INTRODUCTION
This workbook has been designed to assist you in the development of effective and satisfying
placement experiences for both yourself and your supervisors.
It provides you with a guide to the placement program in the IHP. It is also a useful overview
of the Placement process for the placement organisation. Take this Workbook with you to
class, interview and placement. It will assist you in planning and answering questions your
host organisation may raise. If your supervisor wants a copy you may arrange this through the
Placement Administrator – Ms. Margaret Yu.
It is widely acknowledged that placements are an important component of the student‟s
education process. The level of your involvement, contribution and commitment is significantly
related to the benefits you will gain from this shared learning experience.
We view the program as dynamic, open and receptive to all levels of input and welcome your
considered comments and recommendations, so that the very best possible program will
evolve.

1. WHAT IS THE PLACEMENT PROGRAM?
Placements are supervised work programs and an integral part of a student‟s education. They
provide a variety of learning experiences in which the student may observe, participate,
contribute and learn.
There are three components to the placement program:
(a) Familiarisation with a range of functions and services provided by organisations in
different settings (sport, recreation, health and physical activity sectors). Research,
analysis and discussion of current trends and professional development issues relative
to Sports Science and Leisure Management graduates.
(b) The block or part-time placement (approximately 150 hours) during which the student
negotiates with an organisation to undertake certain tasks / responsibilities within the
organisation‟s ongoing program or a selected time limited project to be completed
during placement.
(c) Development of skills / processes by which students negotiate a placement learning
contract (planner) and evaluate their learning outcomes.
The placement involves a three-way partnership between the student, the University and
the participating organisation. All parties in the relationship assume certain responsibilities,
perform specific functions and accrue benefits as a result of their involvement.
Broad Aims of the Placement
Placements will provide opportunity for you, the student to:
Apply theories, concepts and skills learned in a classroom setting to a practical work
situation;
Develop and demonstrate skills in planning, organising and delivering programs or
services for specific groups linked to your „major‟ study area;
Interact and learn from professional practitioners in their respective areas of expertise;
Demonstrate attitudes, expectations and personal values, consistent with the
requirements of working in a relevant career;
Establish personal learning goals, objectives and performance indicators by which your
placement performance and professional development can be evaluated.

2. BENEFITS OF PLACEMENTS
Student Benefits
A structured and supervised Placement experience;
Provides the student with a situation to test skills, theories and concepts which have
been developed in the classroom and encourages students to reflect upon and transfer
this learning back to the classroom;
Brings the student into direct contact with professional workers, organisations and
potential employers in the sports science or leisure field;
Helps the student reveal strengths and alleviate weaknesses through personal
assessment of their performance and support from both the organisation and academic
supervisors.
Benefits to the Host Organisation
The host organisation benefits through the input made by the student to its programs
and services;
The addition of the student to the organisation‟s staff for a specified period may enable
the organisation to trial a new program or undertake some research or feasibility study;
There is no cost to the host organisation in direct wages. The placement is seen as an
educational experience, with the organisation providing professional supervision and
guidance;
The University carries public liability and personal accident insurance for student on
practice.
Through the Placement program, organisation staff may access resources such as
university libraries and staff expertise;
In the longer term, it provides opportunity to observe the performance of potential
future employees.
University Benefits
The University benefits because Placement courses are continuing opportunities for
evaluation of the student‟s needs, abilities and progress;
Placements enable University staff to stay in contact with professionals;
The program provides the University with an avenue to evaluate the effectiveness and
relevance of the course curriculum in relation to the current needs and trends of the
various sectors.

3. HOW TO SURVIVE THE PLACEMENT PLANNING PROCESS
Whilst each student‟s Placement program will be linked to individual learning objectives there
is a general planning process common to all. The following will help you plan each placement.
Use this section as a checklist of things you will have to complete before, during and after
placement. Workshops will be held to assist you in preparing the assessment items
discussed below.
PRE PLACEMENT
Begin your placement search early, it often takes the same level of effort as finding a
good job. Keep your tutor advised of your progress and seek assistance if necessary
Browse through the Placement Proposals and organisation files. These are held
in Room 110 at PMB and provide information on placement offers and their clients and
activities. You should note the details of two or three organisations that interest you for
later discussion in workshops or with your tutor. If there is no Placement Proposal from
the organisation of your choice, discuss this with the Placement Administrator.
Arrange a meeting with your tutor. At this meeting discuss your placement options,
taking into account your previous voluntary or paid work experiences and your major
area of study. Make a photocopy of Appendix 1 and bring this completed form to
your meeting.

