                                                              BEAM
                                    WHAT IS BEAM?

     BEAM (Board Electronically Accessible Mail) is the OCDSB's electronic
communications system. E-mail, calendaring, contact management, access to our
School Councils and Communications conferences are among the features available to
you as a school council chair and/or co-chair.

      We invite you to use this system to network with other school council chairs, to
access information and resources, and to share ideas, best practices, and/or emerging
issues. If you prefer, you can contact your school principal to access a computer at your
school.


                             WHY SHOULD I USE BEAM?

   To receive e-mail from the OCDSB:
   Throughout the school year, we send regular communications, such as memoranda,
   letters, newsletters, media releases, consultation requests, award nominations, and
   other important information to your personal BEAM mailbox.

   To network with other school council chairs:
   You can e-mail another school council chair and/or co-chair by sending them a
   message directly through BEAM by using the address format SC-(school name). For
   example, to send a message to the school council chair of Agincourt Road Public
   School, the address is “SC-AgincourtRdPS”. BEAM can also be used as a discussion
   forum. You can post your school council’s message in the School Councils folder by
   sending it to the address “School Councils”. All school council chairs, co-chairs, and
   selected central staff are able to view your message and respond.

   To access information and resources:
   Within BEAM, you will have access to our district-wide Communications folder. In this
   folder, you will find information about upcoming board and committee meetings,
   copies of all OCDSB news releases, newspaper clippings, and other valuable reference
   information.

   To access other features:
   You can also set up a personal calendar to manage your school council activities.

           HOW DO I LOGIN TO MY SCHOOL COUNCIL BEAM ACCOUNT?

1. From your Internet browser, please enter the following URL: HTTP://BEAM-
   SERVICES.OCDSB.CA.
2. Once the page is open, select HERE as seen below:
3. If you receive the security warning- DO YOU WISH TO PROCEED?, select YES.
4. Enter: User Name:
            Password:
            If you are a new Chair, please obtain the password from the previous Chair
            of your School Council. If the password cannot be obtained, please ask your
            principal to contact Hotline at 613-596-8273.
5. Click LOGIN

NOTE:    Please keep in mind that your e-mail account is strictly confidential and
         accessible only by you as a school council chair and/or a co-chair. Please be
         sure to logout when you have finished to help keep your school council’s BEAM
         account secure.

TIP: You can change your password under the tab COLLABORATE – CHANGE
     PASSWORD. Please provide your new password to your school principal.


            CAN I FORWARD MY BEAM E-MAIL TO ANOTHER ADDRESS?

1. Yes, to forward your messages automatically, from the tool bar at the top, please go
   to EDIT – PREFERENCES.
2. Under the MESSAGING tab at the top, select the MAIL RULES tab.
3. Go to AUTOMATICALLY FORWARD and under the drop down menus for LOCAL MAIL,
   INTERNET MAIL, and VOICE/FAX MAIL, select YES.
4. Under the drop down menu for METHOD, select FORWARD.
5. In the box FORWARD TO, type the e-mail address that you want your mail sent to.
6. Click APPLY and OK


                   WHERE CAN I FIND ADDITIONAL ASSISTANCE?

       Should you require further information, please check the Help Contents button in
the top right-hand corner of your screen. Technical support is also available through the
OCDSB’s Call Centre Service (Hotline) between 7:30 a.m. and 4:30 p.m., weekdays, by
calling 613-596-8273.
