                         A. Create a New Class
1.   Open MarkBook 2009.


2. Click

3. On the Step 1 page – Fields with yellow backgrounds must be filled in for MarkBook to
   continue. In the ‘Enter a Class Code’ field, enter the entire course code including
   section number, with no space or hyphen e.g. ADA1O101
4. For ‘Save the Class To’, select h: if it is not already selected.
5. Click ‘Next’.

6. Step 2 page– Fields with yellow backgrounds must be filled in for MarkBook to continue.
   Enter the Teacher, School and School Phone as you wish them to appear on printed
   MarkBook reports.
7. Click ‘Save As Default’ for these fields to be automatically populated for all future
   classes created.
8. Click ‘Next’.

9. Step 3 page – Click ‘Import Students’.
   Note: Do not enter student information manually. Students must be imported from
   Trillium to create the Midterm and Final Provincial Report Card.

10. In the ‘Import If #1 contains’ field, enter the course code and section with no space or
    hyphen (as entered when the class was created). Click ‘Import’.

11. Step 4 page – Fields with yellow backgrounds must be filled in for MarkBook to
    continue.
12. To use the LKDSB recommended categories and weights, click ‘Load a Setup’.

13. In the window that opens (Open a Mark Set Setup File), the default folder will be MSS.
    If it is not, select the MSS folder.
14. Double click the appropriate course file. The following fields will be automatically
    populated on the New Mark Set (Step 4) page: Mark Set Short Code, Description,
    Master Course Code, Block Title, Categories (and recommended weights).
15. Click ‘Finish’.

16. Although the capability to edit the weights does exist, these suggested weights should
    remain in place for the current school year. The Categories and weights can be edited
    before leaving the New Mark Set page or at any time during the semester. To edit
    during the creation of the class, click on the desired category to select and then edit in
    the Description or Target field.
17. To enter Categories and weights manually, enter the Mark Set short Code (4 characters
    or less), Description (18 characters or less), Block Title, desired category name in the
    ‘Description’ field and the weight in the ‘Target’ field.
18. When creating subsequent classes, use the ‘Master List’ field to quickly enter categories.
19. To delete a category, drag it to the trash at the bottom of the page.
20. When the Category set up is complete, click ‘Finish’.

21. After successfully creating a class, click ‘Yes’ to create another class or click ‘No’ to
    continue working with the current class (enter data, edit categories, print a class list,
    attendance, seating plan, etc.).

22. To edit the Categories or recommended weights at a later date, open MarkBook and the
    appropriate class. Click ‘Mark Sets’ from the menu bar at the top of the screen and then
    select ‘Edit:’ from the dropdown.

                               B. Update a Class
1.   Open a class, click ‘Class’ on the top menu bar and then ‘Update Class from File’.

2. The Course Code will already be entered into the ‘Import If #1 contains’ field.
3. Click ‘’Update Class’.

4. One of the following messages will appear:

 If there are no changes, click ok. If there are changes, click ‘Yes’ and then read each of the
                    messages carefully and select either Yes, No or Cancel.

     C. Learning Skills for Provincial Report Cards

The Learning Skills are embedded in the LKDSB customized version of MarkBook 2009 and
can be entered using either the LKDSB computers connected to the network or the Teacher
Take Home version.

1. Open a class, click ‘Reports’ on the top menu bar and then select ‘Learning Skills’.

2. If the Learning Skills default page is not ‘Summary’, click the ‘Summary’ button. The
   Summary view will display the entire classlist and all learning Skills are presented on one
   page.
3. Learning Skills can be entered and edited in a variety of ways - Stamp/Flood, Dropdown
   List or Click Sequence.
4. ‘Stamp/Flood’ Method
        a. Use the dropdown to set Excellent, Good, Satisfactory, Needs Improvement or
            Clear. Click in the appropriate Learning Skills beside each student to enter the
            level.
        b. Or, click ‘Flood’ to automatically enter the selected level (E, G, S, NI, or Clear)
            into all empty cells for all students.
        c. To edit, set the desired level (E, G, S, NI, or Clear) and click in the appropriate
            Learning Skill cell. Or, set the Data Input method to ‘Dropdown List’, click in the
            cell to be edited and use the dropdown to select the appropriate level.
5. To use the ‘Dropdown List’ method, first select the appropriate level (E, G, S, NI, or
   Clear) and then click in the appropriate Learning Skill cell(s).
6. ‘Click Sequence’ data input method will change the level in the learning skill to the next
   level in the sequence (E, G, S, NI, or Clear) e.g. clicking on a G will change it to S and
   clicking again will change it to NI.