Prepare an introductory letter and resume. A Workshop will assist you with this.
Once you have selected an organisation you will need to send an introductory letter
and resume addressed to the organisation contact. This should be done prior to
arranging an interview. See Appendices 2 & 3.

Arrange and attend a pre-placement interview with your selected organisation.
During this interview discuss your interests and learning objectives and negotiate
placement tasks and responsibilities. Make sure that both you and your organisation
supervisor are quite clear on what is to be undertaken during the 150 hours of
Placement. If an Placement Proposal form (Appendix 4) is not on record in the IHP,
have one completed by the organisation.

Prepare a confirmation letter and planner. Send the confirmation letter to your host
organisation, setting out the arrangements you have agreed upon for placement – see
Workbook Appendix 2. Write up your planner (see Workbook Appendix 6) and send a
copy with your letter. Two copies of the above items along with the completed
Placement Proposal must be submitted for assessment – see course outline for
due dates.
NB: A Planner (Assessment Item 1) must be submitted on the due date
regardless of the stage of your placement negotiations. This planner should

reflect the learning objectives that are guiding your placement negotiations.
Planners do not have to be signed by Organisational or Academic Supervisors at
this stage. Further changes to the planner may evolve as negotiations are
completed and you can modify your learning objectives accordingly.
Should you wish to commence placement prior to the due date of Assessment
Item 2, you will need to submit this item at least five working days prior to your
first day of placement. Your placement will not be confirmed by the University
until you have submitted your Confirmation Letter, and you will not be able to
claim placement hours until your name appears on the confirmed placement list
– see Placement Notice board. Check this list to identify your academic
supervisor.

During this interview you should discuss your planner (and any changes that have
evolved). Pick up your ‘marked’ planner, redraft as necessary and return a copy
to your academic supervisor. Make arrangements (e.g. visit, telephone contact) for
academic supervisor support during placement.

easy.
DURING PLACEMENT
Check that you have completed all pre-placement items.
Enjoy your placement experience.
From Day 1 keep a note of the number of hours you work and the tasks
undertaken. Use your Time Logs (Workbook Appendix 7) for this and arrange for
your organisation supervisor to sign them once a week (or approximately every 40-50
hours). Placement hours should not clash with your teaching timetable commitments.
During the first few days of the placement arrange and attend a meeting with
your organisation supervisor to discuss your learning objectives and
performance indicators. At this stage, any changes to your planner should reflect the
match between your learning needs and what the organisation can provide. Ask your
organisation supervisor to sign the Placement Planner, after you have made any
necessary changes. Give a copy of the planner to both your organisation and
academic supervisors. You should use a separate planner sheet for each key
objective to allow for detail of associated tasks, performance indicators and specific
evaluation comment on the back of the Planner.

At the same time, ask your organisation supervisor to provide you with a basic
induction to the host organisation‟s services and procedures, and ensure you have
adequate access to resources to complete the agreed upon tasks.

Arrange to meet with your organisation supervisor on a regular basis (at least
weekly). Although your organisation supervisor should be providing you with ongoing
guidance and feedback, it is beneficial to arrange for specific periods of time to be set
aside during placement for discussion on you performance. Continue to use your
planner throughout this process.
In your final week of placement, write up a summary evaluation (on the back of
your planner sheets) of the outcome of each placement objective.
Arrange and attend a summative evaluation session with your organisation
supervisor. This session should take place towards the end of your placement. Ask
your organisation supervisor to make a written evaluation on each objective and
to complete the Overview of Student Performance form that was forwarded to the
organisation by the University. See Workbook Appendix 8 if you need to make a copy.
It is your responsibility to complete this process before leaving the organisation and
submit these evaluation items with your report. Do not leave this to the last day of
placement; or you may spend a lot of time and energy chasing paperwork post-
placement.

allocated in your course outline due to the needs of your placement organisation, get
support in writing from your organisation supervisor and attach this to your „Application
for Extension‟.
POST PLACEMENT
Submit a Placement Report by the due date set out in your course outline (see
Appendix 9).

