbox and marks the originals for deletion (you'll need to expunge to remove them completely from your IMAP account - which is the main reason for using Local Mailboxes in College). i. Select a mailbox on your IMAP (i.e. server-based) account. ii. Drag it to a mailbox on your Local Mailbox Account EFFECT: copies all the messages in the IMAP mailbox into the Local mailbox, but does NOT mark them for deletion. Since you're archiving them, you'll need to go back and delete them separately. IMPORTANT: The archived email is stored on your machine, so is not backed up. It is important that you take measures to backup your Local Email Archive folder. This prevents a loss of data should a problem occur with your machine.