7. Select ‘Individual Learning Skills’ to enter one Learning Skill to all students or ‘Individual
   Students’ to enter all Learning Skills by to individual students.

       D. Comments for Provincial Report Cards

   The Comment Banks are embedded in the LKDSB customized version of MarkBook 2009.
   Comments can be entered using either the LKDSB computers connected to the network
   or the Teacher Take Home version. Ensure that classes/mark entries have been updated
   when working on both school and home computers.

   1. Open a class and click the ‘Student Report’ button.

   2. Click the ‘Comments’ button at the bottom of the page.

   3. If necessary, click File and then select ‘Clear ALL Comments’ to remove all comments
      from all students in the class.

   4. Click ‘Comment’ in the top menu bar and then select ‘Open a Bank’.

   5. In the window that opens, select the appropriate Comment Bank and click ‘Open’.

Note: Each course now has a Comment Bank that includes Ministry Expectation based
      comments, as well as Promotion, Achievement Chart and Learning Skill based
      comments.
      Teachers are reminded to select comments from the three Levels (Strength,
      Improvement and Next Step) and also from a variety of Types (Expectation,
      Achievement Chart, Learning Skill and Promotion).

   6. Scroll through all comments in the chosen bank (bottom field) or narrow the search
      for comments by using:

             a. Type (Achievement Chart, Expectation, Learning Skill, Promotion) and/or
             b. Level (Strength, Improvement, Next Steps).
         Each comment has been tagged with a Type and a Level. Use the dropdown to
         change the search parameters at any time. e.g. selecting Learning Skill and
         Improvement will display only the comments with both Learning Skill and
         Improvement tags.
   7.    Alternatively, comments can be searched by key word using the ‘Find’ field. Enter
         the desired keyword e.g. entering ‘organization’ will display only comments with the
         word ‘organization’ within the text.
   8.    Double click on the desired comment or drag to move the desired comment to the
         student comment field (top field).
   9.    To select the next comment, first change the search tags (Type or Level) if
         necessary. Then double click or drag the desired comment to the student report.
         The next comment will be added at the end of the previous comment. To add a
         comment to a different location (i.e. between previously added comments), move
         the cursor in the student comment field (top field) to the desired location and then
         double click the comment to be added.
   10.   Repeat step 7 to add additional comments.
   11.   The maximum number of characters for a given student is 458. This maximum can
         be achieved by any number of sentences, providing the maximum number of
         characters is not exceeded. The total number of characters used in a comment is
         tracked (beside ‘Set’ near the top of the window), as the comment is built.

   12. If the number of characters in the comment field exceeds 458, the text will turn red
       and the character length will read ‘Too long!’

    13. A different Comment Bank can be selected and used at any time (before beginning
        the next student or for the current student). Click ‘Comment Bank’ in the top menu
        bar and then select ‘Open a Bank’.
    14. Move to another student by using the dropdown or up/down arrow to move
        through the classlist.
    15. Click ‘Save and Exit’.

       E. MarkBook to Trillium Transfer Program
1. Open a class and complete all mark entry, Learning Skills and Comments.
2. Update the class information before proceeding. See section B.
3. Click ‘Reports’ on the top menu bar and then ‘MarkBook to Trillium: Secondary – Public’.

4. Click the ‘Start a New File’ button and then ‘Next’.
5. To work on a file from a previous session, click the file name and then click ‘Continue’ or
   Browse to the file and click ‘Open’.

6. Edit Marks, Learning Skills and Comments for each student as needed.
7. Check the IEP, ESL or ELD box(es) for each student as required. Please be reminded that
    the IEP box should NOT be checked for students receiving "accommodations only" in
    academic, applied, open or essential courses.
8. Click ‘Check for Problems’ for a report on missing data.
9. Click ‘Print Working File’ for a report (Marks, Learning Skills and Comments) that will
    appear on the Provincial Report Card. Use this report for verification purposes.
10. Use the ‘Save Working File’ button to save all data without exiting the Transfer Program.
    Saving regularly is a recommended practice.
11. Click ‘Save Report File’ to submit your file to Trillium for Report Card generation.

12. Click ‘Save and Exit’ to save all data and exit the transfer program or change the course.
    The saved file will appear in the ‘Continue Working On’ window upon return to the
    MarkBook to Trillium Transfer Program.