Arrange and attend a post-placement interview with your academic supervisor –
see Appendix 12. This de-briefing is a necessary part of the evaluation process. It
gives you an opportunity to discuss matters you have analysed in your written report
and assess how well you have managed the placement process. Pick up your

4. ISSUES IN PROFESSIONAL PRACTICE
There are a number of other important issues that you must consider in planning your
Placement:
Professional Expectations
The process involves arranging interviews, negotiating a placement and your evaluation of
Placement performance and competence. Your performance will be a reflection not only of
your personal attitudes and commitment, but seen as representative of the B.Sc. (SSLM), the
IHP and HKU. The following will be taken into account when grading a student‟s performance:
Planning and Management of your Placement
You should be able to demonstrate a high degree of preparation and planning for any activity
for which you are responsible prior to, during and post placement. The success of the
Placement experience will depend largely on your commitment and input to the planning
process; e.g. having knowledge of the host organisation, researching material prior to
placement, utilising the „planner‟ as a guide to your learning and evaluation and effectively
communicating with University and organisation supervisors. As indicated in the course
outline, a proportion of final marks is allocated to this.
Attendance/Hours of Work
Prearranged attendance is necessary to fulfil your placement commitment to the host
organisation and University. However, should you be unavoidably delayed or absent at any
time, please notify the organisation supervisor as soon as possible so that alternate
arrangements can be made.
Absence due to illness must be supported by a doctor‟s certificate. Time lost through illness
during Placement should be made up.
You are expected to attend the host organisation at any time within the „normal working hours‟
of operation for that organisation. This may involve some weekend or evening work. Students
with employment commitments need to consider well in advance, what arrangement they will
negotiate during the period of Placement. The University expects your commitment to
successfully completing the Placement to be your priority.
Students who need to vary their placement hours due to part-time work, childcare, etc, must
negotiate special arrangements with their organisation supervisor prior to commencing
placement. Academic supervisors must also be notified of these arrangements.
Punctuality
This is naturally assumed at all times. “Overslept” or “Missed the bus” are not acceptable
excuses for being late in professional work environments. Advise your organisation supervisor
if you will be unavoidably delayed or absent.
Dress
Whilst involved in your Placement program, presentation in accordance with the professional
dress code in the organisation is required. If in doubt, discuss this matter with your
organisation supervisor.

Confidentiality
Professional ethics involving principles of conduct is an important consideration for students
and supervisors during placement. Part of the educational process rests with the identification
of moral principles and values upon which personal and professional life is based. Honesty
and integrity consistent with the personal value system of the student should act as the basis
for acceptance of responsibilities and obligations within the organisation.
An understanding of the nature of privacy, confidentiality and human respect is essential as a
breach of ethics may have consequences detrimental to the clients, the organisation or the
student. Students should exercise discretion in criticising the organisation or personnel. Any
such matter should be discussed with your academic supervisor in a constructive and
professional manner.
In all instances, you should conduct yourself as a mature, professional individual. Professional
ethics should extend to writing reports, exchanging information and interacting with staff and
clients.
Transport
Students will usually be required to provide their own transport to and from the placement
venue. This will be at your own expense except where organisations provide reimbursement
(e.g. some distance placements). Transport costs may influence your choice of placement
location.
Expenses Incurred on Behalf of the Host Organisation
Students on placement may be asked to fulfil tasks on behalf of the host organisation which
incur „out of pocket‟ expenses. Examples are „library research‟ involving photocopying, use of
their private vehicle or public transport to deliver goods and services or the purchase of
program materials. You should negotiate reimbursement of these expenses with your
organisation supervisor, prior to making the financial commitment.
Insurance
The University‟s Insurance Policy covers all students undertaking unpaid activities required by
the University as part of their prescribed program of study. Students are indemnified for public
liability in respect of third party claims for damage to property or injury to persons while
undertaking an approved Placement.
Reporting of Accidents
If you are injured during a placement, you must report the incident to the organisation
providing the placement and to the University via the IHP. This should be completed as soon
as possible and forwarded to the Placement Administrator. The University uses the
information included in the incident report to take preventative action. A record on the incident
may also be important if at a later time you need to lodge a claim for damages.

5. SUPERVISORY SUPPORT IN THE PLACEMENT – HOW TO GET THE BEST
FROM YOUR SUPERVISORS
The Academic Supervisor
The IHP‟s staff (full-time and part-time) are allocated time for the support and
supervision of students on Placement. Students will be assigned an academic
supervisor once their placement is confirmed by the IHP. Check the Placement
notice board to identify your supervisor and arrange a pre-placement interview.
Allocation of Academic Supervisor
Supervising staff will be given details of each student assigned to them for
Placement supervision. The purpose of the pre-placement interview is to:
discuss your planner.
develop a rapport with your supervisor on a supportive individual basis.
review and discuss your placement objectives. You may need some guidance
in modifying/expanding the objectives and further modification to your planner
may be necessary during Placement. Leave a copy of your planner and keep
your supervisor informed of changes.
make arrangements for telephone contact or visit by your academic supervisor
during placement.
Supervision during Placement
Students may undertake their Placement in a block or on a part-time basis or some
combination of these arrangements. You should arrange contact with your
academic supervisor, preferably before the mid point of the Placement period so
that any potential problems can be resolved at any early stage. Visits or telephone
discussions should involve both the academic and organisation supervisors.
Keep in contact with your academic supervisor during placement to update him/her
on your progress and seek guidance if necessary. In some cases, telephone
discussions will be the arranged mode of supervision during placement.
Post-Placement Evaluation
Your report will be marked and can be collected at your post-Placement interview
with your academic supervisor. You are required to arrange and hold the interview
with your academic supervisor before the end of the semester.
Discuss outcomes of your Placement experience as outlined in your report.
Academic supervisors will allocate a mark for your overall effort in managing the
placement and involving both academic and organisation supervisors in the
process – see assessment items 3 and 4 in your course outline.

The Organisation Supervisor
Organisation supervisors play a valued role in the student‟s education. They often
clarify the integral links between theory and practice and act as role models for the
student‟s professional development. This may involve aspects of managing,
counselling, observing, instructing and evaluating the student Placement.
Pre-placement Period
An Placement Proposal is submitted to register the organisation‟s interest in taking
BSc (SSLM) students on placement – see Appendix 4. Alternatively, the University
or the student may approach an organisation seeking Placement opportunities.
Arrange an interview with the organisation supervisor to discuss Placement
objectives. The supervisor should receive an introductory letter and your current
resume, prior to the interview. Be sure the supervisor has sufficient information
about your course and your study interests.
Setting specific learning objectives is a vital part of the Placement planning process.
You should look to the organisation supervisor for guidance in setting appropriate
objectives. Ensure that you are given sufficient information to familiarise yourself
with the organisation‟s operations and services.
Should the supervisor require you to attend the organisation or its programs on
occasions prior to placement, you may apply this time against the required
Placement hours. Ask about opportunities of pre placement orientation.
Your Workbook will be useful in answering questions your supervisor may ask you
about the Placement program. You have any important part to play in familiarising
the organisation supervisor with your University course and your professional
development needs.
Supervision during Placement
Students are required to clarify and reach agreement on their Placement objectives
and performance indicators during the first days of placement. You must leave a
copy of your Planner with the supervisor. Arrange to meet with your supervisor on
a regular basis to exchange feedback and discuss progress on objective and
performance.
Where possible, the student should negotiate to observe and work with other staff
in the organisation and seek opportunities to develop an awareness of networks.
During the last days of the placement, the student should arrange to meet with their
supervisor to summarise learning outcomes and get specific written comment on
each placement objective. Also have your supervisor complete the Overview of
Students Performance form – see Appendix 8 and either mail or FAX the form back
to the IHP. You should also receive a copy. Ensure that all evaluation issues are
discussed and documented in writing before you leave the organisation.

Post Placement
Students must attach the organisation supervisor‟s written evaluations to their final
report – see Appendix 6 and Appendix 8. If arrangements are made to have this
mailed to you it is your responsibility to follow up with the organisation. Avoid this
situation if you can as these valuable assessment items may be „lost‟ in some
cases, and you cannot be given a mark. A percentage of the final grade will be
determined by averaging the organisational supervisor assessment (Appendix 8) of
your placement performance – see the Course Outline for details.
Write a letter of thanks to your organisation acknowledging the assistance of key
people. These contacts may remain an important part of your professional network.

2. INTRODUCTORY, CONFIRMATION AND THANK YOU LETTERS
(must be typewritten)
NB: Introductory and confirmation letters are assessment items. Placements will not be confirmed
until a copy of your confirmation letter has been received by the IHP.
INTRODUCTORY / APPLICATION LETTER
A well constructed introductory letter acts as a „stimulus‟ for the reader to look further into your
application. Your potential placement organisation should receive an introductory letter (and your
resume) as part of the pre-placement negotiation process.
The introductory letter should:
be dated;
contain the full name and title of the recipient, the organisation and its operating address (not the
post office box number) at the beginning of the letter;
make reference to previous contact made by Placement staff or yourself in relation to opportunity
for a placement with the organisation;
show some enthusiasm and interest in applying for a Placement in this particular organisation or
sector. Demonstrate your knowledge of the organisation‟s function / services provided;
make some reference to your attached resume; highlight your strengths or previous experience
and how you might contribute and learn from this placement;
express a willingness to support your application at a personal interview and advise what action
you will take to arrange this;
preferably not go beyond one typewritten page.
PLACEMENT CONFIRMATION LETTER
Following your interview, you are required to write a letter confirming the arrangements you have
agreed upon with your placement organisation.
Content of the letter should cover the following points:
date;
the full name and title of the recipient, the organisation and its operating address (not the post
office box number) at the beginning of the letter;
make a reference to the interview and thank the organisation for the placement opportunity;
confirm the program area or project in which you will be working;

attach a copy of your Placement planner which reflects the above, as a basis for further discussion
with your supervisor;
confirm the name of the person who will be acting as your supervisor (if this is different from the
person to whom you are addressing this letter);
confirm the commencement date of your placement and work arrangements (e.g. full time, part
time, or some combination). Your address and phone number should also appear at the top of
this letter should be the organisation wish to respond or make contact.
Finish the letter on a positive note.
Note: A copy of this letter must be handed in with an Placement Proposal form completed by the host
organisation. See your course outline for the final due date. You will not be given credit for
placement hours until these items are submitted, the IHP has confirmed the placement and you have
had a pre placement meeting with your academic supervisor.
POST-PLACEMENT THANK YOU LETTER
Following completion of your placement, it is expected that you write a „thank you‟ letter to your host
organisation. The degree of formality of this letter will depend on the relationship you have developed
with organisation staff.
The thank you letter should project a professional attitude, reinforce your networking and
acknowledge the organisation‟s support of the IHP‟s Placement program.
Note: A copy of your thank you letter should be attached to the appendix section of your report.

3. RESUME (CURRICULUM VITAE)
RESUME (CURRICULUM VITAE)
Resume is a French word meaning ”summary”. That is precisely what your resume is – a summary of
the pertinent facts about yourself; your personal, educational and work history.
The resume is so often a crucial factor in determining whether the job seeker gets that sought after
interview with the employer. A good resume often acts as “one foot in the door”.
USE OF YOUR RESUME
Included with your introductory letter in response to a job advertisement or application for
Placement.
Given to prospective employers or individuals to be used as a reference.
Mailings to potential employers or employment agencies inquiring about employment opportunities.
Excellent personal record keeping device. As you update your resume, previous resumes should
be kept for future reference to be used when completing job applications, or customising your
resume for a particular job.
Your current resume should be given to your referees to keep them informed of your professional
development.
RESUME CONSTRUCTION
While there are infinite variations to the basic resume form and content, there is nevertheless, a
sizeable area of agreement with the following. Your personal and professional background will
influence your approach to presenting this content:
Personal data – name, current mailing address, telephone number, fax number and e-mail
address. A personal profile statement.
Education – list full name of all universities/colleges attended, location, dates enrolled, major and
minor fields of study and expected date of course completion. High school certificates, technical
schools and adult education courses might be included. Included a paragraph briefly explaining
the study programs that are most relevant of your career director.
Employment – list employment in reverse chronological order – your present or last job first. List
starting and leaving dates, your position title, name of company and location, and major
responsibilities. Identify the position as voluntary or part-time if employment was other than full-
time. You may need to condense some of this material.

title of award, granting agency, date or year awarded).

References/Referees – it is more likely you will be requested to give the names of referees rather
than submit written references which quickly become dated. A referee is a person who is willing to
support your application at a personal and professional level. Your referees should be carefully
chosen. Referees should be approached and agreement reached before their names are used.
Keep your referees updated with your current resume and well informed of the organisations to
which you are applying.
GUIDELINES
Be concise, informative and clear in your presentation. However, do not make it too detailed. A
good rule of thumb of the length of your resume is around three pages.
Be consistent – follow your chosen procedure throughout the resume including organisation of
each section, placement of dates, punctuation and spacing.
Deleting the first person “I” (use third person and the past tense) may make it easier for you to
give yourself proper credit without seeming boastful. First person may be appropriate for personal
/ professional profile statements.
Layout a format which makes use of open space surrounding copy, for emphasis. Make sure it
has eye appeal.
A resume must be typed. Furthermore, with access to work processing programs it is relatively
easy to be creative in your presentation. Use a quality photocopier when copying your resume for
mailing.

The Student Placement Proposal should be a concise document (two pages) that outlines the
placement arrangements that you have negotiated with your host organisation. Whist some of this
information may be drawn form the Placement Proposal filled out by the organisation and placed in

This report reflects the experiences and learning achieved during your Placement. It should cover the
following points and format:
1. INTRODUCTION
Give a brief overview of the host organisation and the program / project in which you were
involved. Two or three paragraphs should be sufficient.
2. SELF ANALYSIS OF PLACEMENT PERFORMANCE (approximately 1,500 words)
This section of your report analyses the learning outcomes from your Placement experience.
Particular emphases should be given to Item 2.2.
2.1 How effective were you in negotiating and achieving your objectives and performance
indicators? Did you modify your original planner during the course of placement?
Comment on its usefulness in guiding your learning and evaluation. What would you do
differently next time?
2.2 Critically evaluate your performance in relation to each objective utilising the performance
indicators in your Placement Planner (the copy used during placement). Discuss written
and verbal feedback received on your performance, e.g. how did others interpret your
performance? Comments on the Overview of Student Placement Performance (Appendix
8) should also be integrated into this self-analysis. Utilising Appendix 10 may be useful in
helping you understand the organisation and your role within it.
2.3 Comment on how this experience might be improved for you and for your host organisation.
3. YOUR ACTION PLAN FOR ONGOING PROFESSIONAL DEVELOPMENT (1,000 words)

objective from your organisation supervisor, before leaving the placement – see Appendix
5. Also attach the first Planner marked by your tutor prior to commencing placement, to
demonstrate how you may have modified your learning objectives as the placement
experience evolved.

Appendix 11 should be photocopied, and completed by you as a separate section of your
report, e.g. placed in a plastic sheet along with other organisation brochures and handouts.
This will be used to keep Placement placement files up to date. You may need to seek the
assistance of your placement organisation.
Post Placement Issues
Students are responsible for organising their post-placement interview with their academic
supervisor after the submission of their Placement report. Collect your graded report at this
interview.

The purpose of this handout is to provide students with a greater awareness of the management
systems and processes being utilised in a range of public, private and community service
organisations in the leisure field. Students are expected to use this as a guide to identifying and
